6 Merchandise Enhancements Merchandise Cost changes (Feb ) Changed the name of several fields to make it easier to distinguish between different types of costs Cost was renamed to Average Cost to better reflect its calculation Sales Price column was renamed to Retail Price Added new columns to give you more information about your merchandise Added a Margin column which displays the percentage of the price you receive as profit. Margin = (Price-Average Cost)/Price Added a new Cost column that displays the current cost of the item 6

7 Merchandise Enhancements Merchandise Cost Changes (Feb ) On the add merchandise and edit inventory screens, these changes were made: You can enter alternate lookup IDs to make the merchandise easier to find in searches. For example, you can enter the ISBN for a book so you can search by ISBN and SKU. Now in search you can search by SKU, userdefined barcode, or alternate lookup ID You can edit the cost of an item on the Edit inventory item screen 7

8 Merchandise Enhancements Merchandise Cost Changes (Feb ) On the Change inventory screen and Merchandise Inventory Batch, the following changes were made: The cost field was renamed to Unit Cost We added the update current cost option. Select this option to set the unit cost from the inventory shipment as the new current cost. 8

9 Merchandise Enhancements Merchandise Tax Changes (Feb ) Taxes are no longer set at the department level. Taxes can be added (or removed) directly from an item. Therefore, you can have different items in the same department with different tax rates. You can add and manage taxes directly from Merchandise. Click the new Taxes link under Configuration 9

10 Merchandise Enhancements Merchandise Tax Changes (Feb ) When you add or edit a tax, you can set one tax as the default for new merchandise items. For example, if you have a local sales tax requirement, you can set that tax as the default that will apply to all new merchandise items. Note: the default setting does NOT apply to merchandise added before the 4.1 upgrade. A Generated merchandise tax is applied to existing merchandise items. This tax combines all taxes that were applicable to merchandise before the upgrade. On the tax record, there is a new Merchandise tab, so you can quickly view all the merchandise items that tax applies to. You can also add other merchandise items directly to the tax. 10

11 Merchandise Enhancements Merchandise Tax Changes (Feb ) When you add a merchandise item, in the new Tax field, you can select which tax to apply. The default tax will populate automatically, but you can select another tax or no tax from the dropdown (if the item is not taxed). There is a new Tax Rate field on a merchandise item which defines which tax it is getting. 11

12 Sales Enhancements Sell Combinations Online (Nov ) Combinations are available for online sales when: Selected events occur on the same day The program group only includes one program There are no membership/constituency restrictions To make a combination available online, go to Tickets > Combinations > Availability tab. Edit and mark off online sales option. Like other programs, you can define a web forms description on the Web Forms tab. You can also see the combo URL and custom acknowledgement , if there is one. You can also get the combo URL from Web > Manage Combination Forms. 12

13 Sales Enhancements Custom Tickets (April ) You can now customize the default ticket template to update its layout and formatting in a vector graphics software program. Important Note: You must update the ActiveX Control add-on for Internet Explorer on the Workstation Interface to continue printing tickets and receipts. Do not update any computers that need to batch print wait until the release. Special skills are required: Scalable Vector Graphics (.svg) 1.1 standards How to use a vector graphics software program Your printer s resolution (width and height in pixels) 13

14 Other Sales Enhancements Resend etickets (Feb ) In the past if patrons lost or did not receive their etickets , you had to manually print their tickets and mail them or hold them at will call. Now you can resend the eticket for tickets with an Active or Reserved status. Go to the sales order record, Tickets tab, and click OR click tickets under Tasks. 14

15 Other Sales Enhancements Credit Card Receipts (April ) Based on feedback we heard from you on the Community, Altru no longer prints the extra credit card copy for credit card payments. The program still prints the signature copy for your records and the itemized copy for guests. If you do need the additional copy, reprint the receipt from the sales order. If you need to print two copies of receipts every single time, add an extra itemized receipt in sales documents. We hope this saves you time and resources! 15

16 Administration Enhancements AddressFinder (Feb ) AddressFinder is a subscription service that provides the most current address information available for your constituents, based on USPS NCOA database. If you had RE in the past, you may be familiar with this feature. After your subscription is activated, you can submit files of constituent addresses to update within Altru (just build a query!) Then, we will update the file and upload it into your database. After you upload the file, Altru generates a batch with the information from your file, and you commit to save the changes to the records. Let me know at the end of class if you are interested in finding out more about this service! 16

