Welcome to the Fieldays Innovation Awards: we are excited to have you showcase your innovation. Fieldays is one of the world s premier agribusiness events and the ultimate platform for innovation and advancement in New Zealand s agriculture industry. The annual event gains worldwide media exposure and attracts over 130,000 visitors. Please take time to read all the information provided. This Entrants Guide should accompany you to Fieldays for easy reference to important information you will need while on site. 5 Fieldays Entrant Guide Planning your display in the Fieldays Centre The Fieldays Centre is a centrally-located marquee in the heart of Fieldays. Stand Your stand space measures 3m long x 3m wide x 2.4m high. The walls are the black front runner walling system which is velcro receptive. The inside of the marquee has a wooden floor. Site furniture Tables, chairs and stand furniture are NOT included in your entrant price. Site furniture may be hired from Exhibition Hire. Contact Gwen Johnston on or gwen@exhibitionhire.co.nz Your site Prior to Fieldays, a floor plan and your site number will be ed to you. Lighting There is general lighting throughout the marquee. Each indoor site is provided with one spotlight located on one of your partition walls. Additional lighting can be organised by Event Lighting and Power. Contact Russell Fricker on Signage Fieldays Innovation Award entrants are encouraged to display signage inside their site boundaries. Display material must not exceed the height of the partitions (2.3m high). Power Every site will be supplied with 10amps, singlephase power. Please ensure you bring an extension cord with you. If you require additional power over and above the 10amps single-phase, additional charges will apply. Additional power charges: 11-16amps single-phase is available at an additional cost of $210 + GST Over 16amps, price on application If you require additional power, please contact Fieldays prior to 30 May at innovations@nznfs.co.nz Fieldays has invested heavily in power reticulation but cannot guarantee supply without possible interruption. All electrical equipment and connections used on site must comply with the Australia/New Zealand standard 3002:2002. On-site electricians All electrical work on any site is to be carried out only by a qualified electrical tradesman who must provide Fieldays with a compliance certificate. We recommend the use of our on-site electricians. Please contact Event Lighting and Power on Fieldays will provde a sign with your company name and stand number. 5

6 Fieldays Entrant Guide Setting up Set up All sites MUST be fully set up by 3pm, Tuesday 12 June, The Fieldays Innovation Centre is open for entrants to set up on the following dates: Monday 11 June from 8am 5pm Tuesday 12 June from 8am 3pm For those wanting to set up on the 9-10 June, you may do so but by prior arrangement only. Site access is available through 125 Mystery Creek Road, Gate 2 only. No entry tickets or vehicle passes are required for set up. High-visibility clothing Be safe, be seen! Please ensure high-visibility clothing is worn during set up and breakdown. Registration Please come directly to the Innovation Lab, located in the Centre, to register and pick up your exhibitor satchel along with your Fieldays tickets. Hazard ID As an entrant of the Fieldays Innovation Awards, you are required to complete a Hazard ID Form. This form will be ed to you, for you to complete and give to one of the Fieldays Team members during set up. Dangerous goods This must be noted on your Hazard ID Form and brought to the attention of the Fieldays Innovation Team members. Dangerous goods may include but are not limited to fuels, chemicals, and flammable items. Young persons on site During set up and breakdown, no people under the age of 15 years of age are allowed on site, with the exception of Innovation Award entrants under the age of 15, (who must be accompanied by a parent or guardian). Forklift hire If you require your innovation to be unloaded by a forklift you will need to arrange this prior to arriving on site. Please contact Showscape on 0800 SHOWSCAPE or info@showscape.co.nz Please note if your site is indoors, this is on a wooden floor and therefore the forklift will not be able to place your innovation directly onto your site. Freight delivery You can arrange for your freight transport provider to deliver items to your site during set up hours. Freight transport providers must be inducted on first arrival. Drivers are welcome to visit the Fieldays Event Office when they arrive to confirm delivery to the correct site. Please note: Fieldays staff cannot sign for delivery of your freight. Arrange a staff member to be on site if a signature is required for delivery. Please ensure all items are clearly labelled for accurate delivery. Include your company name and Centre as your site number, plus a contact name and mobile number. Please advise Gail Hendricks on gail.hendricks@nznfs.co.nz if you are organising for items to arrive prior to the show. Our physical address for deliveries is: Mystery Creek, Gate 2, 125 Mystery Creek Road, Hamilton. Courier services and deliveries The free Fieldays courier service, run by Fieldays volunteers, is designed to assist exhibitors with inwards/outwards goods. Additionally, they can assist when visitors buy products from your site that are too heavy or awkward for them to carry to their vehicle. Contact the couriers To arrange pickup and delivery, phone Breakdown Sites must remain fully set up and manned until 5pm, Saturday 16 June early breakdown will incur a penalty. The venue is open to entrants for breakdown at the following times: Saturday 16 June from 4pm 7pm Sunday 17 June from 8am 5pm Monday 18 June from 8am 5pm Tuesday 19 June from 8am 5pm All sites must be vacated by Tuesday 19 June at 5pm, 2018, prior to the marquee being dismantled. 6

