4 MERCHANT WEB MERCHANT ACCOUNT Login 3 4 Go to Select your Country + Language Click Continue Login with the details provided by OpenRice MERCHANT ACCOUNT If you forget your password, simply click Forgot/ Reset Password on the bottom right hand corner. Managing Multiple Restaurants Select the Corporate Account then the restaurant you'd like to set up. If you have multiple restaurants/ chain, they will also appear here. 5 SETTINGS BASIC INFO Restaurant Logo Here, you can upload the restaurant logo so it can appear on any coupons you create in the future. The recommended size is between 400x400, maximum size MB and we support the following formats: JPG/ PNG/GIF/ TIF BASIC INFO SETTINGS - BASIC INFO 04

6 SETTINGS OPERATION INFO Introduction Some restaurants may have their own set of Terms & Conditions when it comes to booking or offers created. OPERATION INFO Booking Terms & Conditions Input Additional Booking Terms & Conditions: For Booking Terms & Conditions, diners are required to tick so as to signify the acceptance of OpenRice's T&Cs. You can add additional terms here and diners will see them before they confirm the booking. Make sure you input multiple languages in the Terms & Conditions so all users can understand it! We support Traditional Chinese, English and Simplified Chinese Offer Terms & Conditions For Offers Terms & Conditions, there are 3 sections: Required: These are OpenRice terms that cannot be edited Optional: The most commonly used Terms & Conditions, you have the option to select ones that apply Additional: You can freely input any additional terms that are required. 7 SETTINGS USER RIGHTS Important Corporate Admin, Admin and Staff User Rights CORPORATE ADMIN The default user right is Corporate Admin. It is applicable to restaurant owners or representatives that have the following rights: Amend or Add User Rights Assign Users to Different ADMIN Admins are usually "Restaurant Managers" that have the following rights: Manage Capacity/ Special Openings Create Offers Create Bookings STAFF As for Staff, they will have access functions that aid daily operations: Create Bookings Search Verify Offers USER RIGHTS Branches/ Restaurants Search Manage Capacity/ Special Verify Offers Openings Create Offers Create Bookings Search Verify Offers To Add an Admin or Staff User (For Corporate Admin only) Click "Create User" on top right hand corner and input the following: Name of Staff/ Admin address (note they will use this to login to OpenRice Biz App/ Web) Title Set Rights: Select Admin / Staff Once finished, click "Create". The person will receive an containing the login details. He/ she can then change the password accordingly SETTINGS - USER RIGHTS 06

8 SETTINGS NOTIFICATION SETTINGS Important Introduction View upcoming bookings and any booking alerts on New/ Amended/ Cancelled Bookings. These will be sent via either s/ fax depending on which option is chosen. You can also set the language preferences (English, Traditional/ Simplified Chinese) NOTIFICATION SETTINGS Contact Input s that need to receive these notifications. 9 SETTINGS CHANGE PASSWORD Change Password Simply input your existing password then the new desired password and click "Save Changes" Alternatively, you can click "Forgot Password" during login CHANGE PASSWORD SETTINGS - CHANGE PASSWORD 08

10 BOOKING MANAGE CAPACITY Important Introduction Manage Capacity lets you set the number of available seats for booking on OpenRice. You'll need to set the following: MANAGE CAPACITY Minimum and Minimum and maximum party maximum time size allowed per to book in booking advance 3Normal Openings and Special Dates (e.g. for public holiday) 4Whether the restaurant requires Deposit Party Size / Booking Time / Deposit Party Size Set the minimum and maximum party size. The minimum is and maximum is 0. Booking Time Select the minimum and maximum time to book in advance by selecting from the drop down menu. Deposit Switch the Toggle to "ON" Then input the deposit amount required per head upon booking BOOKING - MANAGE CAPACITY 09

11 BOOKING MANAGE CAPACITY Important Normal Capacity MANAGE CAPACITY Click "Edit" An "Edit Normal Capacity" pop up will appear 3 4 Select from Sunday-Saturday to set the restaurant's operating period. Status: Select Accept Booking/ Not accept booking. Cut Off Time: This is the last accepted booking time of that day. (e.g. If cut-off time is 4pm, diners cannot make a booking on that day after 4pm) Once you've ticked "Accept Booking" and set the Cut Off Time, you can set the restaurant's working periods. For example, you may have operating hours for morning, lunch, or dinner times. 5 Period : Simply adjust the time period by dragging the toolbar. (e.g. 0:00-4:00) Duration: Set this per seating duration Seats: Set number of seats available for this period Interval: Set the time interval between bookings 6 7 Period : If you have an evening period, you can click "Add more period" and repeat the above steps. Finally, once you've set the general capacity for one day, you can apply to other days by clicking "Clone this setting to all days". If there are days that's slightly different (e.g. weekends), you can amend them individually too. 8 Remember to click "Save" once all settings are done. BOOKING - MANAGE CAPACITY 0

