1 RIDBC Position Description Position Title: Marketing Assistant Last updated: Nov 2014 Reports Directly To: Director, Marketing and Communications Direct Reports: Nil Stream/Function/Department: Marketing and Communications Department RIDBC Overview Royal Institute for Deaf and Blind Children (RIDBC) provides quality, innovative services to achieve the best outcomes for current and future generations of Australians with vision and/or hearing loss. RIDBC provides education, therapy and cochlear implantation services for children and adults with hearing and/or vision loss, and their families. Services include: Early learning programs for children with vision and/or hearing loss from birth to six years Preschool and school programs for children with vision and/or hearing loss and specialist preschool and school support services for children attending mainstream preschools and schools Assessment, planning and therapy sessions for children and adults with vision and/or hearing loss Specialist vision and hearing services delivered to children, adults and families in regional and remote areas of Australia via videoconference and other technologies Cochlear implantation and habilitation services for children and adults, through SCIC Cochlear Implant Program, an RIDBC service World class research, continuing professional education programs and postgraduate courses for professionals working with people with vision and/or hearing loss, through RIDBC Renwick Centre. As a charity, RIDBC relies significantly on fundraising and community support to be able to continue to make a difference in the lives of people with vision and/or hearing loss. 2 RIDBC Marketing and Communications Department RIDBC Marketing and Communications Department is responsible for raising awareness of RIDBC, strengthening the RIDBC brand, marketing RIDBC programs and services, developing marketing materials, publications and content (online and offline), managing internal and external communications and media relations activity. RIDBC Marketing Assistant Main Role Purpose The role of RIDBC Marketing Assistant calls for an enthusiastic, detail-oriented and organised marketing professional, who will be responsible for supporting the Marketing and Communications Department, contributing to the development, planning, scheduling, implementation and evaluation of RIDBC s marketing and communications activity. This is a varied and hands-on role, calling for a marketing all-rounder who thrives on being proactive, setting up systems and processes to ensure the smooth running of a busy team; researching the marketplace, partnerships, competitor organisations and best practice marketing and communications; social media content creation and coordination; copy writing, editing and proof reading; updating and maintenance of information on RIDBC s web and intranet sites; providing graphic design support; management of brochure and marketing material stock levels; and preparing materials for conferences, meetings and exhibitions. The Marketing Assistant will also have an opportunity to get involved in a range of activity and build upon their marketing and communications experience to date. This person will work cross functionally to coordinate and schedule internal and external marketing campaigns and maintain a calendar of key events, activities, communications and campaigns across the organisation. They will also provide assistance with all aspects of the implementation and evaluation of marketing campaigns. Core skills requirements include marketing planning and scheduling, campaign planning, implementation and evaluation, event/exhibition coordination, analysis and reporting, creation and upkeep of systems and processes and general administration. Internal communications and media relations experience is desirable, as is previous experience working for a not for profit and/or health care organisation. Reporting to RIDBC Director, Marketing & Communications and working within a small team of four, the Marketing Assistant must work well under pressure and have the initiative and determination to consistently improve the performance and day to day functioning of the Marketing & Communications Department. They will have an opportunity to be involved in all aspects of marketing and communications, juggling a challenging tactical workload while also contributing to the strategic development of the department. This person will help to promote RIDBC s full program and service portfolio and position RIDBC as a key thought-leader and service provider within hearing and/or vision loss and the wider disability and special education sector. 3 Key Responsibilities (not limited to) Deliverables Support RIDBC Marketing and Communications Department with a range of administrative and marketing and communications activity Work cross-functionally to coordinate and schedule internal and external marketing campaigns and maintain calendar of events Build knowledge of RIDBC programs and services and undertake research and analysis of best-practice marketing and communications campaigns Content creation and coordination for a range of marketing channels Develop and implement systems and processes to support the smooth running of the Marketing and Communications Department Contribute to the development, planning, scheduling, implementation and evaluation of RIDBC s marketing and communications activity, to build the RIDBC brand and awareness of key programs/services that are essential to RIDBC s growth and sustainability Assist all members of the team to undertake regular reviews, evaluate marketing plans, produce performance updates and reports on key metrics Work with RIDBC Director, Marketing & Communications to conduct supplier tender process and manage supplier relationships Develop strong working relationships within all RIDBC departments (especially fundraising and SCIC Cochlear Implant Program) to create and maintain a calendar/schedule of internal and external campaigns and events Develop process/system to update all departments and SLT on scheduled activity and outcomes facilitating better internal communication, and information sharing between departments Manage schedule of external conferences, meetings and exhibitions including preparing marketing materials and maintaining brochure stock levels Gain thorough understanding of the full range of programs and services offered by RIDBC and the service delivery mix in each geographical location Conduct research on the marketplace, core target audiences, referrers and stakeholders, and competitors to ensure marketing campaigns are more targeted and effective (e.g. research best practice marketing campaigns around the National Disability Insurance Scheme - NDIS roll out) Work with RIDBC Director, Marketing and Communications to map client journeys/pathways to identify and build engagement strategies with key stakeholder groups Assist with copy writing, editing, and proof reading across all marketing channels (publications, letters, flyers, website, social media, intranet, corporate videos, presentations, events, newsletters, e-comms, press releases, etc.) Work with RIDBC Graphic Designer/Online Coordinator to create and upload content on social media channels as well as providing basic graphic design support Work with RIDBC Communications Manager to build content bank of stories and case studies, including scheduling photo and film shoots, event appearances, etc. Page 3

4 Follow RIDBC values, policies, procedures and statutory obligations Ensure a safe working environment for self and others Adhere to and demonstrate RIDBC s values by working collaboratively with team members, participating actively in teams across RIDBC to ensure consistency, efficiency and information sharing Ensure that all communications, media and PR activities are conducted in a manner which is appropriate to the educational, privacy and family needs of the children and adults we serve Contribute to and attend professional development opportunities Follow RIDBC workplace health and safety programs to ensure a safe working environment for self and others Relationships Relationships Department Managers & Executive Assistants Marketing and Communications Team Purpose Develop working relationships with Department Managers and Executive Assistants to ensure that the cross functional calendar is updated and more information is shared between departments Support RIDBC Director, Marketing and Communications on all aspects of team administration and marketing and communications activity Employees, clients, volunteers, supporters and external stakeholders including media, associated organisations / partners and suppliers Qualifications Work with the Communications Manager, the Graphic Designer/Online Coordinator and the Marketing Manager to develop and implement marketing campaigns, materials, publications and content that effectively promotes RIDBC programs and services Support RIDBC Director, Marketing and Communications to drive a multichannel strategic approach to stakeholder engagement to build profile, impact and credibility Undergraduate Tertiary qualifications in marketing, communications or a related discipline, and relevant experience in a similar role Postgraduate Other Knowledge, skills and experience required to perform this role Page 4