7 Fieldays Entrant Guide Getting in to Fieldays Fieldays will be open to the public from 8am to 5pm, Wednesday 13 - Friday 15 June and 8am - 4pm, Saturday 16 June. Tickets and access The Fieldays Innovation Team will provide you with your entrant pack at the time of set up. This will include your tickets. As an entrant of the Fieldays Innovation Awards you will be issued with: 2 x 4-day exhibitor tickets (allowing you entry into the site from 6am) 1 x 1-day GA complimentary ticket (entry in from 8am) If you require vehicle access to site between the hours of 6am 7.30am and from 5pm 6pm to restock your site, please advise the Fieldays Team and they will issue you with a Limited Access Vehicle Pass. If you require additional tickets, these can be purchased through NERS PRINCIPA L PART 4 DAY PASS am Entry Time: 6.00 EXHIBITOR PRINCIPA L PARTNER S 1 DAY PASS Entry Time: 8.00am VISITOR Parking For the safety and benefit of the thousands of visitors to the event, there is no parking permitted within the exhibition area. Free car parking is available in the numerous large car parks situated around the event. There is no exclusive exhibitor or entrant car parking area. 7

8 Fieldays Entrant Guide Help us keep everyone safe at Fieldays Health and safety requirements As an entrant of the Fieldays Innovation Awards, it is your responsibility to ensure your innovation demonstration and display adheres to safe practice. If Fieldays deems any part of your display or demonstration to be unsafe, you must adhere to the instructions or your entry may be disqualified and your site closed. Emergency services In case of an emergency onsite please contact the Fieldays Event Office on or Ambulance, Police and Fire will be on site from 13 June, 2018 through to the completion of the event. Security While all reasonable security and safety procedures are taken, the Fieldays Society shall not be held liable for loss or damage to entrant s property while on site. Uniformed security officers will patrol the venue each night from 5pm 8pm. During these hours gates will be patrolled and persons will be checked in and out of the venue. Fire extinguisher The Fieldays Centre has fire extinguishers located in the marquee. Insurance Entrants are advised to take out their own personal and other appropriate insurances covering their displays, employees and unforeseen events. 8

Alternatively, please visit the on-site Fieldays Event Office, located beside the Village Green on E Street. You can contact the Fieldays Event Office on or Fieldays logo and trademark Referring to your presence at Fieldays in your event marketing is a great way to enhance your profile at the event. Please us if you would like a copy of our logo and guidelines for correct use. innovations@nznfs. co.nz or phone Internet Wireless internet access at Fieldays 2018 Centre is complimentary and sponsored by Fieldays. To access the internet once on site, simply accept the commands on your phone, and ask the Fieldays event team for the internet password. Alcohol Fieldays Innovation Awards entrants are not permitted to bring alcohol on site during Fieldays. Animal welfare If you will be demonstrating your innovation with animals, please let us know so we can send you our Animal Welfare Guidelines. Either innovations@nznfs.co.nz or phone Dogs With the exemption of service dogs (i.e. guide dogs for the visually impaired) or dogs involved in an official capacity (i.e. for demonstrations) no dogs are permitted anywhere on the Mystery Creek Events Centre grounds at any time. Overnight camping on site Staying on site overnight during Fieldays is not permitted. This includes the event area and all car park areas. Unauthorised persons will be removed from site. Smokefree The Fieldays Innovation Centre and its entry areas are a smoke-free zone. Media We have had very strong media interest for Fieldays 2018 and expect over 300 media on site over the four days. Upon request, Fieldays Innovation Awards entrants details will be given to interested media. If you would prefer for media not to be given your contact details, please let us know by 1 June, Fieldays App The 2018 Fieldays App makes it easier, faster and more reliable to plan your trip and get around Fieldays. Locate and route to essential services, save exhibitors and events to your favourites list and view your selection on the interactive map. If you are driving to Mystery Creek for Fieldays pin your car s location when you park to help you find it when you leave.
