CugarNet is a

2 gateway that facilitates easy access t a variety f web-based cntent riginating frm surces thrughut Clumbus State University. CugarNet generates dynamic web pages, rich with cntent in a frmat custmized t address a specific end user s need(s). This cntent is supplemented with web-based cllabrative tls and messaging ptins. It is designed t serve a diverse user ppulatin. CugarNet services are highly valued and sensitive Institute resurces. This Plicy establishes an acceptable usage framewrk that enables the highest quality infrmatin sharing pssible fr the benefit f all authrized Prtal users. CugarNet is specifically intended fr use by the Clumbus State University Cmmunity t facilitate quick and easy access t pertinent infrmatin. An example f CugarNet usage culd be a student using the prtal t lcate curse infrmatin, access campus , check varius calendars, and access student recrds. Return t Tp 2.0 SCOPE This Plicy applies t all authrized CugarNet usage frm any lcatin at all times. This is an Institute-wide plicy and des nt supersede ther plicies that pertain t the use r actins that may ccur while using CugarNet. This Plicy is meant t cmplement related plicies and further apply sund principles already apprved fr the acceptable use f Institute cmputing resurces. Return t Tp 3.0 POLICY Plicy is categrized fr each service prvided and accessed thrugh BuzzPrt. Fr specific plicy, refer t the detailed sectin fr that categry. Since BuzzPrt is an fficial Institute resurce, all authrized users must abide by applicable Institute plicies and guidelines. At a minimum, these include the fllwing: Failure t cmply with apprved Institute-wide and departmental plicies can result in the lss f CugarNet access, cmputing privileges, and enfrcement f apprpriate CSU disciplinary prcedures as well as applicable criminal and civil penalties. Return t Tp 3.1 Prtal Administratin BuzzPrt is a strategic Clumbus State University resurce that is nt wned by any single department. Executive leadership has implemented a mdel fr sustainable prgram administratin.

3 The Vice President f Academic Affairs prvides executive spnsrship. This individual apprves all majr Prtal initiatives requiring the cmmitment f Institute resurces. The psitins has fficially created the fllwing grups: The Directr f University Infrmatin and Technlgy Services prvides leadership and versite f the entire prgram. An Administrative Technlgies and Utilities Cmmittee made up f representatives frm each Cllege and Department guides the Prtal Supprt Team in implementatin and n-ging develpment effrts. They als identify, priritize and prttype new functinality. The Prtal Supprt Team implements, supprts, and nurtures the Prtal initiative. Lng-term, the Team is led by the Prtal Administratr wh is respnsible fr n-ging peratin f the prgram. It includes the necessary functinal, technical, and prject supprt expertise t accmplish agreed upn bjectives. CugarNet is a cnduit t facilitate easy access t a variety f infrmatin technlgy resurces. CugarNet accunts are created autmatically fr users in the Clumbus State University Cmmunity. Accunts are created and administered by the University Infrmatin and Technlgy Services (UITS) Department. Users are autmatically added t the system by prcesses designed, implemented, and maintained by the Prtal Supprt Team. The Prtal Administratr is respnsible fr defining the structure and characteristics f access grups with apprpriate guidance frm the Administrative Technlgies and Utilities Cmmittee and Prtal Supprt Team. The Prtal Administratr will fully dcument the access grups structure and assure knwledge transfer and sustainability f this prcess. 3.2 Prtal Access OBTAINING ACCESS AND CHANGES IN USER ROLES Members f the Clumbus State University Cmmunity will be able t access CugarNet using their CugarNet Accunt Infrmatin. While using CugarNet, users will exercise privileges assigned t their user rle(s). It is nt acceptable fr any individual t circumvent r attempt t btain access t services r infrmatin nt apprpriate t ne s authrized rle. Default user rles (access grups) will be autmatically assigned t active students, faculty and staff. Creatin and assignment f rles ther than the defaults will be granted based upn apprved need. Rle definitins will nly be defined and assigned by the Prtal Supprt Team after verificatin f apprpriate need and apprval by the Prtal Administratr. Users requiring mre than the default type f access shuld submit requests thrugh equest. All CugarNet help requests are frwarded directly t the Prtal Supprt Team.

