5 Frm the President Jeremy Myntti It amazes me at hw fast this past year has gne while I have been serving as yur OLAC President! There have been s many wnderful things happen in OLAC and many mre pssibilities pen up fr the future. I lk frward t seeing what the future has in stre fr OLAC as I pass the gavel t Mary Huismann at the OLAC Membership Meeting at the end f June. I wuld like t welcme Thmas Whittaker (Indiana University), Nicle Smeltekp (Michigan State University), and Jessica Schmberg (Minnesta State University, Mankat) t the OLAC Executive Bard. After ALA Annual in June 2018, they will fficial begin their service n the OLAC Executive Bard, with Thmas serving as Vice President/President Elect, Nicle as Secretary, and Jessica as CAPC Chair. I lk frward t my interactins with them n the OLAC Bard, and I knw that they will d an excellent jb in serving this great rganizatin. I wuld als like t welcme ur new and reappinted CAPC members and interns that will begin r cntinue their CAPC service at the end f ALA Annual. Yk Kud (University f Califrnia, Riverside; currently a CAPC intern) and Valerie Adams (University f Tennessee at Chattanga) will bth begin service as full members f CAPC, and Teressa Keenan (University f Mntana) has been reappinted t a secnd term as CAPC member. Melissa Burel (Alabama A&M University) has been reappinted t her secnd term as CAPC intern and J.L. (Jessica) Clbert (University f Utah) will begin their service as a CAPC intern. T help OLAC archive all f the recrds that ur rganizatin creates, we have appinted Bbby Bthmann (Minnesta State University, Mankat) as the OLAC Archivist. We appreciate all f the wrk that Iris Wlley has dne fr the OLAC Archives in the past and lk frward t wrking with Bbby n this endeavr in the future. In case yu didn t knw, the OLAC archival cllectin is held at Minnesta State University, Mankat ( We have als appinted Jhn DeSantis (Dartmuth University) as an unfficial liaisn between OLAC and the OCLC Glbal Cuncil. In the past, the OLAC President served as the cntact persn with the OCLC Members Cuncil. Since OCLC changed their gvernance structure a few years ag, there has nt been an fficial relatinship between the tw grups. We are lucky at this time t have multiple OLAC members serving n the OCLC Glbal Cuncil, s Jhn will take the reins as an unfficial liaisn between ur tw rganizatins, helping t keep OLAC members apprised f any items f interest frm OCLC Glbal Cuncil. As has been discussed in the past, we are lking at ways in which OLAC and MOUG can cllabrate mre as sister rganizatins. A jint task frce has been appinted and is currently wrking thrugh 4 P age

6 ideas that have been generated by OLAC and MOUG members ver the past cuple f years t help ur rganizatins wrk mre clsely tgether. This task frce includes Bruce Evans, Autumn Faulkner, Mary Huismann, Allisn Lyttle, Hayley Mren, Nara Newcmer, Mlly O Brien, Treshani Perera, Alan Ringwd, and Jay Weitz. The initial reprt frm this task frce shuld be available sn and we will begin implementing mre cllabrative effrts in the near future. As a reminder, the OLAC Membership Meeting at ALA Annual in New Orleans will be held n Sunday, June 24 frm 4:00-5:30 in the Mrial Cnventin Center, Rm 213. We are wrking t finalize the agenda fr this meeting, s stay tuned t OLAC-L fr mre infrmatin. The CAPC Meeting will be held n Friday, June 22 frm 7:30-9:30 pm in the Hiltn Riverside, Bridge Rm. I lk frward t seeing many f yu at these meetings. I am s grateful fr the time that I have been in yur service as OLAC President, and I lk frward t serving in the cming year as Past President. I have seen s many peple give f their time and energy in the past year t keep OLAC a vibrant and active rganizatin. 8 Frm the Secretary Jeannette H OLAC Executive Bard Meeting Virtual by Skype Thursday, March 29, 2018 Present: Marcia Barrett, Bruce Evans, Debra Spidal, Mary Huismann, Jeannette H, Jeremy Myntti, Hayley Mren, Stacie Traill, Jay Weitz, Matt Burrell, Rsemary Grenwald Absent: Annie Glerum Meeting started at 12:04 pm EST Discussin Vide game genre/frm vcabulary prpsal (Rsemary Grenwald) On January 18 th, Bruce had frwarded a prpsal frm the CAMMS/SAC/GFIS/Vide game wrking grup fr a cntrlled vcabulary fr vide game genres and tw related dcuments (sample authrity recrds and a list f terms. An updated versin was sent n February 5 th. Rsemary had apprached Janis Yung at past cnferences t learn if LC culd incrprate the terms frm this vcabulary int the LCGFT. Hwever, LC has nt yet indicated that it can cmmit t this prject. Janis had tld her supervisr, Beecher Wiggins, abut the prject s at least he is aware f it. It may take as lng as several years befre LC may be able t take n the prject, given hw busy its Plicy and Standards Divisin (PSD) currently is with ther prjects. In the meantime, Rsemary believed that if OLAC went ahead with publishing this vcabulary, it wuld be heavily used and embraced by the AV cmmunity. It was pinted ut that it tk LC a decade t develp a cntrlled vcabulary fr literature after the GSAFD terms had been published. 7 P age

