1 Loading your product data into ECCnet, Canada s National Product Registry Service Frequently Asked Questions (FAQs) 1. Question Which option do I choose on the first screen? If this is your first time, choose I want to Register my company. Then when prompted to choose a Data Loading Option select the ECCnet ProSYNC Basic Small Business option. If your company qualifies you will automatically be upgraded to the ECCnet ProSYNC Basic Small Business Service. If you have used ECCnet ProSYNC Basic Small Business before and already have a user name and password, choose I am already registered - I want to sign on. 2. Question What is my UPC Prefix? Your UPC Prefix consists of the first 6-9 digits of your UPCs or bar codes. Your UPC Prefix uniquely identifies your company and is the essential building block to creating industry-compliant bar codes. Your UPC prefix must be registered with the Electronic Commerce Council of Canada before you load your data into ECCnet, Canada s National Product Registry. This ensures the integrity of the data contained in ECCnet. 3. Question What is a GTIN? GTIN is an acronym for Global Trade Identification Number. GTIN is an umbrella term for all product identification numbers, including the individual consumer level item number (UPC-12), the SCC-14 Case Codes, display ready pallets, and other stock keeping units (SKU). 4. Question What is my estimated number of GTINs? GTIN is an umbrella term for all product identification numbers. To estimate your number of GTINs, add the number of products to which you assign UPCs to the number of products to which you assign case level product identification numbers (such as SCC-14s). If you also assign product identification numbers to another level of packaging, add these to your total. Page 1 of 5

2 5. Question What is a GLN? GLN is an acronym for Global Location Number. This number uniquely identifies your company and is the new industry standard for company and location information. 6. Question What do I do with my user name, password and company ID? Please keep your user name, password and company ID in a secure location for when you need to return to ECCnet ProSYNC Basic Small Business. You will use the same user name, password and company ID to access the Member Section of the ECCC/ECCnet web site. Note you will also receive a further set of access codes once you complete certification. 7. Question Why do I have to be a Member of the Electronic Commerce Council of Canada (ECCC)? When you register your UPC prefix, an essential step to maintaining the integrity of the data contained in ECCnet, you automatically become a member of ECCC. ECCC is the not-for-profit association, which, as an EAN Member Organization, has the authority to distribute and maintain the EAN/UCC system of product identification in Canada. Your retailer and distributor customers require your products to be identified with legitimate bar codes. Registration of your UPC prefix with ECCC ensures that your bar codes are legitimate and globally unique. In addition to prefix registration, ECCC Members receive the following benefits: Reciprocal privileges with UCC (Uniform Code Council in the US) Access to the Members section of ECCC s website Searchable UPC prefix directory E-Commerce Implementation Guide Industry supply-chain initiatives Reduced rates for ECCnet s Image and Dimension services Access to bar code and EDI standards and education

3 8. Question How do I become a Member of the Electronic Commerce Council of Canada (ECCC)? If you are not currently an ECCC Member in good standing, ECCnet ProSYNC Basic Small Business will direct you to the appropriate web page to process your Membership. ( Your membership payment will need to be processed before you can be ECCnet Certified. However, you can continue loading your product data while your Membership is processed. 9. Question ECCnet ProSYNC Basic Small Business includes loading up to 10 complex packaging GTINs. What is complex packaging? Complex packaging can be defined as any of the following: a) A packaging level that contains more than one type of GTIN (termed a multipack). An example of a multipack is a case containing three different flavours, where the case has an SCC-14 and each flavour has a UPC. The case would count as one complex GTIN. b) A packaging level that is sold in more than one level of packaging. An example of this would be a can of soup that is sometimes packaged in a case of 12 cans and sometimes in a case of 24 cans. The UPC is associated with two SCC-14s, and as such, the UPC would count as one complex GTIN. c) If a GTIN contains more than one type of GTIN (i.e. multipack) and is itself contained in more than one packaging level (i.e. isn in a multicase configuration), it counts as two complex GTINs. 10. Question I have loaded my all of my products. How do I get ECCnet Certified? Once you have loaded all of your products and paid any outstanding invoices for ECCC Membership or Product Loading, you are eligible for ECCnet Certification. To request ECCnet Certification, proceed to the Certfication step in ECCnet ProSYNC Basic Small Business. In this step you will assure ECCnet that you will update and maintain your product catalogue in ECCnet on a regular basis, adding new listings and making changes to existing products as applicable. Upon completion of certification, an ECCnet Customer Support Representative will contact you to provide you with your secure Alias, User ID and Password, which you will use to access the ECCnet Registry and grant access to your Retailers/Distributors. At this time, please also supply ECCnet with a list of your current retailer and distributor customers. You will also receive two documents, which will guide you in navigating ECCnet, Canada s National Product Registry, and in granting access to your retailers. These documents are also available in the Members Section of the ECCnet website. To access them online, visit then click on Granting Retailer Access under ECCnet Documents.

4 11. Question How do I know whether or not I am ECCnet Certified? To confirm that you are ECCnet Certified, visit Log in using your User ID, Password and Company ID. Select UPC Directory from the left navigation bar, then search for your company name under Member Directory. Select your company record, then click on ECCnet Status on the top menu. Your ECCnet Certification date will be listed beside Certification if you are ECCnet Certified. Information regarding your ECCnet Status is only available to you and your retailer and distributor customers. 12. Question How do I grant access to my retailer and distributor customers? Complete instructions on granting access to your retailer and distributor customers is available in the document entitled Granting Retailer Access, available in the Members Section of the ECCnet website. To access the document online, visit then click on Granting Retailer Access under ECCnet Documents.

5 Frequently Asked Questions (FAQs) from Distributors and Private Label Vendors 1. Question If I am a distributor and I have retailer customers, do I need to load my product information or should my manufacturers load the information? The organization that maintains relationships with the retailer customers should load the product information into ECCnet. If the manufacturer of the product does not have a direct relationship with the customers, the distributor should load the products. For example, the organization that typically prepared and presented the Product Listing Forms to the retailers would load the products into ECCnet. 2. Question I am a distributor and I am loading product information on my products. What do I need to do? As a distributor, you must ensure that: The Prefix for each company you represent is registered You are a Member of ECCC You provide ECCC with documentation that indicates the manufacturer has given you authorization to load their products Load your products into ECCnet 3. Question If I am a vendor of Private Label products, do I have to load my product information? Retailers and Distributors have different policies regarding their Private Label products.
