All prices shown are exclusive of VAT. All invoices issued by the organizer must be paid within 30 days without any deductions. The exhibitor loses the right to participate in the exhibition / to all benefits, if the invoice amount is not received on time. Value-added tax identification number As a rule, the organizer provides the exhibitor (entrepreneur) with a standardized service (event performance) according to Section 3a.4 (2), German Value Added Tax Application Decree (UStAE). For this, the place of performance is at the registered office of the service recipient. Accordingly, the organizer bills foreign exhibitors according to the reverse charge procedure without identification of German VAT. A condition for the acceptance of the entrepreneurial status of exhibitors from the European Union is the submission of a valid VAT identification number on the registration form. The exhibitor is obliged to inform the organizer of any changes in the VAT identification number immediately in writing. Stand registration Stands are registered by submitting a fully completed registration form with a legally binding signature. The exhibitor is the natural or legal person in whose name the registration is done. The exclusion of competitors may not be requested or granted. Submission of the registration form shall not be a basis for claims to a right to admission. Advance registration By registering in advance, exhibitors can retain their stand position from the previous year, subject to meeting the specified registration deadline. If change requests are indicated, no claims to the original stand position may be made. Stand allocation Stand allocation is done by the organizer. Individual requests made by the exhibitor in the application will be taken into account as far as possible. Stand allocation presupposes, that all of the organizer s due and outstanding claims against the exhibitor are fully met. The allocation is done in writing by invoicing of the stand rental and dispatch of exhibitor documents. Upon receipt of the stand invoice, the contract between organizer and exhibitor is legally binding. Complaints must be made in writing within eight days of receipt of the stand invoice. Sponsor Registration as a sponsor is done by submitting a registration form that has been completely filled out and signed on a legally binding basis. Individual requests made by the sponsor in the application will be considered as far as possible. Submission of the registration form shall not be a basis for claims to a right to admission. Approval occurs in writing by confirmation or invoice. Through conveyance of the invoice, the contract between the organizer and the sponsor becomes legally binding. Co-exhibitor Any company represented at the same site as that rented by the main exhibitor must be registered as a co-exhibitor. It is not permitted to transfer the use of the stand space to any third party. Sharing the stand space with a co-exhibitor is subject to approval and an extra charge. The co-exhibitor-fee is EUR for each co-exhibitor, and may optionally be billed by the organizer after the event. Included in the fee is a three days visitor pass for the exhibition. It is mandatory that the co-exhibitor be registered by the main exhibitor. Co-exhibitors are subject to all existing exhibition and participation terms and conditions. Contact person The exhibitor authorizes the named contact person to submit and accept declarations within the framework of BetonTage (e.g. stand placement, invoice processing, information mailings, dispatch of exhibitor passes and advertising material). The exhibitor bears responsibility for informing the organizer in writing about changes in the contact person. The organizer assumes no liability under any circumstances in connection with delayed or no notice of the exhibitor. Stand space Stand spaces and event areas are clearly marked by the organizer; the stand boundaries are to be strictly adhered to. The exhibitor is responsible for ensuring that its exhibition stand is clearly labelled with the stand number during the entire duration of the congress. Promotional activities are only permitted on the assigned stand space. Stand safety Exhibition stands, exhibits and advertising media must be structurally stable to ensure that there is no threat to public safety and order and in particular that there is no danger to life or health. The exhibitor is responsible for structural safety of the exhibition stand and may be required to provide proof thereof to the organizer. Otherwise, in justified cases, the organizer reserves the right to have on-site fee-based inspection of the stand stability carried out by a structural engineer. Exhibits may be displayed on the respective stand or outside area, but must be registered with the organizer. Otherwise, the organizer reserves the right to arrange for dismantling at the exhibitor s expense. Setup Monday, February 18, 2019, 10:00 am 6:00 pm The stand setup must be completed by 8:00 am on 19 February 2019 before the congress starts. The organizer may put any exhibition stand to different purpose that has not been occupied by that time.

