4 Welcome! Does your troop want to do tons of exciting activities this year? The Fall Product Program is a council-sponsored program that combines learning new skills with money-earning opportunities for troops! Benefits to Fall Product Sale 1. Great products and great holiday gifts for teachers, employers, employees, etc. 2. Sale is completed by October Magazines are sold online and are the LOWEST prices available! 4. Troops make 20% (22% if troop chooses to opt-out of rewards) to utilize for startup costs, fall programing, etc. For tech support or problems with online sales and delivery: If a girl sells $100 dollars worth of products the troop will automatically make $20 for activities and troop start-up funds. 5 Troop Proceeds How Much Do Troops Earn? Proceeds belong to the troop, not individual girls, and proceeds are earned based on the total dollar amount of items sold. Troops retain 20% of the proceeds from all magazines, nuts and candy. A troop can increase proceeds to 22% if the troop opts-out of rewards. What can Fall Product pay for? 6 Getting Started The M2 system automatically sends an to the Troop Leader that provides a link to get started and enables password set up. After creating a password, click on the link in the to login or go directly to: Once logged in, you will be able to manage your troop s dashboard. This dashboard provides a snapshot of the participation and sales for the entire troop. If you manage more than one troop, you will be able to select the troop you want to view. Work with your troop to create a troop video. This step is optional but has shown to increase results. Set up additional login for your Troop Fall Product Coordinator. Troop coordinators must verify the name of each girl participating in the Fall Product Program prior to entering orders. The girls names have been uploaded into M2 based on our council membership database. Troop fall product coordinators and/or troop leaders cannot delete a girl. Any additional girls or transfers must be requested through the Product Programs Department. Host a parent meeting and collect Parent Agreement Forms! Troops are responsible for distributing materials to girls and for collecting Parent Agreement forms. Parents must fill out an agreement for each girl participating in the program. Do not release program materials or products to parents who have NOT signed the agreement. This form not only allows girls to participate, but also demonstrates parent s willingness to be held accountable for program deadlines, orders taken and products/money received. The agreement also protects the troop if a parent fails to pay for products. Troops should keep Parent Agreement forms on file for one year. Materials Once you have completed training and submitted your Troop Agreement form, your service unit will provide you with the following materials: One Family Guide per girl One Order Card per girl One Money Envelope per girl Receipt books 6

7 Planning Meetings Parent Planning Meeting Holding an informative parent meeting is important to the success of your troop s fall product program experience. This is the time to set expectations and communicate deadlines and key information. Distribute one family guide for each participating girl. Review the contents and ask parents/guardians to review it thoroughly at home. Do not distribute any other program materials until you ve received a signed parent permission form for each girl. Family Guide Highlights Page 2. Give parents contact info for their troop/ service unit fall product coordinators. Explain the different phases of the program. Remind parents that payment is not taken from customers at the time of ordering, except for the $6 Care to Share donations. Customers pay for products when they are delivered. Pages Parents can find detailed tip sheets on how to take orders, register for the M2 online site, set up the girl s avatar, and more. Point out the M2 customer service line that they can use for technical difficulties with the website. M2 contact info is located on the inside cover and page 3. Pages Walk parents through submitting their girl s order card on M2. Parents without internet access can give their order card to the troop product coordinator and ask them to enter the order. To avoid the same order being entered twice, parents should either submit their order on M2 or give the order card to the troop, not both. Page 16. Remind parents that melted products cannot be returned, and chocolate should never be left in a vehicle, even on cold days. Page 17. Closely review all financial guidelines. Review page 20 together. Have parents fill out deadlines you have chosen for the troop, and explain why meeting deadlines is important. Parent Permission Form Ask the parents to complete Parent Permission Form on page 21. Then tear out and leave it with the troop product coordinator. They can now receive their girl s order card and money envelope. 7

