2 WHY YOUR COMPANY SHOULD EXHIBIT AT FOCUS FALL 2018 #1 The Hotel Irvine has been awarded Forbes Four-Diamond Award denoting that the property and all of it s facilities are upscale in all areas. FOCUS has negotiated a special rate of only $149 per night, with free parking for exhibitors, a new modern business center, gratis internet and gratis admission to the hotel s fitness center - an excellent value for our exhibitors. #2 For 2018, the conference will feature 6 hours of unopposed exhibit time between Friday evening s opening reception from 4:45 p.m. to 6:45 p.m. and 2 hours during breakfast, and lunch on Saturday, all ending for exhibitors at 2:10 p.m. Six hours of unopposed exhibit time in less than 18 hours - making your time efficient and cost-effective - and with FOCUS s long standing tradition of food, drink and door prizes, the exhibit hall will always be busy. #3 We keep your ancillary costs low as well, with hotel rooms only $149 per night, plenty of food and drink for reps in the exhibit hall and free parking. Come in as early as Thursday, September 13 to set up if you wish or set up during the day on Friday, Sept. 14th, so as to be ready for our opening reception that evening. (4:45pm - 6:45 pm) Then exhibit again Saturday morning for breakfast (7am - 9am) followed by lunch in the hall from 12:10pm - 2:10pm, all ending for exhibitors at 2:10pm. FOCUS and/or Hotel Irvine will provide security in the hallways immediately outside the exhibit hall on a 24-hour basis. Neither FOCUS nor Hotel Irvine, however, assume responsibility for loss or damage to, exhibitors property. Exhibitors are encouraged to take precautions to protect their own property and to arrange for appropriate insurance against loss. FOCUS would appreciate the cooperation of all exhibitors as regards their lodging at the Hotel Irvine. Your cooperation will assist FOCUS in meeting its contracted room block. 3

5 EXHIBIT PRICES & PAYMENT POLICIES The rules and regulations that follow will be enforced so that all exhibitors can operate equitably. It is the responsibility of the applicant, whose signature appears on the application/contract, to be sure that staff are aware of the show rules and adhere to them. Questions may be directed to Exhibits Coordinator, Anne Felts at (303) ) At least one representative from each company must be present in the booth location during exhibit hours. 2) The design of your booth or island should be such that visitors can discuss your products or services within your location without blocking traffic flow in the aisles. Island booths must be accessible by attendees on all four sides and must not have any backdrop or solid wall that blocks an attendee s sight line to any other exhibitor s booth. 3) Prize drawings are welcome on the exhibit floor. Entries may be completed within your booth, the drawing may be conducted at your booth and winner(s) may be announced overhead by the conference chairman. 4) There are no restrictions on what promotional/giveaway items must cost per item. Suggested quantity is ) The Hotel Irvine prohibits the use of helium-filled balloons. In addition, FOCUS will bill any exhibitor who leaves an inordinate amount of trash and/or fails to comply with these regulations. 6) Loud audiovisual or mechanical equipment cannot be utilized in booths. No cooking or baking of any kind is permitted. 7) Solicitation or promotion by any representative from the exhibit floor is prohibited unless booth space has been purchased. People found soliciting or promoting themselves, a product or a corporate entity will be escorted from the premises. No refund will be made under these circumstances. FOCUS reserves the right to deny future exhibit space to any exhibitor who fails to adhere to these rules and regulations. Three of the five categories of booths (island booths being the exception) are 10 x 10 with backdrape to eight feet, siderails to three feet and come with a 7 x 44 sign listing the exhibitor name, city, state, and booth number. Booth structures within 10x10 spaces are limited to eight feet in height. Structures in island booths are limited to 18 feet in height. Island booths must be accessible by attendees on all four sides and must not have any backdrop or solid wall that blocks an attendee s sight line to any other exhibitor s booth. Corner booths must be masked to avoid unsightly appearances. The exhibit space rental fee does not include: furniture, accessories, audio-visual services, additional signs, or electricity. So as to save our exhibitors additional fees, we have chosen an exhibit hall for 2018 that is carpeted and which provides gratis wireless internet service. Other items can be ordered from the show decorator (The George Fern Exposition and Event Services Corporation) using the forms in the Exhibitor Service Manual, projected to mail June 15, 2018 or accessible at 1) Assignment of space will be on a first-come, first-served basis according to the date application was received in the FOCUS office. Booth deposit must accompany booth application before a booth is assigned. 2) FOCUS accepts credit cards for payment of booth space 3) FOCUS reserves the right to assign alternate booth locations. If choices 1-3 are already assigned, the exhibits coordinator will make an alternate assignment. 4) All payments, whether they be deposits or final payments, can be made by credit card or company check (made out to FOCUS Publications, Inc.) mailed to: FOCUS Publications, Inc. 22 South Parsonage Street Rhinebeck, NY Applications received without a deposit will not be assigned a booth until deposit is received. The amount of deposit required with initial application is 50% of the total cost of the booth requested. 5) Balances due to FOCUS Publications must be cleared before assignment of exhibit space will be approved. For cancellations received prior to 5:00pm EST on July 15, 2018 exhibitor is liable for and agrees to pay FOCUS 50% of assigned booth rental fee. For cancellations received after 5:00pm EST on July 15, 2018, exhibitor is liable for and agrees to pay FOCUS 100% of assigned booth rental fee. 5

6 EXHIBITOR BADGE INFORMATION 1) Each exhibitor will be required to show photo identification to pick up their badge on-site. 2) Badged exhibitors will have access to the exhibit hall one hour prior to exhibit opening and for one-half hour after closing. 3) After the complimentary allotment of four badges is filled, additional exhibitor badges may be purchased for $200 per badge. To become the lanyard sponsor, a company may either provide 800 lanyards or, pay a fee of $500 to FOCUS to have FOCUS produce the lanyards. #7: Attendee Tote Bags Sponsorship Fee: $1,000 Benefits: A conference tote bag will be given to each attendee upon their check-in at the registration desk. These bags (800) will have the sponsor s name, booth and logo printed in white on a solid colored bag, on one side of the bag. 8
