5 Timeclient online Abstract 1 Abstract With the Timeclient online license, you can comfortably record working and travelling times, per diem expenses and expense receipts via the internet in CAS genesisworld Web. Field representatives can immediately and easily enter the amount of time they spent with the customer. All data will be directly assigned to the associated appointments, jobs, projects and customers and may be analyzed immediately. Reports created with the Report module and Crystal Reports will be directly displayed in the web application. 1.1 Licensing The Timeclient online license may be acquired for any number of users in connection with licenses for the Project module or one of the sector solutions CAS IT Services, CAS Engineering, CAS Consulting or CAS Research. Licensing Timeclient online requires that at least the following licenses exist among all users: 1x CAS genesisworld Client 1x CAS genesisworld Premium 1x Project module or 1x CAS IT Services or 1x CAS Engineering or 1x CAS Consulting or 1x CAS Research Timeclient online also requires activation of primary links under Links in the Miscellaneous area of the Management Console as well as activation of the Project module in the Project area of the Management Console. The Timeclient online license enables those Project features described in this user guide in CAS genesisworld Web. A user licensed for Timeclient online needs no extra licenses for CAS genesisworld, CAS genesisworld Premium, the Project module or a sector solution to access Timeclient online features in CAS genesisworld Web. Together with a CAS genesisworld client license and a CAS genesisworld Premium license, the Timeclient online license also enables some Project features in CAS genesisworld Desktop (see "1.2 Feature overview" on page 6 and "1.3 Timeclient online and CAS genesisworld Desktop" on page 7) Users licensed for the Project module or one of the sector solutions CAS IT Services, CAS Engineering, CAS Consulting or CAS Research need no extra license for Timeclient online as these licenses already enable the full range of features of the Project module in CAS genesisworld Desktop and CAS genesisworld Web (see user guide for the Project module on 5

7 Timeclient online Abstract 1.3 Timeclient online and CAS genesisworld Desktop If a user has acquired a CAS genesisworld client license as well as a Timeclient online license, the following should be considered: The user requires at least a CAS genesisworld Premium license in order to use the full range of features described hereafter in CAS genesisworld Desktop. When a Timeclient online license is assigned to a user, he or she will be able to use the following features in CAS genesisworld Desktop with CAS genesisworld Premium: Recording time Recording expenses Recording time for resource plans Creating resource plans for jobs (with Resource planning other right permission) Note You must activate the Project module in the Project area of the Management Console. Only then will the listed features be available in the client application. 1.4 Licensing example cases How many of 50 employees will be able to work online in each case? Case 1: 40 x Timeclient online, 10 x sector solution with Project All 50 employees will be able to access Timeclient online features in CAS genesisworld Web. 10 employees will be able to view reports in Timeclient online. Case 2: 49 x Timeclient online, 1 x Project All 50 employees will be able to access Timeclient online features in CAS genesisworld Web. Noone will be able to view reports in Timeclient online. Case 3: 50 x sector solution with Project All 50 employees will be able to access Timeclient online features in CAS genesisworld Web and view reports online. Case 4: 10 x Timeclient online, 5 x Project and Report Manager, 5 x Project without Report Manager 20 employees will be able to access Timeclient online features in CAS genesisworld Web. 5 employees will be able to view reports online and to create and edit report views for CAS genesisworld Web in CAS genesisworld Desktop. 7

If you also have a Report Client or Manager license, you may additionally access the Reports app. 8

9 Timeclient online Contacts 3 Contacts The Contacts app gives you reading access to addresses and the associated dossiers, lets you call contacts, write s and create appointments for addresses. In the detail view for an address, via the action menu, you can create expenses, documents and time records for that address as well as assign individual contacts to a company or remove company contacts from the associated company, turning them into individual contacts. With Report Client or Manager, you can also create reports for the contact here. Moreover, you can link the address to other data records here. To select an address, use the search feature, select an address you have previously opened or select an address from an address list stored in your CAS genesisworld Desktop navigator. Via Advanced search, you can open an extensive list of all addresses to which you have access. Use the integrated search field to search for the desired address. 9