8 Planning Meetings Girl-Led Planning Meeting (Great for a Troop Meeting!) A successful product program begins with the girls leading all decisions! Daisies and Brownies may need more guidance for setting realistic goals and accomplishments. Juniors, Cadettes, Seniors and Ambassadors should be setting goals and making plans with the support of their troop volunteers and families. Below are some example questions that you can use to guide girls through developing their own Fall Product plan, while exploring and learning the skills at the core of the program. Program Skills Goal Setting and Decision Making Ask the girls questions about what their goals are for selling products. How will they split the proceeds? What activities do they want to do? Is there a community service or Take Action project they want to support? How many customers do they plan to ask? How many items do they need to sell to earn the proceeds needed? Money Management Ask the girls how they will answer questions about products prices. Will the troop accept checks? Should girls accept bills larger than $20? Have younger girls practice making accurate change. Discuss how to budget funds to pay for the goals they set. People Skills Ask the girls what they think good customer service means. Role play customers asking girls if they want to support the troop by buying product or magazines. Go over questions girls can ask their customers. Practice listening and responding to customers. Business Ethics Ask the girls how it feels when someone doesn t follow through on what they promised. Have them discuss how to act honestly and responsibly throughout the program. How will they keep their promises to customers? How do they make certain to remember the Girl Scout Law? 8

9 Safety First Show You re a Girl Scout Wear your uniform or membership pin when taking orders and delivering. Buddy Up Always use the buddy system. It s more fun! Be Streetwise Be familiar with your neighborhood. Partner with Adults Adults should be present when taking or delivering orders. Do Not Enter Never enter the home or vehicle of a person when you re selling or making deliveries. Plan Ahead Safeguard the money. Protect Privacy Girls full names, addresses, or addresses should never be given out to customers. Be Net Wise Take the GSUSA Internet Safety Pledge before going online. Staying Safe As an approved volunteer and trusted adult, you have a responsibility to always ensure the safety of the girls in your troop. 10 Girl Rewards 10 Rewards, Patches and Recognitions Some girls set goals for the Fall Product Program based on the rewards they can earn. A full list of available rewards is available in the M2 Online Program and on each order card. All rewards are cumulative. A girl who sells $1500 or more will receive all reward levels. Girls earn rewards on highest level achieved and all rewards below that level. Some levels include a choice between two items. Reward selections are made by parents in the M2 Online Program when the items are earned. If a selection is not made by you or the parent, the council will select a default item and the T-shirt size of YL/AS. Troops should verify all selections have been made in M2 by November 5 at 10pm. When do rewards arrive? Girl Rewards will be shipped to each service unit in the end of November or early December. The service unit product coordinator will let you know when they are available for pickup. If you don t receive your troop rewards by the end of December, contact your service unit manager. MagNut Bucks MagNut is a program credit certificate that may be used to buy items in the local Girl Scout Shop or to make payment for council or service unit sponsored events. Personalized Patches Girls can earn both the personalized patch and the personalized crossover patch (shown right; see order card for requirements). Both patches display the Me2 Avatar girls create in the M2 system. HUGS for Our Soldiers The Care to Share program benefits the soldiers at Fort Campbell, Kentucky. This is another opportunity for your customers to donate to the troops overseas and/or located on Fort Campbell to show their appreciation for the outstanding work that they do everyday. GSMIDTN again works with HUGS for Our Soldiers and last year our council donated 2,982 items to the soldiers on Fort Campbell. Let's see if we can Soar Above last years numbers to reach out to more soldiers! Some basics about the Care to Share Program: Customers do not select products to be donated. With the Care to Share donations, MONEY IS COLLECTED AT THE TIME OF THE ORDER. Parents/troop leaders will enter the amount of products that are needed under the care to share column on their Dashboard Order Card.

Gift cards or tickets to an outside organization would not be within guidance. All Rewards must be based on ranges and may not be based on a dollar per dollar calculation. Proceeds may only be allocated to Girl Scout troops/groups for Girl Scout program activities. Cash based accounts may not be kept for or distributed to individual girls within the troop. Proceeds do not follow the girls. 11

12 M2 Registration Registering your Troop Once training is completed and your Troop Agreement form and banking information are turned in, you ll receive an that invites you to the M2 Online system. From the , you ll create your password and access your account. Volunteer access begins on August 7. If you ll be accessing the system in multiple roles (as a service unit volunteer, troop volunteer and parent, for example), you ll use the same address for all roles. Once logged in, you will find that all registered Girl Scouts have been uploaded into your M2 troop roster. We highly recommend double checking your troop roster. Girls can be added to your troop in M2 after August 7, but they must be registered in CouncilAlignMENT first and it can take several days to process. Parents can help their Girl Scout create their M2 accounts on August 14 by following the steps in the Family Guide. No girls can be deleted from your troop for statistical reasons as data has been transferred from CouncilAlignMENT. After you have followed the directions in the for setting up your account, login in at: Check either Service Unit or Troop Leader. Note: If the troop is opting out of recognitions, the troop fall product coordinator must go to M2 and click on Opt-Out by September 4. 12