9 Rsemary asked abut the cst f lading the vcabulary nt a server fr the OLAC website and if there wuld be enugh space fr it. She als asked if dwnlading it frm the website wuld put a strain n the website and server. Accrding t Matt, it wuld nt strain the website r take up much space n the server. MARCIVE has agreed t cnvert the dcuments cntaining the vcabulary int MARC recrds. It wuld like t add its symbl in subfield $a f the 040 field, s that its wrk can be acknwledged. Debbie Ryszka has ffered t clean up the recrds afterwards t make sure that all the subfields, delimiters and punctuatin are crrect. MARCIVE wuld als like t be publicly thanked fr their wrk, s we may send a nte ding s thrugh lists and ther news utlets. The authrity recrds will prbably nt be ready t uplad t the OLAC website befre the ALA Annual Cnference. Rsemary wuld like lac t appear in the surce cde in subfield $2 f the 655 field. It is nt pssible t simply have lac by itself, since the cnventin fr such cdes is t use acrnyms (e.g., lcgft fr Library f Cngress Genre/Frm Terms). Adam Schiff has suggested that it might still be pssible t have the cde include lac, such as lacvggf. The vcabulary is currently recrded in a Ggle Dcument. Mary Mastracci is the MARCIVE representative that Rsemary has been cmmunicating with. Mary has gtten apprval frm her supervisr t d MARC cnversin. Mary is still n the SAC Subcmmittee n Genre/Term Implementatin alng with ne her c-wrkers, wh will als be invlved in this prject. It was agreed that it wuld be useful t make authrity recrds in MARC frmat available fr dwnlading int peple s lcal systems. Prviding them was nt part f the wrking grup s initial charge, which was simply t prduce a list f vide game genre terms. Rsemary said she wuld ask Janis again if LC culd take ver the vcabulary. If it cannt g frward with it in the near future (e.g., the next year and a half), OLAC can publish it as its wn vcabulary. Tw Bard members agreed that this wuld make sense. Rsemary will frward materials related t the prpsal, including summaries f cnversatins she has had, t Bruce and Jeremy and cpy the rest f the Bard. The Bard can vte by . She is waiting n dcumentatin t determine hw much we need t reimburse the cnference chair, Kay Jhnsn. We have been asked t cnsider a lifetime membership fr her in lieu f reimbursement. We may need t revise the final balance sheet. Badge ribbns fr cnferences cst apprximately $100 fr 200 tags. Debra asked if we want t cntinue t have ribbns at cnferences. Jeremy replied that he was in favr f purchasing 200 r mre ribbns fr every ALA Annual cnference since the sight f attendees wearing them helped publicize OLAC at such meetings. Debra said she was OK with adding this t the treasurer s rutine duties. Anther Bard member suggested publicizing the ribbns themselves in the OLAC newsletter s mre peple are aware f them. Secretary (Jeannette) Prir t the meeting, Jeannette psted the mst current cpy f Handbk t Ggle Drive. She clr cded them accrding t their status and sent a message t the ther Bard members with an explanatin. Jeannette drafted the wrding fr a prpsed Bylaws change regarding the Website Steering Cmmittee and anther ne cncerning Secretary duties. These were shared with and discussed by Bard members via . Outreach/Advcacy (Hayley Mren) OLAC LinkedIn page Hayley wuld like t cntact Barbara Tysinger, the current wner f the OLAC LinkedIn page, s that wnership can be transferred t her. It has 290 members but has nt been updated fr sme time. Bruce vlunteered t cntact Barbara fr her. Cmmittee Reprts CAPC (Bruce Evans) Revised Streaming and Vide Games BPs (RDA Updates Standing Subgrup) Members f this grup are currently irning ut differences n varius suggested revisins t dcuments that they were nt able t reslve at the Midwinter CAPC meeting. They are aiming t have thse reslved shrtly after Easter. Next steps: Send agreed upn suggested further revisins t the RDA Updates Standing Subgrup fr entry in the dcuments. After that, send the final drafts t Marcia fr use by the Unified Best Practices Task Frce, and als t Annie fr psting n the sn-t-be-released revised Publicatins and Training Resurces pages. Revised best practice guides fr streaming media, vide