1 POSITION DESCRIPTION Title: Reports to: Digital Media Co-ordinator Director Community Engagement ORGANISATION SUMMARY Pymble Ladies College is a K-12 day and boarding school of the Uniting Church in Australia committed to providing quality educational opportunities for girls within the context of the Church ethos. The College is non-selective and welcomes girls of Christian and non-christian faiths. With over 2100 students and more than 800 employees, Pymble Ladies College is a dynamic and progressive educational organisation. One of the key elements of our strategic plan Towards 2020: Striving for the highest is the provision of a personalised education for all girls that is universally acknowledged for its quality, innovation and excellent opportunities. This is underpinned by a strong focus on the development of an innovative and relevant academic and co-curricular curriculum that reflects individual and unique strengths, interests and promotes the wellbeing of girls and young women. POSITION SUMMARY The Digital Media Co-ordinator is a member of the Community Engagement team and reports to the Director Community Engagement in all aspects of the position. This position is responsible for leading the development and execution of all online and social media activities for the College with the goal of ensuring Pymble continues to develop and maximise a strong market position, resulting in increased enrolments and engagement of existing families. This role co-ordinates with the Communications Specialist and other members of the Community Engagement team to ensure consistency in voice and cultivating a strong community around the College brand across all online media. KEY RESPONSIBILITIES 1. College website 1.1 Manage the creation, collection and maintenance of website content. This includes ongoing evaluation and revision of the site's content for effectiveness, monitoring and implementing relevant best practices and trends in website content 1.2 Deliver weekly site statistics tracking, highlighting interesting trends and collating data for reporting 1.3 Review SEO/SEM metrics to ensure maximum exposure Digital Media Co-ordinator (2018) Page 1

2 1.4 Work with the team members to develop program management schedule to ensure news and events are current and meaningful 1.5 Design, develop, adapt, implement and test solutions across the College website and other online platforms using the content management system (CMS) 1.6 Review market and industry research and present innovative ideas to help drive website growth and increased user engagement and interaction 1.7 In partnership with the I.T. team, manage the relationship with website supplier/s. 2. Manage and maintain the College social media platforms and online advertising campaigns 2.1 Plan and execute engaging social media content across all platforms 2.2 Manage the social media moderation and message responses to the community 2.3 Review market and industry research and present innovative ideas to help drive community growth and increase user engagement and reach 2.4 Track and report on social media engagement and growth 2.5 Lead online marketing and advertising activities 3. Online communications and photography 3.1 Work with the Communications Specialist and other relevant team members to develop and implement a digital content marketing plan to engage our current and prospective families and build brand trust and loyalty through publishing well-researched content 3.2 Manage the College CRM, and integration with website and EDM software 3.3 In partnership with the Communications Specialist manage and deliver the weekly enewsletter (in Term time only) to community stakeholders 3.4 Utilise existing tracking and analysis to report weekly on enewsletter metrics 3.5 Manage updates to the College App 3.6 Manage relationships with I.T. suppliers as they relate to Community Engagement functions 3.5 Support the team with the delivery of enewsletters and EDM s 3.6 Identify and update online directories and manage the relationship with supplier/s Digital Media Co-ordinator (2018) Page 2

3 3.7 Co-ordinate with the team members to identify photography needs, shoot College photos and edit as necessary. 4. Ensure consistency and appropriateness of online branding and online image of the College 4.1 Ensure the online branding of the College is consistent with the College Style Guide 4.2 Assist in educating College staff to understand the online identity of the organisation and the online marketing goals 4.3 Maintain a consistent online communication and quality standard 4.4 Develop processes to support the consistency of College branding and online image 4.5 Ensure a high quality of online content in alignment with College Mission, Vision and Values 4.6 Maintain and review the online response framework of the College to ensure best practice. 5. Evaluate and track effectiveness of online activities within the department 5.1 Track, monitor and report on all online activities 5.2 Research key areas of online activity and gauge levels of exposure of competitors 5.3 Manage digital reports prepared for the Director Community Engagement and make recommendations for improvement when necessary. 6. Support key staff in the co-ordination of the range of College activities and events 7. Relationship management 7.1 Develop a strong, professional relationship with staff at the College 7.2 Ensure that planning processes facilitate the needs of the College in relation to online marketing 7.3 Work effectively alongside staff to develop positive, ongoing and productive relationships 7.4 Contribute to decision making processes in support of the online functionality of the College 7.5 Embrace the concept of team and demonstrate a respect for the value of professionals working towards the attainment of a shared vision Digital Media Co-ordinator (2018) Page 3

4 7.6 Provide effective leadership to staff using well-developed conflict resolution and negotiation skills. 8. Facilities, assets and resources 8.1 Model best practice standards in the use and care of College facilities 8.2 Ensure that facilities used in marketing activities reflect a high level of maintenance and quality 8.3 Set and maintain clear processes and policy for the use and care of media equipment and facilities. 9. Communication 9.1 Conduct all communication with students, staff, parents and members of Pymble Ladies College community and external entities in a professional and respectful manner 9.2 Ensure all written communication is courteous, professional, accurate and reflective of the professional standards of the College 9.3 Contribute towards the development of effective communication through developing positive and professional relationships with all staff. 10. Risk Management 10.1 Ensure that work undertaken is done within the policy of Risk Management and WHS practices 10.2 Meet the expectations for safety in the workplace and report potential risk to the Director Community Engagement 10.3 Remain informed about Emergency Response procedures and be capable of following and applying these should it become necessary 10.4 Report directly to the Principal on any matters relating to child protection 10.5 Consistently adhere to College policies and procedures. 11. Professional Learning 11.1 Remain abreast of current and best practice standards 11.2 Identify and participate in training programs that will enhance innovation and improve knowledge and skill. 12. 5 POSITION REQUIREMENTS / CAPABILITIES - Willingness to support the ethos and values of the College - Minimum three years experience in internet marketing and advertising and its interrelationship with social media, SEO/SEM and website strategy development is essential - Knowledge of SEO, keyword research and Google Analytics - Experience managing social media platforms including monitoring performance, trends and reporting - Demonstrated experience with content management systems in the delivery and maintenance of websites and enewsletters, and intermediate knowledge of HTML, CSS, and other web technologies is essential - Excellent copywriting, editing and proofing skills - Intermediate photography skills and knowledge of Adobe Creative Suite and Photoshop - Degree in a relevant field of study (Marketing, Communications, Visual Media, etc.) or equivalent experience. - A demonstrated ability to manage a range of projects and effectively prioritise competing demands - Intermediate level experience in administering HTML and the use of Adobe Photoshop. - Excellent verbal, interpersonal and customer relationships skills along with the ability to work well with staff at all levels of the organisation - The ability to provide timely, expert technical advice on contemporary developments in digital based website applications and recommend their application where appropriate - Basic understanding of principles of information architecture - An understanding of website design and technology - The ability to work proactively within the department and autonomously as required - Demonstrated commitment to continuous improvement - Ability to demonstrate professional conduct and discretion at all times.
