4 Booking Guide To book a Rail Pass Eurail, BritRail, Japan Rail Passes and more 1. Go to 2. Click on Rail Passes and Tickets 3. Login using your International Rail Username and Password (see front page) 4. Select the Rail Pass you require from the menu across the top navigation bar 5. Select the required customer type eg Adult, Senior or Youth 6. Select Class of travel and number of passengers 7. Click I have read and agree to the terms and conditions 8. Click Add to Cart 9. Enter passenger details and proceed to Check Out 10. Enter departure date from Australia, shipping address and select shipping preference 11. Enter credit card details and click Check Out 12. Passes will be received by courier within 2 buisness days To book Train Tickets live online UK/Europe/Eurostar 1. Go to 2. Login using your International Rail Username and Password (see front page) 3. Click on UK/ Europe in the Rail Ticket Search Box 4. Enter your From and To cities TIP: You must select from the drop down options 5. Enter the departure date, approx dep time, number of travellers and pax type 6. Click Book Now Page 1

5 7. Select the train you wish to book TIP: Always look for the most direct train services (with 0 changes). You can also select the cheapest fare for the day from this screen 8. Click on the fare you wish to reserve TIP: Note the fare flexibility and choose the most suitable. You can also see valuable information such as ticket type (eticket or paper) and whether seat reservations are included) 9. Select Reservation preferences (seating) TIP: this is a request only and is subject to availability 10. Click Add to Cart Page 2

6 11. Enter passenger details and click Add to cart 12. Review your order to make sure all train and passenger details are correct 13. Check Out TIP: Here you can add your own booking fee to the order. This will be refunded to you by International Rail by Enett or Direct Deposit Page 3

7 To book Point to Point tickets on request Rest of World 1. Click the destination you require in the Rail Ticket Search Box 2. Fill in the Quick Quote form TIP: You can add multiple journeys 3. Click Submit 4. International Rail will respond with a comprehensive quote within 24 hours 5. Upon approval we will create a booking and send an invoice ready for review and payment 6. Payment can be made by Enett, Credit Card or Bank deposit (see page 1 for details) Page 4

Choose whether you need Point to Point transfer or Hourly Ride at Top 2. Select PickUp and Drop Off locations. TIP: Be sure to wait for the drop down options and select from these. Continue to type until location appears (just like using Google Maps) 3. Choose date and time to be picked up. TIP: For airports, you may use Pick Up time or Landing Time All private operators will monitor flights and wait accordingly. 4. Select number of travellers. TIP: You can imput as many travellers as you need as the system will offer transfers from individuals to large groups of up to 55 passengers in buses or multiple cars. 5. If return transfer is required, slide the Round Trip option accross to Yes 6. Click Search Page 7

11 7. Choose best option for your client and click on Book Ride. TIP: Be sure to consider inclusions such as Meet and Greet, Number of bags, Ride tracking etc. NOTE: the prices you see on this screen are NET. 8. Enter Traveller Details. TIP: be sure to include your client s mobile number and address so that communication can occur between the client and transfer company on the ground if needed 9. Enter any special instructions (eg disability advice, VIP client status) 10. Your address will automatically populate so you get the confirmations Page 8

12 11. For airports, enter or select flight details and pick up date/time. TIP: Select the pickup time based on how long you believe your client will need to clear customs and reach the arrival hall. Note: The Free Waiting Time applies from the time the flight lands, not the time you specify the pickup. Drivers will monitor flight arrival details to cater for delays or changes Payment and Confirmation 1. You can make payment using your VAN card. 2. Enter credit card details and click on Confirm Booking 3. You will see confirmation details on the screen immediately, including confirmation number, pick up/drop off instructions and contact details for the provider. This information will also be sent to you and/or your client via TIP: there are no costs included in the confirmation voucher/ . You may wish to enter the client s address so they can receive important advice and updates from the transfer company directly Page 9

13 Cancelations and Refunds 1. Cancellations are simple and usually free 2. Travellers can cancel their booking directly from their confirmation . You can also change their booking in your dashboard by clicking on Details 3. A few of our providers do not allow online cancelations. You can contact them directly using the information in the confirmation . Agent Dashboard and Reporting 1. As a registered agent, you will have access to a booking dashboard where bookings and commission transfers are managed 2. To access, click on your name on the top right hand side of the webpage 3. You will see detailed reports on current and past bookings. These reports can be downloaded by clicking on the Download Report link Page 10

15 How do I book? 1. You can search by either Cruise Itinerary or Port Name 2. Select your cruise and choose the day you wish to book tours by clicking on View Excursions 3. You will see a range of options available in that port ranging from city tours, special interest tours, private tours and transfers. You can narrow your search to certain types of excursions such as shared or private tours 4. Click on view to bring up details of the tour you have selected to book 5. You will see full details of the tour including highlights, activity level and the price. 6. Click on Add to my Basket Page 12

16 7. You then have the opportunity to search and add further tours to the same shopping basket and make one total payment at the end of the booking. 8. To finalise booking, click on Book Online How do I make payment and receive my commission? 1. Enter your own address (this is critical for tracking and reporting purposes) 2. Enter your own Booking Reference Number in Any Special Requirements area 3. Payment is gross in AUD and made by credit card (Visa or MC) There are no credit card surcharges 4. Commission is returned to you by International Rail at the end of the month following the excursions How do I receive documents for my client? 1. Vouchers are sent to you within 2-4 weeks of the cruise ship departure 2. Vouchers are sent by to your address in the booking. It is your responsibility to send vouchers to your client. Page 13

17 Cancelations and Refunds A full refund is granted if cancellation is requested at least 2 weeks before excursion date. If notification is made within 2 weeks, a 100% cancellation penalty will apply Some tours and entrance tickets may not be refundable A full refund is granted if for any reason a ship does not reach the port PDF Brochure We are pleased to offer a brand new facility that enables you to create a personalised, fully branded shore excursions PDF brochure for you to send to your clients. Based on a specific cruise departure, the brochure includes full details and images of the most popular excursions available in each port, as well as pricing and general reasons to book. The brochure is branded as International Shore Excursions with the option to include your own contact details. It is perfect to send to individual clients or for group departures where you may wish to arrange a dedicated excursions for your group. To create a brochure: 1. Login to International shore Excursions using login details at beginning of this document. 2. Click on Create PDF at top of home page. 3. Follow the instructions to create your personalised brochure Page 14

Go to and click on Hotels Login using your International Rail username and password How do I make a booking? 1. Enter your city/location and select the required dates. Click Search TIP: Allow seconds for initial search (this is required to find the best available rates) Page 15

19 2. Review the selections offered, then click on the preferred hotel TIP: Check all rate options as sometimes flexible is the same as non-fundable 3. Review all hotel and room details. TIP: each time you select a hotel, a new browser window is launched 4. You can download the hotel information to send to client. Note: pricing does not show on this PDF 5. Carefully review the booking terms, as non-refundable rates cannot be refunded. 6. Flexible bookings may be held as an option for 72 hours. The option is automatically cancelled if not confirmed in My Bookings within the time frame. Page 16

20 7. Enter Guest details and any special requests 8. Enter Credit card details and click Confirm How do I make payment? 1. Payment is by credit card only (Visa/MC) and is securely processed by International Rail. Note: there are NO merchant fees 2. You can add a margin to the pricing displayed (see above) so you can quote the customers with mark up applied 4. The net price will be charged to your credit card How do I manage my bookings? 1. You can manage your bookings through the My Bookings Tab 2. Here you are able to print vouchers, duplicate or add to a booking or cancel a booking Page 17