games, and DVDs/Bluray have been sent t Annie. She will let Bruce knw when they are abut t g live n the website. At that pint, Bruce will send an annuncement abut bth the recnfigured Publicatins and Training Materials Page, and als the newly revised Best Practice guides. After the tasks abve have been cmpleted, Bruce wuld like t create a new task frce that will wrk n a future best practices guide that will cver the Playaways, GChip, and ther similar frmats fr prtable media, per discussin at the OLAC 2017 Cnference and Midwinter meeting. Bruce is pleased t see his prpsed Bylaws changes regarding CAPC s structure ging frward with the electin. Website Steering Cmmittee (Matt Burrell) Current prject: Matt said that the training and publicatins page was live at the time f the meeting. He thanked the Bard fr allwing the Web Team t mve frward with the prpsal t re-frmat pages and dcuments The Cmmittee is als wrking n the page featuring nline resurces fr AV catalging. They are checking the links and reviewing this list. Matt wuld like t explre tls that wuld enable autmatic translatins f the OLAC website s cntent int different languages. Matt has begun cding newsletters in ISSUU frmat, in additin t PDF and HTML. He asked Bard members t lk at it and decide if they 10 P age

12 wuld like him t cntinue. Respnses were psitive and in favr f cntinuing. All archived newsletters are cmplete. Sme issues (2008 and befre) d nt have versins in HTML, but all are in PDF frmat. A pssible future prject wuld invlve cnverting the PDF-nly files (2008 and befre) t HTML in rder t make them searchable. OLAC Research Grant (Mary Huismann) Mary sent ut the final calls fr prpsals with an extended deadline f March 15. One prpsal has been received. Mary is currently setting up the rest f the cmmittee (Peter Lisius and Ralph Hartsck, previus grant recipients, and ne at-large member). She has received several vlunteers fr the latter spt. OLAC-MOUG Cllabratin Task Frce (Bruce Evans, et al) After discerning the methds and tls fr perfrming their wrk (OLAC-MOUG wiki), they fficially gt things ging n March 27 th. The utline f the task frce s wrk is as fllws: (Preamble t First Task): The MOUG-OLAC Cllabratin Task Frce will review the ntes frm the jint MOUG-OLAC meeting held n Nvember 11, 2017 in rder t cnsider the pssibilities fr cllabratin between the tw rganizatins. (First Task): Determine which f the prpsed initiatives are feasible and rank them accrding t pririty. Cmplete by: April 30? (Secnd Task): Develp a radmap fr hw and when each f the prpsed cllabratins shuld be implemented. While the grup will nt be respnsible fr implementing the initiatives, it may suggest membership fr additinal task frces t handle the implementatin f each initiative. Cmplete by: June 4? (sft deadline) Deliverables: Radmap fr implementing prpsed initiatives, including suggestins fr the creatin f new task frces t implement each slutin. Bruce will send a draft f the radmap t the Bard fr apprval and discussin at its meeting during ALA Annual. The MOUG Bard can als lk at it prir t its summer meeting. Discussin Official name f OLAC Shuld we change the fficial frm f the name (On-line Audivisual Catalgers, Inc.) t Online Audivisual Catalgers vs. OLAC? If the fficial name is changed, it wuld have implicatins fr lg, website, tagline (catalgers netwrk), nn-prfit status with IRS, bank accunt, etc. Since this wuld be a Bylaws change, the membership wuld need t vte fr a name change befre it can take place. Prir t the meeting, Debra shared the steps fr changing the name. OLAC wuld need t fllw this prcedure if a name change is apprved by the membership It was decided t discuss this at the OLAC Membership Meeting at ALA Annual in rder t gather feedback. If the respnse frm attendees is psitive, we may cnduct a survey f the full membership after the cnference. Next OLAC cnference 2020 It will be held in cnjunctin with OLAC s 40 th anniversary. Need t slicit cnference prpsals It was initially suggested that we begin sliciting prpsals t hst the cnference at ALA Annual. A Bard member pinted ut that there was n reasn t wait, and that we culd begin ding this as sn as pssible, as there is n mandated schedule fr this activity in the Handbk r Bylaws. A message will be sent t OLAC-L within the next cuple f weeks, fllwed by requests that will be sent ut peridically. Chse cnference venue at ALA Midwinter 2019? A cnference venue will need t be selected by the 2019 Midwinter Meeting. We will need t have smene wh will agree t hst it by then. Handbk revisin and bylaws changes (Jeannette H) Vte n Bylaws changes with electin in April The fllwing areas f the Handbk will be affected if the prpsed Bylaws changes are apprved by the membership during the upcming electin: Guidelines in handbk fr size f CAPC Guidelines in handbk fr size and cmpsitin f Website Steering Cmmittee Questins abut additinal changes The vast majrity f edits suggested by thers n the Ggle Dcs draft are straightfrward and can be made after the meeting. Hwever, there were still lingering questins abut sme f them: One f the suggested changes was t change Webmaster t Web Develper thrughut the entire Handbk (including in the Bylaws). Since 12 P age

