1 Indigent V6.04 INDIGENT RELEASE We at Computer Arts, Inc., are pleased to announce the latest release of the CAI Indigent Software Program Version This revision is focused on tracking Medical Records requested from providers. Some of the enhancements are: Medical Record Tracking Medical Record Suspension/Extensions Medical Record Tracking Reports The following pages detail the enhancements and changes that are included in this revision. Please share this documentation with all Indigent users in your offices. We appreciate the input from our users in helping to prioritize and aid in the development of all of our programs. 2 CAI Indigent Revision 6.04 Medical Record Tracking System Note: The new medical record tracking changes are not related to the Suspension (for other resources) or Suspended case status accessed from the Additional Information section which should only be used if an applicant is pending other available resources. For information on the Medical Record Suspension see Idaho Code (5) or House Bill 98 effective 7/1/2013. Setup Indigent Control Menu / Control File New text Control Field to allow users to customize the instructions on where or how to send the medical records to the county and how to respond to the medical record suspension. From the Indigent Control Menu select the System Control File choose the Medical Suspension button, enter the instructions of where to send the medical records request to and select the Change button. Note: The data you put in this control field prints on the Order for Medical Records Report (IN942) Indigent Control Menu / Date Control Added two new fields to the Date Control that are used when calculating the medical record due date the response due date. From the Indigent Control Menu select the Dates Control File icon 1) Enter the number of days the medical provider has to send in the medical records in the Medical Records Due field 2) Enter the number of days the provider will receive if they request a medical record suspension in writing in the Medical Record Suspension field July 2013 Indigent Revision 6.04 Page 2 of 7

3 Tracking a Medical Record Suspension Added new Medical Records Tracking function to the Case File-Request. (IC (5), House Bill 98 effective 7/1/13) To track a Medical Emergency indigent application, select the applicant from the List Names display and choose the request for that applicant. The Change Case File-Request will display, select the Medical Record Tracking button, the Request Medical Tracking panel will display *Medical records can be requested on all types of cases, if it is NOT a Medical Emergency the extension is will not be available for those cases. Only the Requested Date field, Medical Records Due By field and Medical Records Received On field will be available. Enter the date the county requested the medical records in the Requested Date field, the Medical Records Due By field* will automatically calculate. *The program calculates the Medical Records Due By date based on the number of days entered in the Date Control File under Medical Records Due field. See Setup. Select the Add button. Tracking a Medical Record Suspension Note: Medical Record Suspensions are only applicable to medical-emergency cases. If the provider requests a suspension, select the Medical Record Suspension Requested check box, enter the date the suspension was requested and the Provider that it was requested by. The Medical Records Due By field* will automatically calculate the field based on the date the suspension was requested. *The program calculates the Medical Records Due By date based on the number of days entered in the Date Control File under the Medical Record Suspension field. 4 If a suspension is requested the Response is Due field on the Case File-Request panel will add from the Date Control field the number of days. Note: In this example, the Control File field for the Requested Suspension date field is 30. The Response is Due field originally stated 7/15/2013, 30 days was added to the date.
