3 1. Introduction Dear member of the FTTH Council Europe, We are grateful to have you as sponsor for the FTTH Conference 2019 in Amsterdam, the Netherlands. The FTTH Conference, organised by the FTTH Council Europe, is the biggest Fibrerelated conference in the world. It is recognised as the main networking event for anyone who is interested in the topic of fibre access networks Workshops The first day of the FTTH Conference (12 March 2019) offers approximately ten workshop streams to discuss more detailed subject matter. Such topics are typically linked to those covered in the main conference programme. The workshops are either organised by the FTTH Council Europe or by external parties, in which case the FTTH Council Europe acts as host of the workshop Exhibition The exhibition of the FTTH Conference (13 and 14 March 2019) showcases the latest products, solutions and trends for Fibre networks. More than 90 members of the FTTH Council Europe are represented in the Exhibition Hall and offer hands-on experience of their latest innovations Networking The FTTH Conference is the perfect networking and meeting place for anyone who is involved in the business of fibre access networks. The unique all inclusive concept allows delegates to stay at the conference for the full three days. Breakfast, coffee breaks, sandwich and buffet lunches and cocktail receptions all served in or near to the exhibition area on 13 and 14 March enable participants to benefit from an effective networking environment. A special Dutch bar will offer a perfect meeting place in the exhibition area. This Exhibitor Manual outlines all of the logistic details that will help you to have the most productive exhibiting experience. 5 Set-up times must be respected by the exhibitors: Sponsors are not allowed to start setting up earlier than the time booked. Exhibitors who start setting up earlier than their reserved time will be invoiced an additional 5,000 penalty fee, by the FTTH Council Europe. Sponsors are not allowed to set up later than the set-up times indicated. All of the exhibitor s personnel must be off the premises of the venue by the end of each set-up day or the exhibitor will be invoiced an additional 5,000 penalty fee, by the FTTH Council Europe Booth dismantling times For sponsors with a shell scheme booth: Thursday, 14 March 2019, 4:00 pm 7:00 pm For sponsors with a free-set-up booth: Thursday, 14 March 2019, 4:00 pm 10:00 pm For sponsors with a limited edition free-set-up Gold booth: Thursday, 14 March 2019, 4:00 pm 10:00 pm For sponsors with a Platinum booth: Thursday, 14 March 2019, 4:00 pm 11:00 pm Dismantling times have to be respected by the exhibitors in particular the starting time for dismantling. Exhibitors who start dismantling early will be invoiced an additional 5,000 penalty fee, by the FTTH Council Europe Security The conference and exhibition area will be guarded and securely locked during the closed hours of the FTTH Conference: 12 March, 11:00pm - 13 March, 8:00 am 13 March, 10:00 pm - 14 March, 8:00 am In addition, all individuals are required to wear their badges at all times for security reasons. Please note that the FTTH Council Europe will not be held responsible for lost or stolen goods. 5

8 4. Booth 4.1. Booth details for shell scheme Booth furniture All shell scheme booths are equipped with basic furniture (see below), carpet and lighting. Spotlights: The 150W halogen spotlights are installed with a system of clips Dimensions of shell scheme booth and panel Dimensions (width x length) Gold Silver Bronze Approx. 4x6m Approx. 3x6m Approx. 3x3m White wall panels in sections mounted in aluminium system. The booth panels are made out of Mewa board. The booths measure 2.48m in height. The size of the panel display area (the usable part) is 2.38m in height and 95cm in width (the panel is 3.5mm thick). There is a 40mm-thick pole between the panels. The front panels (fascia) are 38cm in height (printable: 28cm in height) and indicate the company name (max 30 characters in Black colour). Gold and Silver booths have a 40mm thick pole at the front supporting the fascia in the middle. They also have central supporting beams going from the fascia to the back wall and from left to right: - These beams are 18cm high. - The height to top of rails is 2.48m and the height to underside of rail is 2.30m. - Bronze booths do not have these central beams. 8