4 EXHIBITION TERMS AND CONDITIONS Dismantling Thursday, February 21, 2019, 3:00 pm 6:00 pm Dismantling the stand and removal of exhibition items during opening hours are not permitted. Deviations from the dismantling times must be agreed upon with the organizer. In case of violation, the organizer is entitled to demand a contractual penalty of EUR from the respective exhibitor. During setup and dismantling and during the course of the event, every effort must be made to keep noise levels low. Stand equipment Capstan equipment may be ordered using the Configuration form included in the stand documents. Ordered equipment can be canceled on or before 14 January A dismantling flat charge of EUR will be invoiced for removal of stand equipment that was ordered but is not needed by the exhibitor on site. Delivery of stand material The earliest date for delivering exhibition stand material to the venue is 13 February Your delivery must be clearly labeled with 63. BetonTage and your stand number or it will not be accepted. Liability for missing or damaged deliveries / goods shall be borne by the exhibitor. Freight forwarding The use of pallet trucks, handcarts and trolleys within the building is permitted, the provision of which is the responsibility of the forwarding company commissioned by the exhibitor. The organizer is not liable for any risks resulting from the activities of forwarding companies (delivery, setup, dismantling). Storage The storage of empty containers of any kind in the stand space is strictly prohibited. All empty containers are to be removed or taken to storage on the instigation and at the expense of the exhibitor (or by the commissioned forwarder) prior to the beginning of the congress. The storage of empty containers and transport crates is fee-based and must be registered in advance. Conditions and deadlines can be found in the stand documents. Cleaning and waste disposal The organizer ensures general cleaning of the corridors. The cleaning of the stand is the responsibility of the exhibitor. This must be completed daily before the opening of the event. The exhibitor or the commissioned stand builder is responsible for disposal of any and all waste generated. Any materials left behind, regardless of value, shall be disposed of at the expense of the exhibitor. Cancellation, termination Cancellation of the exhibition contract by the exhibitor is possible until 31 October 2018 (date of the postmark) and must be made in writing with payment of an administrative fee of EUR Beginning on 1 November 2018, the full stand fee must be paid. The organizer has the right to terminate an exhibitor`s contract without notice and without prejudice to the continued liability of the exhibitor for the full trade stand fee and any costs generated if insolvency proceedings have been applied for or initiated against the exhibitor s assets, and if the amount invoiced for the exhibition stand was not or not fully paid by the set deadline. Liability and insurance The organizer is not liable for damage to the stand equipment or exhibits or for any consequential damages of the exhibitor. The exhibitor is advised to take out adequate insurance coverage for the exhibition goods at the own expense. Conditions of participation and householder rights By registering, exhibitors accept the exhibition terms and conditions and the householder rights of the Convention Center Edwin-Scharff-Haus as binding for themselves and all persons employed by them at the event. The statutory labor and trade regulations, in particular for fire protection and accident prevention, must be observed. Cancellation, relocation, or change If, as a result of force majeure or other reasons beyond their control, the organizer is forced to evacuate one or more exhibition areas temporarily or for an extended period or to extend, shorten, postpone, or cancel the exhibition, the exhibitor shall not be entitled to cancellation or termination rights or other claims, in particular claims for damages against the organizer. Privacy policy The exhibitor agrees that personal data such as last name, first name, title, postal address, address or telephone extension, which are provided during registration or the communication process in preparation for the event, may be used by the organizer exclusively for the purpose of contract fulfillment and delivery of further event information. The organizer collects, processes, uses and stores personal data insofar as this is necessary for the provision of services, for delivery of exhibitor or event information and for dispatching tickets. Detailed information on the processing of personal data can be found in the privacy policy of the organizer at The privacy policy is an integral and binding part of the exhibition terms and conditions. Stand operation obligations The exhibitor is obliged to use the stand space during the duration of the event and to keep it permanently staffed during the opening hours of the event. Exhibitor passes The exhibitor shall receive three exhibitor passes per day for each exhibition stand free of charge. The request form is included in the stand documents. The inclusion of co-exhibitors does not increase the number of passes. Additional passes required can be purchased according to the prevailing terms and conditions. The passes are exclusively intended for the exhibitor staff members named. In case of unauthorized use, the passes will be revoked without replacement. Final provisions Should parts of the present exhibition terms and conditions be or become ineffective, this does not affect the legal validity of the entire contract. Agreements, individual permits and special regulations require the written confirmation of the organizer. German law shall apply exclusively. The place of jurisdiction is Stuttgart.
