9 TIRE ONE CO-OP PROGRAM FUNDS TERMS AND CONDITIONS Co-op advertising funds are accrued by eligible TWI Tire One Dealers upon reaching the annual purchase requirement for Select, Premium or Elite program levels. All co-op funds are valid until December 31 st of the following year. Funds that remain unused after this time are not eligible for carry over. Funds earned may be combined if valid usage dates overlap. REIMBURSEMENT GUIDELINES Reimbursement procedures detailed in this section are in addition to the procedures described in the media-type chart (see page 2). All materials submitted for reimbursement require prior approval by Tire s Warehouse. To obtain prior approval, submit your required materials to your TWI Field Marketing Specialist, TWI Territory Sales Manager, or: tireone@tireswarehouse.net Fax: Mail: TWI Tire One Program C/O Marketing Department 240 Teller Street Corona, CA Any approval given by Tire s Warehouse shall stand as an approval on proposed creative, not budget considerations. Each Tire One Dealer is responsible for the necessary financial arrangements and for submitting required co-op reimbursement documentation in a timely manner. 1. FULL REIMBURSEMENT Tire s Warehouse will reimburse at a rate of 100% of advertising, provided that: a. Tire s Warehouse-specific brands are represented and done so correctly. 2. PRO-RATED REIMBURSEMENT Reimbursement on ads which feature brands/products not carried by TWI will be prorated based on the share of Tire s Warehouse-specific brands that are present. 3. APPAREL, NOVELTY ITEMS & WRAPS/DECALS A Tire s Warehouse Tire One Dealer may co-op on novelty items, wearables, vehicle wraps, window clings and decals at a reimbursement rate of 100% up to an annual maximum of $250 for Select level, $500 for Premium level, and $1,000 on Elite level provided that: a. Items are ordered through Victory Branding & Promotions or B2B Media. b. Items not ordered through Victory Branding & Promotions or B2B Media receive prior approval from TWI. 4. OTHER A detailed contract including an explanation of Tire s Warehousespecific brands exposure and promotion plans must be included. 5. Dealer can receive co-op reimbursement by submitting a Tire s Warehouse Tire One Co-op Advertising Claim Form and supporting documentation* to their TWI Field Marketing Specialist, TWI Territory Sales Manager, or: tireone@tireswarehouse.net Fax: Mail: TWI Tire One Program C/O Marketing Department 240 Teller Street Corona, CA *See reverse for specific supporting documentation. Tire s Warehouse will not directly pay a supplier/vendor for costs incurred by a TWI Tire One Dealer. You will be paid by account credit from Tire s Warehouse upon approval of your submitted claim. Claims must be submitted within 60 days of the ending activity date. Co-op reimbursements will not be allowed on any claim that falls outside of the parameters of this guideline document unless prior approval from TWI has been obtained. Tire s Warehouse reserves the right to adjust the claim to accurately reflect the qualifying reimbursement allowed. REIMBURSEMENT IS NOT ALLOWED ON: 1. Agency fees/commission.** 2. Production or artwork charges.** (Television and billboard production are eligible for reimbursement when Tire s Warehouse-specific brand prepared materials are used.) 3. Management fees associated with digital/experimental advertising. **Does not apply to advertising and marketing done through TWI Tire One Marketing Partner. GENERAL CO-OP GUIDELINES All advertising must comply with the Federal Trade Commission. Guidelines and State and Local laws regarding price and warranty statements. Tire s Warehouse reserves the right to modify or cancel this policy without prior notice. Modifications or cancellations will not affect claims submitted or advertising run prior to the date on which such modifications or cancellations become effective. Station invoice including cost, length, time, and air date of each spot. Each script broadcast must be attached and must bear approved ANA/ RAB/TVB documentation format or documentation equivalent. All documents must be notarized. Included are commercials on U.S. FCC licensed stations which serve your primary trading area. Only commercials qualify. Program sponsorships are not eligible. Digital/Experimental Advertising Pay Per Click, Online Banner, Phone Messaging, Etc. Tire s Warehouse-specific brand(s) must be featured. Please contact your Field Marketing Specialist to review vendor-specific requirements. Copy of invoice. PPC reimbursements vary by dealer level. Select: 25% Premium: 50% Elite: 75% Net Driven Social Media Master Tech (SMMT) has been pre-approved for Tire One dealers. Copy of invoice. 50% of social media management expenses are eligible for reimbursement. Social Media Management If a different vendor is preferred, they would need to be evaluated by TWI prior to receiving a pre-approval. A monthly reimbursement cap of $100 will be applied if a vendor other than Net Driven is selected. Print Newspaper, Direct Mail Magazines, Bulletins Programs, Yellow Pages Coupon Books, Click2Create, Etc... A description of proposed media (newspaper, insert, flyer, etc.). Proposed layout and copy. Copy must include the name(s) of a Tire s Warehouse-specific brand at least as often as the dealer name and feature at least one current product of a Tire s Warehouse-specific brand. Original copy or tear sheet of printed piece. Copy of invoice. Proof of distribution. Outdoor Advertising Billboards, Store Signage, Vehicle Wraps, Decals, Etc... Layout of proposed advertisement, vehicle wrap design or building window decals showing exactly what will be advertised and how the Tire s Warehouse-specific brand name(s) will be used. Advertisement location description and proximity to dealer s business (billboards). Dates advertisement(s) will be in place. Photograph of the billboard/outdoor advertisement in place.
