1 FIRBANK GRAMMAR SCHOOL Last updated: June 2018 POSITION DESCRIPTION: RISK AND C OMPLIANCE ANALYST VISION STATEMENT: The vision of Firbank Grammar School is to provide all students with an exceptional education where they feel free to aspire and achieve School Values: The School s values of Integrity, curiosity, respect, courage, compassion and permeate the School s operational functions and are pertinent to all members of the School community FACULTY/POSITION: Business Office LOCATION (CAMPUS): Brighton (Across 3 campuses) RESPONSIBLE TO: Chief Commercial Officer REPORTS TO: Chief Commercial Officer TIME FRACTION: Full-time POSITION PURPOSE: The Risk and Compliance Analyst is responsible for the development and implementation of all risk management and compliance related policies and systems within the School. The position provides specialist advice the Principal and Senior Management Team and works in a cooperative manner with the teaching and educational support staff. The R&C Analyst will promote a culture of risk management and compliance within the School and a safe and healthy environment for staff and contractors. SPECIFIC ROLE DESCRIPTION:

3 1. WORKPLACE HEALTH AND SAFETY Develop and implement a Healthy Workplace Program covering all aspects of OH&S including the areas of ergonomics and manual handling Develop and provide training for staff as required including emergency procedures training. Program fully documented and signed off by School Principal within four months of appointment Training provided in a timely and concise manner 2. POLICY COMPLIANCE Develop and implement OH&S inspection and management audit tools and implement an audit schedule for each Campus (based on OH&S risk profile) to ensure continuous compliance with all legislative requirements and that safe systems are being followed Benchmark Firbank Grammar School s OH&S performance against that of similar organizations, analyse outcomes and provide report and recommendations to H&S Committee on a quarterly basis. Participation in the Risk Managers Network. Chairing and management of the Firbank Grammar School Staff OH&S Committee and action OH&S matters as prioritised Review and update School policies on a rolling 3-year cycle. Inspection and management audit tools documented and implemented within four months of appointment and regularly updated Benchmark reports documented on time and updated on a timely basis Meetings chaired and actioned appropriately Policies are compliant

4 Ensure policies, practices and procedures are properly documented, readily available and clearly understood by stakeholders. Comprehensively documented in a timely manner Organise staff training on new policies and updates. Maintain database of staff training. Training complete and documented Ensure effective contractor compliance including induction and relevant training Advise on legal and /or mandatory changes that may impact the School and make recommendations where existing policies and practices may need review. Work with relevant departments and key stakeholders to develop and maintain policies. Determine what additional policies may be required Perform internal audit function in relation to Child Safety Legislation Policies developed and maintained Audit completed successfully 3. INJURY PREVENTION/ RISK MANAGEMENT In conjunction with the Human Resources Manager ensure the Schools Privacy Policy is compliant. Develop systems and processes to ensure that workplace H&S hazards and risks are identified; assessed and appropriate control measures are implemented, tracked and reviewed Review the H&S Management System and develop a prioritised action plan to address improvement areas based on risk exposure Comprehensively documented in a timely manner H&S Management system comprehensively documented Action plans comprehensively documented and followed-up

CHILD SAFETY Maintain and test risk management plans by supporting various plan areas with risk assessments and the evidence-based testing of control environments Develop and implement a high-level risk reporting system, incorporating both incidents and near misses, as well as driving systematic post incident/injury reviews Manage the system for recording and reporting compliance requirements Proactively assist in the development of new risk management plans, as required from time to time, to cover changed circumstances Ensure the School meets the requirements of Ministerial Orders Establish and maintain a contract register Raise emerging compliance issues with the Chief Commercial Officer Assisting the Human Resources Manager develop, deliver and review training and induction programs that meet the needs of Firbank Grammar School Interpret, communicate and implement H&S legislation, codes of practice and relevant standards Develop, implement and review H&S Policies, procedures and practices to meet changing situations and in response to new or changed legislative requirements Develop, establish and maintain up-to-date databases of H&S incidents Up-grade Intranet to provide easy access to current information on policy and legislation Responsible for understanding and applying Firbank s Child Safety Policies and procedures Risk assessments conducted, and management plans maintained Reporting system developed and maintained Existing system is improved upon and developed Requirements met Contract register maintained Issues raised in a timely manner Training undertaken and documented Level of communication Quality of documentation Comprehensive database Intranet upgraded to include all policies Has read and observes policies and procedures

6 7. CHIEF COMMERCIAL OFFICER Identifying and addressing Child Safety Risks, Child abuse indicators, Management of disclosure and Internal and external reporting obligations. Complying with School Staff/student boundaries Taking all practicable measures to protect students where a risk to their safety has been identified whilst under your care. Other duties as directed by the Chief Commercial Officer Has completed relevant training and observes policies and procedures Acts according to Child Safety Code of Conduct Considers and manages the safety of students with in the school environment (eg. camps/excursions, online environment, competitions, other events etc.) Duties performed as instructed **THIS POSITION DESCRIPTION IS AN OVERVIEW OF THE DUTIES AND RESPONSIBILITIES OF THIS ROLE AND DOES NOT REPRESENT THE ENTIRETY OF THIS POSITION. 7 SELECTION CRITERIA QUALIFICATIONS AND EXPERIENCE Tertiary qualifications in risk management, engineering or law (essential) Eligible for full membership of the Safety Institute of Australia (desirable) Current Victorian Driving Licence (essential) The position requires a detailed and extensive knowledge of the statutory requirements governing the operations of a Risk and H&S function including the following: OH&S and Workers Compensation legislation, codes of practice, regulations and guidelines Risk management principles Current trends and developments in Risk and OH&S management At least four years Risk and OH&S experience within a small-to-medium, complex organisation and experience in contractor management Demonstrated detailed and extensive knowledge and understanding of risk management and OH&S Management Systems KEY COMPETENCIES Proficiency in the use of Word, Excel, PowerPoint and Project The ability to take ownership of the Risk & Compliance environment and drive for solutions; Ability to work autonomously and unassisted; Strong and positive interpersonal, communication and influencing skills; Demonstrated ability to work in a team environment and continuously make positive contributions to the team; Demonstrated high level organisational experience, including an ability to plan and organise work with minimal supervision; Demonstrated ability to undertake the core responsibilities and inherent requirements of the position An ability to research best practice and develop a business case for implementation The ability to think strategically whilst also having a practical approach to risk management and compliance Attendance at after-hours meetings, as well as Board meetings, to provide assurance and reporting, as required. This is an inherent requirement of the role.
