1 FIAT/IFTA Archive Achievement Awards 2018 Call fr Nminatins The FIAT/IFTA Archive Achievement Awards are designed t hnr utstanding archival initiatives and prjects that have imprved significantly the ways in which the archives are preserved, managed and used. Any initiative that brings the prfessinal preservatin and management f audivisual archives t a higher level, any prject that valrizes the use f archive in an utstanding way, is eligible t enter. The Archive Achievement Awards are develped by FIAT/IFTA, the internatinal federatin f televisin archives. Members f FIAT/IFTA can nminate their wn rganisatin, r they can nminate a persn r rganisatin with whm they have cllabrated t bring the prject t a successful end. The FIAT/IFTA Archive Achievement Awards winners will be annunced during the Awards Shw, a part f the Gala Dinner at the FIAT/ITA Wrld Cnference 2018, taking place in Venice, Octber 9 12 th. In the fllwing categries 1. Excellence in Media Management Opening Up the Archives with New Media Management Technlgies, Tls and Techniques. We are lking fr Archive Technlgy prjects which have experimented, develped and implemented new and emerging media management technlgies and tls t pen up the archives in new and efficient ways. 2. Excellence in Media Preservatin Preserving analg r digital material in a prfessinal and innvative way. We are lking fr prjects in the dmain f analg r digital preservatin, that have successfully develped and implemented a (part f the) preservatin prcess that excels in prfessinality r innvatin. 3. Excellence in Archival Use and Valrizatin Valrizatin, explitatin and pening up f audivisual cllectins fcused n the end user, e.g., general audiences, educatin, creatrs, turism, and ther sectrs 1

2 We are lking fr prjects that have taken advantage f sme r all aspects f archive cllectins in a digital envirnment (value assessment, strytelling, cpyright and Intellectual Prperty issues, technlgy, ethics, user experiences, etc.) in rder t increase awareness and grw f the value and use f audivisual archives wrldwide. 1. Hw t submit a nminatin? 1.1. Wh can submit a nminatin? Prcedure Only nminatins by emplyees f a Full Member f FIAT/IFTA can be accepted. They can nminate a prject f their wn rganisatin, r they can nminate a prject f a persn r rganisatin with whm they have cllabrated t bring the prject t a successful end Wh can nt submit a nminatin? Nminatins submitted by an emplyee f an rganisatin that is nt a Full Member f FIAT/IFTA shall be refused Hw t prceed? Members wishing t submit a nminatin shall fill ut the nminatin frm fr the Award they want t nminate fr. Tgether with the frm a presentatin f a maximum f 10 slides shall be submitted in which the initiative r prject is explained thrughly. The Juries are free t cntact the submitter t check existing infrmatin r t prvide extra infrmatin abut the Nminatin as the Jury cnsiders necessary. The frm as well as the presentatin will be used by the Jury t judge abut the nminatin and it will be published n FIAT/IFTA platfrms t cmmunicate abut the nminatins. If the submitter r any ther party invlved in the nminatin is invited t present the nminatin at the FIAT/IFTA Wrld Cnference, this presentatin shuld be used as a basis. Submitters shuld chse the categry that in their pinin cnnects the clsest with the nature f the nminated prject r initiative. The juries shall be cmpsed by: Fr the Excellence in Media Management Award : the FIAT/IFTA Media Management Cmmissin, amngst its members, with a minimum f five and a maximum f ten members. 2

3 Fr the Excellence in Media Preservatin Award : the FIAT/IFTA Preservatin and Migratin Management Cmmissin, amngst its members, with a minimum f five and a maximum f ten members. Fr the Excellence in Archival Use and Valrizatin : the FIAT/IFTA Value, Use and Cpyright Cmmissin, amngst its members, with a minimum f five and a maximum f ten members. Jury members shall nt allwed t judge abut a nminatin t which they are in sme way cnnected. Mre precisely this means: In case a nminatin is submitted r transferred t a Jury f which a clleague (same emplyer) f the submitter is a member, this Jury member shall leave the Jury fr as lng as the cncerned nminatin is deliberated. This Jury member can nt attribute a scre t the In case a nminatin is submitted r transferred t a Jury f which a clleague (same emplyer) f the submitter is the chair, this nminatin shall be refused Which criteria d the Juries apply? The nminatins will be judged upn via a prcedure with three stages: First the nminatins will be judged n their general eligibility (see belw). Next, the Jury will judge if a nminatin that is eligible t receive the Award is submitted under the crrect applicable categry. If necessary, the Jury will transfer the nminatin t the categry they cnsider apprpriate. Only nminatins that are eligible t receive the Award and that are submitted r transferred t the crrect categry will be judged n the Award criteria General eligibility In rder t be accepted (general eligibility), nminatins shall be cntrlled n the fllwing criteria: Nminatins have t be submitted by an emplyee f a Full Member f FIAT/IFTA. This means that the membership fee f the emplyer f the submitter must be paid n the day f the nminatin and the membership must nt be suspended. Submitted in time. Submitted crrectly: with frm filled ut crrectly and cmpletely and presentatin added Award Criteria Only nminatins that are eligible t receive the Award and that are submitted under the crrect applicable categry will be judged n the Award criteria. The Juries have full autnmy t decide which criteria they will apply, but these must be cmmunicated clearly at the pening f the time windw fr nminatins and can nly be changed fr the next editin. T each f these criteria the Juries will attribute a scre in cnsensus and rank the accepted nminatins based n their ttal scre. In case f an ex aequ, the Juries will agree internally abut the winner. Fr the 2018 editin the fllwing criteria will be applied : Excellence in Media Management: Duratin f prject last 18 mnths sufficient time t demnstrate results Prjects can be trials, prttypes, prf f cncepts, successful implementatins Must demnstrate new cmbinatins f established and/r emerging technlgies t enhance archive search, discvery r metadata generatin. Applied technlgy 3

