5 Point Of Sale 1. Arch Slip Formats - Transaction Total before Credit Amount TFS # PBI The Total Transaction amount will be printed prior to any credit amount on the POS receipt. Options Printer Options POS Printers Tab Ease of reference of totals on slips More information This has been applied to the following Slip layout in Arch: - Custom Layout Arch02 (Slip) - Custom Layout Arch03 (Slip) - Custom Layout Arch03 Combo (Slip) - Custom Layout Arch04 (Slip) - Orient Arch02 (Slip) - Orient Arch03 (Slip) 2. Arch Credit Note Slip TFS # When a Return Merchandise or Return Mode transaction is done, the Standard Credit Note slip will be printed. Options Printer Options POS Printers Tab Credit Note Ease of reference of credit slips. More information The system will not apply the layout selected next to Credit Note. By default it will always print the Credit Note (Slip) Page 5 of 50

6 3. Token Message to display on POS and Customer Display TFS # The same information that we print on the token slip, will be displayed on the POS and Customer Display. POS screen and customer display. Cashier can interact with client and inform about competition they qualify for. And client can view this while at POS. More information Cashier will have to select Continue to begin with a new transaction. Cashier Screen: Client Screen - Second Screen: Page 6 of 50

7 4. Allow reprint to slip printer Touch Screen POS Only TFS # PBI A reprint of slip for a transaction can now be done on the POS itself. Previously this was only allowed on the back office. POS Touchscreen. The Cash button changes to Reprint. Programming Users Point of Sale Invoice Reprint Supervisors can easily reprint a transaction on a POS workstation. More information The Invoice Reprint user permission is applied to restrict users from reprinting transactions without authorisation. The list of transactions that are shown are only applicable for that specific workstation and only for the current shift. When a Z Report is done for the cashier the list is cleared. This is not applicable to EFT or Airtime reprints. List of Reprint transactions that can be selected: Page 7 of 50

8 Reports 5. Component links report to include Component code Grid View: TFS # PBI Users required that component codes & descriptions are displayed on the grid and also when the report is previewed. Tree Products Operational Items Component Links User can easily identify the component linked to a product. More information The Unit Size & Unit of Measure for the product and component have also been added to the grid. A filter was added for Produce at GRV. Report: Page 8 of 50

9 6. Extend Trading Graph to 24 Hours TFS # PBI The Scorecard Graph has been enhanced to allow 24 hour trade. Tree Under Group 1 Select Stores Name Information displayed according to trading hours applicable. More information Adjustment of trading hours for the graph has to be done by a support technician. Graph for 24 Hour trading Store: Set 00:00 to 23:59 7. Export Sales Analysis by Product TFS # PBI Enhancements have been made to the Sales Analysis by Product report. The user will now be able to the desired Department Number. This is the department the product is linked to directly or to export by Major Department Number. Tree Reports Sales Analysis By Product Export Data User can now view the report with the applicable department and not just the major department. More information Major Department Number(Selection Box) When the user selects this option, the exported data will return the major department. If the user selects the option Department Number the exported data will return the department number linked to the product. If the user selects both then both department numbers will be returned. 10 8. Sales Below Cost Report Enhancements TFS # PBI Additional filters have been added to the current Sales Below Cost Report. Tree Reports Sales Analysis Sales Below Cost User can apply new filters to refine required report. 11 9. New Report - Sale Price Deviation Report TFS # PBI This report will give the user a better understanding of the full impact price overrides have. The report looks at Price Overrides, % Discounts and Amount Discounts. Tree Sales Analysis Sale Price Deviation Report User is able to identify low GP values and users authorising overrides. More information The report is date & time driven. User are able to export the grid. Users can press enter on a specific line and the transaction will be displayed. Page 11 of 50