12 4.2. Booth details for free-set-up Gold Silver Dimensions 4x6m 3x6m Height Up to 4m Up to 3m Remark: Furniture and lightning are not included for free-set-up booths. The sponsor s booth plan for its free-set-up area must be sent to conference@ftthcouncil.eu before Friday 14 December 2018, for approval by RAI Amsterdam. All booth structures above 2.5m will also be reviewed on-site. Please provide your free-set-up booth with a sufficient number of spotlights Gold free-set-up booths Sponsors who have booked a free-set-up Gold booth are allowed to use the hanging points of the ceiling for their booth design. This is allowed under the following circumstances: The Sponsor needs to contact AmbitionFuel by and ask for their approval (depending on the location of the booth) before Friday 14 December 2018: stand_building@ambitionfuel.eu The booth design itself must stay within the size limitations of the booked sponsorship package. This includes the width, depth and height dimensions of the booth. No part of the booth, including furniture, displays, marketing material, etc. may exceed those size limits. Additional costs for usage of hanging points have to be covered by the Sponsor Limited edition booth details The Gold booths G1, G2, G3, G4, G5, G6, G7 and G8 can only be booked as limited edition free-set-up Gold booths. These booths can be built without a wall. Should your booth design require a back wall, the wall position is pre-defined and has to be branded on both sides. The booth plan has to be sent for approval before Friday 14 December 2018 to the FTTH Council Europe: conference@ftthcouncil.eu All booth structures above 2.5m will also be reviewed on-site. 13 4.4. Platinum booth details Platinum booths can be built without a wall, up to 6m in height. Should your booth design require a back wall, the wall position is pre-defined and has to be branded on both sides. The booth plan has to be sent for approval before Friday 14 December 2018 to the FTTH Council Europe: conference@ftthcouncil.eu All booth structures above 2.5m will also be reviewed on-site. Please provide your Platinum booth with a sufficient number of spotlights. Sponsors who have booked a Platinum booth are allowed to use the hanging points of the ceiling for their booth design. This is allowed under the following circumstances: The Sponsor needs to contact AmbitionFuel by and ask for their approval (depending on the location of the booth) before Friday 14 December 2018: stand_building@ambitionfuel.eu The booth design itself must stay within the size limitations of the booked sponsorship package. Any additional costs for usage of hanging points have to be covered by the Sponsor Booth equipment for all booths Carpet: The carpet in the booths is dark blue. Should you wish to change the colour of the carpet, please send you requirements to: stand_building@ambitionfuel.eu Booth equipment reservations are made on a first come, first served basis. All orders should be made no later than Friday 15 February Electricity: All booths have a 2 m extension cord with a triple socket. The electricity in the booth is 230V and maximum W. 13

14 5. Services 5.1. Extra services The following services can be ordered via our preferred suppliers. An additional fee will be invoiced for any of the extra services ordered. Extra furniture, flowers, decoration: Should you need additional furniture, flowers and decoration, please send your requirements/ request for quote to: Audio-visual material: If you need audio-visual equipment for your booth and/or meeting room, please send your requirements/ request for quote to: Hostesses/ Hosts: If you wish to order hostess/ host service for your booth, please send your requirements/ request for quote to: All extra service reservations are made on a first come, first served basis. All orders should be made no later than Monday 25 February Extra services to be ordered by RAI Webshop Cleaning: Basic cleaning is provided for your booth and includes vacuuming of carpets and emptying bins. Should you need special cleaning, please order via RAI Webshop. Rigging (using hanging points of the exhibition hall): Should you need rigging for your free-set-up booth, please order rigging/hanging points via RAI Webshop. Security: Should you need security services in addition to the general security services provided by FTTH (see 2.5.), please order via RAI Webshop. RAI webshop will be go live approx. December 19th. We will inform you via separate with your individual access code when the Webshop goes live. Optional services Should you wish to book optional services (extra charges apply), please contact the FTTH Council Europe: Badge scanners (195 net, per scanner): The badge scanners enable the sponsor to scan the NFC tag on delegate badges. The contact details (as provided by delegates at registration) of all scanned badges will be sent to the sponsor after the conference. Wired Internet (550 net, for 2 days): A symmetric high-speed wired internet connection of 100 Mbps. All optional service reservations are made on a first come, first served basis. 16 6. Meeting Rooms 6.1. Order Should you wish to order a meeting room, please contact the FTTH Council Europe: conference@ftthcouncil.eu Meeting rooms are available on a first-come, first-served basis and can be booked no later than Friday, 01 February The price of the meeting room depends on the size and location of the room (see meeting room order form) Accessibility Meeting rooms (floor 2-5) can be accessed by 3 elevators located directly in front of the Conference room 1 and 2 entrances Branding Should you wish to order branding for your meeting room, please send your requirements/ request for quote to the company partnion (branding supplier holding exclusive rights at RAI) : Tom Houtenbos, tom@partnion.com The possibilities and costs for branding are depending on the location of your meeting room. All orders should be made no later than Friday, 15 February Logistics Full information about shipments, unloading/loading on site, parking areas, storage and delivery services on site will be subject of a separate Logistic Guideline, which will be send out to sponsors approx. 3 months before the event. In the meantime, please send your logistical queries to: logistics@ambitionfuel.eu 8. Registration Registration for the FTTH Conference includes access to the workshops, the conference sessions and the Exhibition Hall. All food and drinks served in the Exhibition Hall are free of charge for delegates. It is not possible to register for one day only or for the exhibition only. 17 8.1. Registration for Sponsors An online registration system allows sponsors to register their guests at the special sponsor s rate. It also allows sponsors to change names and details of invited guests. A username and password to access the Extranet of the registration system is sent to the sponsor in November after payment of sponsorship fee has been received Registration fees The following registration fees are available: Price net Category Standard rate Description Standard rate for all delegates; registration through website; payment by credit card. Regular (until 11 March) 620 Late (after 11 March) Discount rate Members rate Sponsors rate Partners of the FTTH Council Europe will receive a discount code to register at this preferred rate. The code can be entered during the online registration process on payment by credit card. Special rate for FTTH Council Europe members. Members of the FTTH Council Europe will receive a discount code in the member newsletter no later than December Members may forward this code to their business partners. The code can be entered during the online registration process on payment by credit card. Sponsors may invite guests using this special rate. Registration can only be done through the Extranet of the registration system. The registration fee must be paid by the sponsor. After using the free passes that are included in the sponsorship package, the sponsor can buy additional tickets directly through Extranet; payment by credit card. IMPORTANT: This rate only applies for registrations that are made by the sponsor through the registration system and that are paid by the sponsor