14 this includes changing the term in the Bylaws, this will als need t be vted n by the membership and g n the March ballt. Jeannette asked whether Duties f the Secretary shuld include instructin t refer t the Minnesta statutes website fr infrmatin abut where t file crprate reprts as the Bylaws specifies that this is a duty that the Secretary shares with the Treasurer. It was pinted ut that the address f the OLAC headquarters is the same as that f the incming OLAC archivist (Bbby Bthmann) and we are required t send materials t the OLAC Archives anyway. There is still sme uncertainty surrunding this duty, as nne f the past Secretaries that Jeannette crrespnded with prir t the meeting had thught that they were required at the time they served in this psitin t submit Secretary dcuments (minutes, Bylaws etc.) t this address fr the purpse f filing crprate reprts. The Duties f the Secretary will be left alne at this time. Under the OLAC Calendar, the deadline fr CAPC candidates will be changed t a mnth befre the Bard meeting at ALA Midwinter. Under the Handbk sectin n CAPC, the part n the bibligraphy f AV authrity tls will be left alne at this time, as Bruce is still ging t check t see if it is active r needs t be reactivated. Under LC and Bibligraphic Utility Representatives the sentences, In 1986, OCLC designated OLAC as OCLC S AV Users Grup and OCLC has als designated OLAC as its Electrnic Resurces Users Grup will be deleted. The revised wrding fr a sectin n OCLC s relatinship t OLAC explains this histry, s it wuld be redundant and ptentially mislead readers t think that these grups are still active. OCLC Members Cuncil Cntact Persn the wrding in this sectin will be replaced with the wrding prvided by Jeremy. OLAC Stipends and Fees the infrmatin n the pricing f the Index and Back issues will be deleted, as they refer t the print versin f the OLAC newsletter, which is nw nly issued nline. Additinal bard members r liaisns Archivist Appint Bbby Bthmann as OLAC Archivist The Bard vted t appint him t this psitin. The psitin descriptin in the handbk will be updated with the wrding supplied by Jeremy Myntti. Accrding t Jeremy, there will n lnger be a temprary archive at Butler Library, Clumbia University, s this part will be deleted. Jeannette pinted ut that sme duties had been remved frm the Secretary and placed under a General categry. Althugh there is a nte stating that all duties nt falling under specific Bard members belng t the Secretary, she suggested that they be mved back under a sectin labeled Frm the Secretary t make the respnsibilities f this psitin mre bvius. Jeremy agreed with this. Bbby s wrk address is ur current registered ffice address with the State f Minnesta, required fr ur incrpratin in Minnesta. 15 There is suppsed t be a frmally signed agreement between the Minnesta State University at Mankat and OLAC abut payments that the frmer is suppsed t receive fr archiving ur materials. N ne has a cpy f this agreement, s Jeremy will btain ne in rder t see if we are in cmpliance with it. OCLC Glbal Cuncil Liaisn Pssibly appint Jhn de Santis? Jhn is currently a member f the Glbal Cuncil, alng with Bbby Bthmann. Jeremy will apprach him abut serving as an unfficial liaisn between this bdy and OLAC. In this psitin, he wuld peridically send updates abut the Glbal Cuncil s activities in the newsletter and at Membership meetings. Treasurer-Elect (similar t MOUG (4 years ttal) r NASIG (3 years ttal))? It was suggested that the Treasurer-Elect shadw the current Treasurer fr a year r s t learn hw t perfrm the duties f this psitin. MOUG and NASIG have similar arrangements (Treasurer-Elect, Treasurer, Past Treasurer, etc. ver a 3-4 year perid). In MOUG, the Treasurer-Elect jins the Bard when the current Treasurer is in his r her secnd year, and participates in a training sessin that takes place during an extra day at a MOUG cnference. Then the Past Treasurer assists as needed during the new Treasurer s first year. Debra felt that starting in her psitin as Treasurer when the planning fr the OLAC Cnference was already very far alng was a