1 REQUEST FOR QUOTE: Floral Arrangements for Best Bites Competition Quote: # RFQ Released: October 3, 2018 Deadline for Quotes: Monday, October 15, 2018 by 2:00 PM The Houston Livestock Show and Rodeo (the HLSR ) promotes agriculture by hosting an annual, familyfriendly experience that educates and entertains the public, supports Texas youth, showcases Western heritage and provides year round educational support within the community. As the world s largest livestock show and rodeo, the largest fair in North America and the site of 20 concerts from top-flight entertainers each year, the show attracted over 2.4 million spectators in A Section 501(c) (3) charity, this organization has committed approximately $450 million in youth and educational support to Texas students since it began in HLSR is backed by more than 34,000 volunteers serving on over 108 different committees. GENERAL REQUIREMENTS FOR REQUEST FOR QUOTE PRICING Pricing for all goods/services must be very specific, all-inclusive and firm. All administrative fees, shipping, expedited delivery costs, labor, etc. must be included in the quote. All shipping, drayage and other charges are to be listed as a separate line item. Based on your line item bid price for shipping on the Price Sheet, HLSR may require that product shipments are to be done via Federal Express or UPS, using the HLSR s existing account. Moreover, all design work, product set-up, production, repair work, etc. must be done according to HLSR s schedule, which may include weekends, nights and early mornings, at no additional cost to HLSR. HLSR will pay only for goods/services stated on the Price Sheet unless otherwise agreed to in writing by both parties before the order is placed or work is started. No price changes, additions, or subsequent qualifications will be honored. INTELLECTUAL PROPERTY The provider acknowledges that the names, logos, copyrighted material and trademarks of HLSR are the sole and exclusive property of HLSR (the HLSR Marks ) and nothing herein shall provide the provider any right, title or interest in HLSR Marks. All HLSR Marks included in this Request for Quote ( RFQ) are for bidding purposes ONLY. They may not be used for any other purpose, now or in the future, without the express written consent of HLSR s Marketing and Public Relations Department. PROVIDER ADVERTISING, MARKETING AND PROMOTION The provider may not promote itself in conjunction with HLSR, use the HLSR as a client reference or display HLSR goods in any advertising, marketing or promotional materials. Exceptions may apply to current licensed providers.

SCOPE HLSR will receive quotes from parties for floral arrangements and related items for our 2019 Best Bites Event. EVENT OVERVIEW Date: Sunday, February 17, 2019 Location: NRG Center 1st floor Hall D & E Description: Rodeo Uncorked! Roundup & Best Bites Competition Attire: Business Casual / Western Chic Time: To be delivered and set no later than 12:30 PM on Sunday, Feb. 17, 2019 FLORAL NEEDS The Rodeo Uncorked! Roundup and Best Bites Competition is a premier event in the Southwest for those who wish to savor the delights of over 450 award-winning wines from the International Wine Competition and taste signature dishes submitted for competition by more than 100 area catering institutions and restaurants. 432 arrangement centerpieces 2 large arrangements for the stage 1 presentation bouquet 1 photo op background wall SPECIAL REQUIREMENTS/INSTRUCTIONS We welcome design suggestions as we are looking for something very elegant and different and want this to be unique and special. Our focused region is California s Central Coast, so consider incorporating Californian characteristics into the arrangements. Target budget is $55 to $75 per piece; include design fee and delivery/set up fee in pricing. Include a brief description of material used and overall size of each arrangement. Must be delivered on Sunday, February 17, 2019, by 12:30 PM, no exceptions.

3 Page 3 of 5 If any materials are to be returned following the event, they must be picked up by selected vendor by 10 AM on Monday, February 18, HLSR will not be responsible for items left unattended overnight. Floral staff to unload arrangements at various staging locations around the venue. Arrangements will be placed by HLSR volunteers. There must be at least (1) of each different arrangement on the first delivery truck (unloaded first) so that HLSR volunteers may establish a pattern and begin placing arrangements on tables as soon as they are delivered. Include a photo(s) and/or description of proposed centerpiece idea that will fit in stated budget. Sample arrangements are welcome also. Estimate 432 centerpieces total (same size) including 420 for guest tables, 8 for celebrity judging tables, 2 for media room and 2 for VIP entry. Guest table arrangements should not be eye level; they should either be high or low so as not to prohibit conversation at the table. TIMELINE 1. Quotes due back no later than Monday, October 15, 2018 by 2:00 PM 2. Provider selected no later than Thursday, October 18, Order placed no later than December 15, Arrangements must be delivered no later than Sunday, February 17, 2019 by 12:30 PM, no exceptions
