4 1 The generates frecasts, insights, and ptimizatins t help track the time and cst f review. s graphical reprts f key review metrics help streamline wrkflw and implement best practices. Using Imagine that yur law firm is representing a crpratin intending t merge with anther crpratin. Due t grwing cncern ver hw the merger might affect cmpetitin in yur client's market, the gvernment issued a secnd request, meaning yu nw have 30 days t prduce the applicable dcuments in rder t mve frward with the case. Yu start by hiring a team f 15 cntract attrneys t help review all the dcuments invlved. Yu're under time and budget cnstraints, s yu use t help streamline and ptimize yur review prcess. First, yu create a Frecast in s that yu can begin entering details abut the review. Here yu enter hw many dcuments yu anticipate yur team needs t review, hw the review is structured, hw fast the attrneys can review, any budget restrictins, and a target cmpletin date. Once yu create the Frecast, yu enter details in bjects called Tiers, which track the wrk that needs t be dne, and Rles, which track wh will be ding the wrk. Yu enter yur first Tier, the first pass review, then yu enter the Rle f cntract attrney. Yur assciates then enter the rest f the review infrmatin in. Shrtly after the first pass review begins, yu generate a Frecast reprt t see if yur preliminary assessment is viable. Using this reprt, yu determine if yu're ff t a gd start. Later in the review prcess, yu generate an Insight Summary reprt. This reprt tells yu hw the actual wrk is prgressing. Yu may ntice that while yur first pass review is meeting the deadline, yu realize that yur senir attrneys aren't reviewing at the rate yu estimated in rder t meet the privilege review deadline. Based n 's Shw Optimizatin suggestins, yu decide t hire three mre senir attrneys t make the deadline. As the review prgresses, yu cntinue t mnitr the Insight Summary reprt and run ther individual reprts that allw yu t track each attrney's review prgress and additinal dcument review trends. 7 1.3 Installatin and upgrade Nte: Only a user that is a system admin and script admin can imprt applicatin schema Selecting frm the Applicatin Library Fllw the steps belw t imprt using the Applicatin Library. 1. Select the Applicatins tab. 2. Click New Applicatin. 3. Click Select frm Applicatin Library fr Applicatin Type. 4. Click the and select, then click OK. The fllwing categries n the frm shuld appear in gray: Applicatin Artifacts and Map Fields. 5. Click Imprt. If the install is successful, the tab is visible and is listed n the All Applicatins view Imprting frm file Fllw the steps belw t imprt using the Applicatins tab. 1. Select the Applicatins tab. 2. Click New Applicatin. 3. Select Imprt frm File fr Applicatin Type. 4. Click, navigate t the place f yur Schema and select it. The fllwing categries n the frm shuld appear in gray: Applicatin Infrmatin, Applicatin Artifacts, and Map Fields. 5. Click Imprt. If the install is successful, the tab is visible and Manager is listed n the All Applicatins view Security cnfiguratin Yu must cnfigure certain permissins fr prper functinality f. T cnfigure these security settings: 1. Create users and add them t a grup fr cnfiguratin with nn-system admin permissins. 2. Navigate t the Administratin tab > Wrkspace Details. 3. Click Edit Permissins. 4. Click Add Grup t add the grup t which yur nn-system admin users belng t in this wrkspace. Guide 7

8 5. Select the desired grup and click Set Permissins. 6. Select the fllwing tabs: Frecast 7. Select the fllwing Mass Actins: Mass Cpy 8. Save grup permissins and clse. All ther permissins behave in standard fashin within Adding the Agent After yu install, add the AuditParserAgent and RefreshDataAgent by ging t the Agents tab and clicking New Agent. Add at ne agent per envirnment. See Applicatin-specific agents in the Agents guide fr mre infrmatin. Verify the Enable clumn displays Yes fr bth agents. See Adding and editing agents in the Agents guide Upgrading Nte: Yu must have valid Cmmunity credentials in rder t dwnlad any Cmmunity file linked t the dcumentatin site. Yu'll need t enter thse credentials n the Cmmunity lgin screen if yu're nt already lgged in. If yu're already lgged in t the Cmmunity at the time yu click a link, the file is autmatically dwnladed in the bttm left crner f yur screen. If yu get an errr message stating "URL N Lnger Exists" after clicking a Cmmunity link, it may be due t a single sign-n errr related t the SAML Assertin Validatr, and yu shuld cntact yur IT department. updates ccur cncurrently with prduct updates. Yu can find infrmatin abut prduct updates in the release ntes. T upgrade the applicatin use ne f the fllwing methds: Guide 8

