1 Welcome to the 2017 ASDPT Tom Frecska Student Printing Competition! Please follow the instructions included in this information kit to prepare, identify, and ship your entries. Here are some important reminders: 1. No additional information or materials will be sent to you by SGIA. The Entry Specification Form, Entry Identification Label, and Entry Claim Check (Figure 1) for your entry(s) is generated and printed from within the Competition Web site where you entered. 2. Return to the Student Competitions website to access your entry(s) and provide the requested information for your entry(s) to generate these important documents. Entries that arrive without the proper forms and identification labels will be disqualified! a. The Entry Specification Form must be placed in a separate envelope and taped to the back of the entry as shown in the example on the right. Entry Specification Forms are displayed next to each entry for judging and public viewing and include production details about your entry. Figure 1 b. Attach the Entry Identification Label to each entry as shown in the example on the right. This bar-coded label indicates the entry number and must be placed in the lower right-hand corner of the side of your sample you wish to be judged. Each entry must have an Entry Identification Label attached to the image being judged. It is suggested that the Entry Identification Label be attached to your sample using clear tape. Be sure to always match the number on the Entry Specification Form with the Entry Identification Label. c. Mail all entries to the SGIA Warehouse in New Orleans (details will be announced as they become available). Shipping details are included in the Entry Preparation and Shipping Instructions 3. Entries must arrive at the SGIA Warehouse in New Orleans by October 4 th, Access to the ASDPT Tom Frecska Student Printing Competition web site will remain open until October 3, 2017, for submitting entries, and to complete or edit entry forms. Entries may not be deleted from the web site once they have been added; however, the category and/or subgroup of existing entries can be changed using features within the web site. a. All ASDPT Tom Frecska Student Printing Competition entry samples must be mailed to the SGIA Warehouse in New Orleans. b. Please plan to ship entries in September International entrants should contact their carrier at the time of shipment to confirm compliance with all required customs procedures and determine the estimated transit times. It is not the responsibility of SGIA to facilitate clearance of any entry through U.S. Customs. 4. Judging will take place on Monday, October 9, When judging is completed, all entries will remain on display in the Golden Image Gallery in the New Orleans Morial Convention Center for the duration of the SGIA Expo. a. Your school name shown in the confirmation is the same school name listed on your SGIA membership. This is the name that will be engraved on your plaque, should you win. 5. If you wish to reclaim your entry(s) during the SGIA Expo, present the Entry Claim Check(s) at the Golden Image entrance between the hours of 1:00 pm and 3:00 pm, Thursday, October 12, The Entry Claim Check for each entry is included with the Entry Specification Form and Entry Identification Label printed from within the competition web site. a. Affix the enclosed Save Packing Material label to the outside of your package(s) if you intend to claim your entries or if you have enclosed prepaid shipping labels for SGIA to ship your entry(s) back. b. The Entry Claim Check(s) must be presented to claim your entry at the SGIA Expo. c. SGIA will only ship back entry(s) if prepaid shipping labels are included and Return this Entry is included on the Entry Specification Form. Please carefully read the enclosed information and entry preparation instructions. 2 2017 ASDPT Tom Frecska Student Printing Competition Entry Preparation and Shipping Instructions (Please Read Carefully) Selecting Entries Samples submitted for judging in previous ASDPT Tom Frecska Student Printing Competitions may not be re-entered, regardless of whether the sample won before. Only entries printed since August 2016 may be entered. Entries are not expected to be perfect but they should be of the highest production quality standards possible. SGIA and the judging coordinators reserve the right to disqualify any entry that infringes on copyrighted material, fails to conform to the overall contest rules, and/or mounting and presentation instructions; or, if a sample is entered in the wrong category or subgroup of a category or has incomplete entry forms. Entry Specification Forms, ID Labels, and Claim Checks No additional information or materials will be sent to you by SGIA. Entry Specification Forms, Entry Identification Labels, and Entry Claim Checks are generated from within the ASDPT Tom Frecska Student Printing Competition web site. Please return to the web site to access your entries and provide information for the Entry Specification Form. Information supplied on the form provides judges with essential production details of each entry. Be sure to provide details for each of your entries by