3 ONLINE REGISTRATION (OLR): PRE-REGISTRATION V. ANNUAL REGISTRATION There are tw types f registratin. Pre-registratin, March thrugh June fr the fllwing schl year, is dne t ntify the divisin that a new student will attend in the fall. This facilitates a smth start t the new schl year fr students, families, and schls. Many schls have activities in April and May that are imprtant fr Kindergarteners t get a smth start in the Fall. These preregistratins als help FCPS anticipate fall enrllment levels if we need new teachers, we want t be able t recruit early t attract the best candidates. Annual registratin is required t keep student recrds up t date and t cmmunicate changes in schl plicies. Annual registratin, dne in July and early August, is required fr ALL families including: Families f students wh attended the previus year Families new t Fauquier Cunty Public Schls, wh pre-registered Families new t Fauquier Cunty Public Schls, wh did nt pre-register (these families will cmplete initial and annual registratin at the same time) FAMILIES NEW TO FCPS V. EXISTING FCPS FAMILIES Families that have ne r mre students enrlled in Fauquier have access t the student infrmatin system via Campus Prtal. T enrll a new student in FCPS, these families use their Campus Prtal accunts s that the new student is assciated with the family. If yu are an existing family and d nt have yur prtal accunt, please cntact yur schl t ensure that yur address is crrect in the student infrmatin system. Because new families have nt yet been created in the Campus student infrmatin system, they use the Online Registratin Kisk. Once students are enrlled, we will prvide the new families with infrmatin regarding hw t btain a Campus Prtal accunt. PLEASE NOTE NEW STUDENT REGISTRATIONS ARE NOT COMPLETE UNTIL YOU BRING THE NECESSARY PAPERWORK TO YOUR SCHOOL BEFORE THE START OF SCHOOL. SPLIT FAMILIES: WHO HAS ACCESS Each student may be included n nly ne OLR applicatin, therefre, nly ne parent may submit infrmatin fr a student. FCPS requests that split husehlds mutually agree which parent will submit the OLR applicatin. Nevertheless, all legal guardians have rights t access the same infrmatin. 4 ACCESSING KG-12 ONLINE REGISTRATION T access the link g t the Fauquier Cunty Public Schls web page ( and select the enrllment link at the bttm f the page. FAMILIES NEW TO FAUQUIER COUNTY A welcme page t the district's Online Registratin kisk will pen. Select the Start New Registratin buttn and enter the infrmatin. Yu must enter the captcha cde exactly as it appears it is case sensitive. If yu are an existing family, yu shuld nt see the screen belw. The Registratin Year selectin bx allws yu t chse the current schl year (if yu are cmpleting OLR March May) r the upcming schl year (fr fall r annual registratin). EXISTING FAMILIES Existing families will lg in t Campus Prtal t add new student registratins and t cmplete annual registratins. 5 GENERAL OLR INFORMATION TECHNICAL INFORMATION As f March 2018, Campus supprts IE 11.x; the current and mst-recent previus versin f Chrme, Firefx and Edge; and Safari 9.x. Campus has nt certified using a tablet, ipad r cell phne fr OLR. Yu may need t turn ff yur pp up blcker and clear cache r ckies t cntinue. If the applicatin des nt pen fr yu, it is mst likely a brwser issue. If yur PDFs are dwnlading instead f pening autmatically in Chrme, Chrme PDF viewer culd be turned ff (see Chrme supprt t fix). Within the OLR, smetimes errr messages bscure what yu wuld like t crrect; select NEXT r select the errr message t make the errr messages disappear. Required fields display with a red asterisk (*). NEW FAMILIES: NOTE YOUR APPLICATION NUMBER (SOMETIMES CALLED CONFIRMATION NUMBER) After new families click Begin Registratin, anther windw will pp up with yur Applicatin Number. Please write this number dwn; yu will need it if yu have t cme back later t cmplete the applicatin. After yu click Cnfirm, the applicatin will then pen up. 6 ALL FAMILIES: NAVIGATION Once yu are past the welcme screen, ntice the tabs acrss the tp f the applicatin: The system will guide yu sequentially. Dn t try t g ut f rder r skip arund. Within each tab, there are sectins called pleats. These are sectins which the system will pen (unfld) and clse (fld) as yu wrk thrugh them. 7 OLR TABS AND INSTRUCTIONS STUDENTS PRIMARY HOUSEHOLD TAB Husehld data includes the hme phne number, hme address and mailing address (if different than the hme address). Hme Phne Pleat: Enter the 10-digit Hme Phne Number. If there is n hme phne number, enter the cntact phne number f the parent/guardian wh is mst likely t respnd t calls frm the schl. (Ntice ur next tab is Parent/Guardian, and this is where all parent cell phnes will be requested, s dn t wrry that yu enter nly ne phne here right nw we re cncerned abut the hme phne.) The hme phne number is pushed t the autmated ntificatin system. This number will be called fr schl clsings/delays, general annuncements, unexcused absences, and ther annuncements. Ntice the NEXT buttn at the bttm f the pleat. This is a standard in OLR, and yu shuld always use the NEXT buttn t g frm ne pleat t anther. 