1 General Certificate of Secondary Education Information and Communication Technology (Full Course) Controlled Assessment Tasks Unit 1: Tools and Applications [GIT11] VALID FROM SEPTEMBER 2012 INSTRUCTIONS FOR THE CONTROLLED ASSESSMENT TASK Research for all tasks can be completed under limited supervision. All other elements of the tasks must be completed under informal supervision. INFORMATION FOR CANDIDATES You have a total of 22.5 hours to complete the tasks: 9 hours on Task 1 Information Storage and Retrieval; 6 hours on Task 2 Numeric Manipulation and Modelling; and 7.5 hours on Task 3 Presentation. The total mark for this Unit 1 Controlled Assessment Task is 100. Task 1 and 2 are each worth 35 marks. Task 3 is worth 30 marks. Candidates work to be submitted June 2014 or June 2015 Controlled Assessment Tasks must comply with the Regulations as detailed in the Subject Specifi cation. NB: Some Controlled Assessment Tasks instructions may constitute more than 1 page. Please check you have all the information you need to complete the task if printing from a computer.

2 INSTRUCTIONS TO TEACHERS FOR THE CONTROLLED ASSESSMENT TASK Feedback Teachers must guide and supervise candidates in relation to the following: Monitoring progress; Preventing plagiarism; Ensuring compliance with Health and Safety requirements; Ensuring work is completed in accordance with the specifi cation requirements; and Ensuring work can be assessed in accordance with the procedures and marking criteria Candidates should reach their own conclusions. Resources Candidates access to resources is determined by those available to the centre. Centres should limit candidates access to those needed for the task. Candidates must reference any resources that they access via the Internet. 2

3 Unit 1: Tools and Applications Scenario Tanya s Travels Tanya Taylor manages a travel agency, called Tanya s Travels. The business operates from her offi ce at 19 Glenelly Avenue, Omagh, Co. Tyrone, BT78 9LR. Tanya s Travels specialise in low cost fl ights, accommodation and transfers to a range of global travel destinations. As an independent travel agency, Tanya s Travels provide a full range of services for both the business and leisure traveller. The company is a local travel agency and contacts customers via telephone and . The staff have over 10 years of combined experience in all aspects of the travel industry and always try their best to accommodate any request. As Tanya s business has grown she has realised the need to store details about customers and their bookings in an effi cient manner. Tanya also recognises the need to record her income from sales commission more accurately than the present manual system. Her immediate tasks include: Recording information about customers and their bookings; Creating ICT solutions to record and analyse costs; and Producing a summary of income/expenditure in the form of a presentation. Tanya is hoping that further developments in her business might result in the opening of an offi ce in New York. 3

4 Task 1 Information Storage and Retrieval The two fi les required for this task can be downloaded from the CCEA website ( These fi les are named: Customer.xls Travel.xls Each fi le is available in Excel format but centres may adapt the format to suit their own needs. Part A: Create the Customer and Travel tables Customer table Import the data from Customer.xls to create a Customer table. Select an appropriate key fi eld for the Customer table, ensuring this will be a unique value. Travel table Import the data from Travel.xls to create a Travel table. Select an appropriate key fi eld for the Travel table, ensuring it will be a unique value. [3] Part B: Ensure that all dates stored in the Customer and Travel tables have been formatted to display medium date format. Create an appropriate data check for the TravelPurpose fi eld in the Travel table to ensure that only the options Business and Leisure can be entered. Create an appropriate data check for the Postcode fi eld in the Customer table to ensure the data entered follows a suitable format. Amend fi eld sizes in both the Customer and Travel tables, where appropriate. Create an appropriate relationship between the Customer and Travel tables. [6] Part C: Create a simple company logo which could be used by Tanya s Travels on all their documents. Design one data capture form including all the fi elds from the Customer and the Travel tables to use when recording data about customers and their travel bookings. The data capture form should be created using appropriate database features. You must include your company logo on the form. Name the form Part C. [3] Part D: Customer number 1, Marie Hamill, has to cancel her Business trip to Glasgow on 10 November Remove this booking from the database. [1] 4

