All transfer fees must be covered by the sender and should be specified upon initiation of the transfer. BOOKING AND PAYMENT TERMS Booking conditions This application is legally binding the sponsor, the exhibitor or the media partner; This booking only becomes effective once the organisation has received this agreement duly filled and signed, as well as the payment; Upon receipt of the booking agreement, the organisation will reserve the items listed; Applicants will be informed in writing of the acceptance or refusal of their application; A confirmation will then be sent by together with the invoice; The organisation undertakes to allocate items as far as possible on a first-come, first-served basis according to the dates of the signed booking agreement; All items are subject to availability. Payment terms All payments are due within 14 days following the date of the invoice; If an invoice is not paid by the date indicated on the invoice a reminder will be sent to the company; Should the sponsor, exhibitor or media partner fail to complete payment, the organisation will be entitled to cancel the reservation (while cancellation will be subject to the cancellation fees as determined below); Payments must be received before the symposium. The organisation reserves the right to refuse admission to those V.A.T. who have not paid. All amounts mentioned in the sponsor brochure and this document are in EURO ( ), V.A.T. excluded. The Dutch V.A.T. of 21% is applicable. Cancellation/modification Cancellation/modification of sponsorship items must be made in writing to the organisation; In the event that the sponsor cancels or reduces its item(s), the organisation shall retain 50% of the agreed package amount if the cancellation of items is made in writing until 3 months before the symposium. For cancellations received in writing within 3 months before the symposium 100% of the agreed package amount will be charged; Refunds, if any, will be made after the symposium.
