3 Why do we ask for a video entry as part of your entry? Being part of the European Business Awards means sharing knowledge from and with the best businesses in Europe. Last year there were over 766,586 new visitors to the website, viewing the National Champions videos and over 227,000 votes were cast by the public. Unlike the written submissions, the video entries are viewed by the public making the competition transparent so that everyone can see what great businesses look like and why they have been chosen to represent their country. The public get an opportunity not only to see some amazing video case studies, but also to vote for their favourite. The public vote makes 1 company in each country a Public National Champion providing yet more PR opportunities and another route to progress in the competition. The PR campaigns surrounding your videos create an enormous amount of publicity. Businesses are under the spotlight during the video voting campaign and have been approached through the awards and directly, leading to new business, exposure in new geographical regions and creating new partnerships. The video s become powerful marketing collateral for the businesses that take part. The videos also form part of the biggest online library of case studies. Page - 2 -

4 Overview Well done and congratulations on being selected as a National Champion in the 2016/17 European Business Awards. As National Champions your business will go on to compete in the second exciting phase of the competition which will result in organisations being short-listed for Ruban d Honneur status. Alongside the RDH judging for this phase, Judges will view your online video entry with your written submission, there is also an opportunity for the public vote and the National Champion with the highest vote in each country will be selected as a Public National Champion and continue in a second online public vote to select the overall European Public Champion. It is important for the integrity of the competition that all National Champions are judged following a consistent methodology and by information submitted in a standard format. As such every video entry must follow the guidelines provided in this document. As you already know, in order to progress to the second phase of the competition it is necessary that together with all National Champions you submit a video entry for further assessment by the judging panel and for the online public vote. DEADLINE for submitting your own Video Entry is: 12:00 CET on Thursday 1st December *All videos will be approved by Friday 16th December Your video entry along with video entries from all National Champions will be uploaded and available for viewing on the European Business Awards website from 09:00 CET on Monday 9 th January Video entries will also be viewed on-line by the general public giving them the opportunity to vote for their favourite businesses, resulting in the business with the most votes in each country automatically gaining National Public Champion status. Following two phases of public voting during last year s Awards programme a massive 227,000 votes were generated by our National Champions. 5 How to make your video entry The options There are a number of ways to make your video entry this year, please take a look at all the options (see online through your profile page): In House You film, edit it and submit your entry to EBA If you have the resources to make your own video entry in house please make sure you follow the guidelines and you submit your video to us no later than Thursday 1 st December 2016 CET 12Noon Bronze Package You film and Tracc will edit the footage* - Price 775 Tracc Films will edit and submit your video entry for you. You film it, Tracc Films will edit it. If you decide to shoot your own video entry but need help with the editing, Tracc Films can help you with this. Footage will need to be supplied in four separate chapters (with a presenter at the beginning of each chapter) to Tracc with your script and any assets you wish to appear in the film. Silver Package Filmed at a Tracc Films Location filmed in your country - Price 1,450 * (Book before 30th September & pay only 1,305 ) Tracc Films will film, edit and submit your video entry for you. Your video entry will include: EBA graphics package (Opening & Closing Titles, Chapter Headings) On screen text/infographics (Style similar to our video entry and included where appropriate) Footage from your presentation - this will appear in each of the chapters. Filming will take place at a Tracc Films chosen location. Tracc will provide a one or two person crew depending on location, this will include a Director of Photography. *Please refer to the list of countries and dates announced for Tracc filming sessions, if your country is not listed please speak to an EBA representative Page - 4 -

6 Gold Package Filmed at your Location in your country - Price 2,925-2 Films for the price of 1* Tracc Films will film, edit and submit your video entry for you. Your video entry will include everything as listed on the Silver package. You will also receive a 2 nd Web version of the film, we will repackage your video entry for you so you can use this for your own purposes on your website. For this we will remove the EBA Opening Sting, Why Vote for Us? Chapter and voting end board, and all EBA/RSM branding from the video. We will start and finish the video entry with your logo, and leave in or remove the chapter headings from the film - you can then use this new version for your own purposes. * This includes crew travel and accommodation costs up to the value of 600 if the figure exceeds this will be charged as extra but will not exceed 200 Diamond Package Filmed at your Location in your country Priced on request* Tracc films will script, film, edit and submit your entry for you Don t know where to start? Want to make sure your company stands out from the crowd but don t know how to take your presentation from script to screen? Then Tracc s Diamond package is the perfect choice! We will handle everything for you. After a conference call and using the information from your paper entry, we will write the script for your presentation. We will also discuss all the visual assets and elements we could use to make your entry stand out! You will have the opportunity to review the script ahead of our filming session. Our crew will then come to your offices and work with your Presenter to make sure we capture the very best presentation for your entry. Once the entry is filmed, we will then capture some general footage of your company, offices and team. This valuable footage will give the audience an insight into you and your company, and give your video entry that extra visual element of authenticity. Once filming has finished your footage will be sent back to our London HQ and using the edit script we have produced with you, we will edit your entry. You will have the opportunity to review the film and once signed off we will submit and upload this to the EBA site for you. *Please note the crew will visit one designated location and film for a minimum of half a day/5 hours (depending on location). This includes crew travel and accommodation costs up to the value of 600 if the figure exceeds this will be charged as extra but will not exceed 200 Page - 5 -

