2 2019 ACFAS Annual Scientific Cnference - Useful Infrmatin fr Presenters/Mderatrs The Event This is the Annual Scientific Cnference f the American Cllege f Ft and Ankle Surgens and is designed t ffer the highest level f pdiatric medical educatin fr physicians wh specialize in the surgical treatment f ft and ankle cnditins. Designed t appeal t DPM s and their physician clleagues in the medical prfessin, it ffers a wide spectrum f tpics and sessins in multiple frmats including lecture, debate, panel discussin, vides, and hands-n wrkshps. The mix f sessins will allw attendees t custmize their wn experience and leave the cnference with infrmatin they can apply immediately in their practice. 4 2019 Audi Visual Guidelines Take a mment t read the fllwing infrmatin cmpletely, it has changed. Any technical questins yu have after reading, cntact Prductin Resurce Grup s (PRG) Digital Engagement Team at present@prg.cm. Fr a Cmprehensive Overview f PRG Presentatin Guidelines, t ensure yur presentatin will wrk prperly and answers t FAQs visit Check-in at the Speaker Ready Rm is REQUIRED fr all presenters at least 4 hurs BEFORE yur presentatin! Rm will be pen daily during the meeting and is staffed by technicians frm PRG, the fficial Cnference audi visual supprt service. Yu are expected t uplad yur PwerPints t the PRG/ACFAS uplad site apprximately 2 weeks prir t yur arrival in New Orleans. Web address and lgin infrmatin will be prvided in a separate when the uplad site is available. Bring yur presentatin(s) t the Speaker Ready Rm n yur wn memry device. Verify that all fnts appear as expected and that all sund r vide clips are wrking prperly. Presenters are asked t use PwerPint presentatins nly. (If yu are preparing yur presentatin n an Apple cmputer, review PRG prductin guidelines at All meeting rms will be prvided with presentatin cmputers that are netwrked t a central server. When a presentatin is t be given, the file will be accessed via the cnference menu n the cmputer in the meeting rm. Once the presentatin is launched, the presenter will cntrl the prgram frm the pdium using a cmputer muse. Guidelines fr Preparing PwerPint Presentatins Include any external files that are utilized in the same flder as yur presentatin e.g. mvie files. When creating yur media fr transprtatin, cpy the entire flder t yur memry device. It is highly recmmended t make a backup cpy f yur files and transprt yur media in a separate piece f luggage. Include yur cntact infrmatin n the final slide. This slide can be either hidden r deleted n site after yu have checked in at the Speaker Ready Rm. Nte: If yu have mvies in yur presentatin, it is imprtant that yu verify the file in the Speaker Ready Rm befre the time f yur presentatin. In the instance that yu are using PwerPint 2010, which allws fr embedding f vide int the PwerPint presentatin, it is suggested that yu bring the separate vide files with yu in case f any issues. SECURITY USB prts n the cmputers have security t prevent files frm being cpied back t devices. Cameras and vide equipment are NOT permitted in the Speaker Ready Rm. All files n the cmputers are deleted at the end f the cnference. FONTS Fnts t use: Times New Rman, Arial, and Tahma. We nly supply fnts that are included in the base installatin f Windws. Usage f fnts nt included in Windws can lead t wrds that bleed int graphics r bullet pints that may be f the wrng style. 5 Abut the Audience The ACFAS annual cnference is attended by ft and ankle physicians whse practices encmpass bth cnservative treatment and surgical slutins. Yur audience will be cmprised f seasned physicians (including sme f ur internatinal cmmunity f ft and ankle surgens), new practitiners, residents and students frm the pdiatric schls. Cntent and Delivery Financial Disclsures Speakers are required t disclse t the prgram audience all cnflicts f interest regardless f whether the ptential cnflict relates t the specific tpic they are presenting. In additin t disclsing affiliatins with cmmercial cmpanies, als disclse psitins yu hld in ACFAS and ther rganizatins such as jurnal bard member r reviewer, cmmittee memberships, and grant funded research. Disclsures are t be included n the first r secnd slide f a presentatin, read alud, and left n screen s the audience can see them. ASC Slide Template All speakers are t use the ASC template slides fr at minimum the first and last slides f their presentatins; slides that include ther rganizatin lgs r prduct lgs are nt t be used in presentatins. We need sessins that have... Relevant cntent fr the audience that stretches thinking and prvides new appraches Cntent which is delivered in an engaging way Examples and case studies f real success and successful failures! (Attendees ften cite these as the mst beneficial f all case studies.) Practice pearls and tips that can be applied immediately t their practice What attendees will remember Think abut what the attendees will remember nce the prgram is ver and they are back in their ffices. While yur presentatin basics shuld be clear, cncise, clrful and dynamic, the things that will stay in their memries are: Cases and persnal experiences that painted a mental picture Particularly pwerful metaphrs that can serve as reminders Interactin with peers What attendees wn t remember They wn t remember much abut yur statistics, even thugh yur facts will build yur credibility. They ll frget mst f yur jkes, althugh by giving them a few laughs they ll be mre receptive t yur infrmatin and thinking. They wn t remember hw elquent yu were, althugh yur clarity f thught will help them cmprehend what yu re trying t say. Think abut it! The FDA, the CPME (CME credentialing rganizatin) and ACFAS have strict regulatins regarding prmtin f services and prducts. Faculty members sign a Speaker Agreement stating that they will adhere t the ACFAS plicy requiring use f generic terminlgy whenever pssible rather than prprietary/brand names and will nt use their faculty psitin t prmte prducts r services. 5

