1 Lake Royale Holiday Gift and Food Fair Saturday, November 3, 2018, 9 a.m. 4 p.m. Lake Royale Clubhouse 111 Sagamore Cove, Louisburg, NC Craft Fair Information Letter Dear Crafter, You are receiving this letter because of your past participation or expressed interest in the Lake Royale Holiday Gift and Food Fair. Please review this informational letter before you return your application for our show. The Lake Royale Holiday Gift and Food Fair is a juried show where crafters display and sell unique and diverse handmade arts and crafts. First priority goes to vendors of handcrafted items. It is important to enclose photos of your handcrafted items as part of the juried selection process. To have a show with a variety of beautiful craft items, we must limit the number of tables representing similar items. Please describe ALL your crafts on the application form. If items are brought to the show that were not listed on the application and approved by the fair committee, you may be asked to remove them. Crafters may purchase one or two 6-ft table(s) located indoors, a 10 X 10 indoor booth with two tables, or a 10 X 10 outdoor booth with no tables provided. Racks, shelves, and other displays must not be placed between tables or on the ends without approval by the fair committee. If you have display racks, you should consider a booth. IMPORTANT APPLICATION SUBMISSION INFORMATION: Applications received by the August 1 deadline will be charged the table/space prices listed on the application form. Applications received after this deadline will be charged an additional $10 per vendor space. All applications postmarked or date stamped in the Lake Royale POA office by August 1 will receive their confirmation/rejection letter no later than August 25. Provided tables/spaces are still available after first review, all applications received after August 1 will receive their confirmation/rejection letter within 30 days of receipt of applications. All applications must include photos. No payment is to be sent until you have received an acceptance letter. Reservations with signed agreement and payment of space fees is considered to be a contract. Payment for vendor space is due within one week of approval notification. After that date, if payment has not been received, the Committee reserves the right to release that space and offer it to another vendor. Cancellations must be received by the POA Office before close of business (5 p.m. EST) October 1, Refunds, less a $10 fee, will be granted only if that space has been secured by another vendor. Should you not be selected to participate in this year s show, your photos will be returned to you. Your application will be kept on file should a cancellation occur. We will attempt to fill any open tables by calling those on the waiting list up to and including the morning of the show if necessary. The fair will be a publicized event to help ensure a success for all parties. Vendors are encouraged to issue announcements and contact those they know about the event as well. Featured will be a children s activity area and a demonstration/entertainment area. 2 Lake Royale Holiday Gift and Food Fair VENDOR AGREEMENT ) All applicants must include a certificate of registration from the NC Department of Revenue (NCDOR). If you are not currently registered with the NCDOR, the process is simple. You can register online at or at any NCDOR office. There is no charge to register. Most applicants will receive their account ID number instantly. Others will receive it within 10 business days. Should you not receive your ID instantly, let me know you have applied and would like to be considered for the show with certificate pending. The certificate must be displayed on your vendor table for the duration of the show. 2) Spaces will be assigned by the Fair Coordinator. Vendors must stay within their assigned spaces and may not infringe on surrounding vendor spaces, walkways or community wall spaces. Nothing of any kind may be taped, nailed or otherwise attached on or to any wall surfaces inside or outside of the facility. Chairs, surplus goods and personal materials must be kept within the assigned spaces. 3) Vendors needing electrical power will be placed in locations with outlets. For safety reasons no power cords will be permitted to be placed across walkways or other open spaces. Vendors must supply their own power cords and surge protector strips. Cords and strips must be in good condition with no breaks, repairs or other hazardous conditions. Any use of electricity and items powered by electricity are the sole responsibility of the vendor. 4) Vendors must supply table coverings that go to or near the floor. Coverings must not make a walking hazard. 