4 Since CugarNet is an infrmatin gateway prviding easy access t many ther systems, sme nn-cugarnet systems may require their wn unique user authrizatin and authenticatin prtcls, usually in the frm f a specific user id and passwrd. Usage and access plicies fr these systems alng with their supprt services exist utside the supprted CugarNet envirnment. Details n the plicies, prcedures, and supprt structures f these systems are beynd the scpe f this Plicy. Any changes in a user s status at Clumbus State University may impact that user s CugarNet Accunt. These changes will autmatically be reflected in the user s CugarNet accunt. These changes can include accunt creatin, deactivatin, deletin, and default rle assignments. A user can have multiple rles. Fr example, a user culd be a faculty member, and a student as well as a staff member. This wuld mean that the user accunt is affiliated with three rles. Users must submit a change request thrugh equest when the need arises fr a rle change. Such requests will be ruted t the Prtal Supprt Team fr actin. Examples f situatins requiring a change in access privileges include: A user leaves ne department and is hired by anther. A user has been a student and is hired as a staff/faculty member at Clumbus State University. A user is n lnger a staff/faculty member but remains a Clumbus State University student Terminatin f BuzzPrt Access Access t CugarNet will be denied t a student that is nt enrlled in curses fr the present semester. Faculty and staff that are n lnger emplyed by Clumbus State University will have their accunt remved after the terminatin date. Students that have applied t Clumbus State University will have accunts until the secnd week f the semester fr which they are applying. If student is nt accepted r nt enrlled in curses their accunt will be remved frm CugarNet. Students that have taken curses and nt attended Clumbus State University fr a semester will have accunts regenerated upn enrllment int curses. 3.3 Targeted Cmmunicatins The targeted annuncement functinality f the CugarNet prtal shuld be used fr legitimate educatinal, research and administrative effrts cnsistent with the University s missin and gals. Targeted annuncements shuld be intended fr an audience within the campus cmmunity and be f a nature that the event is nt recursive, i.e. events that ccur mre than nce with a different venue shuld be cnsidered fr a channel in the prtal nt an annuncement. Minutes f meetings and ther infrmatinal descriptins shuld nt be a part f the annuncement, but shuld be a link t a dcument cntaining that infrmatin. Types f Annuncements

5 There are many types f targeted annuncements that may be sent thrugh CugarNet and they may be sent as an annuncement as well as an . These include a targeted audience f: Exclusively faculty, staff r students The entire campus cmmunity A grup f faculty, staff r students identified by a unique characteristic Annuncement Creatin The annuncements fr the entire campus, faculty r staff will be cntrlled by the Public Relatins Office. The requests fr this type f annuncement shuld be submitted t this ffice thrugh an and cntain the targeted grup, the message, the requestr, the mde (annuncement and/r ), and the expiratin date f the annuncement. The Directr f Public Relatins r their designee will review the request and determine if it satisfies the bjectives and missin f the university. If the annuncement des nt meet the criteria, it will be returned t the requestr with an explanatin f the denial. If the annuncement des meet the criteria, it will be psted within 24 hurs t the CugarNet targeted annuncements within the Campus Annuncements r the Persnal Annuncements area dependent n the targeted audience. The annuncements fr students will be cntrlled by the Student Affairs Office. The requests fr this type f annuncement shuld be submitted t this ffice thrugh an and cntain the targeted grup, the message, the requestr, the mde (annuncement and/r ), and the expiratin date f the annuncement. The authrized persn in the Student Affairs Office r their designee will review the request and determine if it satisfies the bjectives and missin f the university. If the annuncement des nt meet the criteria, it will be returned t the requestr with an explanatin f the denial. If the annuncement des meet the criteria, it will be psted within 24 hurs t the CugarNet targeted annuncements within the Persnal Annuncements area nly. Annuncements that are being sent t a certain ppulatin selected frm Banner will be cntrlled by the Technlgy/Cmmunicatin Department within Enrllment Services. Examples f this type f annuncements are all student wh are need t take the Regents exam, Nursing students with a Clumbus State University GPA f 3.00 r higher, and Cmputer Science students wh have cmpleted a certain curse with a C r better. The requests fr this type f annuncement shuld be submitted t this ffice thrugh an and cntain the requirements fr the ppulatin, the message, the requestr, the mde (annuncement and/r ), and the expiratin date f the annuncement. Curse calendars fr faculty and students are autmatically generated based upn data frm the Banner Student Infrmatin System. CugarNet will be the fficial Calendaring system fr Clumbus State University and will be the nly Calendering system suprted by the Infrmatin Technlgy Department. This Plicy pertains nly t calendaring within the CugarNet envirnment and will be subject t an Institute-wide calendaring plicy if and when adpted. CugarNet prvides a framewrk t hst Cllege r Department calendars. These calendars will be created and maintained by each Cllege r Department. Users will nt be able t access calendars if CugarNet is unavailable. Individual users are respnsible fr their wn calendar data, syncing, and backing up as they deem apprpriate. T have the syncing sftware installed n a wrkstatin submit a equest Grup Calendar A grup calendar is autmatically created fr every grup that exists under the grup index n CugarNet. Any user wh has jined, and is an active member f a grup, can view that grup s calendar cntents. Users will nt be able t access these calendars if CugarNet is unavailable. Individual users are respnsible fr their wn calendar data, syncing, and backing up as they deem apprpriate. The calendar name fr any grup will autmatically reflect the grup name Persnal Calendar