7 Additional Extra Edit Repackage your video entry Price 370 Want to make the very most of your film for your own marketing purposes? Need a short About Us piece for your company website? Then let Tracc re-package and re-purpose your video entry for you. As you have gone to the trouble (and expense) of telling the world about your company why not tell your clients and customers too? We will take the first 3 chapters of your video entry (Presenter sections only no EBA Branding will be included) and edit these together to make a great About Us video for you. In the past we have found that when these chapters are put together they tell a great story about your company. We will then add your company branding to the start and end of the video plus a call to action graphic (e.g. For more information please go to ). You will have the opportunity to review the film and once signed off we will submit and upload this back to you. Page - 6 -

9 GUIDELINES for all video entries All video presentations need to be made in ENGLISH Your Video entry must not exceed 3 minutes & 25 Seconds in TOTAL 3 minutes of your video entry must be a film presentation to camera & 25 seconds of your video entry must include the EBA sting, Logo slate, 4x chapter slates and a closing slate. These video assets can be downloaded via: You may have as many presenters as you wish in the video but only ONE presenter may present in front of the camera at any given time and MUST appear in vision in the video and be captioned with Full Name and Job Title on their first appearance. In addition to your company logo, you may include images and videos in your entry as long as ONE PRESENTER is visible during the presentation Video entries must be approved by the European Business Awards Team before the video is mastered and sent for Judging. All completed and signed off video entries must be compressed and mastered to the following spec:- VIDEO ENTRY FILE SPECIFICATION High Profile: H.264 File Frame Rate: 25p Aspect Ratio: 16x9 Resolution: 1280x720px (720P) Bitrate: 3,500 4,000 mbps Audio Encoder must be AAC-LC Files must not exceed 100mb We will be using a Vimeo player on our website this year so please feel free to refer to the video spec as provided by vimeo for further assistance Please note if you are submitting your own video entry, all signed off/approved compressed videos must be uploaded via your profile page NO LATER THAN 12 Noon CET on Thursday 1st December 2016 Page - 8 -

10 Video Process How do you start? Step 1 Decide how you will present your story A Presenter must appear in vision during your presentation. You can have as many different presenters as you wish but only ONE must appear on screen at any given time. When deciding on who you re Presenter(s) will be it s a good idea to consider someone who has good knowledge of the company and any specific projects relevant to the category you have entered; someone who can passionately tell the story of your business, while also being confident in front of the camera. Video entries must be made in ENGLISH, so your chosen Presenter(s) must be comfortable presenting in ENGLISH. Step 2 Preparing your presentation The purpose of your video entry is to demonstrate the success of your business and to illustrate (bring to life) your original written entry. The judges will have previously read your written entry submission, so it is important that your video entry does not simply reiterate what the judges already know. You need to engage with the viewer (i.e. Judges and Public) tell them your company achievements, success and relate this to your category. Explain what key factors and strategies led to your company s success, really show the viewer the passion behind your organisation. The judges will want to learn more about what makes your organisation exceptional in the category for which you have entered and why you deserve to become a Ruban d Honneur. When preparing for your video presentation the first thing to do is decide EXACTLY what the main message will be. What is the most important thing the audience should be thinking when they have just finished viewing your video entry for the first time? Your video presentation should have one main message to give and all subsequent messages in the video should support and reinforce the main message. Give thought to your audience and what you want them to know about your business, remembering that the people viewing your video entry are the general public and the judging panel. You only have up to 3 minutes to present your business successes and impress the viewers, so you don t want to waste time talking about unnecessary details that are not specifically relevant to the category for which you have entered. You want viewers to remember three or four key points about your presentation. Irrelevant content will make it difficult for viewers to remain interested so remember, sometimes less is more Page - 9 -