10 Timeclient online Contacts Via Extended list below the search field or below the addresses you last opened, you can open an extensive list of your search results or the addresses you last opened. If a navigator has been assigned to you in CAS genesisworld Desktop, all address lists stored there will be displayed under Views. Via the associated list items, you can open an extensive view of the selected address list. Right-click an address to open a context menu with the following options: Open the contact's detail view in a new tab Open the contact's dossier Call the contact the contact Create an appointment with the contact Left-click on an address to open it in the associated detail view. Via the action menu at the top left of the detail view, you create expenses, time records and documents for the address. You can also assign individual contacts to companies or remove company contacts from their associated companies, turning them into individual contacts. With Report Client or Manager, you can also create reports for the address here. Via the Link with button, you can link the address with other data records. 10

In the detail view for an appointment, via the action menu, you can create expenses and time records for that appointment. With Report Client or Manager, you can also create reports for the appointment here. Moreover, you can link the appointment to other data records, delete or edit it here. 13 Timeclient online Calendar 5 Calendar The Calendar app displays existing appointments and lets you create new appointments. 5.1 Editing an appointment Click an appointment to edit it. The associated form lets you edit the subject, start and end date of the appointment. The participants of the appointment are also displayed here. Click the Delete button with the garbage can icon to delete the appointment. 13

14 Timeclient online Calendar Click the Save button with the check mark to apply your changes. Click the Cancel button with the X to discard your changes. Click the Details button to switch to the appointment's detail view. Click the Edit button to switch to the detail view's edit mode. 5.2 Creating an appoinment in the calendar Select a period of time to enter a new appointment for yourself. In the associated form, you can edit the subject, start and end date. Click the Save button with the check mark to apply your changes. Click the Cancel button with the X to discard your changes. Click Edit to switch to the editing view. 5.3 Creating an appointment in the editing view Click the button with the plus icon at the top left to create an appointment in the editing view. 5.4 Changing the start date and display period Click the button with the calendar sheet icon at the top left to change the view's start date. Click the Today button at the top left to switch to the current day. Use the Day, Week and Month buttons at the top right to change the view mode. Use the time bar at the view's lower border to switch to a different day, week or month. 14

15 Timeclient online Calendar 5.5 Displaying appointments of other users Click the button with the participants icon at the top right to display appointments of other users. Then select the users whose appointments you wish to see. The color used for a user's appointments is displayed in the participant selection. Public appointments and appointments with more than one selected participant are displayed in gray color. In the team view, click the My calendar button at the top right to return to your own view. 15

16 Timeclient online Documents 6 Documents The Documents app gives you reading access to documents and the associated dossiers. In the detail view for a document, via the action menu, you can create time records for that document. With Report Client or Manager, you can also create reports for the document here. Moreover, you can link the document to other data records here. To select a document, use the search feature, select a document you have previously opened or select a document from a document list stored in your CAS genesisworld Desktop navigator. Via Advanced search, you can open an extensive list of all documents to which you have access. Use the integrated search field to search for the desired document. 20 Timeclient online Reports 8 Reports Here you access all report views stored in CAS genesisworld. Select a report view to create the associated report on the server with the current data and display it. Depending on the settings of the report view, the analysis table or a stored Crystal Reports design will be displayed. 20

21 Timeclient online Reports The default view for reports in CAS genesisworld Web is a static HTML view. With the Report online module, an optional interactive report view is available which offers the same features for filtering, grouping, sorting and selecting display values as the analysis table in CAS genesisworld Desktop. The operation and installation of the Report online module for CAS genesisworld Web are described in the Report online chapter of the user manual for the Report module. 21

With Report Client or Manager, you can also create reports for projects here. Moreover, you can change the project s primary address as well as link it to other data records here. 30 Timeclient online Project management 9.4 Resource planning The Resource planning app offers a visual overview of your weekly workload from projects, appointments and holidays Overview Projects are sorted alphabetically. Associated jobs are sorted by date. The Time budget, ETC and Actual fields display aggregated business ratios per project and job as well as your total workload. The table displays your workload from projects, appointments and holidays visually and textually. The following workload is displayed: Projects and jobs you have been booked for via a resource plan. Appointments with Nominal costs selected (available in CAS genesisworld Web; allday appointments are intersected with the working hours on the respective days) Holidays (intersected with the working hours during the holiday) The workload is displayed in person days (PD). You determine the duration of a person day in the Time record area of the Management Console. 30

