4 4 Dear Unit Kernels, First I want to Thank you for all that you do for your Unit and for being a part of our popcorn team! Last year, over $574,000 of popcorn was purchased to help support Scouting in Monmouth Council and approximately $206,000 went directly to our Units (this does not include the cost of the prizes that the Scouts earned). A little more than half of all Units participated in the sale in We aren t selling popcorn. We are asking people to support Scouting by purchasing our popcorn. We are asking people to support our Troops all over the world by purchasing our popcorn (with the Military donation). I need your help. need to hear all the wonderful things your Unit was able to do because of your successful popcorn sale. I want to hear all your concerns and am always here to help, if you need anything during our 2018 campaign do not hesitate to contact me. I am here to help! Once again, for all you do, THANK YOU! 8 8 Sales Methods On-Line Sales receive a straight 50% Commission and Scouts Earn Prizes Scouts contact friends and family members in person or via , phone, person contact, etc. Consumers log onto and order products, pay by credit card, and have product delivered to their home. Please do not forget to include your on-line sellers when ordering prizes for your unit! Take Order Sale The Scout goes door to door with a Take Order form. The customer writes his/her order and the Scout delivers product and collects the money in a few weeks. 1. Set up a sales territory within your Unit s area. 2. Have a parent accompany each sales team, Scouts are not to enter any home. 3. Determine the timeline for when orders are due to the leader. Show and Deliver Scouts will have some of the product on hand before the sale begins. When going door to door with a Take Order form, Scouts offer the consumer an opportunity to purchase the Popcorn and take the product on the spot. Scouts will make additional deliveries in a few weeks to fulfill remaining requests. Show-N-Sell Unit orders product up front and sets up in front of a busy storefront. 1. Secure location prior to the sale: Ask store manager for permission Some good locations: supermarkets, convenience stores, shopping malls, donut shops, 2. Work in two-hour shifts. Don t have the entire unit attend at one time. 3. Do not block the store entrance. 4. Be sure to leave the location clean. 5. Set up a display of the products. 6. Sales are credited to the Scouts working the shift at the time. 7. Left over product is used to fulfill Take Order needs.

9 9 Unit Commissions Your unit will receive 31% of your gross sales as your base commission. In 2018, your unit will have the opportunity to earn an additional 5-7% commission for a possible total of 38%, one of the highest in the country. Preparing Your Unit for the Sale. To receive the Preparing your Unit 5% your unit must complete the following items: 2% for attending one of the two Sale Kickoff/Training meetings (May 12th or June 4th). Champions Kick-Off included. 2% or 4% : Unit must increase from 2017 to 2018 sales by $1 and submit all popcorn and prize orders on time and online to receive 2%, if a unit increases levels (bronze, silver, gold) that unit will receive 4%. 1% If you communicate with your District Executive your popcorn plan and inventory halfway through your Show & Sell. Online sales commission will be a straight 50% Scouts will earn prizes and a bonus incentive!

10 10 New 2018 Incentive Levels Bronze Any Unit with $1,500 in Unit Sales or Less Silver Any Unit with $1,501 to $7,000 in Unit Sales Gold Any Unit with $7,001 or more in Unit Sales ** If a unit moves from one level to the next the unit will receive 4% commission. Please keep in mind that online sales count towards a unit total sales. **

11 Why Popcorn as your Unit s Fundraiser? 11 Over 71% of the purchase price goes to support local Scouting programs. Up to 38% commission for units - one of the top in the country! It s more effective to offer a time line instead of dollar amounts for each Scout to sell! NO RISK! A turn-key program; no upfront money, no leftover product, order just what your Scouts sold. A Council supported prize program for many levels. Three ways of selling: Take Order, Show & Sell or Online. Scouts can earn their own way in Scouting with One fundraiser a year. There is a Scholarship Program. Sell $2,500 just once and you re in! Trail s End is Better Than Ever! Highest quality/best tasting products. All microwave products are made with Canola Oil. All Trail s End products have ZERO grams of Trans Fat.

