2 Welcome to the LSE Green Impact 07/ 8! Congratulations on signing up to help improve LSE s environmental impacts. This guide contains everything you need to get started with this year s Green Impact programme. It includes:. How it works - a quick overview of this year s Green Impact programme. Bronze: Workbook criteria - a list of actions to complete to achieve a bronze award. For more information on each criteria and the evidence that is required, log into the workbook. For resources, head to the Green Impact moodle page. Suggested timeline to help you plan your year of Green Impact. 3 How it works All teams must complete the bronze workbook, consisting of 6 criteria which cover several important environmental impacts. For each criterion there is a list of possible actions each with a number of points attributed to it. To achieve bronze you need to complete 0 points but you can choose any actions from any criteria to complete these points! You will need to provide evidence on the Green Impact workbook of what you have done. To achieve a silver or gold award, you must also complete a Green Impact project!

4 Bronze criteria Strategic Impacts An essential part of improving your environmental impacts is identifying what they are, where you are doing well and what you could improve on. This will help you to determine what to focus on in your department, and may even help you come up with a project idea! Actions Identify the three most positive and negative environmental impacts of your department. To get input from as many staff members as possible, hold a meeting to discuss this or send out a survey (or both!) When you have determined the three most positive and negative environmental impacts of your department. Fill in the strategic impacts template form, found on moodle, and send it to your Sustainability Engagement Officer for feedback and advice on how to improve on these impacts Points

5 Bronze criteria Staff Engagement Improving the environmental impact of your department requires getting everyone involved! This criterion is about making sustainability visible in your department, and making sure all staff members know about the opportunities to get involved with sustainability at LSE. Actions Place sustainability posters around your department or, if applicable, add sustainability slides to departmental screens. Points Send at least two photographs of initiatives you have implemented this year to the Sustainability Engagement Officer, and/or share them on social media and into the photos. Create a 'green noticeboard' in your department with sustainability posters and tips Encourage colleagues and staff to make a 'Green' New Year's resolution and to record the resolution on the environmental notice boards Add a sustainability section to your departmental newsletter or send out a 'green newsletter' where you compile sustainability news and advice to send to the department. Send out regular s to all staff on different sustainability topics

6 Bronze criteria Engagement continued Actions Regularly bring up sustainability tips at team meetings Induct all new staff to relevant environmental issues in your work area and within their role and invite them to join your Green Impact team Points Contact the Sustainability Engagement Officer about delivering the Sustainability at LSE workshop for an overview of sustainability projects at LSE. You can plan this for a team and/ or departmental meeting to maximise reach and impact. Recommended for teams who are new to Green Impact! Promote LSE Sustainability s Facebook page, Twitter feed and Green Flash newsletter to your department Actively share best Green Impact practice with another team/department within the University. This can include mentoring a new team - contact the Sustainability Engagement Officer for support with this. Successfully recruit another Green Impact team within the University

7 Bronze criteria Energy We all use energy whilst at work, including from our computers, lighting and kitchen appliances. However, small changes in behaviour can really reduce energy consumption, resulting in cost and carbon savings. This criterion is about raising awareness of energy saving potentials around your department and supporting your colleagues to make changes. Actions Complete at least two Energy walkarounds checklists (on moodle) to identify opportunities for energy saving in your department Points Set up a 'Computer Switch Off' Campaign, inviting all staff in its area to: Turn off computer monitors when they are away from their desks; Shut down their computers at the end of the day; Enable energy saving settings on their computers. Implement a Weekend Shutdown Checklist (on moodle) Implement a Holiday Shutdown Checklist (on moodle) Put stickers on electrical equipment highlighting whether it can/can't be switched off. This could be a traffic light system showing what can be turned off by anyone (green), what should be checked before it's turned off (orange), or what cannot be turned off (red). Another possibility is simply stickers showing which equipment can be turned off by anybody

8 Bronze criteria Energy continued Actions If you have occupancy sensors, do a basic walk round to check the motion sensors are effective. Any faults should be reported to the Estates helpdesk Points If you don t have sensor lighting, set up a 'Lighting Switch Off' campaign to encourage staff and students to switch off lights when rooms aren't in use and at the end of the day. Ensure there are no personal kettles, fridges, microwaves, printers, personal heaters and desk fans in use Report any over-heating problems to Estates help desk (ext.444) Encourage staff to wear appropriate clothing for the weather. Check the temperature controls of all domestic fridges to ensure they are set between and 5 degrees centigrade Ensure you only run full loads in dishwashers reducing the number of cycles run each day