4 can be related t autmated capture f metadata, machine learning, artificial intelligence, big data analysis, usability and new interactin paradigms, semantics prcessing, data re-mdelling, cllabratin, harvesting r data-linking. Impact n archives in terms f benefits cst efficiencies, new ways f wrking, quality f metadata Impact n end users jurnalists, prductin teams and audiences e.g. imprved search and discvery Impact n Bradcast rganizatin audience reach, access t mre cntent Must demnstrate Lessns Learned successes and failures Technlgies, tls and techniques are new and emerging as a result f prfund analysis and/r R&D research in bradcast rganisatins, research institutes, media industry cmpanies. Prjects are especially invited t pint ut the impact f applied media management knwledge demnstrating cllabratin with media management prfessinals in new wrkflws, prcesses and skillsets. Shw results and impact n use f mre archive cntent Excellence in Media Preservatin: The prject must be recent, but it must have had the time t demnstrate itself: the prject must have started nt mre than 18 mnths befre the nminatin but at nt less than 6 mnths befre the nminatin The prject can be a prf f cncept, a prttype, a trial r a successful implementatin. The earlier in the develpment prcess the prject finds itself in, the mre it must be innvative t receive a higher scre n this criterin. In ther wrds: the prject must have cntributed significantly t raise the technlgy readiness level. The prject must demnstrate either: new and/r emerging technlgies t enhance the analg r digital preservatin a particularly thrugh r excellent implementatin f existing standards in analg r digital preservatin Impact n archives in terms f benefits: budget, timing r scpe efficiencies in preservatin Must demnstrate lessns learned successes and failures Must stick t current standards in preservatin r give prf f a significant imprvement f them Must demnstrate brad relevance and/r applicability t pressing and large scale challenges f preservatin in audivisual archives in a brad gegraphical regin. Excellence in Use and Valrizatin f Archives The prject must target specific end users r cmmunities, e.g. creatrs, educatrs, cultural heritage, turism, general audiences and ther sectrs The prject will be assessed fr innvatin in the use fr example f new techniques, strytelling, archival strategies r prcesses in valrisatin and end user engagement The prject shuld take advantage f pen cllectins and address cpyright issues The prject must be a part f a partnership r cllabratin internal t the rganisatin r with a third party r institutin and must indicate the funding mechanism invlved 4

5 The applicant must demnstrate hw the prject cntributes t grwing awareness and the value f audivisual archives in the wider enterprise, archives sectr r specific regin. The prject must be cmpleted within the last 18 mnths. 3. Awarding 3.1. When will the Awards be handed ver? The handver f the Awards will happen at the Awards shw, a part f the Gala Dinner, taking place at the FIAT/IFTA Wrld Cnference which will take place in Venice, Octber 9-12 th What exactly is awarded t the winner? Apart frm the hnr t be annunced as the winner publicly and n FIAT/IFTA cmmunicatin channels, the winner receives a trphy in the frm f the FIAT/IFTA Awards Cube. The Awards d nt imply any financial reward r cmpensatin. 4. Calendar: deadlines and milestnes DATE MILESTONE OR DEADLINE 1 st June 2018 Nminatins are pened 30 June 2018 Nminatins are clsed, Deadline extended July 8th SECOND PROLONGATION UNTIL JULY 15th 30 August 2018 A shrtlist f three nminatins per categry is annunced via the FIAT/IFTA cmmunicatin channels. 11 Octber 2018 The winners f the Archive Achievement Awards are annunced at the Awards Shw, during the Gala Dinner, taking place at the FIAT/IFTA Wrld Cnference. 5