using the ASDPT Tom Frecska Student Printing Competition web site. Attach each Entry Specification Form directly to each entry. Misplacement of this form will disqualify an entry. Do not pack all forms together in shipping cartons, separated from their respective entries. Entries that arrive without proper forms attached will be disqualified! The best method is to place the completed Entry Specification Form in an envelope and tape the envelope to the back of the corresponding entry. Firmly attach the Entry Identification Label to the lower right front of the print you wish to have judged using clear packing tape. Be sure to match the Entry Identification number with the same Entry Specification Form. Example: Example of how the ASDPT Tom Frecska Student Printing Competition entries are displayed: Illumination of Entries SGIA will provide a limited amount of backlighting for entries requiring it. Light towers are provided for entries in the Backlit Products categories. Multisheet or Multiple Piece Entries Large, multi-sheet entries must be pre-cut, registered and assembled into a single piece. Entries that arrive unassembled will be disqualified! Maximum Sizes Entries should not exceed 8 x 8 (about 2.5m x 2.5m). Entries that exceed the maximum size may be disqualified. Hanging & Mounting Entries If possible, mount or frame entries on poster board or similar materials. All entries are fastened (usually stapled) to a temporary wall for display and judging. Mounting your entry enhances its presentation and improves the overall aesthetics of the display area. If your entry is printed on Plexiglas, metal, polycarbonate, glass or similar rigid materials, drill holes through the material or prepare the entry to allow attachment and display on the wall. NOTE: Entries are attached using staples, screws, or other hardware. SGIA is not responsible for damage to entries when they are hung. We encourage matting and/or framing entries to avoid such damage. Photographs If your entry represents only a portion of a large or multiplepiece product, the judges ask that you enclose a photograph of the entire display or image. This aids the judges in visualizing the overall sample. In no case may a photograph be submitted in place of the actual printed sample. Judging Every sample conforming to the rules of this competition will be judged. Judging will take place in the Golden Image Competition gallery on Monday, October 9. A winners list will be posted in the gallery Tuesday, October 10, and on SGIA.org. Entries will be on display in the Golden Image Gallery in the New Orleans Morial Convention Center from 9:00am-5:00pm Tuesday, October 10, & W e d n e s d a y, October 11, 2017; and from 9:00am until 3:00pm, Thursday, October 12, Entrants do not need to attend the SGIA Expo to have samples judged or to receive awards. Judges Judges are chosen based on their technical skills, experience, expertise and knowledge in the categories for which they judge. Judging criteria for the competition are under constant evaluation and revision to assure the best possible chance for every contestant.

3 SHIPPING DEADLINE All entries must be shipped directly to the SGIA Expo warehouse in New Orleans (details will be announced). Hand carried entries to the convention floor will not be allowed. Entries should arrive by: October 4 th, 2017 In order for entries to have adequate time to clear U.S. Customs, International shippers should work with their forwarding agent to determine appropriate ship dates. SHIPPING ADDRESS Domestic Shipments Within the U.S., address all entries as follows: TBD RECLAIMING YOUR ENTRIES You may reclaim entries by presenting the official SGIA Entry Claim Check included when you print the Entry Specification Form. Entries can be claimed at the Golden Image Gallery in the New Orleans Morial Convention Center between the hours of 1 :00pm and 3:00pm, Thursday, October 12, No samples may be removed prior to this time. Possession of the official Entry Claim Check represents authorization by the participating company to claim the sample. If you wish for a third party to claim your entry, you must provide them with a copy of the official claim check. SGIA will not recognize any other voucher. Affix the enclosed Save Packing Material label to the outside of your package(s) if you intend to claim your entries at the expo or would like your entries returned. If you are unable to claim your entries Thursday, October 12, at the Golden Image Gallery, you may request your entries to be returned. You must check Please return this entry to me after the competition is over on the Entry Specification Form and include a prepaid return shipping label. International Shipments Make the following notation on your customs form: Samples are defined under item , harmonized tariff schedules of the U.S. Each sample valued at less than $1.00, or mutilated to make it acceptable as a sample. Note: All textile samples originating outside the U.S. must be mutilated. Mark all packages Samples Only. Make sure you allow enough time (about two weeks) to get your samples through U.S. Customs in a timely fashion. You must have a customs broker or forwarding agent.
