1 Solutions for Hotel Multi-Level Rate Access Implementation Tool

2 Solutions for Hotel Multilevel Rate Access The purpose of this tool is to: Define Multilevel Rates. Outline the hotel Multilevel (negotiated) rate process. Provide troubleshooting information. Provide troubleshooting solutions. Provide a form to help you during the implementation or troubleshooting process. What are Multilevel Rates? Your travel agency or a corporate client may have negotiated preferential room rates with a hotel chain or individual hotel property(ies). These rates are known as Multilevel (negotiated) rates. Each rate has a three to six character access code you have agreed to in advance with the hotel chain or individual property(ies). To display these rates, you would add the Multilevel rate access code to the HOA format as a search qualifier using a slash followed by a lozenge ( ) and the rate access code. Example: HOA28DEC-31DECSEA/ ACME (ACME = ACME multilevel rate code)

3 Multilevel Rate Implementation Process Generally, the process to implement a new Multilevel rate is as follows: 1. Your agency or corporate client negotiates its best deal with one or more hotel chains or properties. 2. Agencies with multiple outlets will determine which pseudo city codes will participate in the Multilevel rate program with a particular chain or hotel property. 3. The company or agency contacts the hotel property to request that the rate be made available in Apollo, providing all the related information, including the requested rate access code and the pseudo city codes to be authorized. Note: A sample fax is provided at the end of this document to help you provide all the necessary information to the property. 4. The property loads the rates into their local rate system. Then the property contacts their central GDS department to complete the rate loading so the rate can be made available for booking in Apollo. 5. The hotel chain GDS department contacts North American Help Desk (NAHD) to establish a rate access code. - Only one rate access code is permitted per company. If a rate access code is already established for the company requested, the NAHD will tell the hotel chain what code to use. - If the company does not have a rate access code yet, the NAHD will assign one. Note: During the negotiation process, alternate rate access codes can be listed, in case the requested rate access code is not available for use. 6. The hotel chain GDS department completes the rate connection in Apollo. 7. The hotel chain or property advises you that the Multilevel rates are loaded and available for sale in Apollo when you use the applicable rate access code in the request. e.g. HOA28DEC-31DECSEA/ ACME

4 Troubleshooting Why can't I see my negotiated rates in Apollo? If you do not see your negotiated rate(s) in Apollo, one of the following problems may exist: You may be using the wrong rate access code. The hotel property may still need to load the rates. The hotel property may have loaded the rates incorrectly, or forgot to notify the chain GDS department to load the rates into Apollo. The hotel chain may still need to load pseudo city information, or may have loaded your pseudo city code incorrectly. Note: Although you may have negotiated a rate with a specific hotel property, and not the chain, the hotel GDS department maintains the negotiated rate information. Troubleshooting Options To troubleshoot missing Multilevel rates: 1. Check first with the property to be sure they have loaded the rate. Be sure they specifically loaded it to be available through Apollo. If not, fax your request to the hotel property. 2. If the property says the rate is loaded, but you still cannot see it, contact the chain for assistance. Most hotel chains now provide contact information which can be found in the Multilevel keyword (MULT) in RoomMaster. e.g. HODXX/MULT (XX=chain code). Note: The chain usually requires authorization from the property to load rates and cannot load a rate on your request. However, they can help you determine why the rate is not viewable in Apollo. Ask them to: - Investigate and see if the rate was loaded correctly by the property. - Confirm what rate access code you should be using. - Check that your pseudo city code(s) was entered correctly. After this call, you may still need to contact the property again to ask them to make a correction. The hotel chain may offer to help you with this as well. What do I do if I am unable to resolve the problem or don t get a response from the chain/property? If you are unable to resolve the problem, please contact your Galileo Account Manager.
