1 LightSpeed LayBy Workflow In LightSpeed, Laybys are done under the Orders Section. We will use this to signify a customer order (layby), then apply the layby deposits and finally, once the items have been paid in full, create an invoice through the order for the customer to take. Below is a step by step process in how this works: Note: If you want to know how to create another payment for an existing LayBy, Please to straight to Step 6 Note: If you want to know how to finish off a LayBy, please go straight to Step 7 Step 1: Create a new Order Card Make sure you are on the Browser Mode - On the top Left hand corner of LightSpeed, Click on the Blue Orders Button that allows you to open a new Order Card. If you do not see this window, please exit out of Simple POS View.

2 Step 2: Fill in Order Card with Customer Information and Products to Layby Once the card is opened up, fill it in with the following information:

3 Step 3: Save the Order Card and Reserve Inventory After the necessary fields are filled in, Click on Save on the bottom right hand corner and click Yes to reserve the inventory of the order. This allows LightSpeed to digitally "put aside" those items for your LayBy customer. The inventory level of those particular items won't change, but it will say that 1 of those items are reserved for your layby customer.

4 Step 4: Mark the Order as LayBy On the Order card under the Options Tab, There are several boxes that allow you to mark these items as a Layby. All three of these are not necessary but useful for when you want to distinguish a customer "Special order" or a LayBy. Once you're done, click on Save.

5 Step 5: Attach Customer Deposits to the LayBy Once all steps are complete, the last thing you need to do is to take the customer deposit and attach this as a payment to the Order. This can be done through the Deposits Tab.

6 Note you can also do several other payment methods other than cash and also give the receipt via or print using one of the buttons on the bottom of the window. Warning: Orders in LightSpeed are Printed off in A4 size and cannot be changed. It is advisable to this to the customer instead just for their records. Hint: To see how much a customer has left to pay on their Layby, you can click on any payment method and that will show you how much the customer is still owing. You have now created a LayBy.

7 Step 6: Applying Payments into an existing Layby Making sure that you are again on the Browser Mode, Click Orders on the left hand sidebar and search by Customer Name and Created Anytime to find that particular person's layby in the system: Once you have found the customer's Layby under their name, Double Click on their Order to open their Order Card. From here, you can follow Step 5 to Apply another Payment to that existing LayBy.

8 Step 7: Finishing off a Layby and Invoicing Upon taking the last payment / deposit from the customer, you will notice that if you click any payment method, the total payment will automatically populate as 0.00

9 You can then create an invoice for this LayBy. Invoices are used to signify that the item(s) are no longer in the store and that it is now in the customer's hands. You can create this by clicking on the Invoice button on the bottom of the order card. This will then create an invoice associated with the customer. Click on Save on the bottom right hand corner of the Invoice Card and you will be taken into the payment screen.

10 Take note that the invoice says that the customer is owing money, even though they have fully paid for the LayBy. You will need to apply the deposits associated with this account by clicking on Apply Credit. (Shown Above). You can then Click on the Order and then click OK to apply the deposit attached in the Order to the invoice. The invoice is now Paid in full. You can then print this off using your Receipt printer by clicking on Print on the bottom part of the invoice card.