12 BOOKING MANAGE CAPACITY Important Special Capacity MANAGE CAPACITY During holiday seasons (e.g. Christmas), restaurants may close or have changes to their operating hours and seats available. By setting Special Capacity, it will override the general settings for that particular period. Close Restaurant 3 4 Click Add Special Capacity Input Title of the Special period Select Date range Status: Click Not accept booking Change Operating Hours Click "Add Special Capacity" Title: Name the Special capacity (e.g. Christmas) Date: Select the date that applies Status: Whether restaurant accepts booking or not Cut Off Time: This is the last accepted booking time of that day. 15 BOOKING BOOKING RECORD Track and Manage Your Bookings The Booking Records section enables you to check number of conf irmed, cancelled or no show bookings within a time period, as well as which booking offers were used. You may also search by Diner s Name and Booking Reference Number BOOKING RECORD Another great feature is to check where your bookings are coming from (i.e. from phone booking that staff inputs into the system/ OpenRice) Track by Calendar Click on the calendar and to select the date/ period you'd like to see bookings Click "Search" Track by Diner Name Input the Diner s name/ Last Name Click "Search". You'll see a list of all previous/ upcoming bookings under that Diner s name. BOOKING - BOOKING RECORD 4

16 BOOKING BOOKING RECORD Track by Reference Number Input the Reference Number "Search". The booking result should appear. BOOKING RECORD Exporting Data If you'd like to export the results into Excel, simply click "Export Data". How do I create booking? 17 REPORTS OFFER & COUPON RECORD Introduction Under the "Reports" section, you can track the Booking Offers or Coupons used according to Date, Booking Offer/ Coupon Status and Booking Offer/ Coupon ID OFFER & COUPON RECORD Offer and Coupon Record You'll be able to view all Booking Offer/ Coupon records with the following fields: Valid Period Offer Title Offer Type Bookmark Count Total Bookings Total Number Redeemed Quota Status (Active/ Expired) REPPORTS - OFFER & COUPON RECORD 6

21 BOOKING Create Booking To create a booking, you can access from dashboard s shortcut or side menu. BOOKING OR From Dashboard Shortcut From Side Menu : Booking > Create Booking Fill in relevant fields to create bookings, those fields include: Party Size * Booking Date * Booking Time * Name of Diner * Prefix Phone Number * Special Request e.g. Anniversary, Birthday, Baby etc Additional info (enter extra remark of customers request, OpenRice diner & Merchant view also) Internal Remark ( Merchant view only) * Required fields 3 When you ve finished, click Add and booking will be made - BOOKING 0

22 BOOKING Booking Detail Edit Booking Click Bookings and go into Booking listing. The Booking Details will show all relevant info about the Booking. It will also include the Booking Offer. BOOKING To Edit the booking, simply click on the right hand corner and amend the fields. CONFIRM NO-SHOW CANCEL Update Booking Status To update the status (Confirm/ No-Show/ Cancel), you can do so on Booking Listing or through Booking Detail. OR OR OR When confirm a booking, you can fill in the Number of seats and amount spent (optional) - BOOKING

23 BOOKING Booking Search To do a booking specific search, click the search icon on the top right hand corner of the Booking Listing. BOOKING You can search according to: Name Phone number Reference number Status (confirmed, cancel, no-show) Date Setting Capacity The General Capacity is set on the Merchant Web, but can only be viewed here. Deposit can also be switched ON/OFF here. However, merchants are able to set Special Capacity for dates like holidays (e.g. Christmas) In Booking section, click Capacity to access capacity page Create Special Capacity To create Special Capacity, click + and input the following fields: Title (e.g. Christmas) Type: Special Opening/ Close The Start and End Date Cut off Time Set the Period (e.g. Period = morning, Period = afternoon) and the Capacity. - BOOKING

24 BOOKING OFFER Important Create Offers Booking Offers is a great way to attract customers and set different offers according to time. OR BOOKING OFFER From Dashboard shortcut From Side Menu : Booking > Offer > + Booking Offer Types Select offer type you want to create Discount Offer Retention Offer Double Dining Points Last Minute Offer Offer certain amount of cash discount, % discount or free gifts. Offer a cash discount or % discount for users on their next visit To receive extra points upon attending the booking. An extra credit will be charged to merchants. To boost maximum exposure within a limited time (4 hours). These are super offers that increase chances of table booking. Create Booking Offer Rules Multiple types of offers can be activated at the same time slot (e.g. Discount and Double Points can exist together) Same type of offer can be set overlapped same valid date. But timeslot can only set offer discount type. Example: Valid Date: //06 Period A : 9am to am Discount offer 0% + Retention offer 0% Period B: pm to 6 pm Discount offer 50% Period C: 7pm to 0pm Discount offer 0% + Discount offer $00 - BOOKING OFFER 3