12 10. Discarded Transaction Reports - Discarded Date TFS # PBI A column showing "Date Discarded" have been added to all the discarded transaction reports. Reports -- Logs -- Discarded Transactions All Reports Enable easy reference for when a transaction was discarded. More information The column was added to the following reports: - Purchase Orders (Discarded) - Purchase Claim (Discarded) - Stock Requisition (Discarded) - Goods Received Voucher (Discarded) - Price Changes (Discarded) 11. Stock Per Location Report - Enhancements TFS # PBI Report has been enhanced and 2 Node options are available. Per Product & Per Department. The following filters have also been added to the report: Brand Name, Status, Location, Unit Size &Unit of Measure Tree Reports Stock Analysis Stock Per Location Report User can apply new filters to define required report. More information On the By Product node the user can right click on required product and the user can select to view the Stock Ledger or Stock Inquiry screen for the selected product. Page 12 of 50

13 Per Department: Promotions 12. Sales Promotions - Hide expired promotions TFS # PBI Expired promotions will now be displayed separately, to allow for easier management of promotions. Programming Sales Promotions - Open Navigation of Active and Expired promotion will be easier. 14 13. Combo Promotions on Weighted Items TFS # PBI Per Instance attribute has been added to the Combo Group setup. This will allow users to add Weighted Items(P/kg) to combo promotions. Programming Special Promotions Combo Set Screen Per Instance Once a combo deal has been rung at the POS, the combo deal will be applied to qualifying products, irrespective of scale label weight. More information By default this setting will not be active. Users will have to apply this setting on the promotion. Refer to combo manual for setup of promotion. Page 14 of 50

15 14. New Product Attribute: Allow promotion (User permission driven) TFS # PBI Stores require ability to allow users to add certain items onto sales promotions. This is to allow store users to add promotions for products with expiry dates i.e. sushi, fresh produce, etc. and at the same time prevent these users from adding other products to promotions. Users will be prompted if they do not have permission to load a specific product. Programming Sales Promotions Open Programming Users Promotions Tab Users have more control over what items can be added to promotions. More information Matrix Types on Debtors & Products have been renamed to Promotion Group. Functionality still works the same. User Permission: Sales Promotion Message: Page 15 of 50

16 Debtor Matrix Rename to Promotion Group: Product- Promotion Group Allocation: 15. No Rewards Promotions - Transaction Amount and Quantity Competition/Token TFS # PBI Functionality has been added to apply the competition on a total transaction Amount and/or Quantity. Examples Buy for R500 or more and get an entry into a competition Buy for R500 or more in the Butchery department and get an entry into a competition Buy any 5 products from certain products (combo group) and get an entry into a competition Programming No Rewards Promotions Promotions can now be created for a specific quantity or amount to qualify for entry. More information No Rewards Promotions functionality changes has been enhanced to include Combos, Department & All department options. Page 16 of 50

17 16. Promotion Vouchers - Special Promotions TFS # PBI A voucher value and minimum quantity can be entered for each item type. When a product is sold at POS with an active Promotion Voucher promotion, the system will automatically issue a voucher equal to the value of the combined total of the voucher value of all item types. The system will however only issue a voucher when the minimum quantity is reached, and will then issue a voucher for each one sold. Example: R 2.00 voucher on a product with minimum quantity of 2 will issue a R 4.00 voucher if two of the product is sold, and a R 6.00 voucher when 3 is sold,.50c voucher on a price link with minimum quantity of 1, will issue a 50c voucher for each instance of a product sold link to the specified price link. R2.00 voucher for Combo Set. Only one R2.00 will print per combo bought. Buy the same combo twice system will issue one R4.00 voucher. More information Programming No Rewards Promotions - Voucher Amount Additional functionality on providing clients with discounts on purchases. A user manual is available on request. To assist with setup on Voucher promotions. Page 17 of 50

18 Users 17. Utilities - Database maintanence TFS # PBI Users required that the Database Maintenance functionality be user permission driven. Utilities Database Maintenance Programming Users General Permissions Tab Miscellaneous DB Maintenance - If enabled then the user can access the functionality. - When not enabled then the functionality will be greyed out. 19 18. Promotion Permissions Enhancements TFS # PBI Clients required configuration of users for Promotions Add Promotions and/or Authorize-Promotions and/or Edit Promotions. More information Programming Users Promotions Tab This is to allow a user to be configured to authorize a promotion without being able to add new promotions, add a promotion without authorizing one, etc. This is applicable to Sales Promotions, Buy In Promotions, Future List Prices and Special Promotions Page 19 of 50