9 1. Upgrade t the latest prduct update - Upgrading t the latest update will autmatically upgrade t the latest versin. 2. Upgrade nly - Dwnlad the newly released schema frm the Cmmunity and imprt it int the applicatin library. 1.4 Accessing T access, lg in t and select a case wrkspace. A tab is available if is installed n that specific wrkspace. Nte: must be installed n each wrkspace and users must have rights t see Review Manager tab. 1.5 Frecasts Frecasts are the starting pint and the mst imprtant cmpnent in managing yur review. Thrugh yu can update yur frecast thrughut the review prcess. Enter as much infrmatin up frnt as yu can t define yur frecast t keep it cmplete. Yur frecast is nly as valuable as the infrmatin yu include in it. Nte: There can be nly ne active frecast per wrkspace at a time. Yu can quickly see which frecasts are active by clicking n > Frecast and nting whether the Active field is set t Yes r N Adding and editing a frecast T create r edit a new frecast: 1. Click New Frecast. 2. Edit an existing frecast by clicking the edit link next t the frecast name. 3. Add r edit infrmatin pertaining t the frecast n the Frecast screen. 4. Click Save. 10 1.6 Frecast fields The Frecast layut cntains the fllwing fields: Name - displays the name f the frecast. Review Start Date - the date when the review began r is expected t begin. Deadline Date - the targeted cmpletin date f a review (manually entered). Calculated Review End Date - system calculated end date base n frecasted number r dcuments, number f reviewers, and review rates. Ttal Dcuments - ttal number f dcuments r expected number f dcuments fr review Billable Unit - the unit fr what billing methd is t be emplyed. This gives yu the flexibility t keep track f cst frm different perspectives. Fr example, yu may calculate cst by Reviewer Hur r by Dcument e.g. $100 per hur. The available Billable Units are: Dcument Gigabyte Page (dcuments must be imaged) Reviewer Hur Descriptin - a field describing Frecast in greater detail. Case - case title r case number. Active Frecast - dentes an active Frecast when checked and enables Data Refresh functinality fr current frecast. Only ne frecast in a wrkspace can be active. Data Last Refreshed On - the date and time the frecast data was last mdified. Currency Symbl - enter the mney symbl that appears n the reprts. Guide 10

11 Cmments - additinal infrmatin, mental impressins, r messages t clleagues related t the frecast r review. 1.7 Tiers A tier describes a sub-set f wrk t be dne as part f the verall review prcess. During tier creatin, enter details abut the wrk t be dne, the number f dcuments affected, and the time anticipated t cmplete the specified wrk Adding and editing a tier Once yu create a frecast, yu can add r edit a new tier. T add r edit a new tier: 1. Click New Tier. 2. Edit an existing tier by clicking the edit link next t the tier name. 3. Add r edit infrmatin t the tier n the Tier Frecast screen. 4. Click Save. See Tier fields belw fr details. 1.8 Tier fields The Tier Frecast layut cntains the fllwing fields: Guide 11

12 Frecast Name - the name f the frecast. This value is aut-ppulated with the frecast name. Tier Name - the descriptive name f the tier. Fr example, First Pass, QC Pass, Privilege Pass. Guide 12

