3 This opportunity in a nutshell What we need Bippi, Inc is a company that "makes stuff". We primarily design and craft geek toys and collectibles. Bippi is looking for a Social Media Specialist to establish and maintain our business persona online. You will increase your chances of winning this quote if you demonstrate a strong knowledge of geek culture, a sense of humor, and a deep understanding of the service Bippi provides. What we don t want We are not looking for high level general descriptions of your plans in your quote submission. Your quote should contain a clear and detailed plan for your approach to our media needs. We are not looking for companies to fulfill this contract. We have a strong preference for individual contractors. What s important to us What Bippi really needs to convey through social media is how fun and smooth it is to work with us. Because we sell a service and not a specific product, potential customers need to feel connected to us as fellow geeks. In a sense, they need to understand who we are even more than what we do. Your ability to understand, build, and share our persona as a company is the most important element of your quote. Why should you quote? You should quote because you love the geek industry from video games to table top, from comics to film and anime, from online forums to in-person conventions, and beyond. You should quote because you want to see more geek in the world. A bit about us Bippi provides services that make the production of toys and collectibles easy and painless for clients. People who work with us share their ideas and we design potential products. We handle original IPs as well as established licensed IPs such as Marvel and Warner Bros. When a client comes to us, not only do they get product design, they get a group that runs development of their product from prototype to ship. 4 SECTION 1: Key information Context a. This Request for Quote (RFQ) is an invitation to suitably qualified contractors to submit a Quote for the Social Media Specialist contract opportunity. b. This RFQ is a single-step procurement process. Our timeline a. Here is our timeline for this RFQ. Steps in RFQ process: Date: Request for Quote posted 07/01/2017 Deadline for Contractor questions 5:00PM 07/26/2017 Deadline for us to answer Contractor questions: 07/28/2017 Note questions will be answered within 1-2 business days between 07/01/2017 and 07/28/2017 Deadline for Quotes: 5:00PM 08/15/2017 Interviews completed by Bippi 09/10/2017 Unsuccessful Respondents notified of award of Contract: 10/01/2017 Anticipated Contract start date: 10/15/2017 b. The RFQ sets out the step-by-step process and conditions that apply. b. Take time to read and understand the RFQ. In particular: i. Develop a strong understanding of our Requirements detailed in Section 2. ii. In structuring your Quote consider how it will be evaluated. Section 3 describes our Evaluation Approach. c. If anything is unclear or you have any questions, ask. This includes questions that help you better understand who we are and the services we provide. Please do so before the Deadline for Questions. Our RFQ Process, Terms and Conditions Offer Validity Period: In submitting a Quote the Contractor agrees that their Quote will remain open for our acceptance for two (2) calendar months from the Deadline for Quotes. Later changes to the RFQ or RFQ process If, after publishing the RFQ, we need to change anything about the RFQ, or RFQ process, or want to provide Contractors with additional information, we will let all Contractors know by . 6 SECTION 2: Our Requirements The Work Itself You will be responsible for defining and executing a specific social media strategy to cultivate an online community for Bippi. In addition, your work will entail: Ensuring consistency of messages across multiple networks. Crafting engaging text, image, and video content. Monitoring social media groups, trends, tools, and applications to recommend actions/next steps. Reporting social media performance to demonstrate success in engaging audience. Facilitate online conversations and respond to queries. Traveling to designated trade shows and conventions to take advantage of live posting opportunities. Such travel will be arranged and reimbursed by Bippi. We prefer our Social Media Specialist to have: Excellent written and verbal communication skills. Technical knowledge and understanding of social media platforms, metrics, and tracking. Volunteer or paid experience in social media coordination and management. Bippi is an Equal Opportunity Employer and desires submissions from all races, ethnicities, orientations, and genders. The Quote The quote you submit should include the components listed below. Quotes should be submitted as PDFs, Word Documents, or Web Pages. Your Work How can we see the written and/or video work you've crafted for previous social media and online persona development? Information can be included via links, document attachments, or both. Writing samples of Bippi-specific content, including where the sample content would appear if it were live. Your Proposal What are your initial suggestions for our social media strategy? What platforms, forums, online influencers, and/or online tools do you recommend we use? Note that we have the potential to expand into the product market ourselves by designing and selling our own custom product. How will your strategy support this growth potential? Your Communication How will you make sure you know us well enough to build an online persona that represents how we work? How will we know if your strategy implementation is successful month to month? Because we prefer to pay by retainer, this information is crucial to your quote. 7 Your Fees We will pay for this contract via retainer. We will not accept hourly quotes. Please provide your fees and the payment schedule you prefer. Include all assumptions about what you will be providing for the retainer fee in your quote. Prices should be estimated in United States Dollars. Please provide a sample contract for our review. 8 SECTION 3: Our Evaluation Approach Evaluation model The evaluation model we use used will be a weighted assessment of quote components as listed below. Components are ordered from most significant to least significant weight. a. Your Work (35%) b. Your Fees (30%) c. Your Communication (20%) d. Your Proposal (10%) e. Your Background (5%) Scoring In assessing quotes, we will use the following scoring scale. Each section of the Quote will be scored, scores will be weighted as described above, and cumulative score will be calculated for each Quote. Rating Definition Score EXCELLENT significantly exceeds the criterion GOOD exceeds the criterion in some aspects ACCEPTABLE meets the criterion at a minimal level MINOR RESERVATIONS marginally deficient SERIOUS RESERVATIONS significant issues that need to be addressed UNACCEPTABLE significant issues not capable of being resolved Exceeds the criterion. Information provided is unique and offers opportunities not frequently seen in standard online campaigns. Samples are exceptionally and represent keen insight into who we are. Satisfies the criterion with minor additional benefits. Information provided is somewhat unique and offers opportunities seen, but perhaps underutilized in standard online campaigns. Samples are strong and represent sound knowledge of who we are. Satisfies the criterion. Information provided is solid and offers opportunities that may be commonly seen in standard online campaigns but presents them in a refreshing manner. Samples are sufficient and represent a generally solid knowledge of who we are. Satisfies the criterion with minor reservations. 9 Evaluation process and due diligence In addition to the above, we will undertake the following process and due diligence in relation to shortlisted submissions: a. Reference checks b. At any point after conclusion of negotiations, but no later than 30 Business Days after the date the Contract is signed, we will inform unsuccessful candidates that they did not receive the contract.