17 Administration Enhancements Walkthroughs (April ) This is an awesome new how-to resource that guides you step by step through certain tasks in Altru. You will see a little green icon next to certain tasks in Altru. If you click on this icon, it will walk you step by step through that process. You can also access walkthroughs by clicking on the blue help icon on the right, then clicking Walk through. This will show you a list of all walkthroughs, allow you to search for a certain one, or on the initial setup tab, access walkthroughts for important configuration tasks during implementation. 17

18 Query & Export Enhancements Import Selections (Feb ) This feature allows you to export a list of constituents, manipulate the list by adding or removing individuals, then reimport the list as a selection to use in other areas of the program, such as running a mailing or invitation. 18

19 Report Enhancements Membership Dues Revenue Report (Nov ): There are now grand totals on the Membership Dues Revenue Report and subtotals for each group. These totals make it easier to quickly report on the total amount collected for membership programs. This was an idea from you guys! Sales Report (Feb ) The Sales Report now includes details about revenue from online combinations. You must view the report in detail and include Online Sales Method to see this. 19

20 Security Enhancements 6 New System Roles (Nov 2014, Feb 2015) Unlock User Accounts and Reset Passwords Provides the ability to reset another user s password or unlock a locked account. Adjustable Discounts You can provide certain ticket sellers the ability to add or delete adjustable discounts in advance or daily sales without giving them full guest services manager rights. Restricted Constituent Documentation and Interactions Restricts users from viewing the Constituent Documentation and Interactions tab on constituent records. Restricted Constituent Attributes Restricts users from viewing the Attributes tab on constituent records Note: Restrictive roles only deny rights to areas, do not grant rights; must be used in conjunction with other roles Import Selections Role-allows users the ability to import selections AddressFinder Role-allowed users the ability to add and run the AddressFinder processes 20

21 Constituent Enhancements Write a Letter from a Template (Nov ) You can use a Microsoft Word document saved to the Letter Template Library to write a personal letter to a constituent. 21

22 Constituent Enhancements Change Online Usernames for Constituents (Feb ) This gives you the ability to change a constituent s online username for Altru webforms. You can use this when someone changes their address to make it easier for them to log into webforms. Social Media Services (Feb ) You can now track social media and networking services for constituents. On the contact tab of a constituent record, click Add under social media accounts. Choose the social media service (such as Facebook, Twitter, Google+, LinkedIn, Myspace, and Flickr) and enter the URL of the profile page or enter the handle. Then the service icon shows on the contact tile of the constituent record. Constituent Merge Configuration for Employment History (Feb ) You can now choose if you want to merge employment history when merging constituents. 22

23 Revenue Enhancements Sustained/Recurring Giving (Feb ) A redesigned gift record that quickly shows the recurring gift status, installment amount, and frequency A comprehensive activity timeline that captures installments and edits to gift The ability to skip installments Write-off improvements Updates to payment methods on the Add and Edit recurring gifts screens and in Batch The new Update recurring gift statuses business process. Using this process, you can define rules to update multiple recurring gift statuses in the same business process. New reason codes to further define why you changed a status 23

26 Special Event Enhancements Partially Pay for Events with Designations (Feb ) For special events with designations, you can now accept partial payments for someone s registration. Previously, if your event had designations, you had to accept payment in full or enter the payment later. Now, you can accept a partial payment and enter the rest of the payment later for events with designations. Multi-level Event Hierarchy (Feb ) When a special event is part of a multi-level event, you can now view the event hierarchy from the individual events. From a multi-level event, click Event hierarchy on the right edge of the page, and you can click here to move between events. 26

27 Membership Enhancements Number of Children on Membership Webforms (April ) The membership web form now includes a Number of children field for membership levels that allow children. When purchasing a new membership or renewing an existing membership at a level that allows children, you can select the number of children on the membership. The dropdown options limit users to the maximum number allowed for the level. If the person uses a renewal link, Altru fills in the number of children from the user s membership record. 27