13 Prjected Ttal Dcuments - estimated number f dcuments that a given tier is anticipated t review. Data Vlume (GB r Pages) - the vlume f yur data set, either in GB r pages. Tier Order - the lgical sequence in time f a given tier. Tier Order is imprtant because this cntrls hw the tiers are sequenced and displayed graphically. Start Date Methd - calculatin technique fr estimating the start date f a tier. Yu can select a specific start date r use a % verlap calculatin. Set Calendar Date - date selected by the user fr the frecasted start f a tier. This is used when Set Specific Calendar Date is chsen in the Start Date Methd drp-dwn menu. % Overlap with Previus Tier - verlap in start times f tiers fr a frecast. This is used t estimate start dates f tiers when the % Overlap with Previus Tier is selected in the Start Date Methd field. Wrking Days - days f the week in which review activity is cnducted. Wrking Hurs Per Shift - number f hurs in a shift. Shifts cannt exceed 24 hurs. Actual Begin Date - actual date n which activity fr a tier begins. This is determined by the user. Frm this pint frward, actual audit data appears in the applicatin. Available Dcument Saved Search - a saved search f the ttal dcuments t be reviewed in this tier. This is set up by the user n the Dcuments tab that hlds the criteria fr a dcument t be included in a given tier f review. Fr example, "designatin is nt set" culd be the criteria fr a first level review tier. Cmpleted Dcument Saved Search - a saved search f the ttal dcuments where the review is cmplete in this tier. This is set up by the user n the Dcuments tab that hlds the criteria fr a dcument t be included in a given tier f review and cnsidered. Fr example, "designatin is set" culd be the criteria fr a first level review tier. Available Dcument Ttal - the resulting dcument ttal frm the Available Dcument saved search. Cmpleted Dcument Ttal - the resulting dcument ttal frm the Cmpleted Dcument saved search. Actual Time - the amunt f time (in hurs) that reviewers in the tier have been active in the wrkspace Adding saved searches t a tier gives a system admin insight int hw a dcument review is prgressing. Using Saved Searches, tracks the prgress f a review cmpared t the active frecast. See Creating saved searches Saved search cnsideratins fr In rder t ensure accurate calculatins, ensure the fllwing: Set up yur saved searches crrectly. Make yur saved searches public when yu create them. Guide 13

14 The tw searches shuld reflect the universe f dcuments the tier reviews. In a given tier, the first saved search reflects the dcuments available fr review in the tier and the secnd saved search captures the dcuments that have been reviewed in the tier. The saved searches cnditins need t be setup in a way that dcuments mve frm the available saved search and funnel t the cmpleted saved search. Fr example, the available saved search culd have a cnditin f designatin nt set and the cmpleted saved search culd have a cnditin f designatin is set. With this setup, any time a reviewer makes a cding decisin n the designatin field, the dcument will leave the available saved search and will mve t the cmpleted saved search. Actual Begin Date - the date the review starts. Available Dcument Saved Search - this shuld be a saved search f the ttal dcuments t be reviewed in this Tier. Cmpleted Dcument Saved Search - this shuld be a saved search f the ttal dcuments where the review is cmpleted in this Tier. Available Dcument Ttal - this is the number f dcuments t review. Cmpleted Dcument Ttal - this is the number f dcuments cmpleted. Actual Time - the amunt f time (in hurs) that reviewers in the tier have been active in the wrkspace. 1.9 Best Practices The ttal number f dcuments t be reviewed in an individual tier shuld match the ttal f bth searched. Dcuments shuld mve frm the Available Dcument Saved Search t the Cmpleted Dcument Saved Search as they are reviewed. As the Available Dcument Saved Search decreases, the Guide 14