31 Timeclient online Project management Histogram The histogram visualizes the workload in addition to the displayed figures: Workload within the capacity is displayed in green. Workload exceeding the capacity is displayed in red. Where the capacity isn't exceeded, it is displayed as a horizontal green line. The capacity is defined by the working hours entered in CAS genesisworld. If historicized working hours have been entered for you in the Time record area of the Management Console, those will be used. Otherwise, working hours from 9 to 17 on each work day are presupposed Histogram hint Move the mouse over a histogram segment to display the following figures for the associated week and month: Total time: Working hours as entered in the Time record area of the Management Console. If no working hours have been entered there, 9 to 17 each work day. Working time: Working time entered via time records, resource plans, appointments and holidays. Remaining time: Difference between total time and working time. 31

32 Timeclient online Project management Gantt view The duration of projects and jobs is visualized via a Gantt view. The weekly workload is summed up per project and job. To this end, the remaining hours (ETC) for each job are distributed equally over that job s remaining duration. If a job spans only part of a week, the remaining hours distributed to that week will be accordingly less. In the current week, the actual hours already recorded for that week is subtracted from the remaining hours assigned to the same week. If the actual hours are equal to or higher than the remaining hours, no remaining hours will be displayed for the current week. The remaining hours are then distributed equally over the job s remaining duration Example A job with an ETC of 1 PD (~8 hours) starts on a Monday and ends on the following week s Wednesday. 5/8 of the remaining hours (0,625 PD ~ 5 hours) are distributed to the first week and 3/8 of the remaining hours (0,375 PD ~ 3 hours) are distributed to the second week. If 0,5 PD (~ 4 hours) had already been recorded for the job in the current week, the remaining hours for that week would go down to 0,125 PD (~ 1 hour). If 0,875 PD (~ 7 hours) had already been recorded for the job in the current week, no more remaining hours would be displayed for the current week. The remaining hours, amounting to 0,125 PD (~ 1 hour), would completely go to the following week Changing the start date Use the time bar at the view's lower border to switch to a different week. Click the Today button at the top left to switch to the current week Changing the planning horizon Via the button with the sliders at the top right, you can select the number of weeks to display (1, 2, 3, 4, 5, 8, 10 or 12) Creating a resource plan Click the plus icon at the top left to create a new resource plan. Enter the desired workload and select the associated user and job in the resource plan edit view. 32

34 Timeclient online Project management 9.5 Time record calendar The Time record calendar app displays time records as well as appointments, phone calls and holiday entries for that you may record time. The following conditions apply to the time record calendar: The time record calendar displays existing time records. Also, appointments, phone calls and holiday entries will be displayed if time may be recorded for them due to their entry in the Type field. When a time record exists for an appointment, phone call or holiday entry the associated appointment, phone call or holiday entry will no longer be displayed in the calendar. Data records will be displayed if you are a participant: Public data records and data records to which you have owning rights as a user or group member will be displayed. Data records to which you only have external access will not be displayed. All-day appointments will not be displayed. Time records that have been billed internally can no longer be edited. 34

35 Timeclient online Project management Creating a time record in the calendar Select a period with the mouse. New Time record opens a new data record. Click Time record from history to create a time record for one of the data records you last recorded time for. The primary links and type of the last time record will automatically be applied. Time record from resource plan creates a time record for the selected resource plan which will immediately be saved. Data from the resource plan will automatically be applied. The new time record will be displayed in the calendar Creating a time record for an appointment or phone call Click an appointment or a phone call. A little window will open for the new time record for the appointment or phone call. The Subject, Start and End will be adopted from the appointment or phone call. If the appointment or phone call also has a Type for which a time record type of the same name exists, it will also be adopted. Additionally, you may enter a Status for the new time record. Primary links of the appointment or phone call will also be automatically applied to the new time record if this is possible. For out of office appointments, you can also specify the start of the trip to and end of the trip from the destination. Please note that this feature will only be available if the Travel time type exists for time records or another time record type for travel time was selected in the Time record area of the Management Console under General. For all appointments, you can specify a Pause. Once confirmed, one time record will be created before the pause and one after the pause. Via the Details button, you can open the time record in the editing view. As multiple time records will be created for out of office appointments when trips to and from the destination are recorded, the Details button is not available here. Via the Open appointment or Open phone call button, you can open the detail view of the appointment or phone call. Klick the check mark at the top right in order to create the new time record or time records. Instead of the appointment or phone call, the associated time record or time records will now be displayed in the time record calendar. In order to revert the time record and display the appointment or phone call in the calendar again, all associated time records including travel times must be deleted. 35