20 Purchase Orders, GRV & Claims 19. Purchase Orders Module - Add Price Link Column TFS # PBI A column for "Price Links" has been added to the screen layout window for the user to make visible on the Purchase Order and GRV screen. Bottom of the Purchase Order and GRV screen. Under Screen Layout Price Link. Showing the Price Link Number assists the user in picking up if item is linked to correct price link. More information Products on the Purchase Order will be grouped according to the Price Link. 20. Purchase Orders - Sales & Purchase Analysis Screens (Fortnightly Option) TFS # PBI The ability to view products transactional history Fortnightly, when using the Advanced History Tool Window & Purchase History Tool in the Purchase Order has been added. Purchase Order Down Arrow next to tools and Advanced Purchase Order Tool Window or Box next to Purchase Order Header. The user has additional functionality to view sales and purchases for suppliers that require fortnightly orders. More information Screen refreshes automatically when selecting the next product. 21 History Tool Window: Advanced History Tool Window: 21. Loading of Products in Purchase Order screen that is not Centralized TFS # PBI When products in an Order Group are "Centralized" controlled and the user loads products from the drop down menu option next to Tools in the purchase order screen. Only products that are not "Centralized" will be loaded onto the purchase order. This is applicable to following permisisons and options. Programming Users - Ordering & Receiving Tab Purchase Order Section: - Allow Order For Centralized Groups - Allow Ad Hoc Order For Centralized Groups - If setting Ticked allow product orders outside Order Groups Page 21 of 50

22 More information - If setting Unticked cannot order products outside of Order Groups - All "Load options in Tools and "Find" Button will be grayed out if permission is disabled Programming Supplier Merchandise Manager Purchase Orders Users in the store will not be able to order products from suppliers that are centrally controlled. Users without permission will not be able to add or delete products from the Centralized PO, but they will still be allowed to change the pack size. 23 22. Claims Goods Return - Save prompt added when user closes window TFS # PBI Users will be prompted when they close the claims screen, for when there are unsaved changes. On the claims screen when selecting the X or Exit to close the claims screen. The user will not lose unsaved changes. 23. Subsidy claim - Grid Header TFS # PBI Header names was changed to indicate which cost will be updated. Transactions Subsidy Claim Headers Cost Excl. changed to Landed Cost Excl. 24 24. Notification Enhancement on Purchase Orders & Goods Received Vouchers TFS # PBI Tooltip Notifications have been added to the Purchase Order screen and also the Goods Received Voucher screen. Transactions Purchase Orders Transactions Goods Received Voucher Users can make a decision based on the information displayed. They can continue to order an item or they can reject an item at receiving. More information On a purchase order, when selecting a product that has a tooltip, the user will be able to see if it is a Non SKU and what the Last Purchased Date was. On a GRV the user will be able to see if an item is a Non SKU, is the item Deleted/Discontinued, Last Purchase Date & the Discontinued Date. Reports can also be printed when placing your order or accepting a GRV on the above criteria. Purchase Order Tooltip: Goods Received Voucher Tooltip: Page 24 of 50

25 Stock Takes 25. Stock Take Variance Report Updated TFS # PBI Landed Cost (Excl) & Average Cost (Excl) totals have been added to the Stock Summary Report. - Tree Journals Stock Take Journal Preview - Stock Take Finalize screen Drop down next to print Variance Reports - Finalization Report when Stock Take is finalized. More information Assist users to view and compare stock values at Average or Landed cost. Added Landed Cost (Excl) & Average Cost (Excl) summary to each Department when Grouped by Department option is selected. Page 25 of 50

26 26. Stock Take Enhancements TFS # PBI Stock take name currently only allows for 20 characters. This has been increased to 50 characters. Stock Take Summary Report TFS # PBI New grid view report has been added to assist users to view products counted in stock take per location. The grid can be expanded to view more detail. Tree Reports Stock Take Analysis Stock Take Summary Users can identifiy stock per location easier. More information Same filter options are available as the Stock Take Journal. 28. New Stock Take User Permission Editing of Count Sheet TFS # Functionality has been added to prevent a user from changing an item s count after being entered on a stock count sheet. User permission is required. Programming Users General Permissions Tab Stock Take Allow Quantity Amendment on Count Sheet Page 26 of 50