5) Outdoor vendors using a tent must use a minimum of 25-lb. weights on EACH tent leg. Be prepared to take tent down should wind gusts or sustained wind speeds threaten tent stability. 6) The fair is a community event. Vendors are strictly prohibited from displaying, selling, wearing, or otherwise promoting inappropriate, illegal, inflammatory, racial, adult-themed, or any other such items. 7) Vendors will receive a packet containing a visitor s pass. This pass allows access to Lake Royale and is restricted to the Clubhouse area. The pass must be attached to the rearview mirror where it can be clearly seen. Upon arrival, please follow the signs and follow the directions enclosed in your vendor packet. It is about a five minute drive from the Gate to the Clubhouse. 8) Vendor check-in on the day of the event is from 7 until 8 a.m. No check-in will be permitted after 8 a.m., your table will be forfeited, and no monies refunded. All unloading must be completed and items set-up within assigned space no later than 8:45 a.m. Once unloaded, vehicles must be moved to the south end of the parking lot. All parking is restricted to marked spaces. Parking violations are enforced. 9) Vendors shall not use sound amplifying equipment. Any announcements can be made by request of the emcee. 10) Each vendor shall collect payment for their own sales. Do not leave cash boxes unattended during the event. Lake Royale POA (LRPOA) and the Fair Committee assume no responsibility for lost or stolen items. Vendors should arrange for someone to be in their space at all times. WiFi is available at the Clubhouse for credit card processing. Vendors are responsible for any applicable taxes. 11) Michael s Getaway will be open for breakfast, lunch, and dinner. Any food brought into the main hall by vendors, must remain in your vendor space and away from the other vendor s merchandise. All beverages are required to have lids. 12) Vendors are required to remain set up and in their spaces until the event ends at 4 p.m., NO EXCEPTIONS. The facility must be vacated no later than 5 p.m. on the day of the event. We would appreciate that all trash is taken from your space before you leave. Any items left in the facility shall be considered abandoned by vendor choice and will be donated to a charity or group, or otherwise disposed. 13) No guarantee is stated or implied as to the level of success of any participant. 14) I grant LRPOA full permission to use photographs in any publication and online without any restrictions or time limitations. I release LRPOA from any and all claims, liability, or damage that may result from alteration of the original image or reproduction in any format. 4 Lake Royale Holiday Craft & Food Fair Food Vendor/Personal Care Products Safety Regulations Unprocessed fresh fruits, vegetables, nuts, mushrooms, whole grains are sold without regulatory intervention. Honey should be properly labeled. Eggs are often marketed under an exemption listed in the NC Egg Law ( The exemption is for eggs sold by the producer. This applies to those who market less than 30 dozen per week. Labeling rules still apply. Anyone selling meat should have a Meat Handlers License and the packaged meat have an NC or Federal inspection stamp. For more information, visit Low-risk packaged foods (baked goods, jams and jellies, candies, dried mixes, spices, some sauces and liquids, and pickles and acidified foods) can be made in a home-based food business. Anyone selling these products is regulated by the NC Department of Agriculture & Consumer Services (NCDA). To learn more about this, visit Starting a home-based food business and schedule a home kitchen inspection by completing the form at In lieu of providing a Home Processor permit, food vendors may provide certification that product was manufactured in a kitchen approved by a Health Department Approved Kitchen. High-risk packaged foods (refrigerated or frozen products, low-acid canned foods, dairy products, and seafood products) must be processed in a commercial kitchen when offered for sale. For more information, visit For sale of acidic foods, please provide Certificate of Completion for Better Home Processing Course Foods requiring refrigeration shall be stored at a temperature of 45 degrees F or below. Smoked fish products shall be stored at 38 degrees F or below. Frozen foods shall be maintained frozen. No low acid canned foods may be sold. Example: green beans, corn, peas, carrots, potatoes, soup, etc. Tomato products manufactured from low acid varieties may not be sold. Any products to be sold to consumers must be packaged to protect them from contamination. Foods for sale must be labeled according to NCDA requirements. A label must be affixed to the package with: 1. Product name 2. Manufacturers name and address 3. Net weight of the product in ounces/pounds and the gram weight equivalent 4.