disadvantage. Fr the next Cnference, the Treasurer may need t d a lt f backtracking t find ut what had been dne befre cming n bard. It was cmmented that getting cnferences back n an even-year schedule shuld help make it easier. Debra was willing t talk t NASIG and MOUG t learn mre details abut hw they handled the transitin f their Treasurer-Elect psitin. Jeremy said she culd g ahead but that discussin n this tpic wuld be tabled at this time. Website Cntent Crdinatr N wrk has been dne regarding this psitin yet. In fact, the catalger at the library helped her when she kept switching majrs when she was undergraduate and let her knw that she culd g t graduate schl t becme a librarian n matter what degree she earned. Reprt n 2018 OCLC Glbal Cuncil Meeting Bbby Bthmann, Jhn de Santis The OCLC Glbal Cuncil met at OCLC headquarters in Dublin, Ohi Mnday-Wednesday frm March 26-28, The Glbal Cuncil (GC) is cmprised f the elected delegates frm the three reginal cuncils, Americans Reginal Cuncil (ARC), Asia Pacific Reginal Cuncil (APRC), and Eurpe, Middle East, and Africa Reginal Cuncil (EMEA). Delegates serve a term f 3 years and are eligible fr reelectin t a secnd term. Each regin autmatically receives fur allcated delegates, and the remaining 36 delegates are apprtined t the regins based n that regin s percentage f the ttal OCLC revenue ver the past three cmpleted fiscal years. ARC currently has 32 delegates, which allws fr reginal diversity and diversity in the types f libraries represented. In this text, she explains the cncepts f catalging music under RDA, but als bridges the practical gap and prvides instructin n hw t cde using MARC, the current encding vehicle wrldwide (while making it clear that cntent standards and encding are separate issues). The text is divided int tw parts: Setting the Stage and Practical Catalging. The first part is much smaller and cnsists f tw chapters f intrductry material: underlying cncepts, purpses, and histry f catalging. Interestingly, the histry is nt cnfined t the secnd chapter; Dr. Harden prvides Histrical Asides as bxed text thrughut the bk, which serve t amplify the histry chapter with mre depth when an apprpriate cncept is discussed. The meat f the bk is the secnd part, Practical Catalging. These nine chapters cver the cncepts f describing Manifestatin and Item and Carrier (bth recrded infrmatin, transcriptin, and sme MARC encding), Wrks and Expressins, Persns and Crprate Bdies, Access Pints, Relatinships, and Classificatin and Subjects. Member Relatins, Advcacy, Gvernance, and Training New Natinal Study Reveals Vter Perceptins f Libraries: The Public Library Assciatin (PLA), a divisin f the American Library Assciatin (ALA), and the ALA Office fr Library Advcacy, in partnership with OCLC, has released the reprt, Frm Awareness t Funding: Vter Perceptins and Supprt f Public Libraries in The research updates OCLC's seminal 2008 study that explred vter perceptins, use, and attitudes tward public libraries, librarians, and library funding. Access the summary reprt, infgraphics, and mre at The 2018 survey was again cnducted by Le Burnett USA, repeating questins and segmentatin analysis frm the riginal study, t allw fr cmparisn with 2008 results. Anther is The weekday Amidah in guided imagery. There is a card fr each prayer in the Jewish daily prayer service with an image t cntemplate and an excerpt frm the service. A third is Passver Seder stry cards, which includes a card fr each f the majr characters in the stry with questins fr discussins. And finally, I have sme swag which my cllege prduced (un-named). This is a cllectin f business card size cards with a Jewish wrd frm varius languages (Hebrew, English, Yiddish, Ladin, Arabic) with a teaser definitin and a QR cde and URL t ur website with mre infrmatin. S even thugh these are physically similar (stacks f cards sme in a bx) it seems like they get catalged differently. Every card game that I culd find in OCLC was Type r (Three-dimensinal artifact r naturally ccurring bject) and TMat g fr game. But ther card sets (flash cards and activity cards) seem t have Type k (Tw-dimensinal nnprjectable graphic) and TMat (flash cards). Is my bservatin crrect that card games are autmatically r/g while ther set f cards are k/, and if s why? Answer: T the extent pssible, MARC has tried t divide materials int lgical and distinct categries using such elements as Leader/06 fr Type f Recrd and the Visual Materials 008/33 fr Type f Visual Material. Because real life desn t necessarily divide itself neatly int such categries, sme srts f materials can be ambiguus, exhibiting characteristics f different MARC categries. Over the fifty-year histry f MARC, the frmat has several times tried t fine-tune the categrizatins. Fr ne large example, when what is nw the frmat fr electrnic resurces was initially intrduced in the mid-1980s as the Machine-Readable Data Files Frmat, pretty much everything accessible via a cmputer was categrized as Leader/06 cde m fr Cmputer File. But practices evlved t instead categrize such resurces accrding t their cntent, such as text, sund, visuals, and s n, at which pint the 006 field 42 P age