25 BOOKING OFFER Important Language: All offers enable you to set different languages (English, Traditional Chinese, Simplified Chinese) Photo: Input an attractive photo. If not, we will use the restaurant s entrance photo. Discount Type: Select % off, $ off, or input text freely Valid Dates & Time: Select offer available for booking Exclude Dates & Time: Select offer unavailable for booking Discount Title: Input a punchy title Content: Let users know details of offer. T&C: Add additional T&Cs that are not already covered. BOOKING OFFER Valid Period For Valid + Exclude Dates and Time, you can go into specifics and apply settings to particular days or time periods. Valid Period Exclude Dates Terms and Conditions Required OpenRice Terms (non-editable) Optional Terms (merchants can tick) Additional Terms (merchants to input). This field enables merchants to customize the terms further or even add hyperlinks Preview Offer Before an offer is published, you can preview and check through all the fields beforehand. - BOOKING OFFER 4

26 BOOKING OFFER Important The Retention Offer is for users to use on their next visit. Like Discount offer, fill in the related fields. From Attendance/ Specific Date From Attendance: Diners can use the offer within X months after the attended day. (e.g. within 3 months of attendance date) Specific Date: Alternatively, you can limit the specific period for available dates. (e.g. within December -3st only) BOOKING OFFER Double Dining Points will attract diners who like to accumulate points to redeem gifts. This will also help ensure they show up to bookings. You only need to set the Valid + Exclude Dates & Time You can set Last Minute Offers within 4 hours of available. Since these offers will be given maximum exposure on OpenRice, offers must be at least 5% or above. - BOOKING OFFER 5

27 BOOKING OFFER Important Offer Status In Booking section, merchants can create Booking Offers to attract more users to make reservation. Once Booking Offers created, merchants can view all created offer in Offer Listing page. In Booking section, click Offer in bottom menu to access Offer Listing page. BOOKING OFFER Active Tab Display Offers that are activated Today in OpenRice All active offers will be listed group by offer types Expired Tab Display offers that have already Expired. These will no longer show on OpenRice anymore Draft Tab Offers that haven t been published yet. You can delete unwanted drafts by swiping left to delete (if ios). Or long press on offer to delete (if Android) Verify Offer Important Click Verify to open QR scanner Verifying offers/ coupons will enable you to track the redemption rate. Diners will present a QR code for restaurant staff to scan. You can access the Verification function from Dashboard or Side menu From Dashboard shortcut From Side Menu Scan QR code from OpenRice User ( bookings / coupon ) Sometimes, due to network connection, the scan function may be unsuccessful. Therefore, merchants can input a PIN instead. - BOOKING OFFER 6

28 COUPON Coupon In Coupon section, you can create coupons to attract more diners. These coupons need to be verified before diners can enjoy them. This is essential for tracking how many are redeemed. COUPON In side menu, click Coupon to access coupon listing page. Create Coupon To create a coupon, you can access from dashboard s shortcut or side menu. OR From Dashboard shortcut From Side Menu : Coupon > Create Coupon Fill in relevant fields to create coupon, those fields include: Language: We support English, Traditional and Simplified Chinese. Discount Type (% off, $ off or others ) Valid dates & time: Select the valid period Stock & Quota: Set the limit per head/ unlimited Title: Input an attractive title! Content: Description for this coupon Terms & Conditions: Input any additional T&Cs if needed 3 Once all content has been input, click Preview to double check the info and then Publish. Approval Coupons need OpenRice team to approve before displaying in OpenRice. This may take up to 3 working days. You can view the approval status in Coupon > Draft - COUPON 7

29 COUPON Coupon Status COUPON Active Tab Display Coupons that are activated today in OpenRice. Scheduled- The coupon may only be available on certain days, e.g. For weekdays only, if you re viewing this on a weekend, then it will be marked as Scheduled Expired Tab This will display Coupons that have expired and no longer active. Draft Tab You can view Coupons that haven t been published yet Approved/ Rejected Coupons: Will also be displayed here. If it s rejected, we will display the reasons for you to re-submit again. View Coupon To view coupon, simply click into from Coupon listing - COUPON 8