5 Part E: Customer number 7, Jane Denver, wishes to change her travel booking. She has booked to go on a Leisure trip to Seville with three friends, departing on 15 August 2013, staying in B&B accommodation. A fourth friend wishes to join them and they want to upgrade their accommodation to Full Board. Amend the database to reflect these changes. [1] New Customer booking Lyndsey Foster wishes to book a Business trip with Tanya s Travels for the fi rst time. Her details need to be added to the database. Lyndsey lives at 27 Park Lane, Omagh, BT789MN. Her telephone number is and her address is lfoster@coolmail.co.uk. Her DOB is 4 April Lyndsey would like to receive a copy of the annual newsletter from Tanya s Travels. Assign her customer number 21. She wishes to travel to London alone for two nights staying in Half Board accommodation departing on 28 January Assign her travel booking number 26. [2] Part F: Tanya s Travels needs an alphabetic list of all customers in order to contact them by telephone or when their tickets arrive at the agency. Create a report using data from Customer table which is sorted by both Surname and FirstName. Make sure all fi elds are included and all data is visible. The report must be professional and include the company logo. Name the report Part F. [2] Part G: Tanya s Travels have produced their annual newsletter and want to it to all customers who have requested this. Create a query which will search for these customers. Show the customers full name, addresses and whether they opted for a newsletter. Name the query Part G. [2] Part H: Tanya s Travels have received a promotional offer from a tour operator for all female business travellers and they want to post out vouchers to all eligible customers. Create a query which will search for these customers and show only the customers full name and full postal contact details. Name the query Part H. [3] 5

6 Part I: Customers travelling to Ibiza for Fully Inclusive holidays have to be provided with passes from Tanya s Travels in order to avail of all the facilities at their accommodation. Using merge facilities within the database software create personalised passes for these customers, no larger than 10 cm 10 cm. These passes must include customers full names, their departure date and return date. They should also include the following information: Tanya s Travels, 19 Glenelly Avenue, Omagh, BT78 9LR. The passes must be professional and include the company logo. Name the pass Part I. [6] Part J: Tanya s Travels want to have all travel bookings for the year organised within one report. Search for all travel bookings departing between 1 January 2014 and 31 December Only include Surname, Firstname, DepartureDate, TravelPurpose and Destination. The report should be grouped by TravelPurpose. Ensure only the fi elds mentioned in this task are included and visible on the report. The report must be professional and include the company logo. 7 Task 2 Numeric Manipulation and Modelling The fi le required for this task may be downloaded from the CCEA website ( The fi lename is TanyaTravels.xls The fi le is available in Excel format. Part A: Download the fi le from CCEA and save it to an appropriate location. Open the spreadsheet and on the fi rst worksheet called Income: Add 4 further columns and call them Flights Total Fuel Surcharge Gross Payment Sales Commission The maximum number of passengers allowed to book in a private party is 12. Validate the Passengers column so that only the numbers 1 to 12 can be input. Calculate the fi gures for these columns: Flights Total (fl ight cost times number of passengers) Fuel Surcharge (7% of fl ights total) Gross Payment (fl ights total plus fuel surcharge) Calculate the totals for these columns. Choose appropriate data types and formatting for all the data. Save the changes to the spreadsheet. [7] Part B: Tanya receives a sales commission from the travel company based on the fl ights total for each customer. The amount of Sales Commission she receives depends on how much each customer s fl ight total is, before the fuel surcharge is added. The sales commission is calculated as follows: If the fl ight total for a customer is less than or equal to 1200 Tanya receives 4%, if over 1200 she receives 8%. Calculate the value of Sales Commission for each customer. Produce a chart to illustrate the Gross Payment for each customer and highlight the highest paying customer this month with a different colour. Place the chart in a new sheet. Name the sheet Part B. Save the changes to the spreadsheet. [9] 7