13 M2 Dashboard Managing your Service Unit/Troop Once you log in to your account, check out your dashboard! From here, you'll be able to: Design your very own Me2 avatar. Volunteers can earn a Me2 volunteer patch if their troop reaches PGA! Review your troop roster and see which girls have created a personalized storefront. Upload a troop video. Each Girl Scout can use the default video or create her own marketing video. But why not create one as a troop? Switch between troops, or view your own Girl Scout. If you manage a service unit, more than one troop, or have your own Girl Scouts, you can select which view you want to manage at the top right. You can also set up additional logins for other troop volunteers. View the rewards girls have earned! You can also see if a girl has forgotten to select one of the reward choices and make a selection for her. All selections are due by November 5 at 10pm! Check to see if girls have entered their address. Addresses are necessary for girls who earn the personalized patch for $300 in online sales. If not, please enter their address (or yours) and it will be mailed to you for delivery to the girls. Review all sales information for your girls. Sales in M2 are automatically updated. Verify that all paper orders are correct before October 1 at 10pm! 13

14 M2 Dashboard Parent and Girl Accounts Girls who participated last year will receive an invitation before August 14 to create an account by logging on to: New girls will need to go to the website and register for an account. Get detailed directions on how to register for M2 and set up the program on pages 6-13 of the Family Guide. Remind your parents to log on and get their program going! Girls can create their own Me2 avatars, design their personalized storefront, earn virtual prizes, and select their rewards! A full list of the rewards can be found in the M2 Online Program and girls can make reward selections as they reach their goals. They can also access a personalized sales flyer, the M2 system and their sales reports. To earn patches and rewards associated with sending s, girls must send s through the M2 system. s sent through any other service cannot be verified and will not count towards based rewards. 14

15 Placing the Order Taking Orders in Person Girls use order cards to take orders. Order Cards offer 15 nut and candy products (details below) and the option to donate to Care to Share. Only the items on the order card can be ordered outside of the M2 online system. Girls should not take orders in person for items not listed on the order card. Do not print out the list of online items and present in person for girl delivery. Some additional items, as well as magazines, are offered through M2 online with direct ship only. Girls can print and hand out flyers from the M2 website that include your girl s unique store code. They can hand these out to customers who wish to purchase/renew magazine subscriptions or purchase nut and candy items online Troops order only what is needed to fill the nut/candy orders from the order card. DO NOT add items ordered online for Girl Delivery. Those will already be included in your order. 16 Placing the Order Online Sales Friends and family can order magazine, nuts, and candy online when a Girl Scout sends them an invitation to her M2 storefront! Note: Magazines are only available online. They re sent directly to the customer and do not have extra shipping charges. Shipped: Items are ordered online and sent directly to customers for an extra shipping/handling fee. Payment is done online. Parents can check these orders on the Online Nuts tab. "Promises" / Girl Delivered: Items are delivered by the girl with no shipping/handling charges. Payment is collected upon delivery. Parents can check these orders on the Online Nuts "Girl Delivered" tab. This option is only available for the 15 items on the order card. Care to Share: Customers can purchase items for donation to the Care to Share program. Donated items are shipped directly to the council for distribution. No shipping/handling fees apply. Send s early so customers have enough time to place their order. Girl Delivered orders must be placed by September 28 and Shipped orders must be placed by October 30. Social Media Networking Parents can share their Girl Scout s M2 storefront on social media sites! Even though this is a friends and family program, it can be shared on restricted personal social media to friends and family only, not in public posts (public posts includes Facebook Marketplace, Letgo and neighborhood/local pages and sites). Last year, 27% of online sales came from social media, and Facebook was the most-used site. Workplace Sales Girls can contact business owners they know to request the opportunity to sell nuts and candy to employees. Girls should be involved in every sale, so if you want to leave an order card at your place of work, help your girl write and send an , or post a note from your Girl Scout explaining how her troop will use the proceeds. Do NOT leave order cards at the front desk of a business and ask that business to take orders for you. 16 Telephone Sales Girls can review last year s orders or M2 customer list, and contact those same customers again.

