1 Directors, Congratulations on your selection to participate in the State Marching Championship! We are looking forward to your performance and having you and your students on our campus! Below is a link to a Virtual Tour of our campus and flow for the day on Saturday. Please take a few minutes to review this video. Although a little lengthy, my staff and I wanted to give you a thorough ground-view of what to expect from the moment you come on to campus, to the moment you leave and everything in between. While we hope to stick to these logistics carefully, we also realize that we may have to deviate once bands and spectators arrive. IF this happens, please be patient with us. Please understand that mine, my staff and our parents number one goal is for your students to have a safe and exceptional experience while on our campus. Below are a few reminders and instructions: 1) NO CARS OR PERSONAL VEHICLES WILL BE ALLOWED IN BUS PARKING. This is due to insurance liability and is for the safety of all involved. Any student that is meeting you there will need to be dropped off at the top parking lot and shuttled over to meet you. Unfortunately, we cannot make any exceptions to this policy. Please make sure that you cover this with any student that will be meeting there. 2) NO CARS OR PERSONAL VEHICLES WILL BE ALLOWED TO DROP OFF FOOD OR OTHER ITEMS FOR YOUR BAND IN BUS PARKING. This again is the result of the above policy. Please make plans for your parents or boosters to pack all needed items on your bus or equipment vehicles. 3) All personal cars / vehicles will need to park in designated spectator parking. We will have a shuttle service running from spectator parking all day if needed.- Spectator parking however, will be at a premium and there will be parking on the west side of our campus and throughout the surrounding area beyond campus. (See map) 4) NO GRILLS WILL BE ALLOWED on Germantown High School Property other than what is being used by Germantown High School Organizations. 5) Admission Prices will be as follows and are set by the MHSAA: $15.00 All Day Pass for all spectators / Children under 5 Free / MHSAA State Passes Accepted. We will have square devices to accept credit cards, however, there will be a 2% surcharge for this service. 6) We will NOT be clearing the Stadium between classes. Please note: Parents, Friends, Family, Pets, etc. will not be allowed on the field following the awards ceremony. No pets are allowed on the campus of Germantown High School. 7) Armbands for admission will be given to each band for students, chaperones, bus drivers, equipment drivers, etc. These numbers were taken from your Entry Form. Please do not ask for any additional armbands. 8) Directors and Band Staff Only are welcome in the Hospitality Room. Bus Drivers will be given free admission to the event and a meal ticket for concessions. 9) MEAL DEAL FORMS AND REQUESTS ARE DUE. Please get those in by Thursday, Oct. 25 th if interested.

2 10) BAND RE-ENTRY: Seating on the visitor s side of the stadium will be at a premium. Our visitor s seating section is considerably smaller than our home side. If you are planning on your students going back into the stadium to sit to watch other bands after either your prelims or finals performance, please let me know so we can make plans to accommodate you. If you are not planning on coming back in for re-entry, or if you wouldn t mind not coming back in for re-entry, please let me know that as well so we will know how to plan. 11) Equipment Trailers and Props Please see the maps/video that are attached regarding field entry and performance flow. Any trailer/prop/equipment must be able to fit through a 7 foot 6 inch gate. The widest point of a trailer/prop can only be 7 feet 6 inches. Please see the map and if you have questions please contact me for details. jharvison@madison-schools.com. IF YOU PLAN ON USING THE OPTIONAL PROP STORAGE INSIDE OF THE STADIUM- YOU MUST HAVE YOUR PROPS STOWED BY 12:30PM. WE WILL CLOSE THE PROP STORAGE AT 12:30PM IN ORDER TO START OPENING CEREMONIES ON TIME. PLEASE LET ME KNOW IF YOU PLAN ON USING THIS SERVICE BEFORE WEDNESDAY, 10/31/18. 12) Staff Vehicles and Cars Information regarding Bus and Equipment Vehicle numbers are pulled from your Declaration form. This information is used by our parents to help with parking. Please notify me if you plan on bringing an additional staff vehicle (car/truck) so I can let our parents know. As parking will be at a premium, there should be NO parent vehicles parking with the buses and equipment vehicles. All parent cars will park in spectator parking. Should a parent need to drop off supplies for your band, please notify them that they MUST park in spectator parking. Our Parents are very forgiving and willing to help as needed, but they also strive to be fair to ALL groups in attendance. 13) Hospitality Room The Germantown Band Boosters will also provide a hospitality room for band directors and staff. Bus drivers and equipment truck drivers will be provided with a concessions voucher that will be in your director packet at check in. We would like to ensure that the hospitality room gives you and your staff a quiet place to relax and enjoy something other than the general concessions fare. NO STUDENTS WILL BE ALLOWED INSIDE THE BUILDING-PROPER OF GERMANTOWN HIGH SCHOOL. Plenty of porta potties will be available both near bus parking and in your warm up areas. 14) Water Tent The Germantown Band Boosters will also offer a water tent during competition. This water tent is meant for pre-performance and not post performance. The water tent will be situated on your way from warmup to the stadium. Students should have the opportunity to grab a quick cup of water on their way to the gate. They should grab the water and keep moving as trash cans will be situated between the tent and the gate. Please take advantage of this service if you want. 15) S. please take note of the restricted areas around our campus (map attached). Participating students or staff are not allowed in the restricted areas indicated on the map per GHS policy. Thank you for your attention to this matter.

3 16) GUARD CHANGING We will be offering our band hall for guard changing ONLY should you need it. The bathrooms in the band hall will be locked and off limits and no hair or make up application is allowed. This is only to give your students privacy to quickly change into or out of uniform. It is not an area to do hair and make-up. No curling irons, straighteners, make up, glitter or hairspray will be allowed in the building per Germantown High School policy. Please let me know if you plan on using this and we will discuss a time to work that into your day. We would just ask that you help us in insuring that our facilities are kept clean, in order and that only the areas allowed are being used by your students. OTHER REMINDERS/ITEMS DIGITAL LOGO If possible I would like for you all to send me a digital version of your band s logo. If your band doesn t have its own, please send me your school s logo. REMIND 101 Also, please sign up for the 6A Site Remind 101. This will allow me to send out last minute info or communicate changes to you if needed. to PROGRAM AD PURCHASING Lastly, the Germantown Band Boosters are producing a program for the championships. Some of you have expressed an interest in either your band or individual parents purchasing an ad for your band/students. If you would like to do this, the form is attached. Please Ali Taylor at Allison.taylor@madison-schools.com with any questions you may have about purchasing an ad. The absolute deadline for this is next Tuesday, October 30 th. The Germantown Band Boosters want your day and experience to be positive and we are here to help in any way that we can. If you have any questions or concerns regarding any of the above, please let me know and we will do anything we can to accommodate you! Meal Deal Orders The Germantown Band is happy to offer a group meal for your students. If you are interested in this meal deal please complete the attached form and back to Justin Harvison at jharvison@madison-schools.com as soon as possible. We will need all orders by Thursday, October 25 th. We hope you enjoy your stay on our campus and our parents strive to make this day as stress free on you as possible.
