3 Log In Input Company Name, Username, and Password. Passwords are case sensitive. Click Sign In at the top right of the screen. Trakstar User Quickguide 3 Forgot Your Password? Click the link under the login details: I can t sign in or I forgot my username/password. We ll send you and that contains a personalized link to reset it.

4 Change Your Password Select Profile from the Navigation Bar. Then, Change Password. Type in your old password and the new one. Verify it. 1 2 Trakstar User Quickguide 4

5 Change Your Picture/User Icon Select Profile from the Navigation Bar. Hover over your User icon and click Change. Choose an image from your hard drive. It s a thumbnail, a 16x16 picture works best. 1 2 Trakstar User Quickguide 5

6 Take a Note on Your Appraisal Select Notes from the Homepage or My Notes from the Navigation Bar. Input the note you would like added to your appraisal. A B C D A. Type your note in the text box B. Select a Privacy Setting C. (Optional) Select a competency that this note is in relation to. If no Competency is selected, your text will be placed in the General Notes section on the appraisal D. 7 1 2 Add a Goal Click Set Goals under current appraisal. (Note: If your Appraisal is within your organization s scoring window, this button will say Score Appraisal. You will need to click Manage Goals and Notes on the next page to add goals to your appraisal.) Click Add a Goal. If employee Goal Setting is Helpful Information enabled, you will see an Add a Goal button. If not, you will be able to add a Measurement which is attached to a competency. Measurements are covered on Page 10. Goals are big picture competencies that are set specifically for an individual to focus on. Goals are eventually scored and can carry weight on the overall appraisal score. Managers may have the ability to set goals on your appraisal. Trakstar User Quickguide 7

8 Add a Goal, continued Add an existing goal or create a new one. Fill in the name of the goal and a description if desired. Select the appropriate rating scale. Save Goal when done. Select the Location of the goal on the appraisal and click Insert Goal. Now, your new goal shows up as a line item that will be scored during your next evaluation Trakstar User Quickguide 8

9 1 2 Edit/Remove a Goal Hover over the title of the goal. The X will remove the Goal. The edit pencil will allow you to make changes. If Edit is selected, the content of the goal can be edited and the weight of the goal can be adjusted. (Note: Adjusting the weight of the goal will most likely have mathematical consequences on the overall score of the appraisal when this Goal is scored.) Helpful Information Only the author of the Goal has the ability to Remove/Edit that Goal. Since Managers also have the ability to add Goals to your appraisal you may not see the Remove/Edit option on all of your Goals. If your Manager added the goal, they will need to be the one to Remove/Edit. Trakstar User Quickguide 9

10 Add a Measurement Click Set Goals under Current Appraisal in the Home page. (Note: If your Appraisal is within your organization s scoring window, this button will say Score Appraisal. You will need to click Manage Goals and Notes on the next page to add goals to your appraisal.) Locate the Competency or Goal you wish to add a measurement to and click Add Measurement. 1 2 Trakstar User Quickguide 10

11 Add a Measurement, continued Fill in the boxes. Only the Measurement Title is a required field. Finish by clicking Save. (Optional) Add an Reminder and/or Tasks by clicking Edit. 3 4 Trakstar User Quickguide 11

12 2 Score Self-Appraisal 1 Click Score Appraisal in the Home page. Select a score for each competency on the appraisal using the Rating Scale bar. Helpful Information Your current appraisal will enter the scoring window at your organization s designated evaluation time. At that time, your current appraisal button will change from Set Goals to Score Appraisal and you can begin scoring. Trakstar User Quickguide 12

13 3 Add a comment if desired. Save comments by clicking Add this comment. Comments are optional and can include an attachment that will be linked with the appraisal. Score Self-Appraisal, continued 4 Answer any open-ended questions. Trakstar requires an answer to all questions. To save, click Add this comment. Trakstar User Quickguide 13

14 5 Utilize the Summary Comments section for any final thoughts or attachments. Summary Comments are not required. Helpful Information If there is an applicable note that was previously taken on the appraisal, expand the note and click Copy to Comment to ensure the note is linked to the appraisal even after it is archived. Score Self-Appraisal, continued 6 Send to Manager upon completion of your self-appraisal. (Note: Your manager cannot see any of your appraisal information until you click Send to Manager. Also, the Self-Appraisal cannot be edited once it has been sent to your manager.) Trakstar User Quickguide 14

15 1 Provide Multi-Rater Feedback If you are asked to provide Multi-Rater Feedback, you will receive an and the task will appear in your Task List. 2 Rate your colleague, and add comments if desired. Your comments and ratings are visible only to the manager. 3 When you have finished and all elements have been scored and all questions have been answered, Send to Manager. Trakstar User Quickguide 15