12 12 SHOW AND SELL RETURN POLICY In order to ensure a successful popcorn sale for both your unit and the council, the 2018 Popcorn Committee has established a Show and Sell Return Policy. All popcorn is a liability for the council so we encourage you to follow a few key practices: Check on your outstanding inventory and make frequent honest assessments on your unit s ability to sell. Subscribe to a time based sales plan (i.e. we are halfway through the sale Have we sold least half of our inventory?, What plans are in place to sell all the products?). As an incentive you will receive a 1% commission to share this information with your District Executive. Check with your District Kernel or District Executive if you have an inventory challenge too much or too little popcorn can usually find a home with enough notice. Please add yourself to Facebook page: Monmouth Council BSA Popcorn Network Work toward zero return policy so that every dollar of popcorn revenue provides programs for your boys. Unsold Show and Sell product must be used to fill your take order forms and only order what you need to complete your take order. *Only full cases will be accepted back to Council* Any unit that returns more than 10% of their Show & Sell will loose 2% commission. The Show and Sell part of the Popcorn Sale is an excellent way for your Scouts to sell popcorn and provide the product directly to our customers. Any returns to the Monmouth Council of unsold product on or before Friday, Oct. 26th, 2018 will have no fees or penalties (as long as products are returned in the original condition and (no chocolate items may be returned to the Council). This gives council ample amount of time to redistribute unused popcorn to other units or councils to reduce leftover product.

15 15 Scholarship Information Scouts who sell at least $2,500 (online, face-to-face or combination) in any calendar year receive 6% of their total sales invested in their own college scholarship account. That is $0.06 of every dollar they sell! Once Scouts are enrolled, 6% of their sales each year will be added to their account. Scouts only have to hit the $2,500 minimum one time. Online sales count! To credit a Scholarship account, please send to Council (priscilla.borges@scouting.org) the following documents: 1. Scholarship Form (with your council s signature) (Please go to our website: Monmouthbsa.org/popcorn for a form if you do not have one.) 2. A copy of each Take Order Form used in the Fall Sale 3. A copy of your online sales report from trails-end.com Scholarship Payout Request: In order for your college, university, vocational or technical school to receive your scholarship payment, you must the following documents to scholarship@trails-end.com: 1. High school transcript 2. Class schedule issued by the Registrar s Office of your educational institution 3. Letter of recommendation from an educator or Scout leader 4. One-page essay on the impact Scouting has had on your life 5. Completed payout request form (Please ask your council for this if they do not have it we can provide this to you) Scholarship balances will be ed to Scouts annually.

16 Popcorn Pick Up Dates Our warehouse location for both our Show & Sell and Take Order portions of our Popcorn Sale will be: Sunny Delight 10 Corn Road Dayton, NJ We will distribute popcorn on Friday, September 14th and Friday, November 16th. If you are willing to help sort, please let your District Kernel know. Sorting will occur at 8am - noon on the Distribution dates. *It is important to reserve your time! To reserve your units warehouse popcorn pick-up, return times and offer to help sort go on-line at: **Before signing off your inventory sheet, each unit is liable for counting their product upon pick-up to ensure their proper inventory is received. Your unit will be held liable for inventory listed on the order sheet.**

17 Timeline for Popcorn Kernels Are you feeling a little overwhelmed by your Kernel job? Well, don t be overwhelmed as we all have been there before! We are here to help and offer support! 17 As soon as possible, text/ /sit down with your unit leader and discuss dates, timeline, and their support! Here s a timeline you can follow. October Council sponsored Show and Sell date at Wawa s on Oct 13 & Oct 14th, and Monmouth Mall on Sept 19th - Oct. 19th. *Return any un-sold product to Council for by Sat. Oct 20th (9-11 am) - 22nd (9 a.m. till 5 p.m.) and Oct. 26th. Take Orders are Due Oct.26th by 5 pm. November Unit Prize Orders, bonus incentives prizes due on November 14th! Dayton, Sort and deliver popcorn within the unit December Unit Popcorn payment due to Council on or before Dec. 3rd at 5 p.m. Ask Unit Treasurer for check made to MCBSA Sort and give out prizes.

