2 What is HESPA? HESPA is the representative body for those working in strategy and planning in UK higher education. HESPA became a sub-organisation of Professional HE Services (PHES) Ltd in 2013 alongside the British Universities Finance Directors Group (BUFDG), HEPA and now AUDE and UHR. Membership is by academic institution and currently the association has over 150 members. HESPA works to support members by; Hosting an annual conference Organising training events, workshops and seminars throughout the year Enabling networking, discussion and debate via online forums and other platforms Promoting professional development and career progression for planners Raising awareness of key issues and keeping planners informed Advocating work with HE funders, policy makers and delivery organisations Linking with associated communities within HE internationally to support best practice

3 Benefits of Sponsoring An opportunity to meet senior and influential decision makers as well as those who inform decisions, involving choosing suppliers and consultants for various projects. Meeting not only university reps, but accessing a number of delegates from agencies and sector bodies, including UUK, HESA, funding councils, Wonkhe, HEPI, etc. In an overcrowded HE conference calendar, this event remains focused and useful and is increasingly popular year after year. Drive revenue through stakeholder engagement; one link can lead to a multitude of opportunities.

4 Speaking Opportunity Practical Sessions Practical sessions offer sponsors a platform to present to the audience on a given topic or theme. Sponsors have favoured these in the past as an effective way of demonstrating knowledge of the sector and the challenges that customers face. Rather than to use direct sales pitches, these are more effective if you take an interesting topic to discuss and debate. Previous delegate feedback has conveyed an outright aversion to pushy sales pitches, so please be creative. This year it is strongly advised for sessions to include an institutional case study and be presented as a double act with a customer (HEP). This automatically provides you with an immediate indirect reference and is much more favourable with delegates in capturing their attention. When sending the session synopsis in advance of the event it should state the example you are to use. The following packages include a practical session: Platinum Sponsorship and Gold Sponsorship. Gold Sponsor practical sessions are to be 30 minutes long, whereas this year the Platinum Sponsor practical session has been increased to a 45 minute slot. Practical sessions will be offered as part of the main programme again in 2019, rather than over lunch as they were prior to 2018 and we are offering three on Thursday and three on Friday for delegates to sign up to during online registration.

5 Interactivity Increased Delegate Exposure / Engagement for 2019! To boost the number of delegates visiting the exhibition stands we are looking to encourage more interactivity from exhibitors for This could come in forms such as games, entertainment, prize draws etc. the more innovative the better! We have seen this create much excitement in the exhibition space at other events and hope it will do the same for HESPA. If you plan on doing anything new to interact with delegates on your stand, please the details across to hespa@assuredevents.com. If we feel this would be of interest, we will include the details in the conference brochure free of charge, promoting your stand further in the exhibition! The exhibition with all catering will be all on one level and in one room for 2019 as opposed to the last two years, meaning all delegate traffic will be in the same place. We are looking at holding the Drinks Reception prior to the Conference Dinner in the exhibition space to give an extra hour of delegate exposure. Another new feature we are looking to introduce for 2019 is a delegate quiz, where delegates have to visit each stand and ask a specific question. Any completed quizzes with all the correct answers will be entered into a prize draw as an incentive to engage with all exhibitors.

7 Packages Platinum Sponsorship - 10,500 + VAT Main Elements: Exhibition space (3x2m space only, not shell scheme) for the duration of the conference, including a table and two chairs (optional), Wi-Fi internet access and electricity supply. Drinks Reception to take place in the exhibition space prior to the Conference Dinner to give extra delegate exposure. The opportunity to register first and therefore receive first choice of exhibition plot. N.B. this is only available if interest is expressed before the close of expressions of interest deadline on the 28th September. A 45 minute practical/demo session to delegates. This will need to be an institutional case study with a copresenter from a University and topics approved by HESPA and the conference steering group. Guaranteed accommodation in the main conference hotel where delegates will be staying. Provide us with the names of 10 delegates you wish to be seated with at the Conference Dinner. We will endeavour to accommodate at least 2 of your requests. Receive the full delegate list (subject to GDPR guidelines) one week prior to the conference. Please note that delegates will be given the option to opt-out of their information being shared during the registration process. 8 Packages Platinum Sponsorship cont. - 10,500 + VAT Brand Exposure: Branded pop-up banners at the delegate registration desk. Logo to appear on the conference badges. Heightened conference presence with your logo on the footer of all holding slides within session rooms, and your logo with link through to your website on all delegate communications (subject to completed online registration). A 100 word profile on the conference website, including your logo on every web page and a link to your website. Branding on the conference brochure. A full page advert in the conference brochure (A5 in size), as well as a company profile (100 words), contact details and logo. An extended company profile, contact details, PDF document and logo on the conference app An interactive advert banner on the app, located at the bottom of the main menu screen. Attendees, Dinners and Accommodation: 4 exhibitor passes (which include attendance to workshops and plenary sessions). Bed and breakfast (one night - Thursday 7th February) for your 4 attendees at the main conference hotel where delegates will be staying. A half-page advert in the conference brochure (A5 in size), as well as a company profile (50 words), contact details and logo. Bed and breakfast (one night - Thursday 7th February) for your 3 attendees at a close-by hotel. 10 Packages Exhibition Package - 3,500 + VAT Main Elements: Exhibition space (3x2m space only, not shell scheme) for the duration of the conference, including a table and two chairs (optional), Wi-Fi internet access and electricity supply. Lunch will be served within the exhibition space in order to encourage networking. Exhibition space this year is all on one level. Drinks Reception to take place in the exhibition space prior to the Conference Dinner to give extra delegate exposure. Delegate list (subject to GDPR Guidelines) one week prior to the conference. Chance to meet the HESPA Executive Committee. Brand Exposure: A 100 word profile on the conference website, including your logo and a link to your website. A company profile (25 words), contact details and logo in the conference brochure. An extended company profile, contact details, PDF document of your choice and logo on the conference app. Attendees, Dinner and Accommodation: 2 exhibitor passes (which include attendance to workshops and plenary sessions). Bed and breakfast (one night - Thursday 7th February) for your 2 attendees at a close-by hotel. All meals including 2 tickets to the Conference Dinner and Drinks Reception on Thursday 7th February. 11 Additional Packages There are 9 additional sponsorship packages available for the 2019 HESPA Conference. Each package includes the following (if not already exhibiting): A 100 word profile on the conference website, including your logo and a link to your website. Sponsorship acknowledgement and a 25 word profile with logo in the conference brochure. An extended company profile, contact details, PDF document of your choice and logo on the conference app. Delegate list (subject to GDPR Guidelines) one week prior to the conference. Please note that these additional packages alone do not include any attendance to the event. Package One: Lanyards - 1,000 + VAT Your logo to appear on all lanyards worn by all attendees throughout the conference. Lanyard colour/s are to be decided. Your logo will appear alongside the HESPA logo. 1 of Each Package Available

