3 We are deligthed to invite you to participate in the 2017 National Medical Association s Region V Conference which will be held in San Antonio, TX, April 7 9, Conference Hotel is the Hotel Contessa located at 306 West Market Street, San Antonio, Texas The National Medical Association (NMA) promotes the collective interests of physicians and patients of African descent. NMA carries out its mission by serving as the collective voice of physicians of African descent and a leading force for parity in medicine, elimination of health disparities and promotion of optimal health. NMA s mission is to advance the art and science of medicine for people of African descent through education, advocacy, and health policy to promote health and wellness, eliminate health disparities, and sustain physician viability. Region V consists of nine states: Arkansas, Texas, Louisiana, New Mexico, Oklahoma, Iowa, Nebraska, Missouri, and Kansas. We hope that you will consider supporting the 2017 NMA Region V Conference. 3

4 IMPORTANT DATES// MARCH 8, Deadline Hotel Reservations MARCH 31, Deadline Exhibitor Registration APRIL 7, Exhibitor Set-Up APRIL 8, Exhibit Hours (8AM - 5PM) APRIL 8, Exhibitor Dismantle (5PM - 7PM) HOTEL ACCOMMODATIONS// Room reservations are the responsibility of each participant and should be made by calling the hotel directly or by using online reservations. The deadline is March 8, 2017 or while rooms last to receive the convention rate of $ (single/double). Please use NMA Region V as the code at the time of registration to get the conference room rate. PARKING: Daily parking rate is $17 at the Hotel Contessa. SHIPPING & PACKAGE HANDLING // Any packages received more than 2 days prior to the event will be assessed a storage fee of $5 per package/per day by Hotel Contessa All boxes should state onsite contact s name, sales manager s name, meeting/company name and dates of event. No C.O.D. packages will be accepted. Hotel s policies on safe package handling are based on the advice from the United States Postal Service (USPS) and the Federal Centers for Disease Control and Prevention (CDC). 4

The 2017 NMA Region V Conference will provide sponsors and exhibitors with exposure and access to delegates who have the capacity to influence the selection of products and services within their organizations. NMA Region V will provide you with the opportunity to demonstrate your support and commitment to eliminating healthcare disparities throughout the Region V territory and will extend your visibility beyond the exhibition hall to achieve maximum exposure at the meeting. To ensure that your company achieves its objectives by participating in the conference, a wide range of opportunities is being offered. EXHIBITOR ALLOCATIONS// Booths will be assigned on a first-come, first-served basis, determined by the date of the contract and payment received. Prior exhibitors will also be considered. If the booth(s) of your choice has already been assigned, you will be given the nearest booth available.
