2 Job description The International Recruitment team forms part of Aston s International Office and is responsible for the delivery of Aston s international student recruitment targets and for driving forward the student recruitment goals set out in Aston s new 2023 institutional strategy. The team sits within the wider International Office and manages Aston s relationships with key student recruitment partners, including education agents, feeder schools and colleges. This is an exciting time to join Aston as we embark on an internationalisation strategy which seeks to grow Aston s international footprint and increase student numbers. Job Purpose: The role of Head of International Recruitment Operations will play a crucial role in enabling Aston s growth journey. The successful candidate will develop an industry leading sales infrastructure which provides Aston with the ability to act with agility in a competitive market place delivering to and exceeding international recruitment targets and SLAs. The successful role-holder will have a diverse skill set, comfortable with change management and challenging the status-quo. You will lead on key operational decision-making, ensure the development of robust and efficient sales processes and be adept at identifying operational inefficiencies and implementing creative process driven solutions. The successful candidate will foster collaborative working practices within and across teams and bring a pragmatic and commercially aware skill set which enables Aston to deliver excellent customer service to key external recruitment partners and internal stakeholders. The duties of the Head of International Recruitment Operations will include: Devise, develop and own an operational plan, which implements robust sales processes and procedures into the working practices of the International Recruitment team. Develop industry leading agent management processes and procedures which enable the International Recruitment team to provide high levels of service to Aston s network of student recruitment agents. Improve resource monitoring and control processes ensuring better return on investment from Aston s international recruitment activities. Develop robust reporting mechanisms and data management procedures to enable a pro-active and regular feed of market intelligence to key internal stakeholders. Develop consistent recruitment practices and procedures enabling the expansion of Aston s international recruitment activities globally. Create processes and procedures within the International Recruitment team to ensure compliance to UKVI student recruitment policies, GDPR, CMA and other regulations. Role Structure, Relationships and deliverables The role will report to the Director, International Recruitment and form part of the senior management team within the International Office. The role-holder will line manage the International Officer(s) and International Recruitment Administrator and provide dotted line management to all team members, including the regional managers. The role-holder will develop key relationships with the Pro-Vice Chancellor International, the International Development team, Marketing, Admissions and Visa Compliance teams, and the Legal and Finance teams. The role-holder will also work collaboratively with key international recruitment leads across Aston s academic schools and academic services. Deliverables after 3 months: Manage and streamline the agent management process, embedding best practice which ensures the effective management of the channel and legal and regulatory compliance.

3 Develop an operational strategy setting out a timeline for implementing a sales infrastructure which delivers service excellence to the International Recruitment team s key stakeholders. Create effective and consistent recruitment practices, monitoring procedures and reporting functions across the team. Deliverables after 6-12 months: Establish an efficient and effective sales support infrastructure which enables the smooth operation and expansion of Aston s international student recruitment function globally. Ensure consistent SLAs are established which see step changes in Aston s ability to provide excellent customer service to key external and internal stakeholders. Deliver on return on investment objectives, as agreed with the Director, International Recruitment. Develop a robust and tested mechanism for providing high quality and timely market intelligence to internal stakeholders, enabling better decision-making across the institution. Establish best practice staff management procedures within the International Recruitment team such as on-boarding, on-going training and development, and team building practices. Main Duties/Responsibilities: Devise, deliver and own an operational plan, which implements an industry leading sales infrastructure supporting the efficient running of the International Recruitment team and enabling the delivery of Aston s international student recruitment strategy and targets. Develop agent and recruitment partner management procedures which provide effective back-office support to manage and grow recruitment by delivering exceptional customer service support to key recruitment partners. To include the implementation of robust contract management procedures, smooth and timely commission payment processes and the project management and oversight of large scale events such as Aston s agent conferences. Implement infrastructure to support account relationship management across Aston s network of international student recruitment partners including agents, schools, colleges, universities and other feeder partners, establishing and monitoring service level agreements to ensure the delivery of excellent customer service. Work collaboratively with colleagues in Marketing, Admissions and within the International Recruitment team to ensure a joined up approach to agent communication and to establish robust procedures for the timely delivery of marketing collateral. Monitor and continuously evaluate the overseas trip planning, sign-off and risk assessment procedures, in conjunction with the Director, International Recruitment, ensuring Aston s overseas activities are well planned and executed, regional budgets are managed to enhance return on investment and any travel risks are adequately managed. Develop a robust reporting structure which enables effective market intelligence to be fed back to university senior management, academic schools and central services, enabling strategic management decisions to be made. Oversee and ensure the International Recruitment team s activities and procedures are compliant with various legal and regulatory requirements, including UKVI visa compliance, GDPR and CMA regulations. Manage the on-boarding of new staff into the team, timelines for completion of HR processes and procedures, and develop the infrastructure to enable effective team information sharing across time zones.

4 Line manage the International Officers, International Student Recruitment Administrator and provide dotted line management to all International Recruitment team members. Provide senior management support to the Director of International Recruitment, deputising as appropriate. Undertake other tasks deemed important to the delivery of Aston s international recruitment objectives and in agreement with the Director, International Recruitment.
