2 (A) Scope of Work per Annexure A. TENDER DOCUMENT SECTION I: INVITATION FOR BIDS (IFB) Subject: Tender for procurement of Digital Photocopier Machine (B) Eligibility Criteria : : Supply, Installation, networking of Digital Photocopier Machine as The pre-qualifications of the bidders are as under: (i) The bidders should have a Branch Office / Service Centre / Training Centre in NCR preferably in Delhi from where after-sales support and trainings are to be provided. (ii) If the bidder is a distributor / dealer, an Authorization Letter stating that the bidder is the authorized distributor / dealer for this item should be submitted. (iii) The bidders should enclose copies of PAN/CST/VAT/IT/Service Tax Clearance Certificate and copies of Registration Certificate. (iv) General particulars of bidder as per enclosed format in Annexure C. Before submission of the bid, the bidders must verify the eligibility criteria and ensure fulfilment of all the terms and conditions. In the absence of documents/certificates under eligibility criteria above, the bid is liable to be rejected. (C) Bid Submission: Bid must be uploaded on e-tender site of NIChttp:// along with signed and scanned copies of related documents. The bid must be uploaded in two parts as Part-I (Technical Bid): Supply & installation of Digital Photocopier Machine and Part-II (Price Bid): Supply & Installation of Digital Photocopier Machine. (D) Part I (Technical Bid) shall contain: (i) Technical bid with full details including description of make & model of items / components for technical assessment of the proposal. All the supporting documents as given in Para (B) Eligibility Criteria. (ii) The Compliance Statement by the bidder to the technical specifications (as per Annexure B) along with relevant product brochure, technical documents etc. Bids without proper Compliance Statement will be rejected. (iii) A copy of the tender acceptance letter (Annexure D) on bidder s letter head duly signed by the bidder s authorized representative in token of acceptance of terms and condition laid down in the tender document is to be uploaded. Any deviation in acceptance of the general terms and condition may lead to the rejection of the bid. Important Note: a) If the bid is incomplete and / or non-responsive it will be rejected during technical evaluation. The bidder may not be approached for clarifications during the technical evaluation. So bidders are requested to ensure that they provide all necessarily details in the submitted bids.

3 b) If any price details are found in the Technical Bid, the offer will be summarily rejected. (E) Part II (Price Bid) (i) Price should be given in INR in figures Only. (ii) Bidders are advised to fill the BOQ file and submit the tender online on e-tendering site or before the date & time of bid submission. Tender submitted by any other form (fax/ /courier/post/hard copy) will not be accepted. (iii)price Bid Undertaking: A copy of the Price Bid Undertaking as per the following format on bidder s letter head duly signed by the bidder s authorized representative is to be uploaded. I /WE AGREE TO ADHERE TO THE PRICES GIVEN ABOVE EVEN IF THE QUANTITIES UNDERGO A CHANGE. Price bids of short-listed /technically qualified bids would be opened on a later date & time after intimation to all successful bidders.

4 SECTION II: INSTRUCTION TO BIDDER (ITB) (A) Offer Validity: Offers should be valid for minimum Thirty (60) Days from the date of opening the Technical Bid. (B) Delivery: The delivery to be done at Department of Mathematics, University of Delhi, Delhi , should be completed within Two Week from the date of Purchase Order. (C) Product Specifications & Compliance Statement: The bidder should quote the products strictly as per the tender specifications. Complete technical details along with brand, specification, technical literature etc. highlighting the specifications must be supplied along with the technical bid. A Statement of Compliance shall be given against each item in the prescribed format given in Annexure B. (D) If any equipment or part thereof is lost or rendered defective during transit, the supplier shall immediately arrange for the supply of the equipment or part thereof, as the case may be, at no extra cost. (E) The rates should be quoted in Indian Rupees, for the entire work to be done at site, BOTH IN FIGURES & WORDS. All the quoted prices shall be fixed and shall not be subject to escalation of any description during the bid validity period. (F) Govt. Levies like Service Tax; VAT, etc. shall be paid at actual rates applicable on the date of submission of Bid. Rates should be quoted inclusive of VAT, Service Tax etc. (G) The Department reserves the right to accept / reject the offers or cancel the whole tender proceedings without assigning any reason whatsoever. (H) Disclaimer: This Tender / Request for Proposal (RFP) is not an offer by Department of Mathematics, University of Delhi, Delhi, but an invitation for bidder s response. No contractual obligation whatsoever shall arise from the RFP process. (I) The Digital Photocopier Machine should not be assembled one. The price should be quoted in financial bid only in BOQ format for Digital Photocopier Machine from reputed brands and the brand should be quoted along with specifications.
