3 The American Society for Parenteral and Enteral Nutrition (ASPEN) values the participation of our corporate partners and is supportive of the role they play in effort to provide clinicians with quality educational programming. The Satellite Symposia programs are a unique way for our partners to host their own independently managed symposium on any topic specific to clinical nutrition. This is your time to showcase the latest in cutting-edge education and research to attendees so they can enhance their understanding of best practices, care and management techniques, and new tools to help them care for their patients. Reserve your space today! ASPEN provides a limited number of industry partners the opportunity to host a morning or evening symposium during the ASPEN Nutrition Science and Practice Conference based on approval of individual program proposals. The proposals are accepted based on merit, date, and space availability. These symposia are not eligible for continuing education credit through ASPEN; however, the company or organizer of the event may provide credit through an approved provider. 4 (CONTINUED) Although offering accredited continuing education is not required, supporters are encouraged to do so. Satellite symposia should provide valuable scientific and educational benefits to the audience. Symposia supporters must be ASPEN exhibitors. All activities related to symposia must adhere to the following guidelines: CORPORATE SYMPOSIA PACKAGE ($25,000) The following services are provided by ASPEN and are included in the symposium cost: One sign near registration (sponsoring company responsible for all printing and shipping costs.) One promotional insert in the Conference Tote Bag (sponsoring company responsible for all printing and shipping costs.) Publication of the symposium program in conference marketing materials, including the Onsite Guide. Promotion of your symposium on the conference website. Inclusion in one complimentary blast sent by ASPEN One-time use of the conference registration mailing list (does NOT include addresses). Assignment of meeting room space provided by ASPEN including any room rental fees. The following affirmations must be agreed to by the submitting company: Provide complete program details by Friday, September 15, ASPEN will not manage corporate satellite symposia on behalf of industry partners. Companies are fully responsible for the implementation of all logistics including registration (separate registration is optional, but recommended). Communicate function space needs to the contracted facilities. Arrange for appropriate catering and audio/ visual equipment. Use of official audio visual vendor for all A/V needs. Accept financial responsibility for all aspects of the symposium (minus room rental fees), including audio/visual rental, catering and any other related fees to produce the symposium. All marketing pieces will be submitted to and pre-approved by ASPEN before dissemination. PROGRAM CONTENT, FACULTY & ATTENDEES All accredited symposia must offer continuing education by an approved accredited provider. Programs must provide attendees with fair balance in information presented so that attendees can form professional opinions and become valuable information resources. Attendees must be a confirmed registrant of ASPEN to attend satellite symposia. Faculty must be qualified to present information on the topic identified. Confirmed faculty must be listed in your promotional copy by the deadline listed. ASPEN strongly advises supporters to refrain from using ASPEN board members as faculty for your symposia due to their numerous commitments during the conference. ASPEN strongly discourages speakers confirmed for the official educational symposia to present a similar talk at a corporate symposium. Faculty for satellite symposia who wish to attend ASPEN must register separately and pay the appropriate registration fee. ASPEN will not manage corporate satellite symposia on behalf of industry partners. Sponsoring/supporting-organizing/third party companies are fully responsible for the costs of the symposium (minus room rental fees) and implementation of all logistics, both pre- and onsite, including registration (separate registration is optional but recommended). 3

5 (CONTINUED) ADDITIONAL PROMOTIONAL OPPORTUNITIES ASPEN offers symposia sponsors the opportunity to advertise in the Journal of Parenteral and Enteral Nutrition, (JPEN) ASPEN s official journal. For additional information, please contact MJ Drewn at Wiley Advertising at mdrewn@wiley.com. All promotional materials including brochures, door drop materials, journal advertisements and signage must be approved by ASPEN. All materials distributed must specifically designate Held in conjunction with the ASPEN 2018 Nutrition Science and Practice Conference (see BROCHURES & ADVERTISING). MAIL LISTS Companies will be offered rental rights for a one-time use of the ASPEN Pre-registrant mail list. The complimentary list includes mailing addresses only. Marketing eblasts are available at additional cost. The ASPEN full membership list is also available for purchase. Instructions for obtaining the lists are below: To request a Pre-registrant mail list or to request an eblast, please contact Valerie Mickiewicz. Please ensure that your marketing material(s) have been approved before requesting the mail lists. The ASPEN full membership list can be obtained through True North online or by contacting Micaela Olivier at Micaela.Olivier@truenorthlist.com. You may request the membership list at any time. The conference Pre-Registrant mail list will be available beginning December 4, 2017 and no later than January 