15 Cmpleted Dcument Saved Search increases by an equal number, keeping the ttal f bth searches the same. T ensure this behavir, set up the cnditins fr the searches crrectly. Fr example, a simple saved search cnditin uses a Single Chice field t indicate that a dcument has been reviewed. When yu use this field, dcuments in the Available Dcument Saved Search have the cnditin f the field: Is Nt Set and the Cmpleted Dcument Saved Search has the cnditin f the field: Is Set. Since handles cmplex cnditins, saved searches d nt always need t be simple. Set the Available Dcument Saved Search as all the dcuments fr review. Hwever, withut setting a track-able cnditin, dcuments will nt mve between searches, regardless f what chices are applied t the dcuments. Prgress isn't tracked r recrded fr the Insight Reprt Rles Once yu create a frecast, apply at least ne rle t each tier. A rle is a designatin fr the type f reviewer that actually wrks n a given tier. Remember that a tier is a descriptin f the wrk t be dne, whereas the rle is a descriptin f the wrker perfrming the wrk. There can be mre than ne rle per tier. Reviewers link t the tiers via rles. Yu must link a reviewer t a rle, and then a rle t a tier. Clicking the Click Refresh Data buttn n the cnsle in the Rle layut updates yur user list with the mst recent case wrkspace user data Adding r editing a rle 1. Click New next t the Rle heading n the main Frecast layut. 2. Add r edit infrmatin pertaining t the rle n the Rle layut screen. See Rle fields belw 3. Click Save Rle fields The Rle layut cntains the fllwing fields: Guide 15

16 Frecast Name - the name f the current frecast in which the user is perating. Rle - the descriptive name f the rle as determined by the user. Tier - select the tier fr which t assciate the rle with. # f Reviewers - the number f reviewers t be included in a rle as estimated by the user. Billable Unit - the unit by which cst is being calculated. This field shuld already be aut-ppulated with the ptin selected n the frecast. Fr example, cst per dcument where dcument is the billable unit. This is chsen n the frecast hme layut and persists t all rles. Billable Rate - the amunt in terms f currency t be applied t the billable unit. Fr example, $2.00 per dcument (fr dcument billable unit) r $ per hur (fr review hurs billable unit). Review Rate - the speed f review in dcuments per hur as estimated by the user. Tier - the rle t tier assciatin. Nte that there can be multiple rles assciated with ne tier, therefre, as yu define yur secnd r third rles, yu can select the same tier if yu desire Linking rles and reviewer user r grups After saving yur new rle, yu can nw link users (reviewers) and/r user grups t yur rle. T link a reviewer r review grup t a rle: 1. Click Link. 2. Select the user(s) r grup(s) yu want t link t the rle frm the pp-up windw. Nte: Only users that have access t the current wrkspace via their existing grup permissins display in the pp-up windw. Warning, after clicking Refresh Grups/User, any user that has access t can see all users and grups fr that wrkspace. 3. Click Add, then click Set. Guide 16

18 Frecast Summary Reprt - navigates t the Frecast Summary reprt, based n the created frecast. Refresh Data - n-demand refresh. Befre running Refresh Data, understand that this ptin can be system intensive and may take a few hurs. We recmmend running a Refresh Data during ffpeak hurs: T avid negatively impacting system perfrmance if yu're wrking in an existing case If criteria have changed in yur saved searches If yu're running the ptin t perfrm an incremental data refresh If yu encunter a "Failed" message in the status field, cntact yur system admin Reprts generates key metric reprts t track yur review prgress. These reprts prvide detailed and summary metrics fr bth frecasted and actual data. Yu can access reprts via the Review Manager cnsle, and can be exprt the reprts via the exprt menu. The fllwing frmats are available:.pdf,.xls,.xlsx,.rtf,.csv,.image. A cmpleted frecast must be present in rder t generate a Frecast Summary Reprt. An easy way t assess whether a frecast is cmplete is t verify that the Prjected Ttal Dcuments field is ppulated Frecast Summary Reprt The Frecast Summary reprt prvides a graphic representatin f yur frecast inputs and calculatins. The graphs shw aggregatins f all tiers and rles fr Review Rate, Time, and Cst. In additin t graphically representing data, tables display numeric representatins f aggregate data by tier. This reprt shws a quick cmparisn f review structure t budget and deadlines. T generate the reprt, click the Frecast Summary Reprt buttn. Guide 18