27 More information Users will have better control over recounts done on count sheets by authorised users. User permission will only be applied if a valid value is captured. 28 Stock Adjustments 29. Bulk Stock Adjustment Printout Enhancement TFS # PBI Users required that the stock adjusted Average Cost be displayed on the Snap Shot Printout report. This includes a Total Adjustment Value. Transactions Stock Adjustment Bulk Stock Adjustment Print Snap Shot Sheet. Users will be able to see the adjustment value and not just the qauntity. More information The following additional fields has been added to the Snap Shot sheet printout: - Comments on Variances - Supervisor Name & Signature - Manager Name & Signature - Date 30. Add Notes to Stock Adjustment Journal & Summary TFS # PBI Users can now view notes added on a stock adjusment on the Stock Adjustment Report (Printout) and Stock Adjustment Summary (Tool Tip). 30 31. Single Stock Adjustment Pack Code Enhancement TFS # PBI 5875 In previous versions when a pack code was entered the system automatically changed to the base code for that item. This has been changed to allow for pack codes and adjustments to be done per pack size entered. Transactions Stock Adjustment Single Stock Adjustment Users will no longer have to do manual calculation for entered quantities. More information A warning message will be displayed when entering a pack code. The user will only be able to adjust the stock by whole quantities on packs. Stock Transfers 32. Stock Requisition - Ability to select your Sales location in the From location field TFS # PBI & Users will now be allowed to select their default sales location in the From field. This would allow users to request stock For another location, From the location configured as their sales location. Transactions Stock Requisition Stock on hand can be replenished from the main sales location to alternative locations. Page 30 of 50

31 More information The stock location name will be displayed in the stock on hand column for the From location. 33. Stock Transfers Transfer Journal Transfer Number Added TFS # PBI A column has been added to the Stock Transfer Journal that displays the Transfer Number. The transfer number consists of the Transaction Tracking Number. Tree Journals Stock Transfer Journal Reference between reports and print outs is easier to reference. More information The prefix IBT will be added on the front of the Transaction Tracking Number when a transfer is done to an Offline Branch. The Transfer number will also be displayed on the Stock Transfer document. Settings 34. Auto Deletion of Discontinued lines TFS # PBI Currently the business rule is that when a product has been marked as discontinued, and the product has zero stock for 90 days, it would be deleted. A setting has now been added and users can specify their own number of days when a product will be deleted. Options Settings Tab Delete Discontinued Products After Days. Users can now manage their own period for deleting items. More information Support can still be contacted if required for assistance on this option. Page 31 of 50

32 35. Disable printing of Referenced Credit Notes TFS # PBI Users required the ability not to print credit notes. Options Printer Options POS Printing Tab Credit Note Copies 0 Users can now manage when Credit Notes will be printed. More information By default this setting will not be enabled and Credit Note slips will be printed. Page 32 of 50

Cashier Declarations Split Card Amount TFS # PBI Capturing of Manual Card slips and EFT transactions have been split on the Cashier Declaration Screen en cash up reports. - Cashier Declaration Screen - Workstation Cash up Report - Cashier Cash up Report Assist users to easily verify totals on Manual transactions & EFT transactions when captured. 37. Add Store Close Number to Workstation, Cashier Declarations Grid TFS # PBI Users will have the funcionality to view which Z-Report is linked to a specific Store Close that was done. Tree Reports Cashup Reports - Workstation Cashup Grid & Preview - Cashier Cashup Grid & Preview - Cashier Declaration Grid & Preview - Cashier Cashup Analysis Grid & Preview Assist users to easily verify totals from Z-Reports printed with Store Close reports. More information The Store Close number will also be printed on the Trade Summary Page 33 of 50

34 Grid: Preview: Invoicing, Sales Orders & Quotations 38. Convert GRV to Sales Order TFS # PBI Functionality has been added to enable a user to create a sales order from a Goods Received Voucher that was specifically bought in from a supplier for the client. Transactions Invoicing Tools Load Products From Goods Received. Users do not have to load products manually. Correct products and quantities are loaded automatically. More information Received quantity on the GRV will be loaded as the quantity on the Sales Order. Goods Received Vouchers displayed in the loading list are the GRV s that was finalized in the last 3 months. Page 34 of 50