8 Hme Address pleat: The Hme Address is the physical lcatin f the husehld. Type the huse number and yur address shuld appear belw. Please select the apprpriate address. In sme instances, the hme address is nt the mailing address but nly the physical lcatin f where the family resides; select NEXT t g t the mailing address. 11 Cntact Infrmatin Pleat: Enter the parent/guardian s cell, wrk phne number(s) and address. Nte the checkbxes will appear when a valid address has been entered. These are what Campus calls preferences, and they are used fr messages sent frm within the Campus system. Mst messages, such as delayed penings, are sent frm a different ntificatin system that receives phne numbers and addresses frm here; these checkbx preferences d nt apply t that system. Impact Aid Pleat Federal Impact Aid prgrams and grants are designed t assist lcal schl districts that enrll federally cnnected students. Fauquier Cunty Public Schls is evaluating whether ur ppulatin qualifies us fr these funds. Please cmplete this sectin t help us determine if ding a mre cmprehensive survey will benefit ur Cunty. 13 STUDENT TAB If yu have questins abut schl admissins at Fauquier Cunty Public Schls, please read ur schl bard plicy. T get started n the student tab, select Add New Student. Navigate thrugh each pleat sequentially by cmpleting each and then selecting NEXT. Yu culd lse data if yu get timed ut, s save if it takes yu lnger than 15 minutes n the student sectin. Demgraphics pleat Enter as much infrmatin as pssible. The student's name shuld be exactly as it appears n the birth certificate. Select a cntact sequence fr each and update any checkbxes typically all checkbxes will be selected fr guardians. Nte that unchecking bxes here culd adversely affect yur cmmunicatin with the schl if yur remve mailing, fr example, yu wn t get infrmatin sent t yu frm the schl. De-selecting Prtal will result in yur nt being able t see the student infrmatin nline. Selecting n relatinship will remve the guardian frm an existing family. 17 There will be an area t enter in any parent/guardian wh DOES NOT live in the primary husehld but has legal rights. A cmment area is prvided fr further infrmatin if needed. Check the bx if there are any curt dcuments specifying guardianship r limitatins f which the schl must be aware, e.g., legal guardian, limited parental visitatin r pick up, severed parental educatinal rights. These dcuments will need t be prvided t the schl. Fster Care infrmatin will be included here as well. Select whether the student is/is nt cnnected t the military; Select NEXT. Student s Emergency Cntacts pleat Please enter up t three emergency cntacts fr each student. These cntacts are individuals wh may pick up the student in case f an emergency. Nte that these cntacts d nt have blanket permissin t pick up the student frm the schl; they nly have permissin t pick the student up in an emergency when the parent cannt be reached r (depending n yur chice belw) during a schl evacuatin. 7/3/2018 Fauquier Cunty Public Schls 15

18 Health Services Physician pleat - Enter Student s Primary Care Prvider and phne number; Select NEXT. Health Medical r Mental Health Cnditins pleat list any medical r health cnditins that can be shared with schl persnnel. Ntice what yu re agreeing t by using the applicatin: If a student is injured and "the injury is believed t be serius and the parent/guardian cannt be cntacted, the pupil shall be transferred by a rescue vehicle t a hspital fr treatment." By cmpleting this applicatin, yu are giving prir permissin fr emergency treatment fr yur minr child by the hspital emergency rm dctr. Yu understand that this will be at yur expense. Students that are nt met at the bus stp and d nt have an apprved exceptin request n file will be returned t the schl and a parent will be required t pick them up. Yu may request an exceptin t this plicy. Any exceptin specified herein is nly a request; this request must be apprved by the principal, r designee, befre ging int effect. Other special transprtatin requests may als be entered here. If this student will nt be riding either mrning r afternn bus, please let us knw. This will facilitate ur scheduling rutes mre efficiently and effectively. Ggle Apps fr Educatin read the infrmatin abut the prgram and chse whether this student s accunt shuld be given rights. Please nte the applicatin number in case yu wuld like t review this later, even after it has been submitted. Once submitted yu will have anther chance t print the Summary PDF. This frm must include a current immunizatin recrd and must be dated within ne year f the enrllment date. It must be submitted t the schl nurse fr review befre the first day f schl. Tw frms f prf f residency husing cntract, rental agreement, prperty tax bill, deed, mrtgage statement r utility bill). A driver s license is nt acceptable prf f residency. Please nte and bring yur OLR applicatin number t facilitate the schl registrar s cmpletin f the prcess. A cnfirmatin f prcessing will be sent nce the district has reviewed the applicatin. An will be sent indicating the registratin was received. At this time, the schl will receive an indicatin f a new registratin being available and will prcess the entered data accrdingly.