20 Optimizing a Frecast Summary Reprt After yu review yur frecast, adjustments might be necessary. In such situatins, prvides suggested ptimizatins by shwing sme ptins. The ptimizatins display by default, n the left side f the Frecast Summary Reprt. This ptin breaks each tier dwn by number f reviewers, number f hurs, and review rate. Review Manager displays the differences between the frecasted data and what is recmmended in rder t bring yur prject back within its desired parameters. These suggestins culd mean adding additinal resurces r pssibly leveraging different technlgies t increase yur review rates, such as mass tagging r Assisted Review. If yu elect t emply ne r mre f s ptimizatin suggestins, yu may als elect t g back and revise yur frecast (r create a new ne) t reflect the adjustments Reprts tab The Reprt tab cntains all reprts that track actual data - all reprts - aside frm the Frecast Summary Reprt. This is the main page where yu can mnitr the review prgress. The first sectin f the reprt tab displays the prgress n f the tiers. The secnd sectin hlds all the reprts. Guide 20

21 Insight Summary Reprt Once the review begins, the Insight Summary Reprt cmpares frecasted data t yur actual prgress. Yu can see the status f yur review as cmpared t yur frecasted infrmatin with the Insight Summary Reprt. Like the Frecast Summary Reprt, this infrmatin appears graphically and in tables. Optimizatin suggestins are available fr aligning yur actual data with yur frecasted data. Guide 21

23 Detail Reprts: Reviewers, Rles, Dcument, and Overturns reprts and gets insights frm Reviewers, Rles, and Dcument types during a review. Using this infrmatin, yu can identify the behavir trends in the bserved review. These trends might reveal weaknesses yu can imprve upn t influence the utcme f yur review. Alternatively, yu may ntice a trend that seems t be speeding up the review, and wish t apply the trend t ther tiers. The Detail reprts prvide quick insight int where deviatins are ccurring frm yur riginal frecast. Yu can mnitr this infrmatin in real time and becme mre practive in yur review management decisins Reviewers Detail Reprt The Reviewers Detail Reprt shws trends by reviewer fr specific metrics. All f the detail reprts can shw data ver an hurly r daily interval fr varius date ranges. Fr example, yu can view the Average Ttal Edits per Hur ver the curse f a week. Yu can als track and analyze Distinct Edits, Ttal Views, Distinct Views, and Active Time. Nte: Users must be assciated with Rles fr their data t reflect in these reprts. View an example f a Reviewers Detail Reprt The reprts always display the first 10 selectins alphabetically n the graph, but all selectin display in the example. Additinally, the graph shws tw standard deviatins abve the average value fr any chsen metric (a hrizntal dashed line dentes the average and gray banding dentes ne standard deviatin). Guide 23

Daily Ttal - Active Time - this reprt takes n accunt all actins view, update, update mass edit, update mass replace, update prpagatin and delete frm the audit and divides the day n 15 minutes blck, s if an actin r several actins gt registered n a blck f 15 minutes, these 15 minutes will be cunted as active time. These blcks are cunted frm hur t hur withut taking int cnsideratin user s lgin r lg lut time. Hurly Average - Ttal Edits - retrieves a reprt n the amunt f editins cmpleted, gruped by an average per hur f the days filtered n the reprt. All f the rles created wrkspace wide are available in this reprt. Only activity frm reviewers assciated with rles displays in this reprt Dcument Detail Reprt The Dcument detail reprt is similar t the Reviewer Insight detail reprt and the Rle Insight detail reprt. 25 Reviewer Overturns Reprt The Reviewer Overturns reprt tracks the verturns a reviewer accrues ver the curse f the review. This reprt takes int accunt the field assigned t the settings that brings up the numbers f dcuments reviewed based n the fllwing: whether there was a first mdificatin frm the riginal value t a new ne the dcuments verturned, including thse self-verturned by reviewer View an example f a Reviewer verturns reprt Dcument Overturn Reprt The Dcument Overturns Reprt tracks which dcuments have been verturned. The reprt shws the riginal cding value and reviewer, and the last verturned value and the respnsible reviewer. The dcument als shws the ttal amunt f verturns n a dcument. Clicking the ttal number f verturns value will result in a mdule windw that displays the varius ways the users cded the dcument. View an example f a Dcument verturn reprt Guide 25