35 39. Arch A4 Landscape Invoicing - Tax Enhancements TFS # PBI Tax Type 4 & 5 have been added to the A4 Landscape Invoice printout. A4 Laser Landscape Printout If the store has more than three tax types, all the applied tax types will be visible on the invoice. Page 35 of 50

Limit Visible Columns On Invoicing Screen TFS # PBI Functionality has been added to give a user the ability to limit/hide the visible columns on the invoicing screen, as well as the GP & Discount block at bottom. Transactions Invoicing Screen Layout User Permissions: 1. Users - Product Permissions - View Product Costs. Will limit the user from viewing the GP/Discounts at the bottom of the invoicing screen. 2. Users - General Permissions Transactions Invoice Screen Layout. This will limit the user from added columns in the invoicing screen. Authorisation will be required to add additional columns to the screen. This will limit users from seeing unauthorised information. More information When the following user permission is applied: User Permission -> Product Settings -> View Product. The user will also not have access to these columns in the screen layout. Average Cost Landed Cost GP Average and Landed Cost Mark-up Average and Landed Cost Page 36 of 50

37 QR Code 41. 2D Barcode Scanning Batched Scale Code (QR Code) Expiry Date Enhancement TFS # PBI Single QR code is generated on specified scale for multiple products. This code is then scanned on QR code enabled scanner to load products on Point Of Sale. Enhancement made allows verification of expiry dates on QR code. Option PLU Settings QR Code Structure A single barcode is generated for multiple service department products. More information Setup manual and scale printer information can be requested. Debtors 42. Debtor Journal postings: Fixed Reasons code drop down box TFS # PBI Fixed Debtor Journal Posting Reasons can be added to the system. The user can then select these reasons from a drop down box on the Debtor Journal posting screen. 38 More information Debtor Journal Posting Screen: Transactions Debtor Journal Posting - Drop Down Box Standard reasons can be created. Adding of reasons is User Permission driven. The user has the option to select a set reason from the drop down box or add a free text reason in the journal posting screen. Max of 50 characters allowed in the reason field. 39 Import Duty 43. Import Duty - Enhancements TFS # PBI Functionality has been added to create Countries, Link categories to the countries and specify import duty percentages applicable to each country and category. Programming Import Duty Category Programming Products Settings Import Duty Category Programming Creditors Properties -Country Enables easy setup and allocations applicable to import duties. More information Please see Import Duty manual. Functionality only applied to foreign supplier setting. Page 39 of 50

40 Loyalty 44. Loyalty Holder Information Displayed TFS # PBI In previous versions, Arch displays a loyalty member s information in the beginning only, when the card is validated. Now the Card holder s name will be displayed on the POS screen for the user for the whole transaction. On Keyboard and Touch Screen POS. See screen shots below. 41 45. Allow multiple Loyalty Cards for Loyalty Load Funds TFS # PBI In previous versions users were only able do a Load Funds for one loyalty card in a transaction on the Arch POS. Arch now allows the user to Load Funds on multiple Loyalty Cards in the same transaction on the Arch POS Arch POS Ticketing Load Funds Allows the client to load funds on mulitple cards at in one transaction. And only one payment has to be received for for all funds loaded. More information Previous Receive on Account functionality is not applied anymore. Ticketing Phase Ticketing Functionality Load Funds(Loyalty Provider) & Deposits TFS # PBI ) Loyalty Card load fund will no longer be done as a R/A. Ticketing functionality will be used for this function. Multiple Load Funds per transaction is now possible. The Loyalty card will be captured and validated with each Load Funds done in the transaction. 2) Deposits on items can be received without selling the actual item. A manual reference can be entered. Programming Users Point of Sale Ticketing Button Programming Ticketing (Support Setup) Tree Reports - Ticketing One payment by customer when mulitple load funds are done. Deposits on items that need to be pre ordered can be captured. More information Ticketing functionality requires user permission. Support to be contacted for setup of functionality. Page 41 of 50

The modifier will apply a user defined factor to the existing suggested order calculation, thereby increasing or decreasing demand, which will in turn affect the suggested order quantity on a Purchase Order in Arch.
