1 Job Description Position Adaptations Project Manager Department/ Location Housing Options Reports to Major Works Planning and Delivery Manager Salary SCP Staffing responsibilities (1 x Administrator; matrix management 3 x Occupational Therapist) Key purpose and responsibilities of the role Responsible for managing all activities relating to the adaptations works to assist clients in leading an independent life within their own home Work closely with residents, external agencies, our contractors and other teams within Barnet Homes to provide an excellent service to residents, whist maintaining control of quality of works, budgets and key performance indicators. Client representative to various contracts, issuing orders for works and ensuring performance delivery by our service providers. Manage 1x Administrator & matrix manage 3 x Occupational Therapist Main duties and responsibilities Provide a client representative function to the aids and adaptations contracts including; 1) Manage the principle service providers 2) Ensure works delivered are of the correct quality 3) Control of an annual budget of circa. 1m 4) Manage and instruct external consultants including; o Cost consultant o Health and safety advisor/cdm coordinator o Specialist designers Manage the workload to ensure that all requests for service are prioritised, progressed in good time, the briefs address the needs of the residents concerned and offer good value for money. Carry out audit inspections and report on performance and quality standards and targets achieved on adaptation works. Provide monthly reports on progress, budget, quality of works and compliancy with key performance indicators. Maintain comprehensive records including the updating of Barnet Homes systems and monitor performance and delivery of the programme against agreed targets and service objectives. Ensure annual servicing contracts for lifts, hoists, smoke alarms, specialist toilets and baths are maintained and performance is regularly reviewed.

Contribute to the continuous improvement to services which will achieve and maintain a high level of customer satisfaction. Ensure that adaptations procedures are developed and maintained in consultation with stakeholders to improve customer services and technical standards. Take personal responsibility for project managing urgent adaptation works for example hospital discharges and void properties. Obtain all necessary approvals ensuring that the service is managed in accordance with Barnet Homes Standing Orders and Financial Regulations, current legislation and best practice. Deal sensitively with elderly and disabled residents, ensuring building work is organised in such a way as to minimise inconvenience to the user as much as possible. Investigate and deal with complaints and general enquiries from tenants, leaseholders, general public and other departments. Investigate and advise on new technology relating to adaptation products and equipment. To ensure that a safe working environment for employees is provided and to integrate health and safety in all activities to safe guard employees, contractors, members of the public, property and the environment. Work flexibly within the scope of this post to fulfil the business objectives contained within the Barnet Homes delivery plan. Control the allocated budget for individual projects and ensure compliance with contracts, financial regulations and standing orders Monitor monthly expenditure in connection with allocated schemes and take corrective action necessary to achieve service and expenditure targets. Assisting Barnet Homes cost consultant in verifying valuations and final account submissions from contractors/service providers. Arrange for payment certificates to be signed and processed for payment. Responsibility for monitoring, controlling and reporting on the adaptations budget. Responsibility for ensuring that all expenditure has the necessary approvals and is contained within the pre-agreed budget limits. Check, approve and certify payments in accordance with Barnet Homes procedures.

3 Positively assist and agree action plans with contractors to enable achievement of performance standards and targets. Ensuring that the health and safety responsibilities under both legislation and codes of practice and Barnet Homes internal procedures are allocated and delivered appropriately. Developing and maintaining good business relationships with suppliers, partners, contractors and any other relevant agencies or organisations. Carry out on site quality assurance checks of works carried out. Checks shall be undertaken during the course of the works and upon completion as deemed necessary. This list of main duties is not exhaustive and the post-holder may be required to carry out other duties, as required within the scope of this post. 4 Person Specification Job title: Adaptations Project Manager Education, Qualifications, Memberships Essential: Educated to A-Level standard with a professional training and qualification in a construction related discipline preferably to minimum HNC level. Desirable: Training and qualification in Project Management Educated to degree level Experience Operational experience working in the public-sector housing or similar environment carrying out major work schemes preferably on a partnering basis. Experience of managing budgets for individual projects and annual programmes of work. Experience of project management. Experience of working with resident groups and managing complaints and requests for service. Experience of carrying out on-site inspections of work including verifying compliancy with the specification and required standards of workmanship. Skills and Knowledge Essential: Sound knowledge of adaptations works and DDA requirements and understanding of building regulations Detailed knowledge of property maintenance and improvement issues including knowledge of common defects and remedial solutions. Detailed knowledge of contract management. Detailed knowledge of budgetary control techniques and to have an understanding of Budget setting, monitoring, and reporting. Good IT skills encompassing Microsoft systems, including PowerPoint, Word and Excel (MS project and access preferred). Experience of working with architects, builders, surveyors and the service users and their carers regarding the design and planning of adaptations work. Experience of contributing to assessing the suitability of properties and the residential needs of disabled people

5 Proven ability to contribute and coordinate the work of several agencies/stakeholders in the delivery of the service. The ability to communicate effectively at different levels and produce clear and concise information for our tenants. The ability to work as part of a team and is able to build effective working relationships.