30 VOUCHER Access point Vouchers is now available for Merchant to publish conveniently on OpenRice. VOUCHER Dashboard Click Voucher to create a voucher. Side menu Click Voucher to view Voucher listing page Voucher Listing Active Tab On Sale Display Vouchers that are selling in OpenRice Today. Scheduled Display the Vouchers that are scheduled to sell on future days. Redeem Only Vouchers that are no longer selling in OpenRice, but diners who have purchased can redeem at restaurant before expiry. Expired Tab You can check all the expired Vouchers here. Draft Tab All created Vouchers will be pending for approval before officially published to OpenRice. You can delete unwanted drafts by swiping left to delete (if ios). Or long press on offer to delete (if Android) Pending for Approval / Rejected Voucher: Will also be displayed here. You will see the reasons of a Rejected Voucher and you can submit again after revision. - VOUCHER 9

31 VOUCHER Voucher Details Click on Details tab to show the Voucher details. Voucher Photo Title Pre-Sale Time How soon the user can redeem voucher after purchase Redemption Quantity Quantity avaiblable for redemption each time. Available branch VOUCHER Content Original Price Photo Discounted Price Valid Period The period of Voucher available for purchase on OpenRice Stock (optional) Terms & Conditions Redemption Period The period available for redemption. Redemption Exclusion The period not available for redemption. Voucher Statistics Click on Statistics tab to show voucher purchases and redemption rate. An overview of the Voucher sales figures. Numbers of Redemption; Expired; Refunded Statistical comparison of sales figures of past 7 / 30 Days. - VOUCHER 30

Stock Control the total stock of available vouchers to be purchased in OpenRice.com Toggle on means unlimited stock of the voucher. - VOUCHER 3

33 VOUCHER Important Redemption Type (i) From Purchase Date You may select From Purchase Date or Specfic Date Once the Voucher is purchased, it can be redeemed with the valid perid. i.e. Puchase Date + N months (at least 3 months required). VOUCHER (ii) From Specific Date Diners can redeem Vouchers on specific days or periods. Date Rage available for redemption. Time Period: Start End Period. Redemption (Exclusion) Diners cannot redeem in specifics days or periods. Pre-Sale Time Time that allow diner to redeem after purchasing. Redemption Quantity Quantity of Voucher redemption each time. Available branch Select the branches that available for redeem voucher. Photo Enabled to upload max 0 photos (menu/ dish) Title Input a punchy title Content Let diners know details of Voucher. 34 VOUCHER Search Voucher Click to search Voucher or purchase records in Voucher listing VOUCHER Enter number or keywords, date to search Voucher and purchase records 3 View the search results Purchase Records Search the purchase ID to view the purchase records and the redemption status. Pending for Redemption Number of vouchers that are bought but not redeemed yet. Redeemed Show the numbers of the voucher redeemed. Refund & voided Show the numbers of voucher refunded. - VOUCHER 33

35 QUEUING Access point Dashboard Shortcut click Queuing to view queuing page QUEUING Side menu Click Queuing section to view the page Ticket (All Tab) TABLE SIZE TABS View the queuing details and status by switching between ticket types. Party Size Waiting Time LATEST TICKET Check the latest called tickets and press Call Again to re-call diner when necessary. CURRENT TICKET Check awaiting queuing list. Once a table is ready for next ticket, just press the Call button to call the diners. The latest ticket will be updated and a push notification will be sent to notify the diner. Ticket (Single Tab) View the queuing details and status. - QUEUING 34

36 QUEUING Settings Issue Ticket Turn on - Diner can get ticket through OpenRice. QUEUING Turn off - Diner cannot get tickets afterwards. The existing queue will not be affected. Ticket Expiry Diner s ticket will expire if the x number of tickets are over. Queuing Restaurant Distance Diners within the maximum distance can get the tickets. Notice to user We will send a notification to users a few tickets prior to theirs. Reset Tickets Click to reset all tickets to 0. Ticket Types Set ticket types of party size. You may create a maximum of 5 ticket types. Save for any changes - QUEUING 35

37 SEARCH Search inside Coupon / Offer If you d like to search for specific coupon/ offer related items, you may also use the search on Coupon/ Offer Listing. It provides the quickest way for staff to find things like phone number/ diner s name/ reference numbers. You can access the Search page from Side Menu. Click any results after typing in keywords (could be reference number/ name), and you ll be brought to the related detail pages. From Side Menu - SEARCH 37

39 INBOX Important View Inbox The inbox will contain all things Booking/ Coupon related. You can access this page from the Side Menu. INBOX Booking Starting with the Booking Tab under Inbox, there are 3 types of inbox messages will be sent when diners create, cancel or edit bookings Message type: New booking Modify booking Cancel booking Offer / Coupon As for the Offer / Coupon Tab, 3 types of message will be sent when Offer / Coupon Expire Soon Coupon have approved by OpenRice Coupon have rejected by OpenRice Click message to view coupon/ offer details Click the message to view latest booking details - INBOX 38