12 Package Two: Conference Packs - 1,250 + VAT Additional Packages Packs to be branded with the sponsor s logo and given to every delegate upon registration. Company logo to appear on pens included in the delegate pack. Pack/ bag colour and design to be decided by HESPA with Sponsor approval. Sponsor may supply inserts for the conference packs. Package Three: Conference Dinner Wine - 1,350 + VAT Acknowledgement of you as the sponsor of the dinner wine during the event. Branded tags on all table wine. Acknowledgement of sponsorship on the delegate booking website and app with a link to the company website. Entry as sponsor adjacent to the event listing in the conference programme in the conference brochure. 1 of Each Package Available

13 Package Four: Lunch and Refreshments - 1,500 + VAT Additional Packages Branding to be included on pop up banners in the venue, as well as on tent cards. Reference to your company s sponsorship next to the event listing in the conference brochure. Package Five: Twitter Wall - 1,500 + VAT Sponsorship of the event Twitter Wall displaying tweets about the event throughout. Company logo to appear on the Twitter Wall throughout the event. Scheduled advertisements (either video or static) on the wall throughout the conference. Includes features that can be used as you wish either on demand or at scheduled intervals. Features include display announcements, top users, top re-tweets and contests. HESPA delegates engage very well with twitter and so the screen content should be refereshed regularly. 1 of Each Package Available

14 Package Six: Water Bottles - 1,500 + VAT Additional Packages Handed out to each delegate to refill throughout the event. A substantial bottle that s sure to be used post event design and option to be decided by HESPA with Sponsor approval. It will feature your company logo. There are water coolers at the venue so they can be re-filled throughout the event encouraging sustainability. Package Seven: Conference App - 1,800 + VAT Last year s app was hugely successful with 203 downloads, a dedicated download mailer would be sent out prior to the event advertising you as the sponsor. Last year, delegates revisited and downloaded the app post-event in order to access presentations, meaning that this sponsorship package would offer longevity through continued brand exposure. Branding within the app, including the most featured banner advert with click through and a link to the company twitter feed. Option for the sponsor to donate check-in gifts or promotional items for delegates in order to encourage app downloads and check-ins. Signage around the venue and in the brochure promoting the app and yourselves as sponsor. Get feedback directly from attendees by creating a customised poll. Feature in the sponsors section on the app, including links to a customised PDF document and the company website. 1 of Each Package Available ew Package!

15 Package Eight: Power Banks - 2,000 + VAT Additional Packages To be handed out to each delegate attending the conference. Company logo / branding prominently on the power bank along with the HESPA logo (type/ design of power banks to be determined by HESPA with Sponsor approval). Popular with delegates due to the increasing amount of devices needing to be charged on the go. New Package! Package Nine: Conference Dinner - 2,500 + VAT Two extra tickets to attend the Conference Dinner on Thursday 7th February. Company logo / branding to appear on pop up banners throughout the venue. Also on all menu cards, table plans and tent cards at the Drinks Reception. Acknowledgement of you as the sponsor of the dinner during the evening address. Provide us with the names of 10 delegates you wish to be seated with at the Conference Dinner. We will endeavour to accommodate at least 2 of your requests. Can place branded table favours on each place setting (to be supplied by sponsor, can be sourced by Assured Events for additional cost). Acknowledgement of sponsorship on the delegate booking website and app with a link to the company website. 17 Interested? If you are interested in any of the exhibition or sponsorship opportunities, please by 28th September 2018 stating your desired packages in order of preference. The CSG will then review all applications and we will advise whether your expression of interest has been successful in due course (by the end of October if not earlier). The CSG wants to ensure that a balanced mix of sectors are represented. We ask for your understanding in this, but assure you of our best efforts to accommodate requests.