Click the Today button at the top left to switch to the current day. Use the Day and Week buttons at the top right to change the view mode. Use the time bar at the view's lower border to switch to a different day or week Selecting the data record types to display Click the button with the sliders icon at the top left to select the data record types to display in the view. You can display time records, appointments, holiday entries and phone calls Quick entry of appointments, phone calls and holidays Click the Quick entry button to create time records for all appointments, phone calls and holiday entries in the display period for which you have been entered as a participant and that have an appropriate entry in the Type field or, if you are using teamworks and no types have been entered for holidays, in the Holiday type field. You can configure the appointment, phone call and holiday types to record in the Time record area of the Management Console under Calendar. There, you can also select a time record type and one or more projects for recording holidays. All of these settings and their effects are described in the user guide for the Project module. You can find the latest version of the user guide on the page. If a holiday and one or more appointments and/or phone calls in the display period have overlaps, the holiday will be recorded and the appointments and phone calls will be ignored. If appointments and phone calls have overlaps, the appointments are recorded preferentially. When two or more appointments have overlaps, the first overlapping appointment is recorded. When two or more appointments start at the same time, the shorter appointment is recorded. Then, all other appointments for which this is possible will be recorded. Appointments not recorded due to overlaps keep being displayed in the time record calendar. When you record a holiday this way, it is intersected with the working hours and time records are created for each working hour segment during the holiday. 36

The historicized working hours entered in the Time record area of the Management Console under Working hours will be used. For all users that have no working hours entered there, working hours from 9:00 to 17:00 each work day will be presupposed. A holiday that has already started or starts on the next work day is always recorded completely, even if it is partly further in the future than is permissible according to the associated setting under General in the Time record area of the Management Console. This means that recording holidays in CAS genesisworld Web always works as if the Record times for current holidays, or for holidays starting on the next work day option under General in the Time record area of the Management Console was set, even if it isn't. 37

38 Timeclient online Project management 9.6 Time records In the Time records app, you create new time records, open existing time records and resource plans in the detail view or for editing and create time records for your own resource plans. With Report Client or Manager, you also create reports for time records and resource plans here. In the detail view for a time record, you can create reports for it with Report Client or Manager. Moreover, you can link the time record with other data records, delete or edit it here. Click the button with the plus icon to create an unlinked time record. Please note that the user can no longer be changed once the time record has been saved. To select a time record, use the search feature, select one of the time records you last opened or select a time record from a time record list stored in your CAS genesisworld Desktop navigator. Via Advanced search, you can open an extensive list of all time records to which you have access. Use the integrated search field to search for the desired time record. 38

If a navigator has been assigned to you in CAS genesisworld Desktop, all time record lists stored there will be displayed under Views. Via the associated list items, you can open an extensive view of the selected time record list. Right-click a resource plan to open a context menu with the following options: Open the resource plan's detail view in a new tab Open the resource plan's dossier Open the resource plan for editing Create a time record for own resource plans Create a report for the resource plan (with Report Client or Manager) Left-click a resource plan to open it in its detail view. Via the action menu at the top left, you can create associated time records for your own resource plans. Right-click a time record to open a context menu with the following options: Open the time record's detail view in a new tab Open the time record's dossier Open the time record for editing Create a report for the time record (with Report Client or Manager) Left-click a time record to open its detail view. For internally billed time records, the Start, End, Actual and Type fields will be locked. Internally billed time records can therefore not be extended, shortened or moved in the time record calendar either. For externally billed time records, the Charged field and the associated Enter Actual as Charged button will be locked. Time records can currently not be billed in CAS genesisworld Web. Billing of time records must therefore be done in CAS genesisworld Desktop. This requires change rights for the Billed internally/externally on/by fields. Other rights are not required. 40