Knw yur tpic s yu dn t need t read it. Stay n track and within alltted time. Smile! Relax and have fun, be energetic and enthusiastic... the audience will feel it. Use apprpriate humr r ther ways t engage the audience. Try t add stries, anecdtes, testimnials r demnstratins that emphasize yur pint. Change the mdulatin f yur vice s that yu are nt drning. Repeat questins asked by the audience s that everyne can hear. Summarize yur key pints t wrap-up yur presentatin. Prvide tips and infrmatin that audience members can implement in their practice. Remember the audience is very interested in what yu have t say... they want yu t d well! Dn t Read yur presentatin r read directly frm slides. Use wrds r acrnyms that the audience may nt knw. Lk ver yur shulder at the screen, r wrse, stand and talk t the screen instead f t the audience! Use slides that are text heavy. Engage in side cnversatins with ther presenters r panelists during the sessin. Answer withut repeating the questin first. Many peple dn t hear the questin, s unless yu repeat it the answer makes little sense. Speak t quickly. 7 Tips fr Cnference Mderatrs Prepared by Samuel S. Mendicin, DPM, FACFAS Intrductry remarks Histrically, the mderatr was smene wh had an assigned talk during a track and wh intrduced the ther speakers, reminded the audience t fill ut evaluatins, attempted t keep n time, and handle ccasinal Q&A. Often there was n pre-meeting preparatin r planning. Tday the pen frmats give the mderatr an pprtunity t play a vital rle in the meeting. This makes yu a very imprtant factr in the success r failure f a track and the meeting. Yu are in charge f this sessin. Pre-cnference preparatin 1. Make sure yu understand the track. If yu have any questins relating t the gals/purpse f the track, cntact the cnference chairman r staff fr guidance. D nt assume anything; the cmmittee puts cnsiderable time int develping ideas fr the annual meeting. 2. Allcate time based upn the purpse, gals, tpics, speakers, and anticipated panel/audience participatin. Try t plan enugh time fr the discussins yu feel the audience is expecting but leave adequate time fr yur panel t present their subject area. 3. It is imperative that yu cmmunicate with yur panel prir t the meeting and early enugh t allw them t prepare their lectures. Make yur panel aware f the gals/purpse f the track, the frmat, alltted lecture time, and ffer ideas t thse wh need them. This is the time t remind panelists abut keeping their talks generic and t nt mentin specific prduct/cmpany names. Als remind panelists t use the ASC Slide Template (at minimum) fr the first and last slides f their presentatins), and t prvide COI/FDA Financial Disclsures n their first r secnd slide. Advise panelists that times and subjects must be adhered t and shuld nt be altered withut prir apprval. Fr case presentatins frmat try t avid duplicatin by having the speakers submit t yu a brief descriptin f their case(s) early. It is suggested that yu have the panelists bring mre cases than yu think yu need. 4. Prir t the seminar, yu need t think abut the directin yu plan t take with the panel discussins, develp questins, and try t develp ideas t invlve the audience. At the cnference 1. Welcme the audience. Ask attendees t mute/turn ff cell phnes r ther distractins. Ask the panel t d the same and t maintain sme decrum during the presentatins. 2. Describe the planned frmat. Intrduce the speakers; keep it shrt. Just give the speaker s name with city and state f rigin. Lng CV driven intrductins are usually nt indicated. 3. Wrkshps nly recgnize the spnsring cmpany when apprpriate. Als suggest attendees visit the exhibit hall. 7

8 At the Cnference (Cntinued) 4. Make any general annuncements. 5. CE Credits remind the audience t scan their cnference badges fr CE credits. Scanners are available in the exhibit hall fr apprximately ne hur during bth mrning and afternn breaks. Nte: Saturday afternn and Sunday mrning, breaks/scanners will be in the lbby break area utside the meeting rms. 6. Evaluatins--remind the audience that their feedback is imprtant and t be sure t cmplete and submit their sessin evaluatins. Evaluatins are electrnic nly and are submitted via the Cnference App. 7. Try t create cntrversy withut picking a fight. Cases, subjects withut clear answers are what the audience is there fr. Everyne knws what t d fr the straightfrward patients/cnditins. 8. Fcus n the general member needs. Ask questins that yu think audience members wuld ask but wh may be intimidated by the panel. 9. Cmpliment reasnable questins and try t get the infrmatin ut that yu think the audience paid t hear. Remember the audience is key. Plling/shw f hands makes the audience feel invlved. Encurage Q&A and cmments. 10. Alert speakers that there is a limit t running ver their alltted time. 11. D nt allw ne panelist t verlap ther panelists tpics take charge, stp/cut shrt the presentatin.
