1 2014 FALL POPCORN SALE UNIT KERNEL GUIDEBOOK This guidebook has been compiled to help you, the Unit Kernel, coordinate the Fall Popcorn Sale for your Pack or Troop. Dates, responsibilities and contacts are included for reference as well as other information for use in training units. Good luck and have fun! 4 UNIT KERNEL RESPONSIBILITIES 1. Attend the Popcorn District Kick Off and Training. 2. Contact parents in your Pack/Troop about participating in the Fall Popcorn Sale. Discuss your unit Kick Off and encourage them to attend. 3. Conduct a Unit Kick Off. Distribute sales material, train parents and Scouts, review sales goals and explain the Prize & Incentive Program. 4. Using the New Scout postcards, inform new Scouts and parents about the Fall Popcorn Sale as you recruit new Scouts throughout the fall. 5. Ensure your unit s Show & Sell order is entered by Thursday, September Coordinate the Show & Sell popcorn pickup on Friday, September Oversee all Show & Sell and Take Order activities. 8. Ensure that Scouts turn in copies of their Take Order forms in time to enter your unit s order by Wednesday, November 5. (No orders will be accepted after the deadline.) 9. Arrange to pick up your Unit s popcorn at the district distribution location on Friday, November 14. (This location varies by District. See page 14 for pick up locations.) 10. Submit payment to the Council Service Center and order prizes by Friday, December Share ideas with your District Kernel on ways to improve on the 2014 Fall Popcorn Sale. 4

Wednesday, November 5 Friday, November 14 Final Take Orders due no later than 5:30 P.M. Final product pick up Friday, December 5 MONIES DUE TO COUNCIL On time payment is expected. Payments not received by December 5, 2014, will result in a two percent penalty to your unit s commission, after the initial penalty, another two percent penalty will be assessed on the 15 th and 30 th of every month following, until the balance is paid in full. Friday, December 5 Final Prize Orders Due by 5:30 P.M. (Prize orders will not be accepted after this date.) 5

Scout Prize Programs Fill it Up Patch $1,000, $2,500 (WINNER S CIRCLE) and $4,000 seller recognition GCC prizes (unit must choose Prize Option to be eligible) 6

7 SCOUT PRIZE PROGRAMS Recognition for $4,000 Sellers Any Scout who sells $4,000 or more will receive a full campership to a 2015 Winnebago Summer Camp program. Copies of the Scouts order forms must be submitted to the Council Office by December 5. Recognition for $2,500 Sellers Check out the WINNER S CIRCLE for your choice of cool prizes or a gift card to Best Buy! Recognition for $1,000 Sellers Sell $1,000 or more to attend a Black Hawks Hockey Game January 30, After the game, Scouts will be invited to join the Black Hawks for a pizza party. A Black Hawk t-shirt will be provided to the Scouts with an opportunity for players to autograph the shirt. One family member is allowed to attend the pizza party with their Scout. Fill it Up Patch GCC Prizes Sell 25 containers of popcorn and receive a special Fill It Up Patch. Units choosing the Prize option will be able to order prizes on the General Commercial Corporation (GCC) website. Instructions are included in this Guidebook on page 12. Prize orders must be submitted online no later than December 5, Prize orders cannot be placed after this date. 7

8 UNIT KICK OFF AGENDA ASK YOUR DISTRICT EXECUTIVE FOR HELP RUNNING YOUR UNIT KICK OFF. Set the Stage: Decorate the room, have food and beverage, wear a goofy costume, setup prize displays, and have all sales materials ready to hand out. 1. Preview this year s Scouting Program and explain the Nothing Out of Pocket Program Plan a. Remind parents that it can all be FREE! b. Leaders, Parents and Scouts complete the Nothing Out of Pocket worksheet 2. Communicate the Goals with parents and Scouts a. Unit, Den/Patrol, and per-scout goals b. Scouts write their individual goals on the Take Order forms 3. Excite the Scouts Show them the Prize Brochure a. Scouts decide which prize level they want to shoot for b. Scouts should pick a Prize level that exceeds their Sales Goal c. Review the Winner s Circle Prize Program 4. Description of Sales Program a. Briefly Review Product - new Coconut Rain and Military Donation b. Review Key Dates (Remember: Set unit deadlines before Council deadlines.) 5. Describe the Sales Technique a. Review the Take Order form in detail b. Share sales scripts and role-play sales presentations with Scouts. c. Be polite. Always say Thank You! 6. Review Do s and Don ts a. Don t leave popcorn unless it is paid for in full. b. Do thank the customer for supporting Scouting! 7. Safety Issues a. Sell in groups or with an adult and wear your uniform! Customers love to see sharp-looking Boy Scouts. b. Don t enter a stranger s home, sell after dark or carry large amounts of cash. c. Be careful with your Take Order form. It is your only record. 8

10 POPCORN ORDER INSTRUCTIONS How to Complete Commitment to Sell Form 1. Navigate to and click on Order Gateway in the top, right-hand corner. 2. Choose Winnebago Council from the list. 3. Enter the username (173WINN) and password (Waterloo). [Case Sensitive] 4. Click Step 1 Click Here to commit your unit to sell. 5. Fill out the required information (Note: the address entered here is where we will send a confirmation upon receipt of your commitment form). 6. Click Preview. 7. Review your information on the Unit Commitment Preview page. 8. Click Submit if everything is correct OR Click Cancel to make changes to return to the previous screen and reenter your information. How to Tabulate My Order 1. Navigate to and click on Order Gateway in the top, right-hand corner. 2. Choose Winnebago Council from the list. 3. Enter the username (173WINN) and password (Waterloo) 4. Click Step 2 Click Here for online worksheet tool 5. Enter in the Unit information, scout names and product quantities that each boy sold. 6. The totals at the bottom of the page are what you enter into the popcorn order form to place your popcorn order. 7. Print, Save, or your worksheet to satisfy record keeping. 10