7 Persnal calendars are available t all CugarNet users. Users f persnal calendaring shuld be aware f the fllwing cnditins: Users will nt be able t access persnal calendars if CugarNet is unavailable. Individual users are respnsible fr their wn calendar data, syncing, and backing up as they deem apprpriate. Each CugarNet accunt will have a persnal calendar identified by the user s name. It is strngly suggested that all persnal calendars created by users begin with the same name that is used t identify the user. Fr example, if Gerge Burdell s persnal calendar is named Gerge P Burdell, any additinal calendars created by Gerge shuld include this user name. Gerge culd create a calendar called Gerge P Burdell Study Schedule. This will facilitate identificatin under the calendar lk-up screen n the Prtal and minimize cnfusin with nn-persnal CugarNet calendars. Any persnal calendar names deemed inapprpriate by the Prtal Supprt Team, Administrative Technlgies and Utilities Cmmittee, r Spnsrs are subject t immediate remval Curse Calendar Each curse will have a curse calendar autmatically generated frm data available in Banner and named after the term and curse field in Banner. Only the instructr(s) f recrd r designee will be able t mdify a curse calendar. Users will nt be able t access these calendars if BuzzPrt is unavailable. WebCT/Vista curse calendars must be maintained separately frm BuzzPrt calendars. 3.5 Grup Management Grup prtals are a dynamic cmpnent f the CugarNet framewrk. Each grup can have its wn guest hmepage, member hmepage, list, calendar, message bard, chat rm, access links, psted articles, and phtgraphs. Grups can be either public r restricted. Grups are available under a variety f categries listed in the grups index Request fr Grup Creatin (Talk t Student Life) Requests fr grup creatin must be submitted under the apprpriate grup categry utilizing the request mechanism available in CugarNet. Requests will be evaluated based upn apprpriateness fr the grup categry. Fr example, smene authrized by the Dean f Students will review and apprve all requests fr student grups. Fr administrative, academic, and ther grup categries, an apprpriate representative at the lcal unit level will review and apprve grup requests. A

8 grup request is submitted thrugh the create grup ptin which presents a tabular frm t submit the fllwing infrmatin: Grup name names must adhere t published naming cnventins Shrt descriptin that will appear next t the name n lists Lng descriptin detailing the prpsed grup s purpse and missin Type f Grup with a chice t be either a public r restricted grup. A restricted grup requires a user t submit a request thrugh the prtal and btain apprval frm the grup leader in rder t jin the grup. Acknwledgement f Leadership the requestr will becme the Grup Leader and must acknwledge awareness and acceptance f leadership respnsibility in the request by clicking a check bx. Thrugh check bxes, the requestr must indicate which grup tls will be activated fr the grup and which grup features can be delegated. Requests fr grup prtal creatin may nt be apprved fr the fllwing reasns: The request includes inaccurate r incmplete infrmatin The grup name des nt adhere t published naming cnventins The grup leader is nt willing t accept the respnsibilities f this rle The requestr is attempting t circumvent Institute plicy A grup prtal already exists that meets the intended purpse The purpse is deemed t be inapprpriate fr the grup categry
