1 THIS IS YOUR EXHIBITOR KIT! Hi. Let s start with answers to some of the more common questions 1. IMPORTANT: Buffalo Bridal Expo 2019 on Sunday, February 10th will be held at the Marriott Buffalo Niagara from 11:00am-3:00pm. 2. How big is my space and what is included? Each booth is 6 x10 with 2 chairs (optional) and a skirted 8 table. The floor is carpeted. 3. How do I order electricity? Electricity is included in the vendor booth rate, however you must inform show producers that you need electricity. Contact Dawn via dawn@makeitdistinctive.com if your booth requires electricity no later than Friday, February 1 st. 4. How do I order extra tables, etc? If you require additional items, contact Dawn via dawn@makeitdistinctive.com. Some items may require an additional fee. 5. What are the move-in hours? The show hours? Move in is Sunday, February 10th from 6:00am-10:30am. Show hours are Sunday, February 10th from 11:00am-3:00pm. 6. Can I store my items at the Marriott before the move-in day? The Marriott cannot guarantee availability for this until the week prior to the Expo. However, it does seem most likely this will be available on Saturday, February 18 th between the hours of 3:00PM-6:00PM. We will all exhibitors with storage information the week prior to the Expo. 7. Limousine Company Special Instructions: Parking for one vehicle per company is available outside the hotel main entrance beginning at 6:00am on a first come, first served basis. 8. Will I get an advance floor plan? Personnel will assist you in locating your booth upon move-in. 9. How do I Load-In? Large load-in doors are located at the street level in the back of the Marriott by Ballroom 5 see the vendor load-in map located on the BBA website under the Exhibitor section (FILE NAME: Vendor Load-in map) 1

2 10. Can I place a promotional item in the Couple s Gift Bags? Yes, please drop 500 pieces to the BBA office no later than Friday, February 1 we are unable to make any exceptions to this deadline so please plan ahead. The office is located at 2727 Harlem Road Cheektowaga, Can I provide (prize(s) for the drawings? Yes. If you notated a prize on your space application we will be in touch to arrange to obtain your prize prior to the show date. If not, please contact Dawn via dawn@makeitdistinctive.com if you would still like to participate in the prize giveaways. 12. Will lunch be available? Vendors may pre-order a boxed lunch (sandwich, pasta salad, cookies, drink) through the Marriott by 10:30AM the morning of the show for $15. 2

PLEASE TAKE THE TIME TO READ IT! Let s review. Buffalo Bridal Expo features quality-oriented exhibitors like you who want to reach the Wedding market. You ll be face-to-face with engaged couples, their moms & others eager to see what you have to offer. IT S A GREAT OPPORTUNITY TO SELL, PROMOTE, SHOWCASE, AND BUILD NAME RECOGNITION. You ll be seeing & hearing our extensive advertising. It s all geared to let our couples know that this Show is their best chance to find vendors to help them with the many decisions ahead of them. If you have not notified show producers of your needs for electric or additional booth items please do so immediately via to dawn@makeitdistinctive.com. Exhibitors preparing and/or serving self-prepared food products are required to complete a waiver as well as provide proof of a General Liability Insurance policy in an amount not less than $1M by February 1st. The form can be found on the BBA Website under the Exhibitor section (FILE NAME: Insurance Waiver for Food and Drink Vendors) Any exhibitor who plans to provide food or drink samples must notify show producers via to dawn@makeidistinctive.com. 4 Countdown to Showtime! Buffalo Bridal Expo 2019: SUNDAY, February 10 from 11 AM until 3 PM 14 DAYS BEFORE SHOW Exhibit & display materials on hand? Ready to go? Is transportation arranged for display materials and products to Show? Is personnel scheduled to assist for move-in (6:00AM 10:30AM)? Have you notified show producers of your electric needs, and/or needs for additional items (tables, chairs, etc.)? 2 DAYS BEFORE SHOW Prepare for Move-in! Exhibit & display materials packed & ready for transport to Show? Personnel scheduled to assist in set-up? TODAY IS SHOW DAY! Show Opens at 11:00am! 6:00am-10:30am - Exhibitor Move-in. Any space that is not occupied by 10:30am may be forfeited: Call us IN ADVANCE if there s a problem 10:30am - Pre-order boxed lunch through the Marriott for $15 10:30am Show briefing for vendors 11:00am Doors open/showtime! 2:15pm Grand prize giveaways 3:00pm Event closes 4:30pm - Move-out must be completed 4

PRIZE GIVE AWAY Consider providing a prize to be given away. You may donate multiple prizes if you would like! This is a fun way to market your company while making the day of a lucky winner! Additionally, any prize that is valued at $500 or more will be highlighted during a live drawing. 6 We are happy that you decided to be a part of the Buffalo Bridal Expo It is our sincere wish that this is a rewarding day for your company. We are here to assist you every step of the way and have compiled a list of things to consider as you prepare for the show. PREPARATION Success begins with a positive mental attitude and comes from clearly defined goals. Set those goals now so you are prepared to maximize this opportunity Plan and design a tasteful, attractive and inviting exhibit that will entice consumers to stop at your booth. Consider flowers or balloons for color. Plan transportation of your merchandise and displays to and from the Show to facilitate smooth exhibit set-up and move-out and reduce chances of breakage, loss or confusion. Schedule personnel so that your booth is manned at all times. Remind your people to dress neatly and wear comfortable clothes and shoes. Everyone working in your booth should know why you are at the Show! Discuss this with your people to ensure a clear presentation. For instance, your staff should know prices and policies for your products and services. Check your supply of business cards, brochures or catalogues to ensure you ll be prepared to meet demand at the Show. Offer an incentive to visit your store or studio. One way, if appropriate for your type of business: a coupon with a quick (two-three weeks) expiration date will instill a sense of urgency and the consumer will clearly remember you from the Show. Remember, your main focus should be: HOW DO WE GET THESE PROSPECTIVE CUSTOMERS TO VISIT US? You are here to make appointments, the sales will follow! 6

7 How to Maximize Your Involvement (con t) PRESENTATION Smiling faces and friendly personnel make you stand out! A neat personal appearance boosts your image. Rotate people and schedule their breaks so everyone stays fresh and alert. Use clear exhibit signage with the name of business, logo, retail location(s), etc. Bring a wastebasket to keep your exhibit area neat. (There will be some in common areas, as well.) Give every couple a flier or other information on your company for handy reference. Make sure it has a phone number and, if applicable, a map to your place of business. Be considerate of your fellow exhibitors. They are sources of future business for you! Your company literature may not be distributed anywhere outside of your booth area. FOLLOW-UP Follow up with these prospects! REMEMBER: You ll receive our FREE Data base on all the brides & grooms. Have something ready to go out in advance! How will you know if the Buffalo Bridal Expo was a success FOR YOU? Maybe you define success by how many people come to your place of business afterward saying, I SAW YOU AT THE BUFFALO BRIDAL EXPO! Or will the Show be a success to you if hundreds of prospective customers simply see what you have on display? To evaluate your effectiveness at the show, know in advance why you are at the Expo!
