Our Troop Number Our Troop Goal 2018 Fall Product Sale Program TROOP TOOLKIT Whether you are getting involved in your first Product Sale Activity or saving for a big trip, the Fall Sale Activity is a wowworthy learning and earning opportunity. Every dime earned helps girls participate in awesome, girl-led adventures. It s super simple and this toolkit will help you get started! Be sure to take advantage of your #1 local expert, your Service Unit Supervisor! They have all the tools and training to answer all of your questions! 2 Troop Checklist: Troop Checklist Review Training material: Review contact info on large troop envelope. Familiarize yourself with the Product Sales Team. Review Troop Fall Sale Toolkit. Pull the following from the troop envelope and prepare for each girl: Girl Packet (1 per registered girl) Money envelope (1 per registered girl) Fall Product Sale Family Guide (1 per registered girl) Log in to Unify at girlscouts.qspgao.com/maine, and verify your contact information. Verify all of your girls have been loaded into Unify. Reach out to parents of any girls not yet renewed. Contact your Service Unit Fall Product Supervisor if a registered girl is not listed. Set a Troop goal. Meet with parents and girls to train and distribute materials, and/or attend a Fall Sale Rally. Encourage girls to distribute Spread the Word cards to family and friends. Girls fill in their name or online ID from Unify and customers are directed to their online store. Remind families to log in to Unify and reach out to those who have not. Be a coach, check in and help out! Have the girls set goals? Provide support. Encourage girls to personalize their online store with a picture, video and message, and to send s to family and friends. Collect all girl order cards and payments. This is a prepaid activity. If a girl has not turned in the full amount due, DO NOT place the order in Unify until payment is complete. Troops are responsible for all orders placed in Unify. Review Troop info in Unify. Did your girls choose a recognitions plan? Be sure you ve selected the correct option. Once your order is submitted, this cannot be undone! Enter the troop s order in Unify. If a girl does not have any orders, reach out and check in, don t assume she did not sell! Turn all paper magazine orders into online sales. It is better for the customers, earns higher proceeds for the troop, and saves you a step as well! Paper magazine order forms need to be turned into the Fall Product Supervisor (if you do not turn it into an online sale). Double check that you entered them into Unify BEFORE you send them to the supervisor. Print Girl Nuts/Candy & Mags report and a Girl Recognitions report for product and recognition distribution. Receive nut products from the Fall Product Supervisor. Verify all inventory before you sign for them! Sort girl orders using your copy of the order report. The order report also serves as a receipt. Schedule girl pickups and have a parent sign the form at the bottom. Receive incentives directly from your Fall Product Supervisor. Inventory and sort incentives for each girl. Use the Girl Recognitions form and have a parent sign at the bottom. 2

3 New Ordering System: This year we have a new online ordering system called Unify, combining the features of NutE and QSP into one easy-to-use online program. Girls and Troop Leaders will now use the same site but will have different access levels. Girls will be able to setup their online business and send s from the site, and troop leaders will be able to order product for the troop and track sales. A separate manual with step-by-step instructions will be available as part of the new Unify site. Timeline September 11 September 16 October 21 October 24 November 7 November November 26 November 28 Mid-December Fall Sale Launch from Ashdon Farms to all registered girls/families Fall Sale Start Date Order Card Sale Ends Last day troops can enter/edit orders in Unify Automatic Electronic Withdrawal (ACH) from troop account Product delivery (Check with your Fall Product Supervisor for your date) (Cyber Monday) Online sale ends at 11:59 p.m. Final ACH and Online Sale proceeds deposited Recognitions and patches arrive (Check with your Fall Product Supervisor for your pick up information) Deadline for Recognitions Great news! Girls can continue to earn ALL recognitions, including the Free Camp Challenge, throughout the entire sale...all the way up through November 26. Spread the word! 4 Why should troops participate? This is a great program for girls, teaching them the 5 skills: It is one of the three requirements for the Free Camp Challenge. Troops definitely benefit! It s a great opportunity to earn early startup funds for the new year (troop average earnings are around $135). It s important for Troops to participate in BOTH GSME-sponsored Product Programs if they are planning to do additional money earning activities. How the Sale Works A troop opting Without Recognitions can earn $1.00 for each nut/candy item and up to $2.50 for every magazine/online item sold! How Does the Sale Work? All troops and girls registered for the 2019 membership year are eligible to participate. Only distribute packets to girls who have renewed or registered. Do not distribute packets to girls who have not registered or renewed. The Online Sale and direct ACH deposit makes it easier than ever to participate. Simply encourage your girls to log into Unify and send s to family and friends. Products are shipped directly to customers and proceeds are deposited directly into your troop s bank account. Make sure to submit a Bank Information Form to your Volunteer Support Specialist if you have opened a new account or made changes to your existing account. The Girl Order Card and Catalog Sale options offer a traditional sales approach allowing girls to make face-to-face contact with family and friends. Order forms and money are turned into the Troop Leader who then enters the order into Unify and deposits funds into the troop account. The product is picked up in November and distributed by girls. Proceeds remain with the troop while the remaining funds are withdrawn via ACH Withdrawal. Troops should decide on their proceed plan. Opting With Recognitions allows your girls to earn patches and recognitions. Opting Without Recognitions lets your girls earn patches and a higher proceed amount per item sold. Please note that patches that are part of a combo recognition are not earned if you opt Without Recognitions. Choosing the proceed plan must be decided by your girls and then selected in Unify by the Troop Leader. 4

5 Proceed Plans Items WITH EARNED RECOGNITIONS WITHOUT EARNED RECOGNITIONS For each nut/candy item sold $.85 $1.00 For each magazine item sold or renewed through catalog orders $2.00 $ 2.25 For each tumbler/candle/memory order/ magazine item sold or renewed online $2.25 $ 2.50 Product and Money Handling When accepting cash payments from girls/families, be sure to make a written/typed receipt for both the troop and the girls/families. This is good practice for all persons involved and will make for easier bookkeeping. Deposit all sales proceeds into the troop bank account as soon as possible; we recommend within one day. When depositing money in ATMs be sure to obtain receipts for all transactions. You are responsible for the money when it is in your possession. All checks make payable to GSME. All checks should contain a phone number with preprinted address. Money collected for product payment should only be used for activities associated with your Girl Scout troop and is not for personal use. Product and Money Handling 5

7 Tips and Best Practices at girl and parent training Become familiar with the new Unify platform. You are the expert - be sure you can navigate it with confidence! Set a troop goal with your girls and share it with their families. Prepare girl packets in advance. Have them ready to distribute at training. Use the Fall Sale Troop Toolkit as a training resource. Make sure each family receives the Family Guide and review it with them. Borrow the Recognitions from the Fall Product Supervisor to show the girls. This helps build excitement! Emphasize the importance of this being a girl-led activity, not a fundraiser. Focus on key elements such as the 5 Skills and other important benefits for your girls. Encourage your girls to set their own sales goals. Have them decide on how the proceeds will be used. Share your enthusiasm! Lead your girls in this FUN activity with FUN products and recognitions. Rally your girls to be excited about the sale! Secrets to a Successful Sale Girls who personalize their online page with a picture or video and add a goal have higher sales. There is a sweet spot for how many s to send for maximum results. Girls should aim to send around 32 s to take their sales to the next level! Nuts and candies make great hostess gifts. Arriving just in time for holiday giving, they re always welcome at Thanksgiving or holiday parties! Waiting rooms are always in need of new magazines! Your local doctor or dentist s office can be a super selling opportunity. Renewing subscriptions online is fast and easy, and best of all, Unify will find any existing subscriptions and pick up when they expire. Tips and Best Practices 7