9 Bronze criteria Waste LSE has great waste facilities and but there is always room for improvement. At LSE we follow the waste hierarchy: reduce, reuse and recycle. So, as well as recycling, we aim to limit the amount of waste we produce, whilst trying to reuse good quality but unwanted items whenever possible. This criterion is about promoting the waste hierarchy, and making sure everyone is aware of the waste facilities at LSE and how to use them. Actions Host a waste workshop with LSE s waste officer. Contact the Sustainability Engagement officer to set this up Points If you have a coffee machine that has pods, set up a recycling bin and organise collections. Contact the LSE Waste Officer if you need help with this. Have a department spring clean day to reduce office clutter. Contact the Sustainability Engagement Officer for support with this Create a book collection point in the department to swap with each other and/or donate to charity. Identify any problems with waste in your department and develop an action plan to tackle this

10 Bronze criteria Waste continued Actions During the festive season encourage colleagues to send Christmas E-cards and/or cards from charity outlets Points Provide reusable cups and glasses for visitors to use in preference to disposable drinking cups/cones Advertise the reusable mug scheme. Remind all staff about the collections points for mobile phones, ink cartridges, batteries, and CDs/ DVDs

11 Bronze criteria Student Engagement A crucial part of making your hall sustainable is involving your residents, raising awareness about sustainability issues and sharing advice with students! Actions Advertise the opportunity for residents to help you complete your Green Impact workbook Points Actively support Fairtrade Fortnight by organising an event or campaign Promote LSE cycling facilities, and/or Santander cycles and their location on campus and/or any upcoming free cycle training or bicycle servicing on campus Use the clean air routes map to plot the cleanest walking route from LSE campus to your halls, and then promote it to students. Make a big green notice board in your hall in a communal area of your hall, with lots of sustainability posters and tips or if you have screens in your communal areas, add some slides about sustainability Actively encourage students to take part in halls energy-saving competitions, and promote opportunities and results throughout the year

12 Bronze criteria Student Engagement continued Actions Place posters around the communal kitchens with information about recycling and waste facilities. Points Put posters around halls encouraging energy saving, and sharing tips on how to do it Send regular s to residents on sustainability issues, particularly stressing energy saving and recycling tips Make a big green newsletter with lots of advice on how to be more sustainable whilst living in halls Send a survey to students asking them about their experience of sustainability in your hall, and asking them to identify what could be improved Share information about sustainable food options in the area, such as vegetarian restaurants or markets. You could do this on a noticeboard by displaying a map of the local area Encourage residents to switch off all electrical equipment at the plug between use Give information to residents about the benefits of choosing Fairtrade and organic for their daily brew. Encourage residents to use reusable bags for shopping.

13 Suggested timeline It s up to your team how you spread Green Impact over the course of the year. However, if you d like some help planning for the year ahead, here s a suggested timeline: August: Sign up! Recruit your green team. Send s, put up posters, chat to colleagues in person or bring it up at team meetings September: Got your green team? Great! Organise your first meeting to start planning for the green year ahead. Check in with the Sustainability Engagement Officer for an initial meeting. October: Start off with Criteria (strategic impacts). This will help determine which actions to focus on for the rest of the workbook November: Next, get stuck into Criteria by starting sustainability communications to the rest of your department and then get to work on the rest of the criteria! December: Before the break is a great time to focus on the energy and waste criteria, as you can implement a holiday shut down list and can make sure any Christmas parties and card/ present-giving is as sustainable and waste-free as can be January: after the break, have an update meeting to establish where you are with all the criteria and plan what else needs to be done February: finish off all remaining criteria and collect all necessary information and evidence March: upload all evidence to the workbook ahead of submission deadline. Congrats, you re done!