18 Steps for a Successful Sale 18 Set a sales goal for your Unit and for each Den or Patrol. Most important step a Unit can do. Base this goal on your actual budget needs. Use the tool from Trails End website, Ideal Year of Scouting, The Unit popcorn goal must be submitted to receive the extra sales commission. Communicate the Unit s plan to assistant leaders and committee members and together, determine a sales goal for each Scout based on the Unit s goal. Conduct a Fun-Filled Kickoff event for Scouts and their parents. Emphasize what the Scouts will receive for hitting their goal; prizes, Scouting programs, camp, etc. Provide a letter to parents that clearly spells out: the purpose of the sale. how the money raised will be used. and what the per-scout goal is. They will be much more interested when they know this information. Consider using some of the Unit s commissions to offer additional incentives that your Scouts really want. Encourage ALL your Scouts to go out and sell! 67% of people will buy when asked, and less than 30% of the public is approached! Sell to friends, family members, neighbors, etc. Bring Take Order form to work. Set up an organized Show and Sell at the beginning of the sale to help give your Scouts a good start to their sale. Have a victory celebration! Have a fun activity planned at the end of your Show and Sell day. At the first Pack Meeting after the sale ends, give out prizes, additional incentives, trophy to top-seller(s) and remind everyone how the money raised will help Scouts and Parents fund their year in Scouting. 19 The Responsibilities of The Unit Popcorn Kernel Attend the Council popcorn sales training session. Pick up forms and information. 2. Decide when Take Order, money, and prize forms will be due to you. As you will need to backdate that due date so you can put in your order to council and select prizes. 3. Prepare handouts for Unit Kick-off meeting for both leaders and Scouts. Handouts include: a) Timeline showing sale dates, date orders due, time and place for pick up. b) Unit goal and time per scout goal (Ex: Each Scout sells 8 hours) c) One order form. 4. Hold Unit Kick-off meeting near date popcorn sales begins. Discuss sales techniques, Scout goals, money collection, and safety. 5. Collect and total orders from den/patrol leaders on designated unit order due date. 6. Enter your Popcorn Unit Order and Prizes online. 7. Pick up the popcorn at the Popcorn Distribution site ( Sunny Delight Warehouse, 10 Corn Rd. Dayton). Reserve your unit time online on the popcorn pick up dates. Make sure to bring vehicles large enough to accommodate your order. You will be expected to verify counts and sign the Unit Packing Slip form acknowledging receipt. 8. Remind Scouts of money due dates. Make sure checks are payable to the unit. 9. Collect and tally money by unit money due date. 10. Issue one check payable to Council for Total Amount Due Council by December 3rd. **Before signing off your inventory sheet, each unit is liable for counting their product upon pick-up to ensure their proper inventory is received. 20 20 Other Locations for Show and Sell s Think outside the Box! Ask your Scouts where they and their families visit most frequently. What about a busy library or a medical complex? Remember, the Show and Sell is only one part of the overall sale. For your unit to really maximize its sale this year you need to incorporate all the selling options.

21 21 Frequently Asked Questions When can we start selling popcorn? All units can start selling after attending Popcorn Kick-off on May 12th. What is the Facebook page for Popcorn? This is where your unit and others come together for ideas, transferring of excess popcorn, getting additional popcorn as needed. Updates on Council due dates and information. You can also contact your District Kernel/ Executive for any issues or problems. Facebook page is: Monmouth Council BSA Popcorn Network Can our unit accept Cash donations? No. Cash donations should only be advertised and accepted for Military Donations. I have a problem with my bill. Who do I call? Call the Monmouth Council Office at (732) between 9:00 am and 5:00 pm, Monday through Friday Can I order individual boxes or tins? Your customers can order individual boxes or tins from you. For the Show and Sell Sale all orders must be in whole cases. For the Take Order Sale you may order individual containers. Returns are full cases. There will be no product returns after October 26th.* I ordered too much popcorn for my Show & Sell. Can I return the extras to the council? Yes. You may return only full cases of popcorn on or before October 26th. We will accept full cases for return. After October 26th we cannot accept anymore product. Please plan accordingly. During the sale, if you know that you will have extra popcorn, let your district kernel know or go onto Monmouth Council BSA Popcorn Network on Facebook. Other units in your neighborhood are often looking for extra popcorn and they may be able to take some of your hands. You can arrange a transfer of popcorn from one unit to another. Can people order additional popcorn from my unit after the official sale is over? Yes they can. We generally have additional popcorn available through the holidays so please let us know your needs. Your consumers can also log onto and purchase popcorn with a credit card. The product is shipped directly from Trail's End to the consumer and your unit and Scouts receive credit for the sale. The Monmouth Council will distribute 50% commission to units on all sales generated online year-round. Where Can I Find Additional Information? Visit the Trail's End at for online video training for both scouts and leaders, nutritional information, and other helpful hints. How do I add additional prizes for my unit? You will have to log back into your unit s Trail-End popcorn system and edit your prize order. If your prize order has been accepted by Council, you will need to enter an additional order. *Any chocolate popcorn products received, can can NOT NOT be be returned.
