1 Title Microsoft Dynamics GP Creating Sales Order Processing Returns Overview It is better to use Sales Order Processing Returns vs. doing AR Credit Memos and Inventory Adjustments separately. The steps below will actually link the Return with the Invoice (and Quote, and Order if those steps were used). Instructions If you are returning product and want to link to the original document, follow these steps: 1. Sales>>Transactions>>Sales Transaction Entry 2. Type = Return 3. Click: Additional>>Create Return All material is property of GPUG. The content herein is submitted by volunteers and has not been reviewed or confirmed by GPUG. 2 4. If you get a pop-up that says This RMA is invalid, click OK. In the Create Return window, uncheck the Create RMA box. 5. Select the Returns ID (for Returns that include product). If you haven t setup a Returns ID, go to: Sales > Setup > Sales Order Processing > Sales Document Setup. 6. Reason Code Optional. (Greyed out when I was testing and unchecked Create RMA ) 7. Customer ID Enter or Lookup 8. Sales Document Enter or Lookup (This would be the Invoice number being returned) 2

3 9. When you tab off the sales document, the Sales Invoice Return Item Selection window will open. 10. If all items are being returned, click MARK ALL. (Use this if you are doing the return to simply fix an invoice that posted incorrectly and you are going to Re-Bill ) 11. You can manually check boxes by the items being returned and you can edit the quantity being returned (if it is a partial return). 12. Clicking POST just adds them to the return. It doesn t really Post. 13. It will close the selection windows and automatically open the Return. 14. If you click the blue arrow by the document number, you can see the history of the Order>>Invoice>>Return 3

5 15. To review information about the items being returned, you can click the blue arrow by the words Item Number to open the Sales Item Detail window. You can review the distributions. If this was done to void or correct a posted invoice, you should verify the Sales Account to match the posted invoice. 5

6 16. The return will automatically be dated for the current day. If you want to change to a previous day, make sure the period is still open. 17. After posting, the inventory will be Available again. If you want to remove it from the system, you can do a negative Inventory Adjustment. (Optional: Use a Reason Code to force the GL Account. Should be an Expense account if you are destroying the material or if your customer is permitted to dispose of the material at their location. DO NOT USE AN INVENTORY ACCOUNT FOR THE OFFSET). 6

7 18. After posting, use the Apply Sales Documents window to apply the return to the invoice. You can apply it to a different invoice(s) if the original was already paid. 7

8 Note: My return used a Invoice Number because this box was checked. I recommend Unchecking the box and starting with RTN for the number Resources / Notes If you don t have the option to Create Return, check with your Partner.