Terms and Conditions In addition to the conditions outlined above, the following additional terms and conditions apply Organiser The FTTH Conference 2019 is organised by: FTTH Council Europe ASBL Rue de la Presse Brussels Belgium 9.2. Applications Applications for sponsorship must follow the rules and conditions defined in this document. By signing and submitting the application form the sponsor accepts all conditions defined in this document. An application for sponsorship is only valid after written confirmation by the organiser. There is no entitlement to sponsorship. The organiser can refuse to accept sponsorship applications without any further justification Intellectual Property The sponsor grants to the organiser a non-exclusive licence to use the sponsor s logos, trademarks, trade names and corporate names for the purposes of preparation of and inclusion in any materials included in the sponsorship package and for the promotion and marketing of the event. Exhibitors must be listed on the FTTH Conference website This includes the sponsor s logo, display name, boilerplate text and contact details given in the sponsorship application Payment terms The following payment terms apply: All invoices have to be paid at latest within 30 calendar days. Invoices for sponsorship packages have to be paid before 1 March 2019 (payment received on the bank account of the organiser). This also applies to invoices for sponsorship packages that were issued less than 30 days before 1 March Failure to pay the sponsorship package fee before 1 March 2019 will result in immediate cancellation of sponsorship. The full sponsorship fee will still be charged as a cancellation fee (see cancellation policy), and the sponsor will not be allowed to set up the booth. Special internal processes of the sponsor (e.g. the requirement for a purchase order signed by the organiser) do not delay the start of the 30-day payment period. 18

19 9.5. Sponsorship cancellation policy If a sponsor cancels within 5 working days after submitting the application, 15% of the sponsorship fee will be charged. If a sponsor cancels before 7 September 2018, 40% of the sponsorship fee will be charged. If a sponsor cancels between 8 September 2018 and 7 December 2018, 75% of the sponsorship fee will be charged. If a sponsor cancels after 8 December 2018, the full sponsorship fee will be charged Co-exhibitors & subleasing Sponsors are not allowed to host co-exhibitors at the booth. Subleasing of a booth or of parts of a booth is not permitted Size limitations for shell-scheme booths Exhibitors must ensure that their booths stay within the size limitations of the booked sponsorship packages. This includes the width, depth and height dimensions of the booth. No part of the booth, including furniture, displays, marketing material, etc. may exceed those size limits. It is imperative that all standard booths are closed at the back and on the sides. Open sides are not allowed under any circumstances. It is not permitted to remove the fascia Special conditions for free-set-up booths Exhibitors that have chosen a free-set-up booth accept the following conditions: The booth has to stay within the size limitations of the booked sponsorship package. This includes the width, depth and height dimensions of the booth. No part of the booth, including furniture, displays, marketing material, etc. may exceed those size limits. There is no furniture or equipment included in the free-set-up booth fee. Carpet and electricity are available in the booth area. The exhibitor accepts that any construction has to be approved by the organiser and by the venue of the event. The construction must comply with safety conditions and construction guidelines of the venue. The booth plan has to be sent for approval before Friday 14 December 2018 to the FTTH Council Europe team: conference@ftthcouncil.eu Any costs that are charged by the venue for approval of the booth construction must be paid by the exhibitor. A rejection of a booth construction by the organiser or the venue is not a reason for exceptional cancellation. The back side of Gold and Silver free-set-up booths must be properly finished (no halffinished structure at the back). 19

