8 Before You Begin INTRODUCTION wbscan expands DAT-MAIL s reach to our Client s shop floor. This is a light-weight webserver that allows the browser on network connected handhelds, tablets, and desktop computers to interact with their DAT-MAIL data in real time. Current functions include: Remotely trigger PostalOne! payments for activated pallets using Scan2Pay ; Real-time trailer manifesting with LSC Logistics via the DIME interface; Alert if mailer attempt to add an origin pallet to a consolidation center manifest; Pallet warehouse inventory control; Mail production visibility and metrics; Automating DAT-MAIL back office functions like paying for postage and changing piece weights; Quality assurance to avoid assessments, particularly nesting errors and undocumented pieces; and Improving shop floor productivity by providing tray tag and pallet placard reprinting functions. SYSTEM REQUIREMENTS Server Installation of the wbscan service must occur on the same server where the DAT-MAIL program files reside (i.e. not a workstation or a data server); The wbscan service cannot be executed on more than one computer. DAT-MAIL software version (or newer) must be installed; The DAT-MAIL/wbSCAN server must have a static IP address; Adequate memory to support sessions for each device that will simultaneously access the service; No other web server listening to Port 80 (or 443 secure installations) on the DAT-MAIL server; Port 80 (or 443 secure installations) must be open to traffic orginiating on the network; and Wireless router for the shop floor (if using wireless devices). 9 Before You Begin Scanning Devices PC s and Tablets using USB wired or Bluetooth wedge scanners; Wireless devices includes but is not limited to, most Windows CE industrial devices with keyboard wedge browser functionality. These devices can be purchased new, refurbished or used: ZEBRA TC-51 or TC-56; MOTOROLA MC9090G; MOTOROLA MC9200; MOTOROLA MC9190; MOTOROLA MC55A0; and Intermec CK5. Smart Phones: ios and Android devices require the Scandit Keyboard Wedge app (inquire for details) and a hardened case and extended battery are strongly recommended Window Book, Inc. 11 GETTING STARTED Before You Begin LOGGING IN Currently this function is not associated to Secure or a different employee credential list. Window Book is planning to hook this in for a later 2018 release. In the meantime use TEST as the login and password. SESSION TIME OUT wbscan s default session timeout is 15 minutes. If a login is idle for 15 minutes, wbscan will require the user to login again (the Login screen will display) to be able to perform a function in the application. The session timeout can be changed by launching the DMScanSvc.exe on the DAT-MAIL server. The executable file is located in the \WB\MDV folder. When the executable is launched, go to the Settings tab, and then the Site tab within Settings. Click the Close button to save the changes Window Book, Inc. All Rights Reserved. Page 11 of 33

12 Before You Begin SPECIAL STEPS FOR DIME USERS There are components of wbscan that assists DIME users and there are also components that can be used by any mailer (refer to COMPONENT DESCRIPTION & USE for more information). DIME users should do the following before using wbscan to activate pallets or add them to a manifest: Use the DIME option to Batch Assign Reference information to add Content Title and reference information to the jobs that are to be processed; and Request Trailer to create the manifest record (available in a future release of wbscan). When done with creating or verifying a manifest in wbscan, DIME users should use the DIME option to dispatch the trailer. If the trailer date and time needs to be changed, this can be done from the regular DIME Manifest program. Page 12 of Window Book, Inc. All Rights Reserved.