17 Reports Product and Rewards Reports After you submit your troop s orders and rewards, print your reports. This will make reward pick-up and distribution run smoothly! These are located at: Dashboard > Nut Sale Administration > Delivery Tickets Check out the Report Tutorial on our YouTube Channel at youtube.com/girlscoutsmidtn! Report Types Products: By Troop and By Girl This verifies the total number of each product to pick up from your service unit AND the total number of each product to distribute to each girl. Always count and verify product when picking it up or distributing it, and sign a receipt verifying that the correct amount of product was picked up/distributed. Recognitions: By Troop and By Girl This verifies the number of each reward to pick up from your service unit AND which rewards should be distributed to each girl. Always count and verify the total number of rewards when picking up or distributing rewards. Other Reports Additional reports are accessible from M2 Dashboard > Nut Sale Administration > Reports. These reports can typically be downloaded into an excel file and printed. You may also find them helpful in organizing and tracking your program. 17

18 Pick Up and Delivery Product Pick Up and Delivery Your service unit product sales coordinator will contact you about when and where to pick up products. Bring your printed Delivery Ticket to verify the number of each product to pick up. Your pick up should include: Items from each girl s order card M2 Girl Delivered Orders (Promises) Count your items before you sign the receipt provided by the service unit product sales coordinator. Once you sign, your troop is financially responsible for all products. Make sure your order is accurate as items cannot be returned to the service unit or the council. Once you ve received the products, divide the items into each girl s order using the delivery tickets printed from your Troop Dashboard. Any time a parent picks up an order, require them to sign a receipt. After a parent signs for their daughter's items, they assume financial responsibility for the products and cannot return them. Keep all signed receipts with the permission forms for one year! Proper Transport and Storage Always transport in a climate-controlled vehicle, 72 degrees or lower. Don t leave product in a vehicle, as it may melt, even in cold weather. Store the product in a climate-controlled environment, out of direct sunlight. You re financially responsible for all items ordered and will be asked to pay for any melted items. What is the Return Policy? No products ordered can be returned to the troop, service unit or council. MELTED PRODUCTS CANNOT BE RETURNED. What if an item is damaged? 1. Do not accept damaged items at delivery. 2. If the package or can is crushed, sealed but empty, unsealed and not discovered at time of delivery the item can be exchanged for a non-damaged item of the same variety from the council office. 3. The damaged item should be returned to council when picking up the undamaged item. Contact your service unit coordinator should you need assistance replacing damaged items. 18 Always Get a Receipt!