44 was created fr Additinal Material Characteristics t accunt fr resurces that have multiple characteristics (fr instance, textual and electrnic aspects). When RDA came alng, MARC adapted again t accmmdate the three dimensins f cntent (MARC 336, RDA 6.9), medium (MARC 337, RDA 3.2), and carrier (MARC 338, RDA 3.3). Hardly perfect by any stretch f the imaginatin, but trying t accunt fr multiple aspects f a particular resurce. What we may nw think f as the RDA Unmediated Carrier knwn as the card may have cntent that is text, a cartgraphic image, a still image, any number f ther cntent, r sme cmbinatin f such cntent. In the same way, the Unmediated Carrier f the vlume may cntain text (what we d generally call a bk), cartgraphic images (an atlas), ntated music (a scre), and/r ther kinds f cntent. Each f these is a vlume, but each is treated differently in the way we catalg it. Unfrtunately, the distinctin between the set f cards that cnstitute a game (Type r and TMat g ) and the set f cards that we wuld define as activity cards r flash cards (Type k and TMat ) isn t always as clear-cut as that between the cmmn bk and the cmmn musical scre. Sme sets f cards might be seen as analgus t a musical instructin bk that cmbines bth textual cntent and musical ntatin and culd be cded with MARC elements (Leader/06, 006, 33X fields) that reflect the multiple aspects. In drawing the distinctins, the RDA Glssary definitins f the fllwing fur terms might be helpful. card: A carrier type cnsisting f a small sheet f paque material. activity card: A unit f extent that is a card printed with wrds, numerals, and/r pictures t be used by an individual r a grup as a basis fr perfrming a specific activity. This term applies t still images. The cards are usually issued in sets. flash card: A unit f extent cnsisting f a card, r digital representatin f a card, carrying wrds, numerals, pictures, etc., designed fr rapid display as an aid t learning. This term applies t still images. game: A unit f extent cnsisting f a set f bjects designed fr manipulatin accrding t prescribed r implicit rules fr educatin, entertainment, r therapy. This term applies t threedimensinal frms. Clearly, there is a lt f verlap and s a lt f catalger s judgment invlved. Generally, card games are treated as Type r and TMat g. Activity cards r flash cards are treated as Type k and TMat. In cases where there is substantial ambiguity, there s n reasn why yu culdn t cde fr bth f thse Types f Recrd (using Leader/06 and field 006) and/r multiple 33X fields that reflect multiple aspects f the card set. Ging with the Reflw Questin: My clleague and I just saw smething new tday and were hping t discver the meaning f a term that baffled us. OCLC recrd # has in the 020 line a subfield $q designatin (reflwable). We are nt familiar with this and were hping fr an explanatin. The title was translated frm Spanish if that is related t it in any way. Thank yu fr helping t educate us. Answer: The ISBN qualifier reflwable was als a mystery t me, but Wikipedia seems t address it: A reflwable dcument is a type f electrnic dcument that can adapt its presentatin t the utput device. Typical prepress r fixed page size utput frmats like PstScript r PDF are nt 43 P age

45 reflwable during the actual printing prcess because the page is nt resized. Fr end users, the Wrld Wide Web standard, HTML is a reflwable frmat as is the case with any resizable electrnic page frmat. In cntrast t end user terminlgy, the ntin f reflw is smetimes used t discuss desktp publishing prgram features fr print publicatin page layut such as autmatically balancing the amunt f text in a number f clumns. The recrd yu cite, # , is fr the printed bk and the ISBN is in subfield $z with the reflwable qualifier in subfield $q. The recrd fr the electrnic versin f the text, # , has that same ISBN in 020 subfield $a, with the qualifier in subfield $q (as tw wrds, fr sme reasn). BISAC Instinct Questin: I didn't like the BISAC headings at first, but I have begun t appreciate what they can d fr searching, since they cver the higher levels f subject hierarchy in cmmn-usage terms. I like t teach LCSH by