13 COMPONENT DESCRIPTION & USE There are components of wbscan that assists DIME users to load trailers. There are also components that can be used by any mailer to do warehouse inventory control of finished pallets and pay postage for pallets in PostalOne! right from the shop floor. Both NON-DIME RELATED FUNCTIONALITY and DIME RELATED FUNCTIONALITY are documented in this section. NON-DIME RELATED FUNCTIONALITY Though some of wbscan s current functionality assists DIME users to load trailers, wbscan can be used by any mailer to do warehouse inventory control of finished pallets and paying postage for pallets in PostalOne! right from the shop floor using the Scan2Pay feature. Each new release of wbscan will include additional features that can be used by all mailers (refer to PLANNED ENHANCEMENTS for more information). Scan2Pay Scan2Pay is a wbscan feature that allows mailers to scan pallets as they are produced and let the shop floor staff either mark the pallet for payment or actually pay postage for the scanned pallets in PostalOne! This is a more accurate and less labor-intensive process for managing partial mailings then using DAT- MAIL s user interface to mark pallets for payment prior to statement generation or creating a release file for PostalOne! AUTOMATION REQUIREMENTS If the mailer wants to use Scan2Pay to generate statements or release and export payment submissions to PostalOne!, Scan2Pay requires the use of DAT-MAIL s Advanced Workflow Automation Manager (AWAM ) and a specific AWAM post processing profile (refer to SCAN2PAY SETUP). For total automation, Scan2Pay requires the mailer to be submitting their Mail.dat files to PostalOne! using Window Book s MailDrop Engine software. Important: Things To Consider For the payment process to be totally automated, no changes to the Mail.dat should be needed by the time the pallets are ready to be scanned. 14 minute, Scan2Pay should only be used to mark pallets for payment so these changes can be made as is performed when using manual statement generation or postage release: Permit information and/or payment method; By/For information in MPA/CPT; Piece Weight (October release of wbscan will allow this change to be made using Scan2Weigh ); and Mailers are generating DAT-MAIL s statements and manually selecting a customer. SCAN2PAY SETUP From DAT-MAIL s main screen, select Other Programs > IM Scanning > Tagger Interface Setup. The Tagger Settings screen will display. Select (check) the option Use IM Scan Manager. When finished, click the OK button to close the screen. Enabling the Use IM Scan Manager option does not require the installation/setup of the IM Scan Manager plug-in. Page 14 of Window Book, Inc. 15 From DAT-MAIL s main screen, select Other Programs > IM Scanning > wbscan Setup. The wbscan Settings screen will display. Select (check) the option Use Scan2Pay. To use AWAM to automate payment of scanned pallets to PostalOne! select (check) the option Allow wbscan to pay postage via AWAM (see image above). If this option is not selected, DAT-MAIL s statement generation (or postage release ) function will have to be used, but all of the scanned pallets will already be marked for payment. In addition, use the browse button to select the appropriate AWAM post process profile to use. In the example being used here (image above), a profile of Scan2Pay has been selected (refer to Creating the AWAM Post Process Profile for more information). IMPORTANT: If changes are made to the wbscan settings, the Window Book DAT-MAIL Scan Service (i.e. Windows Services) must be stopped and then restarted before the changes will take effect Window Book, Inc. 16 Creating the AWAM Post Process Profile If a mailer chooses to have wbscan pay their postage using AWAM, they will need to create a post process profile. The can click the browse button in the wbscan Settings screen (image above) to create the profile. The profile can also be created through AWAM directly (within AWAM, click the EDIT PROFILES button, then click the INSERT button and select New Post Process Profile ); however, for the purpose of this document, the profile is being created via the wbscan Settings screen. The DAT-MAIL AWAM Browse Profiles screen will display. Click the Insert button (the system automatically creates a post process profile). Once a new profile screen is launched, enter a Profile Name. Enter a name that is easily identifies the profile s purpose (e.g. Scan2Pay ). General Settings tab: Determine whether statements should be generated (i.e. select the Generate Statements option) or if the system should only create release files (i.e. select the Only Create Release Files option); Select (check) the option Generate Statements Automatically ; Perform the Statement Setup or Release Mail Setup (depending on which option was enabled (first bulleted item in this list) by clicking the appropriate, corresponding button (you can printstatements 9or quick statements) automatically)); and Select (check) the option Generate Statements only for that contains already marked ready to pay. 17 Auto Exports tab: Select (check) the option Export PO! Update Release File Automatically. Dates tab: Use the options in the Dates tab to update the dates in the Mail.dat file to reflect the scan date as the ship date or payment date. The Scheduled Ship Date, Actual Container Date, and Postage Statement Mailing Date should be set to Today. If the intent is processing to ship tomorrow, add 1 day to each setting (i.e. Today + 1 day) Window Book, Inc. All Rights Reserved. Page 17 of 33

18 When finished, click the OK button to save and close the new AWAM post process profile. The DAT- MAIL AWAM Browse Profiles screen will display. Select (highlight) the newly created post process profile and click the Active & Select button. The DAT-MAIL AWAM Browse Profiles screen will close and the wbscan Settings screen will display. The name of the newly created/selected AWAM Profile will show on the screen (e.g. Scan2Pay ). Click the OK button to close the screen. IMPORTANT: If changes are made to the wbscan settings, the Window Book DAT-MAIL Scan Service (i.e. Windows Services) must be stopped and then restarted before the changes will take effect. 19 HOW SCAN2PAY WORKS The Scan2Pay function is accessible via the Scan > Activate Pallets function in wbscan. The Activate Pallets function consists of three tabs: Scan; Scan Log; and Scan2Pay. As pallets are produced, the mailers does activation scans (i.e. activates pallets) of the pallet placards either just before the pallets are wrapped or afterwards. The pallets scanned via the Scan tab log of scanned pallets are displayed in the Scan Log tab. The Scan2Pay tab displays the job associated with each scanned pallet, the total pallets that are in each of these jobs, and how many of the pallets are to be paid. Note: This screen is also useful to mailers who want to be sure they have scanned the last pallet of a job.. A The mailer can select (highlight) a job and press its corresponding Pay for X pallet(s) button located on the right. This will mark the associated pallets for payment and tell AWAM to complete the payment process with postage statement/postalone! release file creation and release file update (if enabled). 20 DIME RELATED FUNCTIONALITY Before proceeding, make sure to review the information provided under SPECIAL STEPS FOR DIME USERS. Locations wbscan allows mailers to scan, enter or select a location. This can be a physical location like a rack location or shop floor staging area, but it also can represent a production function like printing, inserting, bindery, etc. Assigning or associating a location to a pallet is optional and is not required for Activating, Deactivating, Verifying and Adding Pallets to a Manifest. It is required for Moving pallets. Create and manage existing locations by selecting the Browse menu option from wbscan s main menu and selecting Locations. The DIME Location page will display. If no locations exist, click the Insert button and create a new location. Page 20 of Window Book, Inc. All Rights Reserved.