Special conditions for limited edition free-set-up Gold booths Exhibitors that have chosen a limited edition free-set-up Gold booth accept the following conditions: The booth has to stay within the size limitations of the booked sponsorship package. This includes the width, depth and height dimensions of the booth. No part of the booth, including furniture, displays, marketing material, etc. may exceed those size limits. There is no furniture or equipment included in the free-set-up booth fee. Carpet and electricity are available in the booth area. The exhibitor accepts that any construction has to be approved by the organiser and by the venue of the event. The construction must comply with safety conditions and construction guidelines of the venue. The booth plan has to be sent for approval before Friday 14 December 2018 to the FTTH Council Europe team: conference@ftthcouncil.eu Any costs that are charged by the venue for approval of the booth construction must be paid by the exhibitor. A rejection of a booth construction by the organiser or the venue is not a reason for exceptional cancellation Storage area No storage area is available before, during or after the Conference. Sponsors must organise their own storage arrangements with their express delivery supplier so that the delivery is made on the set-up day and removed on the dismantling day. 20

21 9.12. Meeting rooms If the exhibitor rents a meeting room, the following conditions apply for the meeting room: The meeting room can only be used for meetings. It must not be used for exhibition or storage. Subleasing of the meeting room is not allowed. The exhibitor is responsible for cleaning the meeting room during the event. The exhibitor is responsible for any damage to the meeting room or its furniture Insurance Exhibitors must ensure that their equipment, booth staff, set-up team, etc. are properly insured. The organiser will not provide insurance for exhibitors Selling or delivering goods Direct selling or delivering of goods and equipment at the booth is not allowed Running the booth, cleaning and garbage The exhibitor has to ensure that the booth is properly equipped and manned during the opening times of the exhibition. Basic cleaning and emptying of bins is included in the sponsorship package Promotional items No promotional items and/or pop-up stands are allowed outside the booth area of the sponsor. Exhibitors may not hand out brochures, marketing items or other goods outside their booth area. In particular, they are not allowed to have hostesses handing out brochures or marketing items in the entrance area of the event and/or the Exhibition Hall Connections Any kind of special connections to the booth (electric power, network connection, TV, etc.) that are in addition to the standard connections offered in sponsorship applications have to be arranged by the exhibitor directly with the corresponding preferred companies of the organiser. The exhibitor must pay all costs for such connections Respect Set-up Times Penalty Exhibitors must respect the set-up times. Sponsors are not allowed to start setting up earlier than the time booked. 22 9.19. Respect Dismantling Times Penalty Dismantling times have to be respected by the exhibitors in particular the starting time of dismantling. Early dismantling during the exhibition opening hours is not allowed. Exhibitors who start dismantling early will be invoiced an additional 5,000 penalty fee by the FTTH Council Europe Security The organiser provides overall security services in the exhibition and conference area. This does not include any liability for loss or damage to the equipment or booth of the exhibitor. Exhibitors are responsible for specific security services of their booths. This also applies during set-up and dismantling times Film & photography Professional filming and photography in the conference and exhibition area requires permission from the organiser. However, sponsors may do professional filming and photography within their booth Cancellation of the event The organiser will do everything necessary to ensure the execution of the event as planned. In case of unexpected external circumstances that make it impossible to hold the event, the organiser may either: Cancel the event before it starts. In this case the sponsor will receive a pro- rata refund in consideration of costs already committed; Shorten the duration of the event. In this case no refund will be granted. If the event is interrupted due to force majeure after it has started, no refund of sponsorship fees will be granted. The organiser can also cancel the event in case of lack of economic feasibility. Such cancellation has to be announced on 1 December 2018 at the latest, and sponsorship fees will be refunded. In this case the exhibitors have no right to claim compensation for damages or refund for expenses Applicable law disputes Belgian law shall govern these terms and conditions. In case of dispute, the Courts of Brussels will have sole jurisdiction. 22