14 Silver and Gold Project Guidance All projects require the following steps: ) Meet with your Green Impact team to talk about project ideas. Select one or a few that you like ) Discuss these ideas with your Sustainability Engagement Officer for further guidance ) Submit a project proposal for approval 4) Check out the scoring methodology in this guidebook and take this into account when planning your project. This will help you achieve the award you are aiming for! 5) If you require funding, send a short paragraph description to your Sustainability Engagement Officer with a rough quote for approval 6) Once this has been approved, complete and submit a funding proposal. Allow at least a month for the approval process 7) If you d like any volunteer help with your project, or would like to invite others in the Green Impact network to take part, contact your Sustainability Engagement Officer who will advertise this on the Green Impact newsletter 8) Take lots of pics of your project! Send to your Sustainability Engagement Officer to share on social media 9) Complete the Project Workbook Form, upload it to the Project tab on the workbook as well as any evidence

15 Project Ranking Teams will be ranked on 0 different criteria. For each criteria, they will be given a score out of 0. This score will take into account both effort (how much the team tried to fulfil this criteria) and impact (how much the team succeeded). This score will be suggested by the auditors but finalised by the Sustainability Engagement Officer, to ensure consistency in grading. Teams which score over 50 overall will be awarded Silver. Teams which score over 75 will get a gold award. The highest scoring team or teams will receive a platinum award! ) Team engagement: how many people were involved and how substantial was this engagement? ) Further engagement: was the student community involved/engaged through the project? Were academics/other departments involved? ) Creativity: was the project creative/ original? 4) Relevance: was the project relevant to the sustainability challenges/ ambitions of the department and/ or school? 5) Impact: did the project have tangible impact on the sustainability of the department and/ or school? 6) Measurability: how measurable was the impact of the project? Have the team provided numbers of people involved/ engaged etc.? 7) Proportionality: were the outcomes proportionate to the size/ capacity of the team? 8) Replication: is the project replicable? 9) Legacy: does it have a lasting impact? 0) Outcome: overall, was the project a success?

16 Suggested timeline It s up to your team how you plan your project over the course of the year. Some teams may wish to do their project in summer, whilst others may prefer to do it after Christmas. You can plan around whenever suits the work schedule of your Green Team and department. However, if you d like some help planning for the year ahead, here s a suggested timeline: August - October: Brainstorm ideas, discuss with Sustainability Engagement Officer and pick your project! November - December: plan, plan, plan! If you require funding you should also apply during this time January February: Promote and do your project! Have fun! March: Complete Project Workbook form and upload to workbook in time for submission day

17 Tips and Tricks Don t forget to send the name and addresses of all team members to your Sustainability Engagement Officer to make sure they are included in the Green Impact mailing list. Want some help beyond your team? Request a Green Impact Project Assistant from your Sustainability Engagement Officer Split the criteria up between your team to keep the workload manageable When assigning criteria to different team members, try to do so in line with team member s interests and professional responsibilities e.g. procurement criteria to team members who are responsible for ordering stationery, energy criteria for team members who usually liaise with LSE estates Division Combine criteria actions! Criterion requires you to do lots of communications around sustainability, and the other criteria provide great material for this. For example, promote cycling through a staff criteria and 6. Does your department already take sustainability actions which are relevant to the Green Impact criteria but not listed on the workbook? Or does your team have another idea about how to tackle environmental impacts? Contact your Sustainability Engagement Officer about whether this can be recognised/ substituted for some of the listed actions Provide learning opportunities through Green Impact. Green Impact is a great way to develop skills outside of normal job roles. Perhaps someone in your team wants to develop copywriting or digital communications skills? They could take responsibility for Criteria. Would someone else like experience in project management? They could be in charge of planning your Green Impact project (see the Project Guidebook)

18 Useful links Workbook This is where you sign-up to and complete the workbook. It contains detailed instructions on each criteria and what evidence is required. All information and evidence should be uploaded to this workbook, and it is here that you submit your workbook on submission day. Facebook group Join the group to share ideas, advice and your own projects. It's also a great place to meet other teams. If you're unsure about linking your personal account, why not create a team profile? Moodle This is where you find all resources that you may need to help you complete Green Impact including posters, checklists and archived resources from previous years programmes. Newsletter Sign-Up Please make sure all Green Impact team members are signed up to the Green Impact newsletter (not just team leaders!) as this will be used to communicate important announcements and news.