19 Financial Guidelines Financial Guidelines Collecting Payment Parents/guardians must sign a Parent Agreement Form for every participating girl. There are no exceptions. Girls should not be provided with sales materials and should not be participating in the program if the troop product coordinator doesn t have a signed Parent Agreement Form on file. If more than one parent/guardian in a household will be responsible for product or money, then every household parent/guardian should sign a Parent Agreement Form. Customers pay when the product is delivered. Customers should never be asked to pay for product before it s delivered, unless they re ordering online. Girls should collect payment for Care to Share donated items at the time of the order. Girls/guardians should never be asked to pay for product when picking it up from the troop. When girls/parents turn in money to your troop, you should ALWAYS give them a receipt for the amount received. The troop product coordinator will set a deadline for parents to turn in all money due. If a parent has not turned in all money owed by October 30, the troop must report the parent for outstanding debt to the council. This is a firm deadline and cannot be extended for any reason. The troop must have all funds in the troop bank account by November 1 at 4pm. Failure to account for money and products received will be considered misappropriation of funds and may result in civil and/or criminal prosecution, removal from volunteer positions with GSMIDTN, and ineligibility to receive your troop s proceeds, bonuses, and/or rewards. ACH forms must be turned in no later than August 31. Contact ProductPrograms@gsmidtn.org to get ACH form. Additional Financial Guidelines For L.E.A.D. & Troop 6000 Only Customers pay up-front when order is placed. Parents pay troop leader with cash or money order. Troop leader submits payment to L.E.A.D. Executive Veronica Brown with cash or money order by date specified during training. Girls will hand out business cards with troop contact information to customers. 20 Outstanding Debt How to Report Outstanding Debt The outstanding debt process protects the troop from financial liability. If a parent misses the set troop payment deadline, you should make a reasonable attempt to communicate with the parent. Keep records of any communication attempts date and time you left a voic or spoke on the phone, and copies of any letters, s, texts or social media messages. Troop product coordinators should follow these steps: 1. Contact the parent. Give the total amount due and last possible payment date (must be before November 1). It s also a good idea to make your service unit coordinator aware 2. Complete an Outstanding Debt Collection form by November 1 at 4pm to turn in to council. This is a firm deadline and cannot be extended for any reason. Attach the following items to your Outstanding Debt form submission: Copies of the signed Parent Agreement forms All receipts for products and money received Copies of any communications with the parent regarding debt Protecting your troop from debt: Troop volunteers should never cover the debts of parents who fail to pay. If an Outstanding Debt Collection form is submitted by the November 1 deadline, the council will not deduct the amount owed by the parent from the troop bank account. The troop is responsible for any bank account overdraft fees if the Outstanding Debt Collection form is not submitted by November 1 at 4pm. The troop will not receive proceeds for unpaid products. Parents who pay debt quickly or make payment arrangements may not face any repercussions. All money due for Fall Product, minus any amount turned in for Outstanding Debt, must be in the troop bank account for the November 12 ACH pull. Council will run an ACH draft on the bank account on November 12, that will deduct any money owed, minus Outstanding Debt. Troop proceeds will be left in the bank account. Banks process at different speeds, so we cannot give an exact date that your ACH will be processed. If the ACH fails due to insufficient funds in the troop bank account, the amount owed will be considered troop outstanding debt to the council. The troop product coordinators who signed the Troop Agreement form will receive an alerting them to the issue with necessary steps to resolve the issue. If those instructions are not followed, appropriate next steps for outstanding debt will be taken. 20

21 Troop Fall Product Coordinator Appointment Letter Position Title: Troop Fall Product Coordinator Term: One Year (renewable) Recruited by: Troop Leader Appointed by: Service Unit Fall Product Coordinator (SUFPC) Accountable to: Troop Leader, SUFPC, and Product Programs Department Following are the principal duties and responsibilities of the position: Plan and conduct a safe, fun, and successful Fall Product Program. 1. Guide girls as they make plans and set goals to carry out their planned activities. 2. In coordination with the troop leader, schedule and conduct training for girls and their parents/guardians on the mechanics of the Fall Product Program. Fulfill administrative duties throughout the sale: 1. Attend the REQUIRED training conducted by the Service Unit Fall Product Coordinator. 2. Obtain written permission from the parents/guardians of each girl participating in the program on the form provided by the council. Stress that once received, fall products cannot be returned to the troop or the council. 3. For troops opting for additional proceeds, ensure the girl and adult signatures acknowledging acceptance is on the Parent/Guardian Permission and Responsibility Form. 4. Collect girls order cards and prepare the troop order. Submit the troop s order and reward order in the M2 system by the specified date. 5. Pick up the troop s fall product order from the delivery site and promptly distribute to girls and parents/guardians. Obtain signatures from parents/guardians for receipt of any product. 6. Deposit all money collected into the troop account. 7. Have funds available in troop account by specified date for the ACH Debit. Any bank returns for NSF are the responsibility of the troop for a $36 fee. 8. Verify and submit the reward order. Obtain the rewards from the Service Unit Fall Product Coordinator and promptly distribute to the girls. 9. Notify the Service Unit Fall Product Coordinator if questions or concerns arise. All Rewards must be based on ranges and may not be based on a dollar per dollar calculation. Proceeds may only be allocated to Girl Scout troops/groups for Girl Scout program activities. Cash based accounts may not be kept for or distributed to individual girls within the troop. Proceeds do not follow the girls. Fall Product Sale Program Rewards Girl Scouts can earn rewards for selling products and magazines through order taking and online sales. With Individual Reward items, each girl earns the rewards that coincide with the level of product and magazines sold. Individual reward items are cumulative for all reward levels. Girl Scouts as a troop, can work towards Individual Reward items or can opt to earn an additional 2% through Additional Proceeds. Each troop must decide, by majority vote, on their plan before the start of the Fall Product Sale Program activities.
