1 Square Reader Overview 1. All T-shirt/Water bottle sales must be processed through the Square App. This includes Credit & Debit Cards, Cash, and Checks. 2. For cities that have sales tax on clothes, the square register will add the tax amount to all transactions. If the person uses Cash or Check we will remove the tax from the sale. 3. Since the Square App is processing all sales, you do not have to use the Google Sales Sheet. You will still have to do the inventory count throughout the year. 4. Please provide all hosts with the login information. They will all be using the same login info. 5. There are no restrictions on when the square card reader can be used. 6. Make sure hosts don t manually enter credit cards because they don t have the card reader. We have to pay a higher fee when we manually enter a card. If the card doesn t read for some reason they can enter it in manually.

2 Setting up your Square Reader Create an account 1. Go to 2. Click on get free square reader 3. Enter in your and password (make the password easy to remember because you will give out that info to hosts) 4. Enter the following information on the next screen a. What type of business is it? Charities, Education and Membership b. Business category: Charitable Organization c. What is your business name? CSM d. Employer Identification Number? Leave Blank e. Estimated annual revenue? $1M - $5M f. How do you plan to use Square? Some of my card transactions g. Click Continue 5. Let s talk about you a. Enter in your information. This will not affect your credit at all. 6. Link you bank account a. Select Skip for Now (The director of operations will setup this area) 7. Let s get you a free magstripe reader a. Select I want a reader mailed to me b. Select the address you would like the reader to be mailed to. 8. Get covered for the liability shift a. Select Skip for now 9. Invite your friends, save on fees a. Select Skip for Now 10. Your account is now active!! At this point contact the Director of Operations with you login info.

3 Setting Up Inventory 1. Log into 2. Select Items on the left side menu 3. Select a T-shirt type 4. Click on Start Tracking Item Inventory under the Inventory heading 5. Enter in all current inventories into sheet. Also select the Alert box and enter in 5 in the Alert At box. This will let you know when you are down to 5 shirts left. 6. Click Save and repeat for all T-shirt types and water bottles.

4 Using Square Reader for T-Shirt/Water Bottle Sales Setting up the App 1. Download the Square Register App from the App Store or Google Play 2. Open App once it is installed 3. Select the Sign In button and enter in and password. 4. Select Sign In Selling T-shirts/Water Bottles with Square Reader 11. Select the Item List Register option 11. Select which shirt you are selling, select the size, enter quantity, and select Add 11. To add any other shirts or water bottles to the sale repeat Step 2.

5 11. If the sale includes a current year shirt and pervious year shirt, select the T- shirt Promo Item to reduce the sale by $5. You can only use one T-shirt Promo discount per sale. 11. Once all the items have been entered into the register. Select Current Sale to review all the items in the sale. 11. To delete any items swipe the item on list to the left and select delete. 11. If the customer is paying with Cash or Check you will remove the tax from the sale (New York and Philadelphia will never have tax on their sales) Select the tax line, Select the red circle, and select delete.

6 11. Once the sale has been reviewed. Select the X button to get back to the register page. 11. Select the Charge $15.00 button 10. Select Payment type: a. Select Credit or Debit number i. Insert Square Card Reader into your phone or tablet ii. Swipe customers card. (only manually enter card number if card doesn t swipe. This is a last resort.) iii. Have the customer sign and enter info if they would like a receipt. b. Select Cash i. Enter the amount of cash they are giving you ii. Select Tender button iii. Give the customer change if needed

7 iv. Have the customer enter in their info if they would like a receipt c. For a Check i. Select Other ii. Select Check iii. Select Tender button iv. Have the customer enter in their info if they would like a receipt 11. To process a new sale after current sales has been processed, select the New Sale button and return to Step 2.
