1 Paid Time Off Entry If any employees at your location have taken time off during the pay period and they need to be paid for those hours, you will enter the time taken in this report. Search for the report: DSJ_Enter Sick and Vacation Time Off Report and select it from the drop down list.

2 Enter the location (or locations) you are responsible for. Then exit the pick box and click on the blue OK button. A report will pull listing: Employee ID-Employee ID Preferred Name-Employee Name Current Effective Date-This will become the date of time off, defaults to report run date. All Positions/Jobs Employee Type-This report will only pull regular employees Location-This will show your location, but in some cases, may show the location name for an additional job. If the location name is NOT your location, please ignore that position. We were unable to suppress those from the report. Position-Title of the position, all positions for the employee at your location will be listed. There may be multiple listed per employee Reference ID-Position ID All Eligible Time Off for Worker Time Off Plan-This lists all plans the employee is eligible to use based on the positions they have. Unit of Time-This will default to hours and should stay this way Total Hours-Enter the number of hours taken in this column per plan and position Additional Comments-This is blank, enter any comments needed here

3 Click on the Excel icon listed in the upper right of the screen. There are 2 Excel icons, you can use either. This is going to export the report into Excel.

4 Depending on your operating system, the file may show on the bottom of your screen or you will get a prompt to open or save the file. If it shows at the bottom, wait for the green circle to stop spinning, then double click on the report to open in Excel. This file will look exactly like the report did in Workday. This is the report in Excel with no changes.

5 This is what needs to be done in each column. Example on next page. Employee ID-Do not change this column Preferred Name-Do not change this column Current Effective Date-Enter the date or dates of time off. You may need to enter additional rows if the employee took more than 1 day off. See example below, Note 1. All Positions/Jobs Employee Type-This report will only pull regular employees Location-You will leave this column along, unless there is a position listed with a different location. Then you will want to delete out that position information. You will not be reporting time off for other locations. Position-You will want to enter the position title for which time off is being taken. If an employee works M-W-F as the Janitor and takes Monday off, enter time as the Janitor. If on Tue-Thur he is the Extended Care Worker and takes Tuesday off, enter the position for the Extended Care Worker. If they work both positions in 1 day, enter the amount of hours taken per position on that day. See note 2. Reference ID-Do not change this column All Eligible Time Off for Worker Time Off Plan-This lists all plans the employee is eligible to use based on the positions they have. You will want to select the time off plan that corresponds with the time off they are taking. If it is sick time, choose the sick time plan. If it is vacation, use the corresponding vacation time plan. If there is more than 1 type of sick or vacation plan, choose the best you can. It is somewhat confusing to determine which plan goes with which position. Just try your best. Unit of Time-Do not change this column Total Hours-Enter the number of hours taken in this column per plan and position and per date of event Additional Comments-Enter any comments needed here If you need to record a time off type other than sick or vacation, please contact the payroll department at payroll@dsj.org

6 1-Ignore this line with the position at the other location. 2-On this date, the time was split between 2 positions Once you have entered all time off hours for all employees, save the report using your location name and the Workday report name (ie. Saint Christopher Parish DSJ_Enter Sick and Vacation Time Off Report). this report along with the Time Entry Tracker report and One-time Payment Request report to Payroll.