11 Content is obviously the most important element of your presentation, however the way it is delivered is just as important. We recommend you give considerable thought to the structure of the presentation so that there is a clear beginning, middle and end to your story. Step 3 Write your script If you make you video entry with Tracc Films you will need to upload your final script before the shooting day. If you decide to make your video entry yourself, you will need to upload your final script when you upload your film. Your video presentation will be split into FOUR chapters as outlined below. It is a condition of entry that your actual presentation does NOT EXCEED 3 MINUTES IN TOTAL. You must then have 25 Seconds of the EBA slate, making your film a maximum total of 3 minutes and 25 seconds. Refer to the schedule below for suggested content and length of time recommended for each chapter. See our online guide for further tips: Click here> Step 4: Prior to your arrival at your filming Session 4.1 Rehearse the Presentation It is strongly recommended that your presenter(s) rehearse their presentation/script more than once before the filming session to ensure they can deliver the presentation within the 3 minute maximum time frame. 4.2 Prepare Cue Cards or Script for IPad / Tablet Some people can speak off-the-cuff brilliantly on camera, but for most of us the experience is daunting. We recommend the following solutions to have you speaking to camera with the finesse of a TV presenter delivering the six o'clocknews! Page - 10

12 4.2.1 Autocue The European Business Awards will not provide Autocue. However, if you have an ipad there are fantastic and inexpensive ipad teleprompters or autocue apps available to download from itunes. One of the best of these apps is Teleprompt+ for ipad. It s quick to download and easy to use and ideal for the task Cue Cards If you are going to use cue cards make sure the text is big enough to be able to read from a distance of at least 1.5 meters as your Producer will hold these up underneath the camera for you to read from so that you can avoid looking down at any cue cards held on your lap. We suggest you print these to A3 landscape on card (as opposed to paper). HOT TIPS: Did you know that we speak an average of 3 words per second? That means for a 3 minute presentation approximately 540 words will be spoken in total. Please ensure that when preparing your presentation you do not exceed this word count. Avoid over using trade abbreviations or industry jargon unique to your sector. This may limit the understanding of those viewing your video entry. Page

13 Chapter 1: WHAT WE DO What do you do and why is that so great for your customers (Estimate 25secs) EXAMPLE: XYZ makes commercial jet engines for airlines that are 50% more fuel efficient than any other products. This reduces CO2 emissions by millions of tons and saves our customers millions of Euro s in fuel costs. Chapter 2: ACHIEVEMENTS AND SUCCESS What has your business achieved in the last 18 months which has made it so exceptional? (Estimate 30 Secs) Chapter 3: HOW WE DID IT How have you done this, what have been the key factors and strategies that have led to this success (Estimate 1min 30 Secs) EXAMPLE: Our new engines and technologies have helped us grow our revenues by 700% in the last 18 months. Our order book is full for 3 years and to cope with the demand for our product we are busily building 2 new factory facilities. EXAMPLE: It all started four years ago when our technicians in our aircraft maintenance department discovered that they could get the same power output from the jet engines with 80% of the fuel if they remapped the ICU and changed the profile of the injectors. Through our open innovation culture they brought this to the attention of the R&D department and jointly made a request for funding for a development project to the board. As this project had potentially huge benefits to our clients, the environment and to the business commercially the project was approved. Within 24 months the R&D team had managed to perfect technology to improve our existing engines fuel performance to 70% of previous consumption, but most importantly had developed an entirely new engine that was 50% more efficient than anything on the market. Our radical new design using ceramic variable inlet flows and air recirculation was hailed by Prof Duluth, Chief designer at Airbus as the biggest step forward in jet engine EXAMPLE: Technology in 30 years. After extensive testing and clearances from the aviation authorities it was launched. We were so passionate about our new product that everyone worked tirelessly to demonstrate to the airlines to the benefits of our new engine. We showed that a customer could pay for our engine within 12 months from fuel savings alone. We sold 600 engines in four months, with future commitments on successful testing of another Page

14 Chapter 4: WHY VOTE FOR US? Why should you be selected as a National Public Champion (summarise why you think your achievements have been great) and relate to the category you are competing in as an Ruban D Honneur (Estimate 35 Secs) EXAMPLE: XYZ s story shows that even a 60 year old business can be innovative and disruptive. In our case it took, an open innovation culture, talented and committed people and a belief that we could change an industry. For the first time in 25 years, there will be a change in the top two jet engine makers in the world, XYZ will be 2 nd this year and number 1 the following year. We are making airline travel cleaner and have already created 1000 new jobs in Europe in the last 18 months. So please vote for XYZ, we would be very proud and committed to represent Italy as one of its National Champion. Total Presentation Time 3mins (based on 3 words for minute) Step 5 - Images / Video / Graphics (Optional) Your Company logo will appear at the beginning and the end of your video presentation but you may choose to include additional material to support your Presenter led video. Images & Video are not an essential element of your video entry but can be a powerful tool to help engage the viewer and demonstrate points you wish to bring to the attention of the viewer. There are no limitations on what additional material you choose to use it s YOUR video entry, as long as the Presenter appears at the beginning of each chapter it s your opportunity to show everyone how wonderful your company is. If you are choosing to make your video entry with Tracc Films then please be aware any additional material you wish Tracc Films to use must be uploaded via your profile page, and will be subject to approval.
