Webshop for Spare Parts, consumables and more Our webshop provides easy access to the spare parts in your Kaak Group installations. Spare parts can be easily found by using the unique My Spare Parts function. In this step by step guide you can read more about how the webshop and its functions can simplify your spare parts ordering process. Kaak Group Inspections BakerySupportWorldwide.co.uk can arrange all Kaak Group company inspections in one general agreement. This arrangement will cover all inspection agreements for your installations from Benier, Daub, DrieM, Kaak FPS and MCS. In cases such as this, all correspondence will be centralized. Coupled with this, you will receive one invoice, one agreement, and, where possible one inspection date to minimize the downtime of your production line. 5 Spare Parts Ordering On the webshop you can find and order your products in four different ways: 1. via the Search bar 3. via My Spare Parts 2. via Products 4. via the Quick Order function 1. The Search bar If you know the product code/color/category etc. of the product that you want to order, simply fill in the product characteristics in the search bar to find your product. Use advanced filters to narrow down your search. bearing Filter 1 Search for your spare part and select in the left hand My Spare Parts category, in which group or position number you want to search. Filter 2 Before entering the spare part you want to find, select left of the search bar the category in which you want to search. 2. Product categories Do you want to have an overview of the available bearings, belts, etc.? Select the relevant category and find all available products. 5

6 3. My Spare Parts (Available for new machines only. Please enquire for further details) The My Spare Parts function shows you where specific parts are used in your equipment. Each piece of equipment has a unique numerical identifier (eg. Position number 201 / Machine number 22356A), that can be found on the machine serial plate or layout drawing of your installation. Our My Spare Parts feature allows you to easily find the correct spare part. My Spare Parts step-by-step example Step 1 Selectyourequipment/ installationunder My SpareParts todisplay the relevant layout drawing of your installation. A bearing on the infeed conveyor of the oven in Production line 1 has broken down, and you need to order a new bearing. Go through the following steps after logging in on Production line 1 Step 2 Toidentifytheposition numberofthemachine wherethebearingcame from,openthelayout drawing and find the machine.youseethis ispositionnumber305 Multi-Way Curve Conveyor 90. 6

7 Step 3 To find position number 305 go back to the overview of your installation as demonstrated in step 1. In the left-hand menu, open Tray Circuit System (Group 300) and select position 305 Multi-Way Curve Conveyor 90. Step 4 When selecting the position number you see the spare parts and the assembly drawing of position 305. Open the assembly drawing of the machine. Step 5 On the assembly drawing find the specific bearing and article code Find the bearing among the spare parts of the position number, as seen in step 4, or enter the article code in the search bar to find the product. 7

8 4. Quick ordering Do you want to quickly place an order and already know the article codes of the spare parts? There are two ways to use the Quick Order function: 1. Manually enter the article code and quantity 2. Upload a CSV (Comma Separated Value) file with the article code and quantity. A: Manually enter article code and quantity Step 1 Once logged in, select the Quick order function in the top right corner of the screen. Then, enter your product article code and quantity before proceeding to checkout. 9 B. Import spare parts with a CSV file (Comma Sepparated Value) Step 1 Create an Excel file with the article code and order quantity of the products and save as CSV. TIP: Make sure that between each article code and the order quantity there is a comma, otherwise the CSV import will not work. Step 2 Login to your account and click the Quick order button located in the top right hand corner of the screen. Then select, import list. Step 3 Upload your CSV file and ensure all articles and order quantities are correct before adding the products to your cart and proceeding to the checkout. 9

10 Information about your products Delivery and Stock Indicators The traffic light stock indicator serves as a guide to advise you what levels of stock our suppliers hold, subject to prior sale. Usually in Stock Low Stock Made to order, no stock Go to the webshop for more information about our stock indicator and delivery options. Quotation products For products without a fixed price, blue stock indicator, you can request a price by using the Quotation function. When you request a quote for a product, we will set a price and notify you via when your quote has been updated and logged in the My quotes section of your account. Once that is complete, you have to add the product to your shopping cart and proceed to checkout. To request a quote for a product follow the righthand steps. 10

11 Step 1 Go to the product that you want to request a quote for and select Request a quote. Step 2 Fill in your desired quantity, if necessary add additional information and send the request. Step 3 Once we have processed your price quote request, we ll send you an confirming that a quote has been uploaded in the My Quote section of your account. Step 4 Add the product to your shopping cart. Before proceeding to the checkout you can download the quote for bookkeeping. 11

12 Multi-user account Do you want to give your employees access to your account with varying permission levels? A multi-user account on the webshop of BakerySupportWorldwide.co.uk allows you to set up different employees with different permission levels. Permission level variables include: Ordering permission Set up maximum spend levels or order numbers Account activity visibility 12

13 Example of a multi-user account without purchasing rights The following example demonstrates how your maintenance employee, who has no rights to place orders, can inform your purchasing department of the need for a certain spare part. Step 1 Place the spare parts in your shopping cart using one of the previously discussed methods (Search bar, My Spare Parts, Quick order). Step 2 Go to your shopping cart and select Share shopping cart. Step 3 Fill in the address of the colleague you would like to approve your order request, add additional comments Step 4 Your colleague receives an with the shopping cart information and can click on Buy Now to complete the purchase. 13

14 How to connect webshop orders to your ERP system Using our simple ERP to Webshop integration guide, you can combine our webshop and your ERP order processing. Step 2 Share your shopping cart with your purchasing department (how to share is explained in the multi-user account section, step 2 and 3, page 12). Step 3 Your purchaser uses the shopping cart information to createan order in the ERP system generating an internal purchasing number. Step 4 Your purchaser uses to the received link to complete the order, selecting the Buy now option. 14 Step 5 The purchaser completes the order and adds the internal purchasing number as a reference to the webshop order.

15 My Order Information My account For your overview you can find all the information about your order in your account. On your dashboard you can find information about: Order confirmation Order status Tracking number of your delivery Quotations You can also easily update your account details, ensuring that the information we have from you is up to date.