21 Existing locations will be listed on the page. New locations can be created (i.e. Insert), and existing locations can be copied, changed, and deleted from this page. Users can also search for a particular location if need be. Locations can also be added or managed from any of the options listed under the Scan menu. Refer to the information provided under ACTIVATE PALLETS as an example. If you press the question mark button next to a Location entry field that is part of another function (e.g. Activate Pallets), you get this same screen (see image above) where you can see saved locations listed (good for staging areas or production functions). You can make the selection here or search for one you don t see. You can also add new locations from scratch (insert), copy info from another location (copy) or delete a saved location. If you add or scan a new value, you will be prompted to save it. You will only be asked once. Future versions of wbscan will have a way of printing barcoded labels for selected locations which you can use as labels for staging areas, racks or for production functions you are tracking. In the meantime any barcode printing utility could also create these labels. Use CODE39 or GSS/128 topologies since these can accommodate alpha or numeric values and don t have the restrictions of other topologies. Activate Pallets The Activate function records that a pallet has been produced and is ready to ship. Pallets that have been produced and are ready to be shipped can also be associated with a staging location or warehouse location. In DIME the pallet list can be restricted to display only the ones that have been activated, which will make it easier to select pallets for a trailer manifest Window Book, Inc. All Rights Reserved. 22 To Activate a pallet, click the Scan button and then select the Activate Pallets menu option. The Activate Pallets page will display. To associate the pallets being scanned to a particular location or production function (optional), activate (select) or highlight the Location field and enter, scan, or select a location or production function. To look up a location or production function, click the question mark button to the right of the Location field. A Select Location page will display. Location or production functions can be searched for on this screen if need be. New locations or production functions can be added (i.e. Insert), and existing locations can be copied, changed, or deleted if preferred. 23 associated with the pallets being activated and click the Select Highlighted Location button (or simply click the check-mark next to the location or production function in the list). The Activate Pallets page will display with the selected location or production function populated in the Location field. Scan the barcode of the pallet and click the Save button. If the barcode reader being used is set up to append a Return at the end of the barcode, the barcode will be saved without having to press the Save button after each barcode scanned, and the system will automatically be ready for the next scan. 24 Deactivate Pallets If a pallet needs to be deactivated (e.g. the wrong pallet was accidentally scanned), select the Deactivate Pallets option from the main Scan menu. The Deactivate Pallets page will display. Enter or select the location or production function associated with the pallet that is to be deactivated (optional). A list of the existing locations or production functions can be viewed by clicking the question mark displayed to the right of the Location field. Scan the barcode of the pallet that is to be deactivated and click the Save button (if necessary - the barcode reader being used may be set up to append a Return at the end of the barcode so that clicking the Save button is not necessary). 25 Move Pallets The Move Pallets function assigns a new location to the scanned pallets. This can be used not only to move pallets from one location to another, but is also a way to associate production functions to pallets of mail going through the production process. Locations can be created for different production stages (printing, inserting, bindery, etc.). Then users can scan each placard in the job jacket before starting the process for the mail that will end up on that pallet. wbscan currently has a Location Report (August 2018), but in the near future it will offer reports and a production dashboard to show job progress for each job in production. To Move a pallet, click the Scan button and then select the Move Pallets menu option. The Move Pallets page will display. Enter or select the location or production function that is to be associated with the pallet that is to be moved (required). A list of the existing locations or production functions can be viewed by clicking the question mark displayed to the right of the Location field. Scan the barcode of the pallet that is to be moved and click the Save button (if necessary - the barcode reader being used may be set up to append a Return at the end of the barcode so that clicking the Save button is not necessary). Verify Pallets On A Manifest The Verify Pallets In Manifest function allows DIME users to select a manifest created in DIME and then scan the pallets as they are loaded onto a trailer. It will show a count of unscanned pallets in the 2018 Window Book, Inc. All Rights Reserved. Page 25 of 33