11 How to Place a Popcorn Order 1) Navigate to and click on Order Gateway in the top, right-hand corner. 2) Choose Winnebago Council from the list 3) Enter the username (173WINN) and password (Waterloo) 4) Click Step 3 Click Here to place your popcorn order a) Fill out the required information making sure that you total the lines as you go (Note: All fields are required, enter 0 if you do not wish to order any of that particular product. The address entered here is where we will send a confirmation upon receipt of your order) b) Click into the Total Cases and Total Dollars cells to calculate your total. 5) Click Enter Order 6) Review your order on the Order Preview page. 7) Click Enter if everything is correct OR Click Cancel to make changes to return to the previous screen and reenter your information. *Note: You do not need to use the online worksheet tool to place your Show & Sell order. (It is only there to help you total your unit s Take Orders.). To place your Show & Sell order, follow the instructions under How to Place a Popcorn Order. 11

12 PRIZE ORDER INSTRUCTIONS General Commercial Corporation/Keller Marketing Division is proud to be working with your Council volunteers. The following document s purpose is to guide you through the prize ordering process. Support the s Popcorn Prize Program; Make Unit prize ordering fast and easy; Facilitate the Council s release of orders, and order-tracking, through a straightforward process; We hope you enjoy the ease and efficiency of the site and welcome your feedback! To place Unit orders, please follow these instructions: Creating Your Profile Step 1: Step 2: Step 3: Step 4: Enter: Open your internet browser. Go to Home Page. Click on Login Bottom Left Corner of your Screen In the central area of the screen, click register here and enter the information requested. Items *asterisked are required. FIRST; you must create a profile and login before any order may be entered. 1 st : Enter Council ID: 173WIN then click enter Then fill in the following information: a.) VALID address. Point and click in the next field, or press Tab key on your keyboard. b.) CREATE a Password. Tab. c.) Confirm that Password. Tab. d.) Enter your First Name. Tab. e.) Enter your Last Name. Tab. f.) Address 1 (This is your physical address for UPS delivery). NO P.O. Boxes accepted Tab. g.) Address 2 (If you receive mail at a PO Box, please put that address here). Tab h.) ENTER City. Tab. i.) SELECT State from down arrow list. Tab. j.) ENTER your Zip Code. Tab k.) ENTER your daytime Telephone number. l.) Point and click at the down arrow to find your District name in the menu, then point and click on your District's name. Tab. m.) Point and click at the down arrow to find your Unit Type in the menu, then point and click on your Unit Type. Tab. n.) Type your Unit Number. o.) Click REGISTER. 12

13 Logging into the site Step 1: Step 2: Click 'login' on your Welcome screen. You are back on the Home page. Type your Address and Password, and click 'Login'. Placing order Step 1: Step 2: Step 3: Step 4: Click 'Quick Order' in the menu on the left of your screen it is the third choice on the left. Complete the TOTAL PRODUCT SALES and NUMBER OF SCOUTS SELLING as these are required fields. Next: enter prize quantities and complete all of the required fields to ensure proper shipment. NOTE: We are unable to ship to a P.O. BOX. Click NEXT when you have completed the prize selections. Verify your shipping address (We are unable to ship to a P.O. Box) Upon successful completion; you will receive an verification, unless your Internet Service Provider has our system blocked. Please keep your order number for future reference. If you need assistance with this process, please contact BSA Customer Service via BSACustomerService@gcc-usa.com, call BSA Customer , or call your Council office. Step 1: Editing Existing Order Units will not be able to initiate a second order for a unit unless the previous order has been authorized for shipment by the Council Office. If your Units have the need to change your order, please follow the instructions listed below. Complete Log In and Password Screen Step 2: Step 3: Click on "Quick Order". Enter Information for your Unit/Number/District/Popcorn Sales Click "Next" If there is an order for Unit/District/Council, you will see a message "There is already an order for this Unit/District/Council. To edit this order, click "here". Click on "here" Step 4: Change quantities of prizes needed. Click "Save Order Changes" 13

Canty Ave New Hampton, IA Contact: Mick Gage at (319) POPCORN RETURN POLICY Wednesday, November 5 th at 5:30 P.M. is the deadline to return popcorn. Returns will not be accepted after this date. Popcorn returns must include a Product Return Form that is signed by a Unit Representative and a District Executive. Your unit will not be credited for returned product unless it is accompanied by a completed Product Return Form. Damaged product will not be accepted. Trading product with other units is strongly discouraged. The Council will not be responsible for tracking product that is traded with other units. If you trade with other units, your unit will still be charged the full amount for your original product order. Helpful Hint: Do not return leftover Show & Sell product until you have completed your Take Order activities. You can use it to help fill your Take Order. (See page 10 for more details.) 15

17 $1,000 SELLER FORM January 30, 2015 Any Scout who sold $1,000 or more in product and has turned in copies of his order forms to the Winnebago Council will have the opportunity to attend the January 30, 2015 Scout Night with the Black Hawks hockey game at Young Arena in Waterloo. Scouts who sold $1,000 or more will: Receive one free ticket to the game (January 30) Be recognized during intermission Attend a Pizza Party with the players after the game Receive a free Black Hawks t-shirt Additional tickets may be purchased for family at a discounted rate of $8.00. Please note: Due to limited space, only one family member will be allowed to attend the pizza party with the Scout.
