1 GREAT OKINAWA TRADE SHOW PRE-EVENT Application Guideline For buyers THE GREAT OKINAWA TRADE SHOW OFFICE (Business Match-Making Event) GREETING

2 In Japan, we have succeeded in preserving our biodiversity while producing a wide variety of safe food products of the highest quality. As Japanese food culture is flourishing throughout the world, we are proactively engaging in exporting Japanese food products overseas, concentrating on the rapidly growing Asian market. However, because of problems relating to shipping and transportation as well as regulations, the Japanese food industry is crawling sideways when it comes to its export. It's with this background we are hosting "The Great Okinawa Trade Show," to demonstrate Okinawa's potential as a logistic hub, through companies such as All Nippon Airways and Yamato Transport. We aim to be a stepping-stone for Japanese companies going abroad, helping them take part in the global trade. We hope you will be able to participate in this event - as Okinawa is becoming a focal point for trading with food OUTLINE 1. EVENT DATE: DAY 1: Thursday, November 14, :00~18:00 DAY 2: Friday, November 15, :30~17:30 2. VENUE: Okinawa Convention Center (Mashiki, Ginowan City) 3. EVENT SCALE: Ca. 100 producers of agriculture, forestry and fishery-related products / ca. 100 Japanese and overseas distributors 4. WHO PARTICIPATE? 1. Companies with an interest in expanding their businesses or finding new markets, both domestically and internationally. 2. Companies who have an intention to build a distribution through Okinawa. 3. Companies who are Japanese producers of food or food-related products. 5. APPLICATION REQUIREMENTS (BUYERS) : 1. Companies who have an interest in purchasing Japanese agriculture, forestry and fishery products. 2. Companies who are able to participate in business match-making events for BOTH DATES. 3. Companies who agree to the travel expense regulation (please review p. 4) 4. Companies need to submit an application form and agree to the information disclosure clause mentioned on the form

3 5. Companies based in Asia and have a market in Asia. 6. FEATURES OF EVENTS: 1. One-on-one business match-making event (business cards exchange and free discussion time will also be scheduled) 2. Seminar and after-event follow-ups 3. We will support building a distribution through Okinawa s logistic hub. 7. (3) Application process: 1. Send your company name, name of a contact person and contact phone number by We will send you an application guideline, a travel expense regulation and an application form in return Review the application guideline, travel expense regulation and fill out the application form and send it back to us. *No fax/ postal mail. 10. Expenses: We will cover your travel expense (1 person per company). The company must meet the application requirements (no.5)

4 11. Important Notes: 1. We may charge a cancel fees in case of a cancelation after your participation has already been accepted. 2. Please contact us if you should have any inquiries on a topic not covered by this application guideline. 3. We would appreciate your understanding in the case some of the contents/plans may be changed. 4. In case there are too many applications submitted, we may not be able to accept your participation even if it handed in before the deadline. 5. We ask for your understanding in that pictures or filmed material of you might appear in newspapers articles, TV or other media related to this event. 6. The event might be advanced/ postponed or canceled due to incidents/ accidents beyond the organizer s control (such as natural disasters, etc.). 7. We, the organizers, are not able to bear responsibilities for these matters above. 5 TRAVEL EXPENSE REGULATIONS Following are the regulations for travel expenses for buyers invited to the event. 1. Payment for transportation fees; 1) We will cover transportation fees to the venue (Okinawa) on the following conditions: 1) 1 person per company 2) said person has to participate both days of the event 2) We ask you to purchase and arrange your own tickets. 3) As a rule, we will only cover fees incurred while using public transportation (flight, railway, subway, city bus, etc.). * In case no public transport was available (and in such cases only), we can also cover trips made with taxi but we must ask for any receipts to be presented. 4) We ask for your cooperation by purchasing discounted flight tickets (business discount, early booking discount, web special etc.) when/if available. 5) Please fill out an invoice/ receipt format handed out on the event day and we will transfer the incurred amount to your bank account (though only to banks located in Japan) after the event. *Please do not forget to submit all the receipts. The payment will not be reimbursed without receipts. 6) Flight tickets shall be economy class and Japan Rail tickets shall be regular reserved seat. 7) In case you use a car in Japan, we will cover toll fees only when presented with a receipt. We will not cover payments made with ETC, nor expenses for gasoline. 8) We may not be able to reimburse the payment in case any bill/receipt is suspected to be forged. 2. Accommodation; 1) We will cover your accommodation for 2 nights (a day before the event and the first event day) 2) If you are unable to leave on the 2 nd day, we will provide you with accommodation for one more night. 3) Breakfast is included (only breakfast) 4) Accommodation is a single room. 5) We will not cover any communication expense (phone calls, internet use) or cost of food and drink (room service etc.) incurred during your stay. 6) Cancellation fees will incur 3 days prior to accommodation date