explaining that a bk n pdles will nt have a heading fr "dgs," let alne "pets." BISAC prvides a mre general search, s that keywrds "travel Mediterranean" can bring up Sicily, the Greek islands, the French Riviera, etc. etc. I find many recrds in which BISAC headings are cded with subfield $x (r smetimes subfields $z r $v) in place f the space-slash-space used in the BISAC list. Because f the way they're handled in ur catalg, we prefer the slash as given in the riginal list. Des OCLC have a preference/ruling abut hw these shuld be entered? Answer: The BISAC site itself cnfirms the cnstructin with slashes separating the parts f the heading: Heading - the English language descriptin attached t each cde, i.e. the subject heading itself. The heading descriptin is cnstructed in tw, three, r fur parts, with each part (r level) separated by a frward slash (/). A tw-part heading wuld cnsist f the sectin name (e.g., HISTORY) and a subheading presenting a majr aspect f the sectin, such as "Medieval". Such a term wuld read "HISTORY / Medieval". Many headings cnsist f nly tw levels; hwever, fr mre detail in sme subject areas, a third level is added. An example f such a term is "HISTORY / Military / Vietnam War". Occasinally fur levels are used, e.g., "HISTORY / Africa / Suth / Republic f Suth Africa". We shuld cnsider this "/" cnventin t be the BISAC equivalent f the "--" cnventin in LCSH, reflecting display. In machine-readable frm, hwever, the usual subfielding cnventins shuld apply t the subdivisins in BISAC headings (as well as ther schemes). This seems t be the mre frwardlking practice, in terms f bth the Linked Data future and the indexing present (subfields $v prperly in the WrldCat Genre-Frm index and subfields $z in the WrldCat Gegraphic Cverage index, fr example). The guidelines in Bibligraphic Frmats and Standards field 856 say, in part: Input generally-accessible URIs whenever pssible. D nt input an institutin-specific URI in field 856 in WrldCat master recrds unless n ther URI is available. Instead, it may be pssible t mit the institutin r prxy server data, leaving nly the base URI r the base URI plus item identifier. Smetimes it is pssible t therwise manipulate the URI t result in a useable address. As yu haven t identified a specific bibligraphic recrd example, I can t cmment n the prpriety f the particular URI, but that s OCLC s general recmmendatin. It s happens that the April 25 AskQC Virtual Office Hurs sessin was devted t URLs in a Shared Catalging Envirnment, presented by my clleague Rbin Six. A recrding f the sessin plus supprting materials shuld be available n the AskCQ site sn. Omniscience Wuld Knw Better Questin: It lks t me as if using the letter u, as in 199u r 19uu r similar, t indicate a decade r century span f years ( and ) in the fixed field Dates, is n lnger apprpriate fr RDA recrds. Is that true? Here s what I lked at: RDA : Fr a prbable range f years, recrd the range. Recrd between, fllwed by the earliest prbable year, then use and and the latest prbable year, fllwed by a questin mark. That instructin, and the fllwing examples, make it clear yu d nt use hyphens t indicate missing years, yu use between/and and specific years. Tw f the examples are [between 1970 and 1979?] and [between 1800 and 1899?]. In AACR2 we wuld have used [197-?] and [18--?], but that is n mre. In AACR2, thse hyphens in 260 happened t translate directly t where yu put ne r mre f the letter u in Dates, i.e., 197u and 18uu. N hyphens uh, hw d we handle that in Dates nw? (Oddly enugh, there is n instructin at fr hw t recrd a certain range f years, but my catalger s judgment says yu can infer that the same wuld be used withut the questin mark if yu knew it had t be a certain decade r a certain century.) LC-PCC PS : Lts f infrmatin n hw t determine a date when the item lacks a publicatin date. Only the last pint (E.2.) uses u fur f them, fr the nt after slutin. Nte that there is n example in that lng PS fr a certain r prbable decade r century. D.2. in the PS has a range f years, but they are specific years ([between 1993 and 1999]) and that is nt prblematic. I d say nt cvering a decade r century situatin in the PS is unfrtunate and a majr versight. BFAS at DtSt (last updated 26 July, 2016.) At cde s, Single date, the first three examples d use 198u, 19uu, and 197u, but all three are labeled Pre-RDA. At cde r, Reprint/reissue, there are fur examples, but three f them are fr cmpletely unknwn dates (fur characters u ) which I see as a different situatin and the ther is labeled Pre- AACR2. Cntinuing at cde t, Publicatin and Cpyright date, there is ne example with u, where the 260 has [198-?] and thus 198u in Date 1. This usage is als nt labeled Pre-RDA, yet I m pretty sure it is certainly the [198-?] is pre-rda. The examples fr cde n, unknwn dates, cnsists entirely f the letter u, but that again is a different situatin. Besides, ne example is a naturally ccurring bject, ne is pre-aacr2, anther is pre-rda but des nt say s (the presence f a GMD gives it away), and I m nt sure what is ging n with the ther example. Finally we get t cde q, which des have ne use f using multiple characters u, but the date in 260 is [19th and early 20th century] thus Dates are 18uu,19uu. Nt sure hw RDA wuld have us handle that hw early is early? D we guess at a prbable ending date, and recrd, say, [between 1800 and 1920?]. Certainly the example, with 19uu, is implying a much lnger range f dates than early 20th century; it s nt any better than my guess at a 1920 ending date. This example is als nt labeled as pre-rda, yet I think it shuld be. In shrt, BFAS is as silent as the PS n what t d with Dates when yu have a range f years cvering a decade r century, certain r prbable, in RDA. And it lks like there are a few pre-rda examples that are nt labeled as such and shuld be. A dates cheat sheet frm Mark Ehlert. It is dated July 2013, back when he was at Minitex. It is based n Annie Glerum s RDA Cpy Catalging Cheat Sheet (n date fr that is given). That date is frm very early in the RDA implementatin, abut the same time Kathy Glennan was advising us that the relatinship designatr cmpser was nt imprtant t recrd if the cmpser was the main entry that died sn enugh. A time when everyne was flailing arund, ding their best t decide what t d. The Minitex dcument des cntinue t use u fr unknwn dates in a decade r century. Thus [between 1990 and 1999] uses 199u ; [between 1800 and 1899] uses 18uu ; [between 1970 and 1979?] uses 197u ; and [between 1900 and 1999?] uses 19uu. At least this dcument admits there is the pssibility f being certain f a decade r century. (It als uses uuuu fr the nt befre and nt after ptins, crrectly.) But it s nearly five years ld nw, and based n smething that may be a bit lder. I think it is bslete. What d yu think? I have tw majr beefs abut RDA. First is that is expects yu t be mniscient: t knw the identity f all entities and their exact relatinships, when s ften yu d NOT knw. Secnd, and the pint here, is that at the time f implementatin, it was nt finished. There were gaping hles everywhere in 2013, and LC s s-called test was a whitewash. Answer: Did yu nt get the mem that all f us catalgers were fficially granted mniscience? I knw I ve filed it away, but I dn t knw where. And dn t get me started abut the perpetually unfinished nature f RDA. Particularly as we await the cmpletin f the 3R Prject that will thrughly revamp RDA and its rganizatin, just as sme f us were acclimating urselves. Regarding the use f the character u in Fixed Field Dates 1 and 2, it isn t that it s nt apprpriate fr use in RDA recrds, per se; its mre that in RDA catalging there are cnsiderably fewer instances in which yu wuld nt at least hazard a guess as t sme srt f date, particularly in light f the multiple Plicy Statements (and the best practices that ech them) saying sme variant f Supply a date if pssible. 46 P age

48 As yu pint ut, under RDA we can n lnger use the hyphenated uncertain dates that alne eliminates large swaths f what we d frmerly have cded with character u in ne frmulatin r anther. RDA 1.9.2, Supplied Dates, limits the ways we can express different varieties f uncertainty by encuraging statements that include specific knwn and prbable dates rather than including the AACR2 1.4F7 ptins f hyphens and/r questin marks t indicate prbable r certain decades and centuries. S fr instance the AACR2 prbable century f [18--?] is expressed in RDA as [between 1800 and 1899?], and s n. The RDA frmulatin f nt after (fr the latest pssible knwn date elabrated upn in the Prductin, Publicatin, Distributin, and Manufacture dates areas f RDA 2.7, 2.8, 2.9, and 2.10 and their PSs and BPs, respectively, is ne f the few RDA instances where the character u wuld be used (fur f them in Date 1, as fund in PS , the example under E.2, and in PS under C.2). The RDA ptin f between and was als cmmnly used under AACR2 1.4F7, althugh in AACR2 it was limited t dates fewer than twenty years apart. Under RDA, the twenty-year limitatin n lnger applies; additinally a prbable date range is fllwed by a questin mark. Several f the DtSt examples in BFAS, including all f thse under value t and sme under value q and elsewhere, clearly reflect pre-rda practices in the 26X fields even thugh we neglected t label them as such.