8 Part C: One of the travel companies Tanya works for is based in New York. This means the company is required to work in Dollars as well as Sterling. Go to the worksheet called Currency. Use appropriate formulae to take data and headings from the worksheet Income for the columns listed below. The fi rst two columns (Surname and Firstname) have already been completed. Flights Total Gross Payment Sales Commission Add three further columns into the worksheet: Dollar Exchange Rate Gross Payment (Dollars) Sales Commission (Dollars) The Gross Payment has to be calculated in Dollars. The bank will exchange Sterling to Dollars as follows: Amounts less than or equal to 1000 are exchanged at the base rate (this value is given in B20). Amounts greater than 1000 are exchanged at the bonus rate (this value is given in B21). Calculate each customer s: Dollar exchange rate Gross payment in Dollars Sales commission in Dollars Use appropriate formatting for Sales Commission in Sterling and Dollars. With the aid of a chart show the comparison between both types of Sales Commission (Sterling and Dollars). Place the chart in a new sheet. Name the sheet Part C. Save the changes to the spreadsheet. 9 Part D: Tanya wants to produce a monthly income statement for each customer. This must be professional in appearance and formatted appropriately. The statement should be set up using the spreadsheet for source data. Currency values in the statement should be formatted in Sterling. When creating your statement, include the following: Company details Current date Customer s name Number of passengers in the group Flights Total Sales Commission Name the statement Part D. [7] Part E: Tanya has to present her accounts to the company accountant to ensure company profi ts are on target. She wants to ensure that the spreadsheet has a professional appearance. Write an evaluation which includes comments on the following: Overall appearance of the spreadsheet; The use of fonts, styles and formatting; Appropriate format of numeric data; Consistent alignment; Important data identifi ed; Accuracy of data. Discuss what you see as the strengths, weaknesses and improvements of your spreadsheet solution: Are the results accurate? Are the formulae/functions effi cient? Save the completed evaluation as Part E in Portable Document Format. [6] Total [35] 9

10 Task 3 Presentation The manager of Tanya s Travels would like to produce a staff induction presentation for new employees. Design a multimedia presentation containing no more than 6 8 slides. Part A: Produce storyboards for your presentation, which must include the following four points: A title slide, including the overall presentation aim; A brief introduction to Tanya s Travels, including an overview of travel destinations which are listed in the database; A visual presentation showing the highest paying customer taken from the spreadsheet; The Sales Commission received by the company taken from the spreadsheet. Choose appropriate content for the additional slides (5 8) from the following list. You may wish to carry out independent research to develop the presentation. Staff Duties; Health and Safety; Data Protection; ICT Acceptable Use Policy; Uniform and dress code; An organisational chart detailing existing employees in the company; Any relevant slide/s of your choice. [8] Part B: Choose an appropriate application to create the presentation. Include the company logo and use it appropriately in the presentation. Use appropriate styles and layout, including a master slide, to enhance your presentation to effectively and consistently present your fi ndings. Make use of advanced features such as: buttons to control slide transitions, animation of text and graphics, transitions, object linking, timings, imported sounds and images from at least two sources, such as graphics created by you, photographs from e.g. a digital camera, clipart or downloaded from the Internet. 11 Part C: Include an evaluation of your presentation in Portable Document Format. Complete the Presentation Evaluation Grid (PEG) and include it in the evaluation document. This can be downloaded from the CCEA Microsite for GCSE ICT, and included in the main evaluation. Evaluate your presentation, paying particular attention to strengths, weaknesses and possible improvements. Use the headings in the PEG to help structure your evaluation: Slide design; Content; Graphics; Use of colour; Special effects; Navigation/hyperlinks. [6] Total [30] 11

Is the company logo included and placed in a relevant area of the slide(s)? Content Have you completed a well written introduction? Have you included all necessary fi nancial data? How well does the storyboard match the presentation? Has sound been used effectively? Graphics Are the graphics clear and attractive? Are the graphics relevant to the presentation? Are the graphics excessive or distracting? Use of Colour Are the colours attractive and appealing to the user? Do too many colours mean slides appear cluttered and diffi cult to read? Special Effects Consistent application of custom animation? Slide transition used effectively? Navigation/Hyperlinks Do all links work? Is the pdf appropriately linked? Evaluate the strengths, weaknesses and improvements of the presentation developed and advanced features used. (Continue on separate page if necessary.) 12