5, You must provide your in an HTML format to be deployed by ASPEN after materials have been approved. Each list is provided for a one-time rental use only. Each list is to be used for satellite symposia promotion only. ASPEN does not provide phone or fax numbers of their members or conference registrants. PROMOTIONAL COPY This information will be used for the Onsite Guide and the ASPEN website. Please provide a final promotional copy in Microsoft Word format to Valerie Mickiewicz no later than Wednesday, November 1, ASPEN reserves the right to edit promotional copy to ensure formatting of its printed materials. The following must be included: Title of Symposium Commercial Supporter Acknowledgment (if applicable) Program Description (cannot exceed 50 words) Learning Objectives (no more than three) List of Confirmed Faculty PROGRAM ACCREDITATION Satellite symposia have the option to offer Continuing Education (CE) for their programs. If offered, your program must be accredited by an official accredited provider and must meet all necessary guidelines and criteria. Due to accreditation guidelines, ASPEN is unable to be designated as the continuing education provider for satellite symposia. BROCHURES & ADVERTISING All printed brochures and advertising that reference ASPEN must be approved by ASPEN before being finalized and distributed. This includes direct mail campaigns, tote bag inserts, signage, JPEN advertising, hotel door drops, etc. For approval, drafts to Valerie Mickiewicz. 6 (CONTINUED) ASPEN TRADEMARK AND LOGO USAGE No exhibitors may use the ASPEN or conference logo in any manner, including but not limited to communications, newsletters, brochures, websites, social media sites or signage. Exhibitors can reference the conference or association name via text only. Examples of acceptable statements are: Visit [company name] s booth at the ASPEN 2018 Nutrition Science and Practice Conference. Join [company name] for a sponsored CE symposium at the ASPEN 2018 Nutrition Science and Practice Conference. SIGNAGE Standard signage size is 22 x 28. Supporters may elect to create signage of varying sizes but ASPEN must approve in advance of final positing on-site. Please your final rendering to Valerie Mickiewicz at valeriem@nutritioncare.org for review no later than December 15, The guidelines for displaying signs on-site during ASPEN are as follows: Your company is permitted to post up to three (3) signs per event, on the same day that your session is conducted or the day before if you are hosting a breakfast symposium. One sign may be posted in the conference registration area. Supporters are responsible for signage placement in the registration area. One directional sign may be posted in the hallway/foyer leading to the symposium room. One sign may be placed outside the symposium room. ASPEN will provide one easel for your signage onsite at Caesars Palace in the conference registration area. Posting signage elsewhere in the convention center and hotel is strictly prohibited except where noted above. Please contact Caesars Palace directly to secure easels. ATTENDANCE Estimated attendance for satellite symposia is between 150 to 400 participants, depending on date and time of sessions, as well as your company s marketing efforts made in conjunction with those outlined above by ASPEN. Please be aware that pre-registration counts are not indicative of your total anticipated attendance. Do not base your final food guarantees on pre-registration figures only. Our experience has been that many attendees wait until right before the conference or when they arrive at the meeting to decide upon the symposia they wish to attend. Therefore, it is important that you be prepared to accept attendees on-site. ASPEN makes reasonable attempts to attract quality attendees, but does not guarantee specific volume of attendance, level of qualification or overall attendance. ASPEN will not refund the symposium fee, in part or in whole, based on attendance. LEAD RETRIEVAL Lead retrieval may be purchased online through ExpoLogic using the show code: ASPEN2018. FOOD & BEVERAGE All satellite symposia are encouraged to provide food and beverage. Please contact Caesars Palace catering listed below to arrange your food & beverage needs. All costs associated with food and beverage are the responsibility of the sponsoring organization. Please be aware that your symposia, including the food and beverage function may not exceed the scheduled time frames. Your food function set-up can be held inside the symposia room or in the hall/foyer outside the room. Because ASPEN educational sessions begin soon after your program, you must conclude your symposia at the time noted on page 8 for the room to be prepared for the next program. Please identify your symposium name and time slot when contacting the venue. 5

8 PROGRAM REGISTRATION & HOUSING REGISTRATION Satellite symposia registration arrangements are the responsibility of the sponsoring organization. ASPEN will forward all public inquiries regarding your satellite symposium to the designated contact person for your organization. HOUSING Please access housing information for ASPEN on our official event page. SHIPPING Please make any arrangements for the shipping of your program materials directly with Caesars Palace. Arrangements can also be made through our General Services Contractor. The fees quoted and charged are the sole responsibility of the company hosting the symposium. Shipping costs are not included in the fee paid to ASPEN. If you have any questions regarding shipping, please contact Caesars Palace directly. Note: ASPEN is not responsible for shipping delays or loss of materials. 7