26 manifest and as each is scanned, the count will be reduced. This tells the operator when they have completed the loading of the trailer. If a pallet that does not belong to the manifest is scanned, the user will be alerted to not load the pallet and the scan will be rejected. To verify the pallets on a manifest, click the Scan button and then select the Verify Pallets in Manifest menu option. The Verify Pallets in Manifest screen will display. Select a manifest (required). To display the list of existing manifests, click the question mark located to the right of the Manifest field. The Select Manifest page will display listing all of the existing manifests. Currently (August 2018), these manifests must be previously created in DIME for them to display in wbscan. In a future release of wbscan, users will have the ability to create a manifest record and request a trailer. Highlight the manifest to select by single-clicking on it and then click the Select Highlighted Manifest button, or simply click the check-mark that displays immediately to the let of the Manifest ID. 27 When a manifest is selected, the user will automatically be re-directed back to the Verify Pallets In Manifest page and the manifest ID will be populated in the Manifest field. If the user wants to associate the pallet to be scanned to a location or production function (optional), highlight the Location field and enter, scan or select a location from the list of existing locations by clicking the question mark immediately to the right of the Location field. Scan the barcode of the pallet that is to be verified and click the Save button (if necessary - the barcode reader being used may be set up to append a Return at the end of the barcode so that clicking the Save button is not necessary). The number of pallets on that manifest and the gross weight will be displayed to the right of the Verify field. As pallets are being verified (i.e. scanned), the number of pallets and the gross weight will reduce accordingly. To view a list of pallets that were scanned for a particular manifest, click the Scan Log tab. To view a list of the pallets that are on a particular manifest, click the Pallets tab. Add Pallets To A Manifest Many DIME users like to create their trailer manifests by scanning pallets onto a trailer. This process will automatically create DIME orders for the scanned pallets and associate them to the manifest that was selected. It will take about 10 minutes for this information to reach LSC s ebol, however Window Book, Inc. All Rights Reserved. Page 27 of 33

28 To add pallets to a manifest, click the Scan menu, and then select the Add Pallets to Manifest option. The Add Pallets to Manifest page will display. Select a manifest (required). To display the list of existing manifests, click the question mark located to the right of the Manifest field. The Select Manifest page will display listing all of the existing manifests. Currently (August 2018), these manifests must be previously created in DIME for them to display in wbscan. In a future release of wbscan, users will have the ability to create a manifest record and request a trailer. 29 Scan the barcode of the pallet that is to be added to the manifest and click the Save button (if necessary - the barcode reader being used may be set up to append a Return at the end of the barcode so that clicking the Save button is not necessary). As pallets are being added (i.e. scanned), the pallet count and total gross weight will display to the right of the Totals field. As pallets are added to the manifest, the pallet count and total gross weight will increase accordingly. This includes any pallets added to the manifest through DAT-MAIL, as well. Mailers should not exceed the pallet count or gross weight that LSC Logistics has given them! When all pallets have been added (i.e. scanned) to a manifest, users MUST select (click) the Scan Log tab and click the Update ebol button under the Scan Log tab. A hidden option exists that allows users to automatically add pallets to the ebol (i.e. e-bill of lading) when the pallet is scanned. When enabled, users do not have to press the UPDATE EBOL button. 30 Delete Pallets From A Manifest If a pallet is scanned to a manifest erroneously, it can be removed from the manifest even if the pallet was already associated with the manifest. This feature is available in wbscan s Add Pallets to Manifest function. Within Add Pallets to Manifest, click the Scan Log tab. Highlight the pallet to be removed, and click the Delete button. If the pallet was already associated to the manifest, the Manifest ID field will be populated with a number other than 0. Deletions are sent to LSC and removed from the ebol there; however, this will take a few extra minutes. If the feature to associate the pallet to the manifest is not present when the pallet is scanned, the pallet will be removed from the list immediately, and the deletion will not be communicated to LSC when the UPDATE EBOL button is pressed. 31 Scan Origin Pallets LSC does not want origin pallets on trailers going to consolidation centers. If one is scanned, a warning will be issued and the scan will be rejected. DO NOT LOAD THIS PALLET ON A TRAILER! However, If the origin entry point is also an SCF or NDC (Origin SCF or Origin NDC), the pallet can be loaded, even if there is no mail on the pallet with a drop ship discount Window Book, Inc.
